1 Website Design Tender Jack Petchey Foundation 1. Introduction The Jack Petchey Foundation gives grants to programmes and supports projects that benefit young people aged The Foundation is eager to help young people take advantage of opportunities and play a full part in society. To date we have invested over 110 million in programmes supporting young people. A major focus of our work is the Achievement Award Scheme inspiring and rewarding young people for doing their best. Over 13,000 awards are distributed each year. The Foundation focuses on London and Essex. For more information visit: 2. Scope and Specification of the project Our website is now four years old. It is in need of a full makeover. Over the years we have added things on and therefore it can be disjointed in places, with a build-up of coding and lack of functionality. There are certain things we want our new website to include: A useful guide for those seeking funding Handy information for partners, clubs and schools who get funding An information source for those attending JPF Events Good press/ news section- with adaptable social media feeds A useful resource for young achievers sign posting to resources / tools and the ability to upgrade this with responses from young achievers A Coordinators section for those running our schemes A platform for sharing the achievements of young people both for young people and to showcase to key decision makers / researchers and journalists- with a good case study section including widgets, an innovative way of showing information and the ability to share this on social media Ensure online safety including having a button to report concerns in forum sections Be GDPR compliant. The objectives of the website demonstrate the fact that we have a number of different audiences: 1. Those searching for photos from a recent JPF celebration event (linked to Flickr) 2. Those seeking funding (largely adults working in youth provision / education) 3. Those managing / participating in JPF funding programmes including JPF Coordinators managing our Achievement Awards in schools and clubs (they have a specific one to stop shop section on our website) 4. Young people on occasion applying for funding but largely looking for opportunities and guidance. It is a platform for their voices and celebrating individual achievements 5. Professionals seeking opinions on issues that matter to young people (journalists / youth provision providers). For more information on all these groups please see Appendix 1 In the last 12 months we had: 75,273 direct visits to our homepage 69,786 visits to our Gallery landing page

2 6,812 visits to the Programmes we fund page 32,617 visits to the Achievement Awards page 1,276 visits to the Partnership Programmes page 8,088 visits to the About us landing page (8,072 to the page Who is Sir Jack?) 9,524 visits to the Coordinator's Area (launched in February 2017) 8,845 visits to the Celebration Dates page 1,566 visits to the Achievement Awards Press Releases page 2,286 visits to the Stories Archive page. Our requirements for the new website: A clear site map A fresh, young and creative look It should be designed in keeping with the JPF Mission and Values (Appendix 2) and JPF branding guidelines (Appendix 3) JPF staff to be able to add and update information quickly and easily (a fully editable CMS with access to all areas). It would be good to have as much flexibility as possible with the formats so that we can position pictures at different angles, have text boxes, tables, etc. Functionality to easily upload/ integrate multi-media including embedding multiple videos and animations Social media feeds and the ability to adapt easily for coding changes by social media platforms An online surveys facility Widgets to complement new mobile systems/ appearance Good accessibility for all on mobile, PC, etc. Closed off sections for community areas Functionality for user participation. Blog functions, online polls, comments under stories, integrated social media posts Possible functionality to register interest/ book tickets (we will judge on cost/ benefit basis) We currently use our website to host two databases an Achievers database and a reports database for our Achievement Award scheme The new website would need to continue supporting these. We would be interested in your advice on how to link to these databases and possibly using an app Continued interaction with the Benefactor database All our funded programmes should be fully integrated We currently use Google analytics to monitor traffic and interests. We would need this to continue. We would also like to be able to monitor the number of documents, videos, etc. that people download from the site Efficient SEO to widen our reach through Google. Currently the majority of people coming to our website enter by searching Jack Petchey suggesting they are familiar with us before they start their search. 3. Budget As a charity we will be looking for best value. At this stage budgets are flexible, but at present we have a spend of 12-15,000 in mind. You may wish to submit a tender document with core costs and additional options for us to add on where budgets/ benefits permit. You should be explicit about any ongoing costs such as for maintenance.

3 4. Process for submission of proposals We welcome applications from agencies and freelancers for this tender. If you wish to make a bid for this work, please provide a tender document to us no later than 5pm on Friday 2 nd February Within the document we will be looking for the following information: - Details about your company or your experience if you are a freelancer, your team, your resources - Your track record and case studies of your work to demonstrate performance - A referee who can comment on your project delivery - Your ideas on our current website - Your ideas on the direction you think we should head - Key issues/ considerations as you see them - You proposals on how to maximise our SEO and Google ranking - Your expectations of JPF during the process. 5. Time scale - Please ensure your tender document reaches us by 5pm on Friday 2 nd February If we wish to invite you in to discuss your bid further we will notify you by Friday 16 th February and organise a meeting for the w/c Monday 26 th February. - We plan to award the contract by Friday 9 th March. - We would like the new website to be ready to go live at the beginning of August We would therefore expect to see first drafts of the new website by the end of June. 6. 4 Appendix 1: Audiences 1) Those looking for photos A vast number of visitors to our website come to download photos from recent events. Photos are saved on Flickr but links are available through our website. Our website has a landing page for this requiring a log-in and each month of photos has a separate page and individual links for each of these events. 2) Those seeking funding This is primarily an adult audience, although there is currently one programme which is open to applications from young people (Individual Grants for Volunteering). The majority of our schemes are run by volunteers and / or teachers and therefore explanations must be clear and straight forward. A key message for this audience is not only what we will fund, but what we will not fund to prevent people wasting time on applications which will not be successful. Since lots of JPF programmes operate repeat funding we expect returning visitors. Many programmes must be applied for via online application forms so links are needed for these. 3) Those managing / participating in a JPF funding programme This audience overlaps greatly with those seeking funding and since many of our funding programmes involve delivering particular objectives we provide a number of resources to support coordinators of our schemes (mainly the Achievement Award scheme). This includes an entire Coordinators Area used as a one stop shop. These resources need to be easily accessible with lots of documents to download and examples of good practice to inspire and support. All our programmes require some kind of reporting element and the website is a resource for this too. This audience will also need information and resources for awards events along with other JPF run events. 4) Young people A key audience for JPF the ideal is a community of young achievers who have a platform with which to communicate, inspire and celebrate achievements. Currently a key reason for young people to log in to the site is to download pictures of themselves at celebration events, however we aim for more long term interaction and want to build on the website s role in providing interesting opportunities for interaction, sign posting to additional resources and showcasing positive work. In particular we want a closed community section where our Achievers Network can communicate with each other. Case studies are a key component of our website and so a clear, easy and attractive way to display this information is also needed. JPF, although a funder, wants to be seen as a platform for the voices of young people and this should be a key component of the website. 5) Professionals seeking opinion on issues that matter to young people In line with the JPF objective to be a platform for young people s voices, we want the website to be a resource for service providers and journalists among others to seek

5 guidance, example case studies and statistics about the positive actions of young people in London and Essex. We also want an interactive press section which includes live streams from our social media platforms.

6 Appendix 2: Jack Petchey Foundation Vision, Mission and Values The Jack Petchey Foundation established 1999 (a registered charity and company limited by guarantee) Our Vision: Our vision is of a world where young people have high aspirations; the opportunity to develop their potential; the chance to be architects of their own future; to play a full part in society and to be valued and recognised for the positive things they achieve. Our Mission: To enable young people (aged years in London, Essex & the Algarve area of Portugal), to achieve their potential by inspiring, investing in, developing and promoting activities that increase their personal, social, emotional and physical development. Our Values: The Jack Petchey Foundation draws on the ideology, vision and values of its Patron Jack Petchey CBE who epitomises the saying: If you think you can, you can! We seek to: - inspire and raise the aspirations of young people - affirm, reward and celebrate achievement - value young people and those who work with them, advocating their views and putting young peoples voice at the centre of our work - develop young peoples confidence, motivating them to take on new challenges and to believe in themselves - be positive and promote a positive perspective on life - be inclusive, working at grass roots and building communities - promote a culture of giving something back - strive for excellence in our work Strategic Aims: In order to achieve our mission we: - Invest: in youth organisations and programmes that represent value for money and create inclusive and positive opportunities for young people to engage, excel and achieve. - Instigate: new, innovative and high profile programmes that fill gaps in current education or youth work practice & that give young people the opportunity to develop new skills and experiences. - Influence: a change in the way that society sees, values and treats young people. We highlight the positive things that young people achieve and challenge the often negative portrayal of youth in our society, through public celebrations and promotion in the media. Ultimately we influence change by enabling young people to be the change they want to see in the world.

7 Appendix 3: Background Jack Petchey Foundation - Brand Usage Guidelines Established in 1999, the Jack Petchey Foundation gives grants to programmes and projects that benefit young people aged The foundation exists to raise the aspirations of young people, to help them take advantage of opportunities and play a full part in society. What we do The Jack Petchey Foundation funds a number of major programmes - all of which support young people throughout London and Essex. Our flagship programme is the Jack Petchey Achievement Award Scheme. It is run in almost 2,000 schools, colleges and youth organisations throughout London and Essex and contributes millions of pounds each year. The scheme is a reward and recognition initiative which enables schools and youth organisations to celebrate the achievements of their young people as well as receive additional funding. Alongside the Achievement Award the Jack Petchey Foundation funds a number of other major programmes. Since it has been established the Jack Petchey Foundation has awarded grants totalling over 110 million. The following document aims to outlines clear and simple guidelines for brand usage. 1. Approved Wording / Phrases 1.1 In external written communication the Jack Petchey Foundation should firstly be referred to in full and thereafter it can be referred to as the Foundation internally the abbreviation to JPF is acceptable. The word the is not part of the Jack Petchey Foundation title, therefore it should be used in lower case, unless starting a sentence with The Jack Petchey Foundation. 1.2 The following Text should be used on ALL Jack Petchey Foundation press materials both on and offline: The Jack Petchey Foundation was established to enable young people, to achieve their potential by inspiring, investing in, developing and promoting activities that increase their personal, social, emotional and physical development. 1.3 The following phrase should be included in ALL Press Releases issued about the Jack Petchey Foundation: The Jack Petchey Foundation was established in 1999 to enable young people, to achieve their potential by inspiring, investing in, developing and promoting

8 activities that increase their personal, social, emotional and physical development. Since its inception 110 million has been invested to support this aim. 2. Jack Petchey Foundation Brand Name 2.1 Jack Petchey Foundation must be used in full on ALL press and marketing collateral and not be abbreviated e.g. Jack Petchey Foundation events rather than JPF events. 2.2 The Jack Petchey Foundation logo should always be present on ALL press and marketing collateral produced for major programmes supported by the Jack Petchey Foundation. 3. Jack Petchey Foundation Logo Usage 3.1 Minimum Full Logo Size: Width - 55mm / Height - 20mm Minimum Logo Size Without Strapline (This logo can only be used with the express permission of the Jack Petchey Foundation) Width 25 mm / Height 10mm 3.2 Applicable to all brands: There must be a minimum of 10mm free space around the logo. The logo must never be positioned on an image as this will compromise the integrity of the logo. It must always be positioned on a solid colour background. 3.3 Colour breakdowns and font apply across all brands: Font - Arial Black Dark Blue: 100% Cyan, 80% Magenta, 14% Yellow, 2% Black Mid Blue: 69% Cyan, 14% Magenta Pantones: Dark Blue - PMS Light Blue - Process Cyan Jack Dark Blue Petchey Mid Blue

Fonts 4.1 ARIAL BLACK or ARIAL BOLD to be used on all Titles, Headings and sub- Headers consistent with the Jack Petchey Foundation logo font, providing a uniformed look. 4.2 Arial to be used on textual information as it is easier on the eye and therefore more impactful for delivering essential information.
