Meeting Minutes - Crystal Morstadt a.) Read March meeting meetings and approved by club members. Adopted by members of the club. b.) Introduction of all members. II. Financial Report - Maria Huck a.) Treasurers Report - $8, b.) Changes from last meeting were due to banquet, middle school tournament, and summer camp. c.) Checks listed as voided were not cashed and are now unavailable. d.) School Board -$1, and Athletics Bingo $1, e.) All accounts are $11, for the season. $7, to purchase other budget items after spring training.

2 III. Presidents Comments - Jonathan Stonebraker a.) Last year by-laws and treasury reporting was a focus this past year. This year's focus is to take more advantage of our website. Lots of knowledge that will leave the program this year and we need to make sure that we capture prior to next year. If anyone is interested, advise a current officer so that they can mentor you throughout the course of the year. The Officer positions are a big commitment and we want to find candidates throughout the year. IV. Old Business - Jonathan Stonebraker Committee Reports a.) No old business as all were concluded last meeting V. New Business Jonathan Stonebraker a.) Invoice for Home Field Advantage for coaches attire - $ Invoice was approved and will be processed by Treasurer. b.) Officer meeting was held 8/09/2015. Draft for budget was presented to the club. Everything tied out and James sent out a recommendation to the Officers following the audit.

4 e.) Proposed budget changes - updated proposed budget distributed to the club. Maria reviewed the changes that were previously presented in the August meeting. f.) Club voted to ratify the budget. III. Presidents Comments - Dave Daniel a.) Volunteers - VERY IMPORTANT that we get all volunteers for all events. IV. New Business Dave Daniel a.) 50/50 - Melinda Sutherland - Friday September 18 - VOLUNTEERS NEEDED. b.) Jug Day Parking - Need volunteer for 9-3 for front school lot. c.) Bingo - VOLUNTEERS NEEDED. d.) Concessions - Lyn Call - Thursday September 17 - VOLUNTEERS NEEDED. Next concession will be Football Varsity game on October 30 - VOLUNTEERS NEEDED. e.) Spiritwear - CHAIR NEEDED f.) By Laws Committee Chair - Patrick Lewis g.) Outfield Signs Chair - Mike Bowman V. Coaches Notes - Coach Thomas a.) hitting had 19 girls today. Went very well and upperclassman were a great help. Infield/outfield drills, fielding, hitting were all done. Possible inter-squad scrimmage on Wednesday. Jr. high are welcome to attend open fields for September and October. If rain, the hitting facility will be used. b.) Field cleanup day possibly in October. TBA - Will be ed. c.) Home Field Advantage - Coach Thomas will be meeting with Jud to discuss cloth/equipment for this season. d.) 5am open gyms begin in November. e.) Pitchers/Catchers on Mondays are open to ALL GRADES.

5 f.) Florida Spring Training Trip - Leave Sunday at 8:00 pm on March 27. Arrive in FL around 12 or 1:00 pm on Monday. Will play 2 games Tuesday, 2 games Wednesday, Family Day Thursday, and game on Friday morning. 5-6 games total. Leave Saturday late afternoon to get home Sunday morning. 16 girls will go on the trip - 10 slots are filled with 6 slots open as of now. Final slots will be announced December 1. Cost per player will be $ Many fundraisers will be available for the players to raise money. Parent meeting will be scheduled after the girls are announced on December 1. 7 b.) Thank you to all the volunteers!!!!! c.) Club accounts - the club distribution lists are very large and are kept until the player graduates. Adjustments will be made to our gmail account. Lisa James will also be posting information on our website. d.) Lyn Call has taken over the Spiritwear duties. She will continue to work with Jonathan to get up to speed to move this fundraiser quickly (holiday run). e.) Maria will be meeting with Mike Bowman regarding the outfield signs. Coordination needs to be communicated to avoid players going to the same businesses. f.) Middle School Tournament - Chad will be getting the flyer together soon. g.) Summer camp - Camp will be June 6, 7, and 8. Coach Thomas will provide details. h.) Website - Per Lisa James, calendar/schedule are posted for review. IV. Fundraising Dave Daniel a.) 50/50 - Maria - Friday October 9 - Two volunteers needed. Next 50/50 will be October 30. b.) Concessions - Lyn Call - Concession will be Football Varsity game on October 30 - One more volunteer needed. c.) Jug Day - need to revisit for next year. Parking was down this year due to the rerouting of traffic. d.) Spiritwear - Lyn Call is our new chair for this position. V. Coaches Notes - Coach Thomas a.) Summer Camp - Grades 3-5 (9-12) and 6-9 (9-3). b.) Winter Ball - in the past, the club has helped out to cover the winter ball fees. This year we do not have money allocated to winter ball. Varsity (10 going to Florida) will be playing at hitting league in Jonathan Alder. Remaining high school girls will play at All Stars. Middle school will be in the All Stars league. Sundays for Jonathan Alder, Saturdays for All Stars leagues. will be sent out with costs. c.) hitting is going great! Jr High and 6th grade players have been joining. Treasurers Report - $4, funds available. $9, is available balance in account prior to committed expenses. b.) Check register was distributed and presented to the members. Maria walked through the register to explain all items on the check register. c.) School Board -$0.00 and Athletics Bingo $ (pending ). d.) Club voted to ratify the budget. III. Presidents Comments - Jonathan Stonebraker a.) Clarity for team selection, events for winter ball, etc. are the decision of the Coach. Players are encouraged to go directly to Coach Thomas if they have any concerns, questions, etc. The club DOES NOT administrate the winter leagues, etc. that is up to the Coach. Two buckets - Softball Operations and Club Operations.

9 b.) Candy Bar Sales - Players that Coach Thomas has identified as the Florida roster to date will receive the candy bars in the first batch. Once Coach Thomas names the additional girls, the fundraiser will be open to the additional players. If it is rolled out to entire program, we will need more help to document, distribute, and account for the players sales. c.) Winter League - begins this week. Schedules have been sent out to all players that are participating. d.) Pitchers/Catchers starts this week as well as the 5:00 am workouts. e.) Website - Lisa will get the spiritwear information on the website as soon as she receives it. IV. Fundraising Dave Daniel a.) 50/50 - Maria - Friday October 9 - All 50/50 events are finished for this season. Total earnings for the 2015 season for this fundraiser were $ (this includes $50.00 donated back by the winner). Budget was missed by $39.08, would have been missed by $89.08 without the $50.00 donation. SUGGESTIONS FOR NEXT YEAR - look for cheaper raffle tickets for next year. More volunteers would equal more sales. b.) Concessions - Lyn Call - Thank you to all volunteers. c.) Spiritwear - Lyn Call is getting the spiritwear list going and will have the sample store in the next couple of days. Give a couple of weeks for orders, then cutoff to have items shipped by the holidays. There will be another run before the season kicks off. d.) Bingo - will have two more bingos - Jan 2 and March 12. e.) Outfield Signs - Mike is getting higher prices than we historically spent. He will continue to look now that it has been confirmed that the one sided vinyl signs are ok to use (vs. the two sided signs). f.) Basketball Concessions - we are still waiting to get confirmation for the dates/times that we are assigned. V. New Business - a.) Floor open for any new business. No responses for any new business. b.) Budget Update - cash flow is different in that we have lots of bills due around February but don't start fundraising until May/June. Coach Thomas is reviewing the items that we had discussed purchasing this year to see what items may need to push to next season. The exception is the storage facility that Aaron James has volunteered to help build. He is trying to get the items needed donated by Menards. Next Club Meeting: December 7, 2015, 7:00 pm, Room 604

Nominations may be sent by if there is no meeting in April. If interested, make sure that you talk to current officers to understand the requirements of the job. b.) Florida - plan is for the program to go on the Florida trip every other year.

11 c.) Cloth orders will be coming out soon. High school players will have to purchase their pants again this year. d.) Banquet - Jonathan will be planning the banquet for now. e.) Senior Night - we don't have a large junior class this season. We will need to work out details for this event. f.) Middle School Tournament - Chad Adams has completed the flyer for the tournament. We already have inquiries from teams to participate in the tournament. IV. Fundraising Dave Daniel a.) Bingo - Jonathan Stonebraker - next bingo is Saturday January 2. Report time 4:30 pm. Need volunteers! b.) Concessions - Lyn Call - Boys basketball game Friday, January 8. Report time is 5:00 pm. 3-5 volunteers needed. c.) Spiritwear - Lyn Call - Total sales were in excess of $500 and Ares is donating $122 back to the club for those sales. Different vendors may be visited to see if we can have the store open all season in the future. d.) There will be car washes in the spring. More information to come. e.) Candy bars - we need numbers from Florida players families for next order of candy bars. f.) Raffle tickets have been distributed. LaDonna will send out an for money to be due on Wednesday. Winner will be announced on Friday during boys basketball game. g.) Mike Bowman has confirmed that vendor can do signs for $95 per sign and will take one month to create. $250 for new sign which includes cost of production. Renewal will be $175. Mike has list of previous signs that were sold. h.) Website - Lisa needs middle school tournament flyer for website as well as picture and bio. She would also like to get updated picturess and bios on the page. She is keeping the calendar up to date. V. New Business - a.) Windscreen - has the additional windscreen been ordered that was budgeted? Jonathan is currently working with the vendor and they have agreed to replace the whole right field section. James Bourget Audit Committee stated that the auditing of the accounts is up to date and the books are in good standing. f.) Treasurer report adopted by the group. 13 b.) Banquet - Jonathan has begun researching catering options. Has not found catering which will fall into our budget of $600. Continuing to look at options; potentially club will provide the entrée and cake with families providing potluck side dishes. More to come - plans to be in place within the next 60 days. c.) Middle School Tournament - Chad Adams has completed the flyer for the tournament and begun distributing it. We already one 7 th and one 8 th grade team entry (Pickerington) and have had numerous inquiries from other teams who wish to participate in the tournament. d.) Second Chance Prom Basket the Athletic Boosters will be hosting a fundraiser for adults who missed their youth prom. Each sports team has been assigned a theme for a basket which will be raffled at the event. Softball has been assigned Chocolate. Please bring chocolate themed items to donate to the basket to the February club meeting. Jonathan and/or Jennifer Bourget will deliver the items to the Athletic Booster committee that is constructing the baskets. IV. Fundraising Dave Daniel a.) Bingo Dave Daniel - next bingo is Saturday March 12. Report time 4:30 pm. Need volunteers! Coach T thanked the volunteers who worked the most recent Bingo. Coach encouraged parents to keep volunteering because everyone is needed and appreciated. Coach stated that it takes all families to support team activities. b.) Car washes - one of our biggest money makers may be in jeopardy with the announcement that Beuhlers is going out of business and will likely be closed by the end of February. We will need to come up with a new location that has a free water source. Please let Dave or Coach know of any options you are aware of. c.) Concessions Lyn Call reported that this coming Fridays basketball concessions slots are all filled. d.) Mike Bowman is working on the letter for the outfield sign sales. The prices will be $250 for new sign which includes cost of production and renewal will be $175. Mike will get the letter to Coach and Jonathan to distribute to families to make sales soon. V. Coaches Corner Coach Thomas a.) Cloth order planning will be underway next weekend. Coach will be meeting with Jud (Homefield Advantage) vendor at the coaches clinic to determine the items for this season. Families will write their checks directly to Homefield Advantage this year for their orders. b.) Workouts are going great! Please encourage your daughters to attend. c.) Game pants will need to be purchased by each player again this year. Coach and Jonathan will be working with the Boombah representative in the next few days to determine style and price. d.) Orange Horseshoe Emblem ball hats are for sale for $20 each. If interested please get with Coach, he has various sizes available. (Chad and Dave have both purchased one already if you want to see what the hat looks like). e.) Coach again thanked volunteers and reminded everyone that our biggest fundraisers are still to come: one more Bingo, Middle School Tournament and Summer Camp and possibly car washes. VI. New Business a.) Florida Players Candy Bars are still available to sell. Maria Huck has 11 bags yet to distribute. Please contact her if you want more bars to sell. Want to wrap up sale by the end of January. b.) Florida Players Individual account statements will be sent to families next week. Final payments will be due February 15. Meeting adjourned at 7:27 pm

Bylaws state that to run for office you must be a member in good standing via attendance (4 club meetings or combination of 6 club meetings and fundraising/volunteer activities). List will be provided at next meeting of those eligible. April meeting will present slate for nominations. Elections will be in May. Nominations slate may be sent by if

15 there is no meeting in April. If interested, make sure that you talk to current officers to understand the requirements of the job. Being an officer is a serious commitment with significant amounts of time needed. A couple of people have shown some interest. b.) Second Chance Prom Basket If anyone has chocolate items for the basket that was assigned to the softball team please give them to Jonathan at the end of this meeting. He will be delivering the items to Colleen at the Athletic Boosters this week. IV. Fundraising Dave Daniel a.) Bingo Dave Daniel - next bingo is Saturday March 12. Report time 4:30 pm. Need volunteers! Need 3 for first shift and 6 for second shift. Cindy (Bingo Chair) asked Dave to remind us that all volunteers must stay for their entire assigned shift, leaving early or prior to your replacement could result in Bingo funds not being awarded to our team. b.) Car washes Ace Hardware will be staying in the Buehler s area until at least June (their lease expires in June and they do not know if it will be renewed past that) but up until that time we are able to use their area and their water supply. Dawn Coke suggested checking into TSC on 23 North as she has seen carwashes there before as well. c.) Mike Bowman provided the letter for the outfield sign sales to the officers and Coach T. A couple of items needed changed on the draft. Mike will update letter and have it to Coach T for him to pass out at the upcoming players meeting. The prices will be $250 for new sign which includes cost of production and renewal will be $175. d.) Middle School Tournament - Chad Adams has completed the flyer for the tournament and begun distributing it. We have had numerous inquiries from teams who wish to participate in the tournament. (14 teams to date have inquired, expecting to start receiving entries and fees at the end of tryouts in February). Positive word of mouth that we host a great tournament! We are way ahead of schedule compared to last year. Discussion of pros and cons was had by group regarding expanding the tournament. At this time is was determined that expanding could result in less quality, so will remain at current numbers. e.)website Lisa James still needs bio s and pictures. Will post schedules once available. Will post info about MS tournament including committed teams once those start coming in. Will have game changer link again this year. (Dave will need the cost of WiFi covered this year in order to broadcast live stats to be discussed further closer to season). V. Coaches Corner Coach Thomas a.) Cloth order to be finalized this week. will come out regarding packages. There will be a Middle school package and a High school package. You will go online this year to place your order and pay directly to vendors (Homefield Advantage and Boombah). All High School players will need the gray Boombah pants like last year. If your pants from last year are still in good shape you do not need to buy a new pair. Please check your pants to verify that they are in good shape. b.) Mandatory Player Meeting All High school players are to meet this Thursday, February 4 during 6 th period house in Coach T s Apex room. Important paperwork and information will be distributed. Coach told the girls at Friday 5am about the meeting and Crystal sent out an already as well. VI. New Business None Meeting adjourned at 7:34 pm

Elections - nominations are from now until noon on March 31, Candidates can nominate themselves. Please notify through the clubs account to be a candidate. Slate will be presented at April meeting. If no April meeting, slate will be submitted by . Ballot will be presented in May meeting. Winners will be announced at May meeting and will take responsibilities on June 1, IV. Fundraising Jonathan Stonebraker a.) Outfield Signs - Coach Thomas sent forms home with forms and at this time, there are no orders. Jonathan shared the list of current signs to be assigned to members of the club. Assignments were

17 made and phone calls need to be made in the next 7-10 days would be ideal. Please get with Mr. Bowman if you need additional information. b.) Bingo - 6 volunteers for first shift are signed up, still need 6 for second shift. PLEASE VOLUNTEER! c.) Middle School Tournament - Chad Adams ed the list of interested teams which was shared with the group. Everyone will need to help to make this successful. d.) Spirit Wear - Lyn Call will request to have the store opened again as soon as possible. e.) Audit Committee - James Bourget confirmed that books look in good standing. V. Coaches Corner Coach Thomas a.) Practices have been going great the last few weeks! b.) Pictures will be next Tuesday, March 15 at 3:00 pm at varsity field. c.) Signing day - April 27 during House period. d.) Field Cleanup for high school - Saturday, March 19 from 9-1 pm at Varsity field and Carlisle. will come out with tools that will be needed. e.) Softball Camp - May 31, June 1, and June 2. Flyers should be done by Tuesday of next week. f.) Cloth should be delivered by the end of next week. VI.
