2 Discussions resulting from minutes Correspondence from Cheryl Port Alberni hosting a friendship group from India would like to meet us at Cottonwood for lunch on day of our installation. Sandra will contact port alberni club to see if it is just lunch or if this is formal and to find out what the expectations are and exact numbers. Thursday the 14 th at noon. from Shirley Blackstaff. Thank you to Rotary club for books Lss was asking who would hand out the scholarship awards this year. 10 Scholarships Appreciation evening Denise had some letters that came in for organizations looking for donations Ken needs someone from Rotary on The on 5 th of june of air cadets...to be at parade. for youth protection officer. We need to send someone for that. Directors Report: CLUB SERVICE Rotary Club service minutes May 10 Rotary meeting venues...there have been several mixups with double bookings at the Fox and Hounds...Some of the confusion has been the number of people who have attempted to look after the bookings. The Fox and hound would like one person in charge for ease of communication...the next meeting will be held May 17 at Dragon City on the highway. Awards: Will send a message out to members regarding voting for Rotarian of the year. Lauren can be done by or at the May 17 meeting. The executive needs to decide whether there will be an Ivan Gardner award (for community service) and Jake needs to decide whether there will be a President s Choice award.

3 Installation will be held Thursday, June 14 at the liver at the Yacht club. This will be a barbecue/potluck a list of possible items to bring will be provided to members. Sandra will apply for the liquor license. Do we have a bar available? Frank has arrange for a golf cart to be available for only those who have mobility issues. This is not intended as a shuttle for all members. And installation committee has been formed which includes Ron and Michael and Sandra other members and companions will be invited to discuss a theme for Joan s gathering Ladysmith and district credit union we need to check on the Signatories for our account. May 31 Soap for Hope With Interact at Ladysmith Secondary School. The plan is to meet at 3:00 until about 4:30. A member from the extreme weather shelter black Prius and take five will be invited. Ed will be asked to contact Rotaract. Joan spoke about the retention of members and attraction of new members...various strategies were discussed such as ice breakers, 10 minutes fellowship breaks and ways to keep people busy during the meeting where they feel they are also providing service. A list of duties for the greeter needs to be created as does the calendar for greeting. It was also suggested that occurred be created to show gas what to expect at a Rotary meeting. The membership chair or committee should follow up with all guests or prospective members will come to our club. We discussed our website, Facebook, Google Calendar and the use of ClubRunner as well as other ways of advertising what we do. The Director should keep the Google calendar updated. The change was proposed where we have a guest speaker once per month for a total of 12 per year and classification talks or member talks the one other time per month these would be on the first and third Thursdays of the month. Disaster aid will be at the Rotary international conference in Toronto this year. It s present will include Disaster Aid USA, Disaster Aid international and Disaster Aid Canada. Did you know that each country s Disaster Aid focuses on a different need / specialization? Canada looks after comfort kits, Australia on water systems and the USA on local disaster relief. They also support joint ventures. All signage in Toronto will include The Ladysmith Club as their sponsor! Jim Runcimen and Ivan Gardner awards have been assigned and will be awarded at this years Installation. COMMUNITY SERVICE In attendance, Ray, Ken B., Ken G., Lorie, Paul & Denise Town is taking care of closing in grand stand, and a cover on the referee area. Scoreboard and posts, walking trail around property have been added to the plan. Will be adding representatives from First Nations, Ladysmith football and baseball associations. Work parties to start asap. Review of site plan will happen at the meeting May 23 rd at 4:00 p.m FJCC. Parks & Rec will supply large copies of initial site plan. Gaming grant material should be gathered by that meeting to submit proposals for June 1. BCAA play well competition ($100,000 to revitalize a play area) should have an answer for short list before end of May. If selected for short list, there will be a social media voting system. 3 Grants are available. Could potentially be $350,000 in grants that could be matched. Practice pitch cost aprox $60,000. Paint Nite for May is cancelled. Perhaps run one in October/November? Looking for ideas for fundraisers, submit ideas to the club. June 2, Kids Pirate Day Gerry B has already started a work schedule. Food is provided by Maritime Society. June 9, Cedar Valley Planning meeting Thursday, May 24 th after regular meeting. Hamburgers are in Denise s freezer. We will need to order buns, water, pop, cheese. Looking for volunteers to re stain the Community Garden Gazebo. Forest field meeting with Lions Eagles Kinsmen went very well with everyone focusing on the common goal.

5 INTERNATIONAL SERVICE Executive Meeting May Report from International Service Director Greetings following a long absence. While I have been away, technology and the efforts of Committee members and Patrick McGuire of Nanaimo Daybreak have ensured our work has been ongoing. 1. The DCG35 Guatemala electric posts is now complete, the report of the project has been received and approved. Accordingly our District 5020 is processing for our DCG35 grant cheque payable to Ladysmith Rotary for $ USD. 2. Subsequent to receipt of this cheque we will need to ensure we are squared financially with all partners in the project. 3. A Meeting tomorrow May 16th with Patrick McGuire of Nanaimo Daybreak will set in motion defining our District Community Grant application for Rotary year to further build on on our ongoing efforts in Guatemala with the same village and women s group and municipal authorities and schools in that area. We are as usual focused on determining what the community wants Our Kiva loans program continues. Those who wish to add further monies to the program or do separate Kiva programs are encouraged to do do so as Kiva is a very effective development program. We may be a bit constrained by Ladysmith Rotary s budget for so encourage others to participate. 5. The International Service budget for will give priority to the Guatemala project and to the Kiva loans along with the two student scholarships. It is important for the Club to set its budget parameters soon. For the District Community Grant for Guatemala we will seek to broaden the number of funding partners. We had Nanaimo Daybreak, Nanaimo North and Duncan involved for as well as the MIG and District While in Toronto, Susan and I paid a visit to Goderich, Ontario where we stayed at the Castle, a BnB owned by friends who live in Ladysmith and Victoria. Relevance? Well, the IODE does a Christmas Decoration tour where people pay to visit the interior of several homes in which the IODE has installed the Christmas decorations. A big moneyraiser. Something to consider? The other point: the huge Rotary presence re beach and boardwalk development as well as how the town (pop 8000) connects to the beach on Lake Huron at the base of the high bluff and how the Board walk runs from the Sifto Salt lake terminal to the other water front areas. Our equivalent: Transfer Beach and the sawmill. 7. The evening international exchange involving NZ needs to be taken into account in the budget. 8. VOCATIONAL/YOUTH SERVICE ROTARY CLUB OF LADYSMITH YOUTH SERVICES REPORT, May 2018 Committee Members: Eileen Beltgens, Bonnie Ritchie (Joan Phillips, Denise Tutte) INTERACT: Fundraising and service activities: o Raffle of two garden baskets and 4-5 students completed 3 hours of volunteer garden work in two gardens o Working with Sandra to coordinate Soap for Hope service event at LSS, May 31, 2018 o Participation in Pirate Day table doing crafts with children o Helping at Cedar Valley Senior event walking trails with seniors #s to be determined o Attending Installation meeting June 14th Students made a remarkable 2-minute video of interviews with LSS users of Forrest Field for Gerry to use in his application for BCAA grant Meetings are Thursdays during lunch (11:55-12:30) All are welcome to attend SCHOLARSHIPS: Rotary s Grad Transitions Scholarship ($500) selection completed Selection process at LSS in May Awards Night, June 8, 2018 Recognition event June 21 st of Rotary s contributions to scholarships: Nanaimo Yacht Club *FOUNDATION Encouraging people to drop a couple of bucks or whatever in the can at the meeting *Membership
