This exhibitor information pack includes everything you and the people representing your organisation need to know about attending the careers fair. Please feel free to or call if you have any further questions after reading through this information pack. We look forward to seeing you there. 4 Stand information Each stand is 2.4m wide x 1.2m deep and includes: velcro-receptive walls (2-3 sides) with lighting 1 table 2 chairs tablecloth 2 re-useable water bottles power and wireless internet access What to bring We encourage you to make your stand engaging and interactive to attract interest and make your organisation stand out in the crowd. When planning your space, please consider the following: Bring along a recent graduate from UC who is now with your organisation. Bring brochures and/or information about the opportunities you have available, and display material suitable for the stand size. Space is limited so we recommend a maximum of two pull up banners per stand. We recommend a maximum of three representatives per stand. Representatives should wear a name badge. Please bring your own multi-plug or extension cord if operating more than one item or if the power cord on your equipment is not very long. Ideally this equipment will be tagged and tested. If you would like to hire additional equipment for your stand (eg. TV screen, computer etc), we can recommend suppliers that are experienced at working on campus. Please consider the size of your stand when making these arrangements. Contact the Event Coordinator for more information (see Contacts list). Velcro dots or pins to attach material to the walls. Tips for Employers Employability is a key attribute that is encouraged, fostered and developed by UC for all its students and graduates through curriculum, internships, work placements, co-curricular activities and career education. As such students at all levels of study are encouraged to attend Career Fairs. These provide the opportunity for students to learn and engage with industry and to become better informed about the knowledge skills and qualities sought, and ultimately ensure their preparedness and relevance to opportunities industry offers Engineering &Science Exhibitor Information Pack: Page 4

5 Hints and tips for engaging with students at a Careers Fair Staff with friendly people Choose staff who are keen to engage, are outgoing, polite and have a ready smile to attend the Careers Fair. Think about the audience Who are you trying to attract to your company? People are more comfortable to approach others who look like them. This means that when you are on a university campus it can be very helpful to have young employees attend the fairs. If students don t think they fit your organisational culture they are less likely to apply. Be approachable Encourage your staff get out from behind the table to engage students, shake hands and get talking. It is also not a good idea to be on your mobile phone and eating food all the time. Stand out from the crowd Make your booth stand out. Use large photos, charts, posters and make sure they are eye catching. The use of vibrant colour can also help make a great impression. Be engaging Having videos or presentations available for students to watch can be a great tool to keep students engaged, especially if they are waiting to speak to you. Be creative and memorable. Social media Let everyone know you will be there beforehand by promoting it on social media using hashtags and tagging UC. Try live streaming from the fair on Facebook, or post photos on Instagram while you are there. Set up a Twitter account that advertises prizes or draws for attendees. 8 Delivery and collection of materials Delivery of materials If you wish to send material in advance, please details of the material to the Events Coordinator so it can be inventoried. Items should arrive no later than 7 May 2018 and must be addressed correctly as follows: UNIVERSITY OF CANTERBURY **ENGINEERING & SCIENCE CAREERS FAIR - 9 MAY 2018** [YOUR COMPANY NAME] C/O WAREHOUSE 20 KIRKWOOD AVENUE ILAM CHRISTCHURCH 8041 Materials will be at your stand when you arrive for set up. Note: Delivery cannot be guaranteed for items that are labelled incorrectly or received after 7 May Collection of materials Please ensure arrangements are made for any leftover material or display equipment to be taken away at the end of the event. If you wish to courier materials, please arrange for them to be collected on the same working day or the day immediately following the event. Items must be clearly labelled and left at your stand with the appropriate courier tickets/documentation. Any items left behind that are not labelled for courier, or collected within seven days will be deemed to have been abandoned. 9 Parking If you choose to include one car park space in your registration, free parking will be available for one car in the Law car park. Recommended access points are marked on the map below. On arrival, you can collect a pass to display in your vehicle window from a student volunteer at the drop off point or the help desk. There is a drop off point where you can leave your material before parking. Please do not leave your vehicle unattended in this area to allow space for other exhibitors please leave your materials with a student volunteer and continue on to the Law car park. 10 Set up and pack up Set up Please ensure you allow enough time to set up. All stands must be set up in time for the welcome at 9.45am. Student volunteers and staff will be on site during this time, please feel free to find us near the help desk or see the Contacts list for phone numbers. Pack up There may be some attendees that arrive in the last 30 minutes of the event, so do not dismantle or remove your stand prior to 3.30pm when the event closes. Ensure you take all of your materials with you, or label items for courier collection the following day (see Delivery of materials). Any items left behind that are not labelled for courier, or collected within seven days will be deemed to have been abandoned. Catering At your stand: Each stand will have two re-useable bottles ready for your arrival. Packed lunch from 12.30pm. In the refreshments area: Tea, coffee and juice. Water station for refilling your water bottles. Morning tea from 10.30am. TIP - If your stand has one representative please make yourself known to staff or student volunteers, who will be able to assist you with refreshments so you don t need to leave your stand. 11 Emergency procedures and health & safety PHONE CAMPUS SECURITY or ext 6111 or Emergency procedures Please familiarise yourself with the emergency procedures displayed at the venue. This has important information for managing any emergency situation, as well as assembly areas. In the event of an emergency, UC staff will provide instructions Emergency exits Ensure you know where the emergency exits and assembly areas are. Please do not obstruct any exits or walkways with your equipment or materials. Fire alarm If you hear the fire alarm, leave the venue immediately via the nearest exit. Please follow UC staff instructions and go with them to the allocated assembly area. Earthquake Stay where you are, take shelter stop, drop and hold. Do not evacuate unless instructed by UC staff. Please follow UC staff instructions. Health & Safety Please report any health & safety concerns or issues to the information desk. First aid A limited first aid kit will be available at the Help Desk, for minor injuries such as paper cuts etc. However, if you require more comprehensive first aid assistance, please notify staff who will call Security for assistance. 12 Terms and conditions Careers Fair package Each site is approximately 2.4m wide x 1.2m deep. Site allocation will happen in strict order of reply. However if you have any special site requirements, we will accommodate them where we can. Due to space restrictions a maximum of three representatives may staff each exhibition site. Each exhibition site will include a table and two chairs. Student volunteers will be available to assist for the duration of the event. Publicity of your attendance will be organised on the Careers Fairs website, targeted s to students and in the information flyer for students. Catering at the Engineering & Science Careers Fair includes: - Two re-useable bottles. - Tea, coffee, juice and water throughout the event. - Morning tea from arrival in refreshments area. - Packed lunch delivered to stands. The Engineering & Science Careers Fair takes place in Undercroft, Puaka-James Hight, Ilam campus. Visitor car parking is available in a designated area on campus, however limited. A parking pass is required and can be collected from the helpdesk at the venue upon arrival. Promotional material If you wish to send material in advance for delivery to your stand on the day, please the details to the Events Coordinator and courier your material to our warehouse as per details below. If your boxes are not labelled accordingly or if they haven t arrived within two working days before the event we cannot guarantee that you will receive your material in your stand on the day. Overseas employers should courier their material and displays well in advance to allow for any delays with NZ Customs. Where the preferred method of payment is credit card. If you prefer to pay via invoice please follow the instructions within the registration. A confirmation will be sent to you from Eventbrite which will include your invoice. Please pay the amount specified in our bank account. Please use the invoice number as the reference. Payments must be made to University of Canterbury bank account: Account Name: University of Canterbury. Account Number: You will receive a confirmation within three working days of registering, if you do not receive this please contact events@canterbury.ac.nz Registration for the fair is only confirmed once payment is received in full and you have received a confirmation . Priority allocation is given to full-fee paying exhibitors and complimentary or discounted registrations will be confirmed after registrations close. If you do not receive a confirmation within three working days from registering through Eventbrite, please contact UC Events at events@canterbury.ac.nz Set up and dismantle All display material can be set up from 8.30am-9.45am on the day of the event and must be ready in time for the welcome at 9.45am. No displays are to be dismantled or removed prior to 3.30pm when the event closes. Please bring your own multi-plug or extension cord if operating more than one item or if your computer or TV power cord is not very long. Cancellation and refund policy Cancellations must be received in writing no later than 30 working days prior to the event. Cancellations on or before this date will be accepted with a 100% refund excluding Eventbrite fees. Regrettably cancellations after this date will not receive a refund. Cancellations can be requested through Eventbrite. On the occurrence that UC must cancel or postpone the event, employers that have already paid will have the option to receive a full refund excluding Eventbrite fees or have the registration fee applied to the next scheduled UC Careers Fair. In the event that a registered exhibitor is unable to attend due to unforeseen circumstances such as bad weather, delayed flights, an accident etc., the registration fee will not be refunded nor credited toward any future careers fair.
