1 2017 Billinghurst Middle School Orchestra & Band Festival Tour Information Packet This information packed is available on the Billinghurst Orchestra website: Please read through the entire packet. There are several important forms for you to fill out and return before the trip. Mrs. Neidhold, Mr. Neidhold, and Mrs. Heglund have made every effort to anticipate every contingency and detail for this Festival Tour. Students and parents should know that additional rules and stipulations may be necessary as situations present themselves. Purpose: This trip will provide students the opportunity to perform in a competitive festival. Judges comments will encourage the orchestras and individual members to improve technically and musically. The following day spent in 6-Flags theme park will reward the students for intense and productive work, culminating in an awards ceremony in the Discovery Kingdom Stadium. Participating Ensembles: Golden Strings Jazz Band Advanced Orchestra Intermediate Orchestra Advanced Band Dates: Leave Friday, May 19 th, leave from school in the morning between 11:00 11:30 a.m. Return Saturday, May 20 th, Time: 11 p.m. midnight Festival: Music in the Parks
2 Performance Location: Vanden High School 2951 Markeley Lane Fairfield, CA Hotel: Courtyard Vallejo Napa Valley 1000 Fairgrounds Drive Vallejo, CA (707) Meals: All meals are included except lunch on Friday (please bring a sack lunch for the bus) and dinner on Saturday (please bring money for a fast food dinner). Friday night pizza dinner included. Saturday breakfast provided by hotel, lunch included in tour package. Parents should expect to provide money for dinner on Saturday as well as snacks throughout the two days. Students are encouraged to bring snacks for the bus ride on Friday because dinner will be served late, at 8:00 p.m. Hotel Behavior: All students will have excellent behavior in the hotel at all times. Yelling, running and any behavior that might disturb other guests at the hotel are forbidden. Hotel elevators are reserved for students with large instruments and students with disabilities. Misbehavior in the hotel will result in limitations at 6-Flags the following day and immediate curfew. Rooms will be taped and any student opening their doors in middle of the night will have significant restrictions at 6-Flags the following day. Mrs. Neidhold will patrol the hallways the ENTIRE night. Boys and girls may not go into each other s rooms. Boys may not be in girls rooms and girls may not be in boys rooms EVER. 6-Flags Discovery Kingdom Behavior All students will have excellent behavior in the park at all times. The security at 6-Flags is very serious about appropriate behavior and will kick out any student not behaving properly. Students will wear the tour t-shirt on Saturday. Students who forget their shirt will spend the entire day with a chaperone.
3 Contact Information: Mr. and Mrs. Neidhold will have cell phone numbers are available for the weekend of the trip only Friday, Saturday, and Sunday. Please use school and the school phone to contact us outside of the trip weekend. Mr. & Mrs. Neidhold s cell phone numbers will be sent out via Remind.com (see below) All cell phones will be off during the performance. Students without cell phones are welcome to use Mr. or Mrs. Neidhold s. Remind.com Students are encouraged to sign up for the tour group on Remind.com. Reminders will be texted to students and will help keep everyone informed. Parents are welcome to sign up as well but realize you will be getting several texts over that weekend intended for the students. There are two ways to sign up for Remind.com: Text the number and in the message area Go to : and follow the online instructions. Bus Company: Amador Behavior Expectations: All students and parents must sign the attached Behavior Contract. No student will be allowed to board the bus until the Behavior Contract is received by Mr. or Mrs. Neidhold. Bus Behavior: Appropriate behavior is expected at all times for the safety and comfort of the driver and other passengers. Yelling, boisterous activity and inappropriate language will result in changing buses or being assigned to sit with a chaperone. Refusal to behave appropriately will result in loss of time in 6-Flags or parents will be notified to pick up their child from wherever we may be at that time of the problem. All buses are NO Peanut, NO Nut zones. Please be respectful of the students facing these frightening allergies. Other allergens may be added to the list. Please be aware there may be last minute changes to the list off banned foods. Permission Forms & Medical Release Form: Must be signed and returned by Monday, May 15 th. No student will be allowed to board the bus without the Permission, Medical Release, and Behavior forms. If a student will be driven home separately from the tour bus, a WCSD form MUST be filled out with Mrs. Neidhold prior to departure even if the student is traveling with their parent.

Money for a fast food dinner on Saturday Optional spending money for 6-Flags Performance clothing for Friday (students should come to school dressed for performance) Change of clothes for the evening at the hotel Swimsuit Clothes for 6-Flags, comfortable shoes, hat, sunglasses, sunscreen, sweatshirt, TOUR T-SHIRT INSTRUMENT and MUSIC (cellos and basses, rock stops or straps)
5 Itinerary Music in the Parks Festival Tour 2017 Friday, May 19 th - Please note: Dinner will be late. Please bring snacks (no nuts or peanuts). 10:30 a.m. Buses arrive. 11:11 a.m. Load buses at Billinghurst, take roll 11:30 a.m. Leave Billinghurst (approximate time) (Sack lunch on bus please bring a lunch.) 3:30 p.m. Arrive Courtyard Marriott (No, students may not change clothes at this time. Students must be dressed for the performance when they get on the bus at Billinghurst in case of last minute schedule changes..) 4:00 p.m. Depart hotel 4:30 p.m. Arrive at Vanden High School Location of each ensemble s performance will be posted at the performance venue. Friends and family are welcome to attend the concert. First come, first served. 8:15 10:30 Time to socialize in the lobby, swim in the pool (The pool will have a maximum number of students at any one time. Do not expect to be able to swim the entire time.) 10:30 Bed Check All rooms will be checked by either Mr. Neidhold or Mrs. Neidhold Saturday, May 20 th 8:00 a.m. Breakfast 9:00 a.m. Take roll in hotel lobby and hand out 6-Flags tickets and lunch vouchers. 9:30 a.m. Walk to 6-Flags (across the street from the hotel) 10:00 a.m. 6:00 p.m. 6-Flags Discovery Kingdom, Lunch ticket provided, Awards Ceremony at 5:00 p.m. 6:30 p.m. Load Buses and take roll 7:00 p.m. Dinner fast food bring $7-10 for food 11:00 p.m. Arrive Billinghurst, time dependent on construction and traffic. All students will call their parents when we pass Truckee, California. Students will not be allowed to leave the bus until the bus is completely clean.
6 Billinghurst Orchestras Vallejo Tour 2017 Behavior Contract Return to Mr. or Mrs. Neidhold by May 12 th. Student Name You must fill this out again, even if you filled out a form in the fall. The purpose of this contract is to insure a successful and enjoyable trip for all students. Participation in the Vallejo performance and tour is dependent on satisfactory behavior during the school year. Student s behavior in class and in school will have bearing on tour participation. Students receiving Citizenship grades lower than a B in their respective Strings or Band class or students who are suspended or expelled during the school year may be eliminated from the tour at the teacher s discretion. Students are expected to act with mature behavior on the tour. The students of the Billinghurst orchestras and bands will be polite to other groups performing at the festival, follow all of the bus drivers instructions, keep noise levels down in the hotel and act with good citizenship to Billinghurst students and any other people encountered on the trip including students from other schools. At the hotel girls may not be in boys hotel rooms and boys may not be in girls hotel rooms. Students will have good behavior at 6-Flags amusement park with respectful behavior to all employees and other people attending the park. No alcohol, drugs, illegal substances or weapons of any kind. No fighting. Students will be at all announced meeting places on time and obey the hotel curfew. Please have your student sign up for Remind.com. Cell phones and personal music devices, such as ipods, are allowed. Students will not carry any electronic device into the performance venue. Students and parents acknowledge that Billinghurst Middle School, the charter bus company, chaperones and teachers are not responsible for any personal belongings. The Billinghurst dress code will be enforced on Friday, May 19, On Saturday, May 20 th students will be allowed to wear more relaxed clothing including hats. All students MUST wear the tour t-shirt. If they forget their shirt, they must spend the day with an assigned chaperone. All clothing must be decent and civilized with no foul language, alcohol/cigarette advertisements, or gang influences. Mr. and Mrs. Neidhold and Mrs. Heglund reserve the right to ask a student to change their clothes if deemed inappropriate. Parents understand if a student breaks this Behavior Contract during the trip, they (the parents) will, at their own expense, travel to California to pick up their child and return them home separately from the tour group. (Students, this means if you do not have appropriate behavior on the trip, Mr. or Mrs. Neidhold will call your parents to come get you in middle of the trip. You will return home with your parents.) Parents understand that if a student is suspended or expelled from Billinghurst they will jeopardize their right to attend the trip and any funds paid to date.
