3 Carbondale Public Arts Commission 2017 Committee Lists Updated 11/2/2016 for Year 2017 Chair Responsibilities (to be supported by the Chair Elect Cheryl Bumgarner, Sarah Moore Committees o Create suggested committee structure and assignments o Ensure that all committees understand and fulfill their responsibilities o Assist all committees as needed o Complete any tasks that do not fall under other committees Meetings o Create agendas o Lead meetings o Ensure action items are addressed and proper follow up takes place Serve as the primary contact for new and existing members Recruit new members Primary Town of Carbondale Liaison o Primary liaison to the town working with town staff to create meeting agendas, distribute information, ensure action items are completed, etc. o Make presentations to the Trustees on CPAC s work as needed o Best of Show Notification to winner & all artists. Invite them to enter next year o Send letter to artists and arts councils inviting artists to enter Café or check out Facebook for entry Town & Public Works Liaison Laurie Lindberg Oversee all install and deinstall (including all communications with artists) Point person if any sculptures are damaged or need repair Arrange payment for artists Communicate with the Carbondale Branch Library regarding their two sculptures each year Keep CPAC website and Facebook current CPAC artist, purchase and donation contracts/legal issues Make sure all the contracts are signed upon installation Serve as main point person for install incoming and outgoing artists Work with Town Lawyer to develop a Contract to Purchase with a deposit of 30%, non-refundable. This is a contract for people wishing to buy a sculpture currently on exhibition. They will receive it when the sculpture is de-installed and the remainder fee is paid. 4 Budget & Financial Committee Todd Richmond & Marty Silverstein Budget o Prepare proposed budget for approval by CPAC. o Work with BOT to get the budget approved. o Work with the Town of Carbondale to approve any additional CPAC expenses o Update CPAC on status of budget as necessary o Send check for Best of Show to winner Public Relations Committee Jennifer Balmes Manage all PR efforts for CPAC Draft and distribute press releases Post CPAC events to newspaper events calendars Negotiate with local newspapers to run photos and short biographies of artists throughout the year Best in Show Co-ordinate Announcement at Potato Days & Press release- News Papers, Marketing Committee Jennifer Balmes, Laurie Lindberg, Heather Bryan Manage all marketing efforts Create an annual marketing plan Create Art Around Town map, advertisements, posters, banners, postcard etc. Manage Mail Chimp communications (i.e. call to artists, art around town opening invitation, other communications as needed) Manage CPAC contact list responsible for adding/updating people to mailing list and list as requested Point person for any freelance graphic designers

Create jury Administer jury process Contact all selected artists and confirm their participation Create spreadsheet with information on all the selected artists and distribute to all CPAC members Artists Liaison Committee & Small Sculpture Show & Sale Committee Sandy Smith, Sondie Reiff, Susan Johnson (Heather Bryan, help with transition/training new members) Mail formal letter of acceptance to artists on CPAC logo letter head paper Serve as main point persons for dissemination of information concerning Carbondale for incoming and outgoing artists selected to participate in Art Around Town creating artists packets, answering questions, making them feel welcome, communicating logistics, timeline etc. Inform artists lodging options Coordinate tour to Powers Art Center for artists and guests Coordinate sculpture placement day walk. Invite all CPAC members to participate and recommend final placement of sculptures to CPAC Serve as CPAC representatives during de-installation and installation Permanent Sculpture Committee Cheryl Bumgarner, Tim Hagman Permanent Sculpture Donations o Serve as CPAC point person for sculpture donations o Liaison between donors, CPAC, and Town of Carbondale regarding donation. Ensure all paperwork in completed, reviewed and submitted to the appropriate individuals. Permanent Sculpture Placement o Recommend placement to CPAC o Coordinate installation with the town and serve as liaison for CPAC being present for installation as needed Sculpture Purchases o Serve as point person on CPAC for sculpture purchases o Liaison between buyer, artist, and CPAC regarding the purchase. o Ensure all paperwork in completed and submitted to the town and any other appropriate individuals. Permanent Sculpture Inventory o Create and maintain inventory including locations of all permanent sculpture in Carbondale
