1 VOLUNTEERS NEEDED We are looking for committed and fabulous VOLUNTEERS to support #WCTOH a global forum, attracting tobacco control experts, civil society, policy makers and medical experts. Our volunteers benefit from amazing networking opportunities, access to latest data and best practices in #tobaccocontrol and lung health. INTERESTED???? 2 We are looking for volunteers to help with the 17 th World Conference on Tobacco or Health, 7-9 March 2018, Cape Town South Africa. Students, who are interested in WCTOH topics, e.g. post graduate students, medical-, economics-, agriculture-, social science students, community workers and young doctors.

3 What are the requirements? Volunteers must be fluent in English and those with additional language skills (French, Spanish & Portuguese) will be desirable. Volunteers must be over 18 years old and available to commit to at least two full shifts (07h00-13h00 & 12h30-18h30) of volunteering during the Conference. Volunteers when not on assignment, may attend the other activities/programme of the Conference. Applicants will be invited to detail their availability and activity preferences when completing the Volunteer Application Form.

4 What are the desirable qualifications? People skills, working in changing conditions and environment, proactive, open-minded, attentive, good customer service skills, good communication skills Computer fluency, Microsoft Office fluency required Easy-going manner, energetic, upbeat personality Demonstrated ability to handle multiple tasks. Strong work ethic; willing and able to perform all duties required. Excellent oral and written communication skills with an ability to work with a variety of internal and external stakeholders

5 What do we offer? You will receive two T-shirts, incidentals up to R50 per day (to be paid on the last day of the conference) a lunch box (one per shift), access to all conference sessions and activities when not on duty a certificate of attendance and our sincere appreciation. You volunteer 50% of your time and you get 50% of your time to attend conference sessions, meet peers and leaders, network and experience an international conference.

7 Volunteers roles (you can choose up to 3 areas) 1. Leader we are looking for 10 leaders, who will help us to manage their peer volunteers in different areas, leaderships skills are a must! 2. Registration this is where delegates collect their badges to gain access to the conference. Volunteers working in this area will need to manage the queue - make sure everyone has the correct voucher (delegates receive it via prior to the conference) and stands in the correct queue. They will also be distributing the conference bags to registered delegates. 3. Way finding we will have volunteers in key areas of the venue - at the relevant signage to help people find their way, point out the directions etc. 4. Workshops room on the 6th of March we will have workshops in various rooms of CTICC2. Volunteers will be on stand by for the organizers, making sure the Audio-visual (AV), Information Technology (IT), air conditioning (AC) is operating, that catering is served on time and answering the questions & requirements of organizers as well as helping with Question & Answer (Q&A) sessions.

Poster Exhibition - Volunteers working on poster exhibition will work at the Poster Info Desk helping speakers to find their poster board, helping delegates to put the posters on the boards, reattaching posters which fell off, help with change of the posters on the 8th (we have two rounds of poster displays of 300 posters each). 6. Speakers Room - Volunteers in speaker s room will have several functions. Two will be working with our programme team making changes to the name plates (for different speakers), updating documents, agenda, printing - they will be provided with laptops. (note to self - Keep the same volunteers on this position (senior, mature, management skills. They will also feed changes to the session rooms volunteers. Must have computer literacy, and knowledge of Microsoft Office) Two will work at the welcome desk of the speaker s center. 7. Session Room - Each session room will be provided with at least 1 volunteer (Auditoria I and II will have more) this volunteer will need to report to Speakers Centre before every session starts, collect the name plates and replace name plates on the speakers table in session room before the session, get an update on speakers changes from the Speakers Centre, chairs changes etc. and feedback to the session chair. Also oversee the AV/IT in the room (there is a technician in each room but volunteers report to organizers), AC, sound etc., and assist with Q&A sessions. Volunteer will need to make sure that water and glasses are refreshed for the new speakers. Volunteers also ensure that all people in the room has ID badges and report to security if no badges/wrong badges are spotted.

Exhibition - Volunteers at the Exhibition welcome desk will be able to answer questions about the exhibition regarding the location of each stand, opening hours, how the catering works etc., and will be on standby for exhibitor assistance if they need to organize trolleys etc. 9. E-poster lounge - E-poster lounge is a new concept for WCTOH we will need one volunteer on standby and two during the e-poster sessions (lunchtime) to help people to use the E-poster online gallery and assist during the session. Must have computer literacy, and knowledge of Microsoft Office). 10. Idea Exchange short informal sessions taking place during the lunchbreak, one volunteer to support the speakers and organizer if needed, helping with the microphone. Does not need to be there entire time, only for the session which is 45 minutes long. 11. Media Room we will need 2 volunteers with media background who could help our media team throughout the conference, every day to run the operations. 12. Runners volunteers on standby to support any of the areas if needed.

10 How will I know what to do? Training and Orientation will take place on Monday 5 March from 12h00-18h00 when all volunteers will be trained, shown around the venue, meet the conference team and have lunch. It is compulsory for all volunteers to attend this training and orientation session.

11 How to apply Applicants are invited to detail their availability and activity preferences when completing the Volunteer Application Form. If the application is selected, the volunteer applicant will receive a proposal and will be invited to confirm the schedule and activity proposed.
