ST said a lot has happened in his four years in charge, especially seeing the increase of member numbers from to ST also reinforced his plans to 1

2 increase membership in real terms in the coming years as well as improving the proposition for international members. ST said the IMechE and IET would be working more closely together once they move into the building and this would continue with a joint volunteer conference. There are also plans to have a joint technical committee on industries that span both disciplines. IET and IMechE already work together on the Gatsby EngTech project. HL asked ST why regional members had never heard of these discussions before, are they communicated properly? JC suggested that the communication channels, although in existence, we not always open. ST said they were often in the Annual Review, but believes most members don t choose to read it. 2. What is Mechanical Engineering? Patrick Kniveton who is the incoming President, asked the YMB to help define Mechanical Engineering for the 21 st century. The focus is on capturing the new disciplines that fall specifically under the current division and groups (biomedical for example). Members of the YMB broke into groups to discuss the definition. AC will collate the key words and points and take this back to SAC. 3. Trustee Board update RT REPORTED that the YMB annual report was taken to the Trustee Board. The Trustee Board felt concern at the lack of education related target. This should be something the YMB discusses at the Strategy Weekend. ACTION RS and EXEC The updated terms of reference were approved. The Associate voting campaign was also endorsed and well received by candidates. The Trustee Board discussed the Affiliate to Associate retention rate. There are big drops in membership during these phases. Trustee Board requested that the YMB investigates ad reports back on the reasons for this: -Is it the member offering? - Associate/mature Affiliate fee structure? -International students? TB would like a report in Q4. ACTION CJ 4. SO1.1 Formula Student STEM day HM REPORTED that the Business Networking day would now be a day of STEM outreach activities. This will take place on Friday 5 July at Silverstone and we are looking for up to 10 volunteers to help on the day. Members will be needed to 2

3 help assist with two activities: Bloodhound balloon cars and Clever Copters. The ages of the children will be The activities will be part of a wider programme of STEM activities. The YMB has budget to cover travel costs and accommodation of needed. If you are interested please let Hazel know by 31 May or afterwards Resha Patel on r_patel@imeche.org ACTION ALL 5. SO2.2 Elections and Associate voting campaign The YMB was asked by the TB to run a campaign to increase the number of Associates who vote. Advice was written to candidates to help them write portfolios that appeal to younger members. Some members listened, and some did not. A slide was also made to be used at local events to remind people about the importance of voting. Positive feedback from panels such as Australia and Bath & Bristol who have been displaying it before events, and at meetings. RS asked the YMs what they thought this year of the voting. Some members had not received the postal info so could not log on. Members of the YMB need to highlight this to HQ so we can help find out why. Other members felt not much had changed but it was positive that members had started to consider YM voters. RS felt a bigger impact could be made in 2014 by starting planning earlier for a campaign. This will also be looked at over the YM strategy weekend. ACTION RS 6. SO3.5 Social Media guidelines Version 1.2 sees updates involving collaborating between local groups. There has been more added on structure and strategy of social media activities and new sections on management tools. The plans for development include continuing to develop the guidelines based on feedback. It would also be useful to split the guides into separate guides based on platforms and content advice. The Young Member Twitter account now has 920 followers 7. Breakout sessions A International Engagement Marcus Nicholls provided feedback from the international YM Representatives on the question of how to improve our engagement with international members. The ideas were discussed and views canvassed. These ideas included: Increased number of international articles in the YM Newsletter. It was noted that awareness of the deadlines for publication would allow the international members to plan and submit articles. MN agreed to provide a list of dates for publication of the newsletter over the next year. ACTION MN 3

4 Liaise with PE to discuss possibility of providing a more international angle on articles. It was raised that IMechE no longer have editorial control over the content of PE, although this could be a possibility. Greater support to international YMs would allow a better understanding of the registration process. MN agreed to investigate current material available. It was suggested that a LinkedIn group could be set up under the IMechE group to provide a forum to discuss registration. In effect this could serve as a Q+A forum for all YMs. Engagement with D+Gs for international members was raised by the International YMs. Historically the YMB have been less able to engage with D+Gs and as such this is an area where improvements could be made. Investigating how to provide greater engagement for international members could be something to investigate in the future. Use of the membership database to communicate with members moving into international regions. It was decided that efforts would be made to focus on three key areas: 1) Provision of advice for Chartership. MN to investigate materials available. If these are not suitable, development of more appropriate materials can be included in Strategy MN to liaise with HQ to setup LinkedIn Group and recruit Chartered YMs to provide answers to questions. 2) Investigate possibility of twinning Student Chapters and/or YM Panels. MN to investigate practicalities. It was noted that the maintenance of a Database by HQ is time intensive on staff and has not been successful in the past. Potential to investigate the use of Google+ or similar. Focus will be on student chapters for universities with International Campuses. 3) MN to host a session at the API to canvas views of the YMs to help develop 2014 strategy. B Young Member D&G event toolkits The D&G breakout session was attended by Ally Choat, Becky Adams, Angela Maylan and Stephen Phillips. We discussed the success of the CBSD YM of the year event. The fact that joins with other PEIs and is partnered with another high profile event serves to raise the profile of the award. This would be a good example D&G event toolkit. The main challenge with being a D&G rep is finding a critical mass of YMs to represent. Solution, D&Gs to be better supported by our regional reps. When regional reps are running events on a specific technical area, action to invite the relevant D&G representative. Identification of events can be facilitated through the YMB feedback sessions and YMB meetings. Look to include a small amount 4

5 of money in the 2014 strategy to cover the cost of D&G reps attending technical regional events. Within prizes and awards there are a number of pots of money available to D&Gs. Often this is not used. Becky to find out what is available and this to be promoted to young members through the YMB network as appropriate. Younger members often do not have the money or are unable to take the time off required to travel to events. Solution, all YM D&G reps to promote the use of social media and online distribution of events to allow greater access. This will also allow greater access to D&G events internationally. C Competition 2014 working group Present: Peter Bonnington, Rob Thornton, Hannah Latham, Jen Corbett, Jenny Stroud, Tom Francis, Concept of competition shared with group: Engineers response to natural disasters, similar to 2011 Population Challenge competition. Theme based on a paper to be published by Dr Fox in Q Peter & Rob have drafted a competition plan document with the input of those already part of the working group. The plan had been shared with ICE who are keen to be involved. A full business plan, including a breakdown of all costs & time requirements, is necessary to move forward internally and with others. All documents from 2011 competition have been made available by Hazel and will be shared with project team via Google Drive. The actions that came out of the breakout were: Tom - Review and summarise costs associated with 2011 competition. An idea of staff time would be ideal if possible Peter - Talk to marketing to review what we could do differently this time around & shared 2011 competition docs Jenny - Outcomes of last competition: press, follow-up, etc. Rob - Potential PEIs/societies/groups that we could collaborate with, nationally and internationally Jen - Conferences and summits that could potential serve as an outlet for the final/winner to present at Target date for completion: May 31st 8. Council Discussion RS led the group in asking them a number of questions for the Council meeting on 22 May. 5

HM also announced that she will be leaving the IMechE on 31 May. 10. Best practice sharing/feedback forms South East New members of the committee have joined and they have had to create roles to put them in. Delali will be stepping down as Chair of the Sussex and Surrey panel but will stay on as rep. Prizes and Awards BA said that as a lot of requests come in about members wanting to promote engineering, there is now a grant available for members for about 500. For more information get in touch with Becky or the Prizes and Awards team. Scotland Speak out For Engineering has been run successfully this year with the final being in Edinburgh in May. They are also trying to get all the panels together to team build and share ideas. Western The Bath and Bristol YM group put on an event with CIBSE on Energy. It had 150 people in attendance which the region is really happy with. They also organised a dinner under Concorde which had a really professional feel to it. Companies sponsored tables which meant that students from the local universities could attend at a subsidised ticket cost. 6

7 MID A YM sub-committee is being started and they are looking at starting a competition similar to formula student. It will engage apprentices and entrants will be judges on skills that are similar to EngTech framework. ISB Marcus updated the group on the progress of the Asia Pacific Initiative where the Speak out for Engineering final will be taking place alongside the Leadership conference. 7

[ 700] Create working group to support the International Team in Affiliate to Associate conversion in the target regions of India, Hong Kong and Malaysia. 1.3 High standards of professional registration, with best in class application process. Improved applicant assessment processes achieving high benchmark with full on-line application capability for all standard routes. 1.4 Be the fastest growing engineering Institution with increasing levels of membership. In top 2 PEIs for total new registrants. 2 Increase member engagement and value to members and their employers 8

9 2.1 Ruth / D&G Reps Peter B, Gavin K Create and deliver a Learned Society programme suite (including digital offerings) relevant to members, industry, employers, academia and informed society with emphasis on engineering. Increase knowledge transfer services from the Divisions, Groups and Regions to members, employers, education and training establishments, with 5% growth in interactions. Develop an EngTech programme. Produce and distribute case studies to D&Gs of examples of technical events likely to attract YMs and early career engineers. Support Institution initiatives (e.g. Gatsby) and work with other groups (EAG, TSB) to better understand and improve the EngTech member offering. Deliver a campaign to encourage YM voting, aiming to increase the proportion of Associate Members voting from the 7.974% recorded in Ruth Rob Optimise channels of interaction with members, target audiences and influencers holistically across the whole organisation including commercial and Support Network. Increase in web-based engagement and optimization of all channels of interaction. Introduce CRM system. Develop partnership proposition with ASME. Transfer YM Newsletter to html format, delivering a quarterly edition to greater numbers of Volunteers and Members. Continue support for Developing Engineers blog by assisting in the recruitment of new bloggers and maintaining a minimum of one post per week. [ 500] Produce promotional materials / strategy to increase blog's reach. Investigate involvement of 9

10 other PEIs to increase blog's appeal Ruth Exec Improve the value proposition to members and employers. Develop enhanced CPD offering linked to L+D and KT as a valued member and employer offering. Continued improvement in the offer to members and commercial differentiation over nonmembers. Produce and distribute three case studies of the enhanced media profile volunteering by employees has created for employers. [ 3180] Run Young Member of the Year Awards (now integrated with IMechE Visionaries) with increased provision for International Members, and new Mentor of the Year and Young Member Panel of the Year awards. Expert Leadership to Government, Industry, Members and the informed public on engineering 3.1 Setting the agenda with practical advice to Government, Members and the informed public. Focussed national & regional government engagement and interaction. 3.2 Promote innovation in engineering. Enable a broad cohort of Industry specialists to provide improved, innovative content for themes and key national initiatives. Deliver and promote RSEF investment initiative. 10

11 3.3 Collaboration with other Institutions and organisations to achieve greater engineering gravitas and financial impetus. Take a leading role in Government support through Engineering the Future and E4E. Improve collaboration with Sector Skills Councils and Technology Catapults. 3.4 Evolve Learned Society to a modern and relevant structure or ensure a structure that effectively delivers a Learned Society to Members. Deliver change plan including new Learned Society structure. 3.5 Rob Increase reach and influence across digital channels. Develop additional owned media. Improve joint reach of PE and IMechE web presence. Continue to grow YMB reach across digital channels (+1000 / +100% connections on Facebook, Twitter, LinkedIn). Support the Volunteer Network in using social media effectively through the distribution and improvement of the Social Media Guidelines produced in Support Digital Communications in guiding online Volunteer activities. 3.6 Create a 21st Century Knowledge Centre. Upgrade the library and start integration with other Engineering information services. Increase digital content creation. 11

12 4 Develop awareness of engineering and raise the profile of the IMechE 4.1 Jen Promote the Institution: - A campaigning Institution - Increase non-member reach - Generate interesting media content using D&Gs and expert members - A well known respected Institution. Increase overall media coverage and informed public awareness scores. Unify the Manufacturing programme in support of an industrial strategy. [ 2000] Repeat and enhance charity grant project from 2012, giving 500 grants (one per quarter) to enable Members to carry out charity projects while generating media coverage for both the charity and the Institution. 4.2 Create a respected public profile centred on key themes of Energy, Environment, Manufacturing and Transport. Deliver engagement programme of publications and events with increased international profile. 4.3 Broaden the appeal and importance of engineering to society and employers. Deliver a targeted international market research campaign. Increase engagement of companies and employers. Engineered in Britain to continue.
