1 DHS Band Booster Meeting Minutes Date: August 20, 2015 Attendees: Mr. Emerson- Band Director, Mr. Perez- Asst. Band Director, President- Sheila Thurmon, Treasurer-LaShanda Fuller, Secretary-Dawn Curry, DHS Principal- Mrs. Shaw, DHS Athletic Director Coach Senter, Committee Chairpersons: George Raymond, Liz Rawls, Lisa Armstrong and Band DHS Booster Members Vice-President Kira Harris-Braggs excused absence per President Sheila Thurmon I. Welcome President Thurmon called the meeting to order at 6:33 PM II. Officers Reports A. Treasurer LaShanda Fuller Mrs. Fuller shared an overview of the budget. The budget provided the foundation for the planning of the budget. B. President Sheila Thurmon Ms. Thurmon provided a detailed outline of the proposed budget. A work session held on June 23, 2105 by the executive board was used to compose a detailed budget for the year. Ms. Thurmon highlighted each line item. III. Guest Speaker DHS Principal Mrs. Shaw Ms. Thurmon introduced Principal Shaw as the guest speaker. Principal Shaw accepted the invitation to speak to the DHS Band Booster to address any questions or concerns regarding being informed that the DHS Band Boosters would not be able to provide the concessions at the home football games for the school year. The invitation to Ms. Shaw was extended by the DHS Booster Officers following a July 29, 2015 meeting. Principal Shaw shared the following: A. After careful observation of the operation of the school for 1 full year she felt the need to halt all spending. B. Her desire was to centralize all spending in order to gain an accurate accounting of income and expenses. C. Based on decisions made prior to her tenure a need to regain control of all fiscal spending was inevitable which resulted in the decision to take control of the concessions stands for all athletic events. 1
2 D. Principal Shaw reiterated that the decision was made based on what was best for the overall function of the school and ultimately what was best for DHS students. E. Principal Shaw shared with the boosters that after further study of the budget she was glad to allow the DHS Band Boosters to provide the concessions for Senior Night 10/23/15, the JV game on 9/10/15 and one additional date of a JV and 9 th grade game. F. Principal Shaw encouraged the Boosters to consider Advertising Banners to display the DHS Band Program Sponsors. G. Principal Shaw also shared that the school will be selling All Sports Passes for $50.00 which will allow access to all DHS athletic events for the school year. The pass will also provide discounts to local businesses. H. In conclusion Principal Shaw stated that the loss of the Band Booster concession stand was temporary. *President Thurmon called for a motion to table the voting on the proposed Budget based on the change in the proposed amount for concessions. President Thurmon proposed that the vote take place at the September 17, 2015 DHS Band Booster meeting. Motion: Lisa Armstrong Second: Melanie Dilahunty IV. Old Business A. Approval of May 14, 2015 Minutes President Thurmon asked for a motion to accept the May 14, 2015 meeting minutes as posted on the DHS Band Booster website. Motion: LaShanda Fuller Second: Lisa Armstrong B. Band Camp 2015 President Thurmon extended a special thanks to Lisa Armstrong for preparing the Band Camp meals. A special thank you was also extended to Stockbridge United Methodist Church for allowing Mrs. Armstrong to use their facilities to prepare the food. Ms. Thurmon also thanked all volunteers for ensuring a successful band camp. 2
3 C. Blue Bell freezer purchase update President Thurmon informed those in attendance that the freezer has now been purchased based on the May 2015 meeting vote. Since it is now DHS Band Booster property brands of ice cream other than Blue Bell can now be sold. D. Vote on Proposed changes to By-Laws President Thurmon distributed copies of the proposed By-Law changes and asked those in attendance to conduct a final review of the proposed changes before voting on adopting the new By-Laws. Discussion regarding Terri Dix s suggestions regarding Article VII Section G s wording It is highly recommended that parents of Senior Band members participate on the Banquet Committee and Article VII Section H The DHS Band Boosters Parent Involvement Committee (PIC) shall consist of a representative from each grade level. The consensus of those in attendance was to change shall to may in Article VII Section H and to not change the wording in Section G. President Thurmon called for a motion to accept the Bylaws with the following change - replace shall with may in Article VII Section H Motion: Lisa Armstrong Second: Cynthia Thomas V. New Business A. Ice Cream Sales Volunteers Additional volunteers are needed to sale ice cream during lunch on Thursdays. B. Show Shirt Orders Mr. Emerson is in the process of finalizing the Gladiators show shirt order. All Marching Band students will receive a show shirt. DHS Band Booster members may purchase the following items: T-Shirt - $15.00 Pull-over Hoodie - $20.00 Zip Hoodie - $25.00 An additional $1.00 for sizes over XL Mr. Emerson will provide the Pit/Equipment Crew with shirts. C. Kroger Rewards 3
4 VI. Band Booster members are encouraged to sign up for the Kroger Community Rewards. The deadline is August 31, All current Kroger Community Reward participants must re-enroll annually by the August 31, 2015 deadline also. D. Spirit Nights and Sponsorships President Thurmon encouraged those in attendance to expect more information about spirit nights in the coming weeks. DHS Band Booster members were also encouraged to solicit business sponsorships for the band. E. August Calendar posted to the website; Mr. Emerson provided the September 2015 calendar via Remind on 8/20/15 Mr. Emerson confirmed the competition dates: 10/3/15- Northgate High School 10/10/15 Commerce High School 10/17/15 Rockdale County High School 10/30/15-10/31/15 Bands of America GA Dome 10/13/15 Henry County Marching Band Ola High School *Reminder from Mrs. Raymond that we will feed the band students at all of the competitions. Solicitation for volunteers and donations will be forthcoming. 9/15/15 - Henry County Percussion High School F. First Away Game 9/11/15 Volunteers Needed Volunteers will be needed to help with the equipment. Starr s Mill Band Boosters will provide a meal for both bands. The cost for the meal will be provided by Mr. Emerson as soon as the details are finalized. G. Next DHS Band Booster Meeting The next Band Booster meeting will be held on September 17, 2015 at 6:30PM in the DHS Band Room Committee Reports A. Uniform Committee Chairperson LaShanda Fuller informed the Boosters that the students will be transporting their uniforms on the bus via garment bags. The band already has some garment bags but more are needed. Mr. Emerson is in the process of locating a company that the Boosters can use to purchase the additional garment bags. Mrs. Fuller also stated that there is a need for Febreeze. B. Color Guard Committee - None 4
5 C. Concession Committee Chairperson Lisa Armstrong encouraged Boosters to be on the lookout for the Volunteer Spot to sign up for upcoming concession stand spots. D. Equipment Committee Chairperson George Raymond asked Mr. Emerson about renting a UHaul truck to transport equipment. Mr. Emerson confirmed that a UHaul will be rented. E. Fundraising Committee In the absence of a committee chair President Thurmon shared that the fundraising committee met and has come up with numerous possibilities for fundraisers (spirit nights e.g. Chick Fil A and Five Below, bedsheets fundraiser, Dominos fundraiser, etc.) The committee is also proposing an indoor drumline competition. Mr. Perez and Mr. Emerson shared that they are looking into hosting a drumline event. They have contacted other local drumline directors in order to determine the feasibility of this endeavor. The committee members will provide additional updates via and at the upcoming Booster meetings. F. Media/Communications Committee - None G. Spring Banquet Committee Chairperson Liz Rawls solicited volunteers for the banquet committee to see her after the meeting to organize efforts. VII.
