2 2015 ROTARY DISTRICT 7360 CONFERENCE RADISSON HOTEL, CAMP HILL MD 1-3 MAY 2015 CORPORATE SPONSOR'S AND INDIVIDUAL ATTENDEE PROCEDURES BACKGROUND While individual registration fees pay for attendees' direct conference costs (excluding rooms), Corporate Sponsorship can be a huge chunk of Conference revenues. This income can pay for speakers, and subsidize Rotaract and Interact attendance, among other costs. We want to successfully finance expenses before we open the doors. Corporate sponsorships can do that. To the extent we exceed expenses, we'll return the excess to participating clubs based on their success soliciting corporate sponsors. CORPORATE SPONSORSHIP PROCEDURES The main elements of the Corporate Sponsor and registration sales process are: - Solicit organizations to support the district conference. Experience suggests what works best is writing a list of organizations you think might be supportive and assigning someone in your club to make contact. If that person is a Rotarian employee or someone who knows internal leadership, even better. Some larger prospective sponsors may express interest, but will need time to work it out. Ask them for point of contact information (attachment 2). - Lay out our proposition. Participation levels are reflected in the attached Sponsor Pricing Levels (attachment 1). In exchange for contributions, participants will get some combination of paid registration for Saturday's events, including meals and the Cal Ripken/Marilyn Fitzgerald presentations. They'll also get varying degrees of advertising to hundreds of Rotarians, generally successful business men and women, from throughout the district during the event. Top contributors will get access to a private reception with Cal Ripken. As an advertising expense, the contribution is fully chargeable. - Send checks, or ask the sponsor to send checks to the address on the Pricing page. - Report contributions to Terry Eisenhauer who is also listed on the Pricing page. To keep all this relatively simple to administer, a few things need to be standard. 1) Sponsor and Individual Pricing Levels (see attachment) 2) Routine reporting to Terry Eisenhauer as contributions are made, including the name of the sponsor, Rotary and Sponsor contact information, and Sponsor Level. 3) Centralized accounting through the Waynesboro Club Treasurer and 2015 Conference Treasurer. After the event, if there are funds remaining after expenses, we'll return these funds to successful participating clubs on a pro-rata basis. If there are questions, please call or and we'll get you in touch with the right people. PR/PUBLIC IMAGE CONTEST FOR DISTRICT CONFERENCE This Rotary year, the clubs have focused on telling the community who they were. Rotary Community Days have been held in a variety of ways: Parades, Children's activities, bike rides, picnics, large community gatherings, dances, and so on... You've been busy! For the overall Public Relations - Public Image Contest this year, we would like your club to make a presentation on your Rotary Community Day event or events. Be bold - brag a little! Displays will be set up on tables for everyone to vote who attends the conference. Rather than judging each individual item, we will have the chance to see what you did to educate your community about who Rotary is and what your club is all about. Special recognition WILL be given to scrapbooks, newsletters, displays and the items we've proudly put together before... but this year, a new emphasis: Rotary Community Days. Who has the best bragging rights? Please let me know at pdgkaren@yahoo.com if your club will have an entry. It is important to know who will provide displays so that we have sufficient table space. Last year we had quite a few "walk ins"... Please help us out this year so we can help you show off your club! Thanks! Have fun! Karen Karen Teichman, PDG PR/Public Image Chair, District 7360 pdgkaren@yahoo.com

HAGERSTOWN SUNRISE CLUB NEWS On Wednesday, February 25 th four members from the Rotary Club of Hagerstown-Sunrise left on a trip to Haiti to observe newly installed clean water systems. The four club members are David Abeles, International Committee Chairperson and Past Club President; Rebecca Hogamier, Club Vice President; Al Smith, Past Club President; and Bill Soulis, International Committee Club Member. The Rotary Club of Hagerstown-Sunrise partnered with the Rotary Club of St. Marc, Haiti to improve water sanitation in the rural area around Dessalines in Haiti. During 2014 five reservoirs with chlorinators were installed in five rural communities. Prior to this project these communities did not have access to clean water and they obtained their water from shallow contaminated wells or from rivers and canals. Before the installation of the clean water systems, many people in the five communities died and were falling sick due to poor sanitation, especially during the cholera epidemics. The rural communities now have access to clean water which has improved health, especially for the children who are more vulnerable to water-borne disease. International Action ( ), an NGO based in Washington, D.C. with extensive experience in providing clean water systems in Haiti, was chosen for the construction and installation of the systems and the training of the local populations. Agnes Supernavage, a member of St. Ann s Church in Hagerstown, was instrumental in helping to coordinate efforts between our local club and the club in Haiti. The Rotary Club of Hagerstown-Sunrise contributed $6,000 to the project. Additional funding of $22,150 was provided through grants awarded from Rotary International. Currently 3 wells have been installed with 2 more works in progress. Pictured from left to right are Sunrise members: Rebecca Hogamier, Bill Soulis, David Abeles, and Al Smith. 23 2015 Rotary District 7360 Conference Radisson Hotel, Camp Hill MD 1-3 May 2015 Corporate Sponsor's and Individual Attendee Procedures BACKGROUND While individual registration fees pay for attendees' direct conference costs (excluding rooms), Corporate Sponsorship can be a huge chunk of Conference revenues. In exchange for contributions, participants will get some combination of paid registration for Saturday's events, including meals and the Cal Ripken / Marilyn Fitzgerald presentations. 1) Sponsor and Individual Pricing Levels (attachment 1) 2) Routine reporting to Terry Eisenhauer as contributions are made, including the name of the sponsor, Rotary and Sponsor contact information, and Sponsor Level. 3) Centralized accounting through the Waynesboro Club Treasurer and 2015 Conference Treasurer. After the event, if there are funds remaining after expenses, we'll return these funds to successful participating clubs on a pro- rata basis. If there are questions, please call or and we'll get you in touch with the right people. Attachments: 1. Rotary Conference Sponsorship Levels 2. POC Contact Information w/d Daniel B. 24 Use This Year's District Conference as a Club Fund Raiser. Cal Ripken. Marilyn Fitzgerald. Geoff Goll. Breakout sessions tailored to your club's needs. Foundation Certification Training Great entertainment. With a great program comes great opportunity. If your club successfully solicits corporate sponsors for the conference, we'll return money left over to participating clubs on a pro-rata basis. This could be thousands!! Not spicy enough? How about a private reception with Cal Ripken Saturday afternoon before his speech that evening? Top clubs and their corporate sponsors get access to a limited number of seats in a private reception, plus a baseball autographed by the Hall of Famer. If this sounds like an opportunity that suits your club, then: 1) review sponsor material (see below or call / Dan below), 2) solicit corporate sponsors, and 3) follow the reporting and financial guidelines. It's just that easy. For generic conference questions, Scott Hershberger (srhershberger@gmail.com). For specific questions on reporting or accounting, contact Terry Eisenhauer (teisenhauer@sek.com). Both are listed on the attached Sponsorship Levels sheet. See you at the conference: Dan DeDona 1-3 May 2015, Camp Hill Radisson District Conference Chair c dedonad@gmail.com 7360conference.com
