1 Board of Directors Meeting Agenda Thursday March 15th, :00 PM I. Call to Order II. Guests: III. Minutes of February 2018 Meeting IV. President s Report 1. Budget still working on hope to have a special meeting before end of month to vote on. We are hoping to get the budget out to the board the week of the meeting so you can review it. 2. Welcome back Hazel Brown to the board V. Treasurer s Report 1. Review January 2018 Financial Reports 2. Review February 2018 Financial Report VI. Executive Director s Report A) New building construction update B) Ann Hebert estate C) Grants coming from Van Buren to help with spay/neuter D) Special events, shot clinics and upcoming grants E) Updated No-Kill plan is finished and is more of an employee manual than anything else so Sam & Leeann feel it should go to the employee. If a board would like one they can me and I will send it to them it is around 20 plus pages. F) Parvo dogs G) Transport update H) Petsmart meeting new transport opportunities I) Heartworm dogs J) Animals with serious injuries K) Now doing 10 tent events a year. May want to buy a tent it costs $500. Per rental and we can get our own for $1, L) We are doing 2 special events at Petsmart every month now. M) We are still short personnel ACT, adoption, Medical and have to hire fundraising position.
2 N) Planning on getting a report to executive board about moving some employees around. O) 4 dogs involved in attack P) Mars inspection this week Q) Local foundations will be circulating information to board members R) Soliciting donations through water bills S) We have about 120 new places for us to put Paw Prints but we have to increase the printing of the magazine and they all want racks so we would need to invest in new racks. T) We have a full group to handle collections we have added 23 new locations U) Volunteer hours are up V) Direct mail piece going out this week. W) Working on a capital campaign for the building and some other items which will begin in April or May. X) Working on a new sponsorship packet Y) Over 68 animals need major care in January, and 72 in February Z) Working on online auctions and raffles to raise funds AA) Waiting for state approval on license plates BB) I have a Bissell Spot Bot For C4P CC) I been working on it for over 6 months but I now have a $ or a little over. And a will for $ from the Pyle Trust. We get the interest on the trust every 6 months. DD) Spay/Neuter vouchers update EE)We have had 24 kittens born in the shelter and 18 puppies in March. FF) Paw Prints will go out once the proof is done. VII. Special Events VIII. Old Business IX. New Business X. Adjourn
3 Sebastian County Humane Society Board of Directors Meeting Thursday February 8,2018 Attendees: Joe Sprague, Steve Carriillo, Sam Terry, Stacie Cox, Melanie Prewett, Storm Nolan, LeeAnn Cox, William Buckley, Jessica Meredith, Philip Merry Excused absences: Tracy Zigerelli Absences: Kitty Calvert, Darren Minor Guests: 0 I. Call to order. Meeting was called to order at 12:05 II. Minutes from January 11, Motion made by LeeAnn to approve the minutes from the January 11, 2018 meeting. Second by Steve. Minutes were approved. III. Philip Merry was moved from being absent at the January meeting to an excused absence. IV. President s report by Sam Terry V. The board voted get two credit cards on the same account with a limit of $5,000. Joe would be the administrator. Tina can check balances. The transport team and Amber and Trevor can use the cards.the cards will be issued under HOPE. A motion was made by LeeAnn. Second by Philip. Motion passed. VI. Sam suggested moving next months meeting from March 8th to March 15th. We will also move the November meeting as well. VII. Treasurer s Report V. Executive Director s Report Joe announced that today we had two transports. One in Wisconsin had 38 dogs aboard, and the other in Toledo has 22 cats. Joe temporarily closed to intake due to the large amount of parvo coming into the shelter. Ann Herber will: A letter was sent offering $20,000 now. Sam suggested waiting until we can get the entire sum. Joe received a $1000 grant from PetSmart for $1500 and items for the lobby. Several board members liked the idea of improving the counter in the lobby. Joe has 9 more grants to file and 13 more to file next month. Having a lot of pregnant dogs and cats coming into the shelter. Joe reported that there is a group of women from Van Buren that started an organization to help raise money for spay and neuter costs for Van Buren animals.
4 Fundraising, grant and misc. Calendar is being finished this week and will be ed by early next week. The No Kill plan is being reviewed for corrections and will be ed next week. Joe is looking for a trailer to use as an iso unit for the parvo dogs. The transport for 48 dogs was canceled this week due to the parvo. It is rescheduled for the end of the month. We have 26 heartworm dogs and cats with bed bugs. Hoping to be ready for a transfer to ShelterLuv around the 17th of the month. Joe reported that the birthday party raised $8,200 and the shelter is still receiving money. Pam has had 3 appointments with businesses this week and has a goal of getting 1 to 2 appointments a day. The shelter received an award for best shelter. This was featured in Entertainment Fort Smith magazine. The shelter sent an request for donations. One received $10 and the other received no money. We are short 6 cleaners and two medical technicians. LeeAnn suggested raising hourly salary so it is above minimum wage to increase the amount of applicants and decrease turnover. LeeAnn proposed to increase the wages to $9.50 an hour. It was also suggested increase the current cleaners wages before the ad goes out so we will not lose the current employees. We also agreed to increase the Medical techs wages to $9.75 an hour effective immediately. The puppy bowl brought in $ We are hoping to open the intake door next week. We have lost 5 to Parvo. The spay neuter grant goes until the end of November. Joe will be scheduling appointments to come pick up certificates to avoid the problem with people waiting to get their certificates. Joe will be sending out an open letter to the vets offices to attempt to get help with shot and microchip clinics. Special Events: Cause for Paws Meeting will be the 1st Tuesday of every month, starting in March from 12-1 at the Hampton. Old Business: 0 New Business: Philip suggested sharing success stories of animal adoption and medical recovery. Philip also offered to pay for bandanas for the dogs forever. Motion made to adjourn by LeeAnn. All were in favor. Meeting adjourned at 1:08
