7 EXHIBITION AREA AND INFORMATION Exhibition specifi cations As part of the Global Spine Congress, an exhibition space will provide exhibitors with a unique opportunity to showcase products and services to an estimated 1,500 delegates The rental fee is for the empty fl oor space only and exhibitors are kindly requested to send their own booth design to the Organizing Secretariat for approval by March 27, 2017 at the latest. The booth layout should be expertly designed to ensure delegate comfort, while optimizing visitor fl ow and maximum exposure for the exhibitor. Shell scheme booths as well as any decoration requirement (carpeting, lighting, furniture, equipment) can be rented through the Organizing Secretariat O.I.C. srl. Upon request, a furniture catalogue and order form will be mailed with the Exhibitor s Technical Manual. Exhibition spaces will be allocated according to the total amount of sponsorship received on fi rst-come, fi rst-served basis. The organizers reserve the right to make the fi nal decision on the exhibition space allocations. Networking events and coffee breaks will take place on the exhibition fl oor, regularly promoting opportunities for the delegates to visit the exhibition area to engage with you. Bookings will not be processed nor exhibition spaces guaranteed without the required 50% deposit at time of confi rmation. All payments need to be settled with the Organizing Secretariat O.I.C. srl in the name of AOSpine International by credit card (Visa or MasterCard) or bank transfer. All payments should have the notifi cation code: GSC 2017 If the payment is not received within the time established in the payment conditions, the agreement with O.I.C. srl will automatically be rescinded. In this case O.I.C. srl will send by registered mail a written declaration to the Company (Organization). The missing payment will be intended as cancellation by the client and the penalties indicated below will be applied. The missing balance payment before the Congress will entitle O.I.C. srl to forbid the building up of the booth or not to provide the requested service/s, the penalties indicated below will be applied in any case. **Please include all bank charges and intermediate bank commissions in your payment** Cancellation fee 100% of the total exhibition/sponsorship booking will be applied for cancellations received after January 27, Important remarks A dedicated contract budget including all booking items and the specifi c terms and conditions of the reservation will be sent by the Organizing Secretariat O.I.C. srl in the name of AOSpine International upon receipt of the application form. This contract should be signed and returned within 10 (ten) days from the date of the offer. This fi nal confi rmation (contract budget) will be liable for both OIC and the Company (Organization) upon signature. Terms and Conditions of Sponsorship are indicated herewith and will be included in the contract budget. In case the client does not fulfi l the payments according to the above-mentioned conditions, O.I.C. srl will consider the agreement automatically cancelled, according to the provisions of art of the Italian Civil Code, and notify the client by letter with confi rmation of receipt. The non-fulfi lment by the client will hence be considered as a cancellation with the application of the foreseen consequences of penalties. In case of failure by the client to pay the due amount before the congress, O.I.C. srl will not authorize the set-up of the booth or prevent the fulfi lment of the remaining items stated in the contract. According to art.13 D. Lgs. 196/2003 O.I.C. srl is authorised to use my Company (Organization) and personal data for purposes connected to the Congress. I also state that I have understood and accepted the confi rmation, cancellation and payment policies related to the sponsorship terms and conditions specifi ed herewith.
