We are in need of volunteers to serve on the MN Regional Meetings program committees. 4 Secretary s Report MN ANFP Board Meeting Minutes January 9, 2015 Telephone Conference Call Meeting called to order at 1:30 p.m. by President Doug B. Attending: Doug B., president; Sonia C., president elect; Shar D., secretary; Carmen W., treasurer. Minutes read from October Board Meeting by Secretary Shar D. Motion made to approve minutes as read by Carmen and seconded by Shona. Minutes stand as approved. Treasurer Carmen: Review funds in different accounts $9, St. Cloud Credit Union, $19, Wells Fargo, $11, Scholarship Fund account. Doug will be closing the account at the St. Cloud Credit Union. All accounts will be with Wells Fargo Banks. Motion to approve Treasurer Report by Shar, seconded by Sue T. Finance Committee Report: Close St. Cloud Credit Union account. Move to Wells Fargo. Working on setting up guidelines for scholarships and guidelines for paid speaker s expenses. Want itemized receipts so we can write them one check to be able to better track where money goes. Will do training on Quicken. Dorothy made a motion to purchase and electronically track money with auto registration and bill pay. Seconded by Sue T. Next conference have one price for retirees and students so that it works for Finance Committee for accuracy. Need to add attendee s names on bill pay so that when paid by company or another name, members name is also on form. Discussion held on need for Treasurer Elect so that incoming treasurer has experience. It is confusing when starting. Motion made by Dorothy to have Treasurer Elect and seconded by Carmen. Purchase rights to use contact program $115 Dorothy R. to pay for months used August, September and October. Motion made by Shona, seconded by Shar to approve reimbursement to Dorothy for this expense. Next year will look into using again and Spectrum Marketing Services. Excellent program, we need to look at the best and cost effective. Will present to board for further discussion. Annual Conference Committee Sonia: Nourishment of the Mind, Body and Spirit theme. October 22-23, Board Meeting will be held on October 21, Inviting Al and John Justin back per members requests from evals. Speaker on networking and staffing. Will have conference call Feb. 3 and have a rough draft of conference for March Board Meeting. Regional Meeting Committee Dorothy and Sue Z.: Solidify dates with US Foods, Sysco and Reinhart. Planned meeting to set up regional meetings. Ann and Gayle are working with Dorothy on this. SW Sue has 3 meetings set up. Metro nothing at this point, St. Cloud Upper Lakes NE region. NW region cancelled last fall, will set up spring date in March-May time frame. Motion by Carmen, seconded by Shona for state board to have booth at ULF vendor show we had a good turnout in the past. Cost is $ per booth. Some of our members will be there as speakers. Communications and website nationals are looking at starting over with their website design. Dorothy is working with nationals. What are people going to website for and where can they find it. The current national website is difficult to find what you are looking for. State offices will put team leaders and links to committees and committee members. Dates of meetings to be posted. Member Connect can keep in touch with current members with the membership link. Vendor community links to contact. Fall conference, meetings and registrations are the three main reasons members go to the website. Upcoming events newsletters only need to be published 2 times a year with the new guidelines and will make more user friendly. Currently have gmail account interest in Linked In, discussed concerns with sales people using as a way to connect to try to get sales. Facebook account has 90 some followers. Easy way to communicate and updates are posted. continue to work on to maintain. Volunteer needed to call on bounced back s. Newsletter deadline February 16, Please have items to Terry by then. Membership Committee Kathryn, Shar, Dorothy: Review inactive members. Plan to make calls for follow up on members. Will make contact with new members, looking for ways to get them involved. Steps of memberships and getting membership to grow. Review of ages of members in MN ANFP. Education: Industry push facilities want managers who are chefs for presentation. Chefs are missing the nutrition and management pieces needed for CDM. UND program for qualified chefs to take program to become members to fill skill sets employers are looking for. Allied professional members step needed to be professional members. Need displays for regional meetings. Looking for programs will have approved programs on display. Terry had all staff go through Serve Safe Program. Staff excel. Discussion on offering a breakout session on how this can be done. ~ 4 ~
5 Reports Scholarship Monica, Joyce, Sue T.: Dorothy meeting Jan 22 or 23 to set up scholarship program using national as guidelines. Write policy/procedures on scholarships will have ready by next board meeting. Vendor Chris: Works for SYSCO, a new member. Vendor show lasted 1 hour last year. A lot of time and effort are put into setting this up and tearing down. Distributor vs. Broker vendors looking at more food/products brought in with hands on stations and hospitality including more demos. Continue with fun info booths. Membership spokesperson will have more info in March. Strategic Plan Dorothy: Set up Committee Meeting prior to Board Meeting in March. Need to look at projects and what we need to do to move forward. Awards and Recognition: Nominations ballot needs to be ready shortly after next board meeting. Need volunteers. Goals for board elect continue to move up experience ladder. Members with leadership training make good leaders submit names. Service awards for years of membership-committee needs to decide how to get to members not present. Nominate through website. It is never too early to submit names for nominations. We need more competition for the Member of the Year Award. Spokesperson Shona: Not much change or results yet. Put together another letter to Apec to sign on increased stakeholders HR2181. Franken is working on Rural Healthcare issues. Dorothy will send out when she has more info via the MN ANFP website. Realignment at national ANFP levels. New staff in Franken s offices. Reorganization announcements coming. Pam Himrod RD retiring from National ANFP. Grassroots basic info real life scenarios go to hard market ourselves, show creditability for those we care for. Old Business: 2nd part of State Achievement Award is ready to submit January 15th. Kathryn to pull Membership Award form, fill in what we are doing. New Business: Adopt changes to P/P at next Board Meeting. Regional Meeting in Chicago. Scholarships available last year - 6 were available. This year only 3-4. Located in St. Charles where headquarters are. Let Dorothy know if you are interested. Leadership Conference has ended. Contract for presenters ended. Expense vs. what it brought in needs to be looked at and how this can be done differently. Alumni get together to look at what we have done better from the training March 6, 2015 next board meeting. Will discuss if another meeting is needed after regional meetings and to finish all reports for awards due June 1. Possible meeting end of May, nominations will need to be looked at this time also. Need to contact Apperts/Sysco to set up booth at food show in St. Cloud. Adjourn and have a safe trip home. Conference call successful. We have made a lot of headway over the past year. We are always looking for new volunteers on the committees that bring new and fresh ideas to the table. All ideas are welcomed even if you are not on a committee. I hope everyone remembers that this is our organization. We will have dates and places sent out to you via . Remember to check the website for national conference dates too. If you are interested in a position for the MN ANFP, please submit your name to me. Ballots Doug Boser MN DMA President We will be sending out ballots via Survey Monkey for President Elect and Treasurer Elect. Please watch your in-box for that. Allison Josephson is on for President Elect. For Treasurer Elect, Carmen Williams and Gail Schwanbeck will be on the ballot. If you would like to be on either of these ballots, please get your name to me by no later than March 15th. Remember to get your nominations to me no later than July 15 for the awards that will be presented at the fall conference. Ex. 8 Financial Information Board approves ballot item for bylaw change to add treasurer elect position to Board of Directors. This position would be training and move into the treasurer position. It would be the second signature. Our accounts and financial responsibilities would not be tied up in the event of an emergency in the treasurer s role. Watch for this item on your ballot this spring to amend the by laws. Finance committee also proposing change of fiscal year to be June 1st to be consistent with National ANFP. Currently it is Sept. 1 to August 31st. This also increases the workload of the treasurer in preparation for the fall conference annual meeting. All monies have been transferred to the Wells Fargo banking system. Operational Checking Account has $29,000. The Savings Account designated for Scholarship Fund has $11,000. Carmen Williams, Treasurer and Dorothy Radermacher, Strategic Planning Chair have been working on the implementation of Quicken for our financial management. With the direct deposit of conference registrations and online banking, it makes management of our funds more efficient. We also reviewed budget categories and Carmen is revising the requisition form for presenting receipts for reimbursement or forwarding income to her for deposit. Treasurer s Report February 2015 A lot of changes have occurred since last report. St. Cloud account is now in the Wells Fargo account. Quicken is up and running which helps with the records being kept up to date. In the checking account... $29, Savings... $11, Our net worth is... $41, Things we are looking into or working on: A budget for conferences (state and national), regional meetings, and scholarships guidelines. Looking for ways to help fundraising for the scholarship fund. Ways to increase revenue either through CD s or other venues. The way our speakers are being paid, envelopes for monies coming in through fundraising and its designated area (checking or savings). Streamline the online payments for conferences and meetings. To control cost and untimely delays online, bill pay has been set up. Guidelines for monies request has been examined and discussed. Bringing on new volunteers and how they are oriented into treasurer s position. Making MN ANFP the best and most rewarding for our members is our goal, being a part of the volunteer team helps achieve our goals. 9 When the 113th Congress ended Dec. 31, 2014, the Safe Food for Seniors Act came to an end, too, at least insofar as being H.R Thus, the first step for ANFP in the 114th Congress is to get the Safe Food for Seniors Act reintroduced with a new bill number and preparations to do so began in December. The Value of the Credential Safe Food for Seniors Act 114th Congress Certification for dietary managers, similar to registration for dietitians and dietetic technicians, establishes a minimum level of competence that both employers and the public can expect in defined roles. Additionally, because certification requires continuing education, the credential assures that the certified individual stays on top of the latest technology and trends within the industry. Obtaining certification involves a one-time cost for training and testing expenses which are covered by the individual and/or provider. Furthermore, certification requirements for The Safe Food for Seniors Act do not require additional funding from the federal government and is considered revenue neutral to the U.S. Treasury. Why is this Bill Important to Us? Foodborne illness is a serious public health threat to Americans of all ages, but seniors are often most at-risk. The Centers for Disease Control and Prevention (CDC) estimates that each year roughly 1 in 6 Americans (or 48 million people) gets sick, 128,000 are hospitalized, and 3,000 die of foodborne illness. Fatalities from foodborne illness among nursing home residents are far greater than for the general population. Consider these facts: 1 out of 3 nursing homes and LTC facilities have documented dietary sanitation deficiencies. Just 50% of these facilities have a full-time dietary staff member certified in food safety. Only 17 states include certification from the Certifying Board for Dietary Managers as a dietary staffing requirement in long-term care. Currently there are no minimum federal training or certification requirements for a director of foodservices in nursing homes and long-term care facilities. Given the vulnerability of our elderly population, we are asking our policy makers to further protect the millions of seniors in nursing homes and long-term care facilities by enacting the Safe Food for Seniors Act. How Can I Make a Difference? Use your power as a constituent! Join the Cause to be part of our grassroots campaign; encourage your friends and colleagues to do the same.
