2 Dissemination Plan Introduction Dissemination is a key component in this community leveraged project. In essence, the community will determine the success of the project. The publication and acceptance of findings in the initial stages of the project will have a profound effect on the community uptake in later phases. The goals of the dissemination package of the ACCEPT project are visibility of project results and discussions, stakeholder awareness of ongoing research in the project, and impact of the results. WP 10 will make sure that the ACCEPT project results are visible to the public, discussions are fostered, stakeholders become aware of ongoing research in the project, and the results have an impact on the research community as well as on industry. The consortium will work in close cooperation with Open Source bodies and charitable foundations to distribute ACCEPT technologies in a dual licensing scheme, allowing both access (similar to open source) for academic and charitable use and potential commercial exploitation. There are several possibilities regarding the provenance of the software used as the basis for development work in the project: Developed from already declared Open Source Developed from proprietary software New Open Source New proprietary software. We will avoid development from proprietary software if we are not first assured that the appropriate rights will released. New proprietary software will not be developed. Dissemination will predominantly address the following stakeholders: NGO organisations Non-Government organisations needing translation services NLP (Natural Language Processing) R&D community, mixing academic and industrial groups Institutions or industrial companies engaged with their customers through Web 2.0 technologies The ACCEPT special interest group (SIG) European Commission ACCEPT members. The consortium will also communicate with those members of the greater public generally interested in new technologies, using social networks such as Facebook and Twitter to advertise upcoming news and events related to the ACCEPT project. We have appointed a dissemination coordinator from among the industry participants: Fred Hollowood (Symantec). Fred Hollowood will ensure that dissemination materials are tested and made available on the web site according to the project schedule. 2
3 Information infrastructure for the project The consortium has developed a project logo, which is used on the web site and in publications, increasing the recognition value of ACCEPT: The public web site of the ACCEPT project contains information about the details of the project and its background. Published documents and white papers will be available from this web site, with an invitation to discuss research results. Instructional material will help forum writers and translators to understand the aims of ACCEPT. The web site will be combined with a forum discussion area, in order to get feedback from the community. The web site s content in organised in two parts, a public part available externally and a private part available internally, with the access restricted to the members of the project. The public part currently contains sections on the project description (objectives, expected results, plans for dissemination and exploitation), the consortium, project members, the statement of work, as well as on events related to the project, project visibility (ACCEPT in the media), and contact information. The site offers newsletter and social-media related functionalities (Facebook, Twitter). Traffic statistics are collected via Google Analytics. The localisation of the web site is in progress. The private part of the web site consists of a collaborative workspace and a document sharing area. Both are hosted on servers of the University of Geneva. The ACCEPT web site is linked to the site of the European Commission that also contains a general description of the project and the project factsheet. Leaflets and posters will be written about the project ideas on a regular basis, once a year. These will give the stakeholders a general overview and can be used in public events by all partners. Interested parties can download these from the web site. In conferences, workshops and fairs, ACCEPT partners will use them to promote the ACCEPT research. A presentation of ACCEPT key features is available at: A press release will be done at least once a year to inform the public about our goals and advances. The first ACCEPT press release is available from the ACCEPT web site: 3
4 In order to support publication by conferences and industrial talks, the project has developed a PPT template ( and a Microsoft Word document template for project deliverables ( A special interest group (SIG) is currently being established. SIG will be a user community that will focus on industrial and NGO users who wish to use our technology and provide feedback. We have started to contact potential members and plan to set up the group by M6. A regular newsletter will be sent to SIG members and external subscribers. We will start to set up newsletters in M6 to promote our first project results. We aim to send out newsletters every three months. Dissemination by publication ACCEPT researchers will talk about their research in conferences and workshops. The participants have a wide range of experience in sharing their research knowledge with other researchers, and in participating in national and international groups and committees through formal and informal mechanisms. The enhanced dissemination plan will clarify whether we will aim to organise workshops on the research topics in ACCEPT. To develop interest in the NGO community, the ACCEPT team will organise roundtable sessions in key NGO centres such as Paris, Brussels and Geneva to evangelise on the project vision and present results. Conferences where participation is planned: The European Association for Machine Translation Conference (EAMT) 2012 Localization World Paris 2012 META-FORUM 2012, Brussels Conferences where participation is foreseen: The Association for Computational Linguistics Conference (ACL) The European Association for Machine Translation Conference (EAMT) The Association for Machine Translation in the Americas (AMTA) Machine Translation Summit (MT Summit) American Translators Association (ATA) The Conference on Empirical Methods on Natural Language Processing (EMNLP) The Conference on Computational Natural Language Learning (CoNLL) Localization World (LocWorld) Translation automatic User Society User Conference (TAUS) Localisation Research Centre Conference (LRC) Workshop on Statistical Machine Translation (WMT) Publications in conference proceedings and journals will further enhance the professional discussion. Journals where ACCEPT contents could be published: Machine Translation Computational Linguistics Linguistica Antverpiensia Multilingual Computing 4
5 Software in ACCEPT will contribute to existing standards: For example, we will use XLIFF to transport project data, use XML for presentation of linguistic knowledge and work with TMX for translation memory knowledge. Other mechanisms for disseminating material Contributions to Social Media, such as Facebook, will attract and inform users and enhance the discussion process. The social web has become the conduit for like-minded enthusiasts to read, learn and meet. These are the opinion formers and the early adopters in our organizations. Both commercial and non-commercial interests leverage and cross-pollinate their thinking on the social web. Facilities like Twitter and Facebook can be opportunities to learn and interact virtually, long before a paper is written or a conference is attended. We will start these activities in M5. As the global economy moves forward into the 21 st century, its knowledge workers need to supplement their internal learning and communication opportunities with access to ideas and prototypes sourced from their social networks. Measuring ACCEPT s impact on the social web and estimating its sentiment within its network will be an important assessment both of the leverage of its principles and the utility of its prototypes. The feedback gleaned from its diverse audience will be a considerable and perhaps decisive influence on its development and continuing success as a project. In Twitter, we will identify or even create hashtags which are appropriate for our target audience (e.g. #machinetranslation, #editingfortranslation). A Facebook page for the project will be set up with a wall to highlight project developments; project participants will point their friends to the site. The project will also run a blog to promote milestones in the project and place guest contributions in well-known blogs, such as the Watchtower blog run by Common Sense Advisory. A small-scale search-engine optimisation (SEO) effort will be undertaken to ensure good web visibility for the project. Instructional films will help the ACCEPT users and the public to understand the aim and methods of the project. Blogs and web group articles (LinkedIn, Yahoo, etc.) will be used to spread the word about interesting developments in the project. Academic courses will be given that include research results of the ACCEPT project. 6 Cooperation with other research projects The ACCEPT consortium has agreed on a collaboration with META-NET ( META-NET is a Network of Excellence dedicated to fostering the technological foundations of a multilingual European information society, thus supporting the vision of one single digital market and information space ( The network was founded two years ago by 13 organizations and currently consists of 57 top-level research centres in 33 European countries. It is partially supported by the 7th Framework Programme and through the ICT Policy Support Programme. This is the link to the agreement: The ACCEPT consortium has also decided to be part of the "LT Innovate - the Forum of Europe's Language Technology Industry" ( Internal communication Internal communication is supported by regular web meetings and live meetings of the whole consortium, currently scheduled for every two months. Internal communication is further supported by a mailing list: accept-members@unige.ch An internal area on the web site supports the internal communication in the ACCEPT consortium. It contains a document management system, called Plone, which is used by project members for sharing information related to the project in general and to its management (events, minutes, deliverables, templates, as well as information aimed to support dissemination work). It also contains a document sharing area which stores the data of the project. It can host large amounts of data, which can be accessed and administered by all project members
