1 ROYAL COLLEGE OF ART JOB DESCRIPTION Post: Directorate: Research Centres Administrator Research and Innovation Grade: 6 Responsible to: General Manager, Research and Innovation Background: The Royal College of Art The Royal College of Art is the only entirely postgraduate institution of university status devoted to research and knowledge exchange, teaching and practice in art, design, architecture, communication and humanities. Its international reputation for excellence in teaching, practice and research has been recognised for three successive years by the highly regarded QS World Ranking survey, with the College rated as the world's number one art and design University in 2015, 2016 and The REF2014 results cemented the RCA's position as the UK s leading university of art and design with the highest levels of research intensity, and a 100% score for research impact and research environment at world-leading (4*) and internationally excellent (3*) quality levels. The College has more than 2,000 students registered for MA, MRes, MPhil and PhD degrees and over400 full and part-time academic, technical and administrative staff. The College is located on three sites in central London, in Kensington, Battersea and White City. The campus in South Kensington includes among its neighbours Imperial College London, the Victoria & Albert Museum, the Royal College of Music, the Natural History Museum and the Science Museum Group, while the Battersea campus is home to the InnovationRCA, the RCA s graduate start-up and enterprise centre, and the Helen Hamlyn Centre for Design, the RCA s awardwinning centre for inclusive design research. In March 2016, the Chancellor of the Exchequer announced an unprecedented 54 million grant to the RCA to support a major expansion of its Battersea South site with the creation of a flagship new innovation campus, housing four new research centres (in computer science, material science, drawing, and intelligent mobility), and two knowledge exchange labs in advanced modelling and manufacturing and

The College has a world-leading reputation in art and design education, numerous eminent graduates who create far-reaching impact and influence, and a remarkable record of graduate employment. Research Centres The RCA is recruiting a new team to support the development of a number of new research centres, building on the success of its existing centres including the Helen Hamlyn Centre for Design, the HELIX Centre (a collaboration between the RCA and Imperial College London) and the AHRC-funded Creative Exchange. An Executive Director of Research Centres has recently been appointed, reporting to the RCA s Director of Research & Innovation, to oversee the process of establishing the new research centres, and we are now seeking to appoint an administrator to support this work. The Intelligent Mobility Design Centre The RCA s newly established Intelligent Mobility Design Centre (IMDC) provides a design-led disruptive research environment for the development of new approaches to innovation for the automotive industry. Mobility - including mass transportation, personal automobiles, green vehicles, manufacturing, infrastructure - is set for the greatest change since the invention of the internal combustion engine. Where previous evolution has been iterative, with developments within discrete elements of transportation - engineering, styling, materials, marketing, etc. - the opportunity now exists, through smart technology and design, to consider holistic and systemic approaches to the future of transportation that meets the needs of society, individuals, the economy, and countries infrastructure strategies for the 21st century. Intelligent Mobility defines and describes this paradigm shift, and involves bringing together existing fields of expertise with a design-led approach that addresses both the physical and virtual aspects of the mobility challenge as an integrated whole. The IMDC is a multi-disciplinary research environment, protected from the shortterm demands and financial risks of the commercial world, which builds on the RCA s world-leading Vehicle Design programme and its visionary mix of technological design solutions with insights into user experience. The Centre leads collaborative research projects, bringing the RCA s leading academics and research students together with industry specialists to work on bespoke collaborations as well as wider multi-disciplinary research partnerships, in shared studio spaces, to address major societal challenges of the future of human mobility. Material Science Research Centre The newly established Burberry Material Futures Research Group will bring together world-leading researchers in design-led material futures to explore the major challenges of new and sustainable materials, new and sustainable approaches to manufacturing and supply chain processes, and design-led innovations in consumer experience and product interaction. The Group will form the first part of the RCA Material Science Research Centre, undertaking applied

3 research addressing industry challenges, combining the RCA s world-leading research strengths in design-led innovation, creativity and craft with expertise from science disciplines (the STEM to STEAM agenda) to create an interdisciplinary, collaborative research group. Purpose of the post: Support the delivery, coordination, organisation and administration of the RCA s Research Centres; including the Intelligent Mobility and Material Science Research Centres, and a number of planned future research centres and knowledge exchange labs. Main Duties and Responsibilities Provide high quality administrative support to Executive Director, Research Centres, Directors Intelligent Mobility Design Centre and Material Science Research Centre, as well as staff across current and future Centres, on research activities and development Act as first point of contact for queries to the Centres Liaise between the research centre academic and support staff, research students, industry partners, academic partners, funding bodies, philanthropic donors and other third parties supporting project development and arranging meetings where necessary Liaise with Research and Knowledge Exchange Office staff for all aspects of processes relating to preparing, submitting and managing research, Knowledge Exchange and Executive Education bids, budgets and projects Liaise with the Research and Knowledge Exchange Office staff and Registry for all aspects of processes relating to the recruitment, support, supervision and funding of research students in the Centres Assist with the preparation and delivery of Centre events, lectures, seminars, workshops and other meetings and events, including preparing presentations and external materials Provide administration relating to external relations including sponsorship, fundraising, alumni, donations, liaising with colleagues in the Development, Registry and Research and Knowledge Exchange teams as appropriate. Liaise with Communications & Marketing to track media coverage of Research Centre events, including collating press and other media reports relating to staff, students and projects, maintaining up-to-date information, and to supply information for press releases and other publicity, as required Oversee arrangements for open days for the Centres. Update and maintain Research Centre pages on the Intranet and the RCA website, including staff research profiles and any microsites. Regularly review information created and managed by the Centres to ensure adherence to standards around managing and protecting, sharing and reuse, in line with best practice in information security and data protection Be responsible for the production, monitoring and checking of key statistics and data for reporting on the Centre and programmes activities, working in conjunction with the General Manager, Research and Innovation, the Research Data Co-ordinator, and other senior staff.

4 Act as secretary and minute taker at Centre meetings as requested. Be responsible for financial administration, including ordering stationery, supplies and equipment and processing orders, raising purchase orders and managing financial activities using Agresso. Support the Executive Director, Research Centres, in preparing reports on the Centres activities for reporting to College Committees and Council and to external funders, donors and partners Be responsible for meeting room configuration and set-up, including ensuring AV equipment is working, setting up video/skype calls, proactively liaising with ITS where appropriate, and ordering catering where appropriate. Develop strong working relationships with administrative teams across the College Demonstrate a professional and pro-active attitude to work at all times, and be prepared to suggest improvement to ensure efficiency, accuracy and high quality in administration is maintained. Assume any other administrative tasks and responsibilities as requested by the General Manager, Research and Innovation. Person Specification: Essential characteristics of the post-holder: Educated to degree level or equivalent Administrative experience of working in a busy customer-focused environment with the ability to deal with a variety of stakeholders with tact and sensitivity Excellent organisational skills and a high level of accuracy and attention to detail Ability to manage and prioritise a heavy workload whilst remaining calm and retaining a high quality of work Problem solver who is naturally collaborative with the ability to use initiative, multi-task and work as part of a team Good level of digital literacy and proficient in the use of productivity suites ( , calendar documents, spreadsheets, databases) such as Microsoft Office or Google for work Good understanding of standards around managing, protecting and reusing information, including information security best practice and data protection principles Excellent communication skills with people at all levels and confident in building relationships with a range of staff and external partners across different departments and areas Experience of co-ordinating the administration of external events and providing front of house presence Experience of drafting reports for external audiences Desirable characteristics of the post-holder: Experience of working in higher education Familiarity with the UK research funding landscape

5 Experience of co-ordinating the processes relating to preparing, submitting and managing research bids Minute-taking skills Diary management skills, including electronic calendars An interest in and enthusiasm for the RCA s and the Research Centres fields of work Experience of College systems and software Financial (Agresso), HR/Payroll (itrent), CRM system (Raiser s Edge) and student software/database Experience of maintaining databases, using Microsoft packages Additional Information: Normal hours will total 35 hours per week, Monday to Friday 9.30am to 5.30pm with an hour each day for lunch Salary working 35 hours per week: 30,682-35,132 per annum inclusive of London Allowance The appointment will be made on fixed term contract until 31 July days annual leave plus extended breaks at Christmas and Easter Contributory final salary pension scheme and interest free season ticket loan The College has a policy which allows smoking in designated areas only.

6 PAY & BENEFITS Pension The Royal College of Art is a member of the Superannuation Arrangements of the University of London (SAUL) which is a contributory defined benefit pension scheme. The college will contribute a sum equal to 16% of your salary while you pay 6%. Holiday 5 weeks (25 days) paid leave a year plus bank and public holidays normally observed in England and Wales. In addition, the college is normally closed for six days a year, one day either side of Easter and the remainder between Christmas and New Year. Part-time staff will be entitled to the pro rata equivalent. Season ticket loans Interest-free loans are available for staff to purchase annual season tickets. Enhanced maternity and adoption pay Qualifying employees are entitled to enhanced maternity/adoption pay: 26 weeks full pay, 13 weeks Statutory Maternity/Adoption Pay. This compares to the statutory provision of 90% of average pay for 6 weeks followed by Statutory Maternity/Adoption Pay for 33 weeks. Enhanced paternity pay Qualifying employees are entitled to two weeks paternity leave entitlement at full pay. This compares to the statutory provision of two weeks pay at the statutory rate. Enhanced sick pay Occupational sick pay after six months service is three months full pay/three months half pay. 24/7 confidential support Staff and family members in their household have access to a free, external confidential support service for work, financial, legal, family and personal problems 24 hours a day, 365 days a year. Occupational health Occupational Health support for the College is provided by Imperial College s occupational health service at their South Kensington Campus. Cycle to Work Scheme The Royal College of Art has signed up to the Cycle to Work Scheme part of the government s Green Transport Initiative which allows employees to make significant savings on purchasing new bikes and safety equipment.

7 Childcare Vouchers The Royal College of Art enables staff to purchase childcare vouchers, through its partner Edenred, as a salary sacrifice scheme. Life Cover Active members of the SAUL pension scheme automatically receive life cover. A lump sum of four times your salary together with a refund of your contributions and a 2/3 pension for your dependent/spouse is payable should you die whilst in employment. Library All staff are welcome to join the college library. Events All staff are welcome to attend exhibitions, lectures and private views held by academic schools and programmes.
