Introduction 1. The RLC RFU Women s team will play the Army Medical Service Women s team, Wed 11 Mar on Queen s Avenue pitches in Aldershot. It will be preceded by a pre-match Corps training day. Training will commence under Corps team coaching staff, Tue 10 Jan. Trg will continue the morning of the 11 Mar before team selection. Execution 2. Selection. The available squad list is at Annex A. Players are to confirm attendance or nonavailability to our player coord Sgt Winnals NLT midday Wed 4 Mar Non-Availability. If any players experience any difficulties in being released for this representative fixture, Rugby Officers should make every effort to resolve any issues at unit level. Thereafter, players should contact the undersigned/sgt Winnals player coord at the earliest opportunity. Players with repeated non-availability will have their position on the squad and eligibility to participate in overseas tours reviewed by RLC RFU(W) Committee. 4. Injury. Those players that are unable to play due to injury are to provide a full report and anticipated return to fitness date to the undersigned. Injured players are considered part of the squad and as such are strongly encouraged to attend the match day s programme with their teammates. 5. Unit Reporting. Adjts are kindly requested to recognise players selection and Corps representation through the inclusion of player and event details within Regt Part 1 Orders. Players must take personal responsibility for checking this is done, it is in the interests of the individual should an injury occur.. Reporting. All selected players are to meet at Garrett s Club house Changing room at 1000 hrs, 4 Mar 15. Planned late arrivals or early release after the event are to be cleared in advance through the undersigned.

Feeding & Accommodation. Those travelling long distance who require accommodation should notify the undersigned on Annex B. Lunch and a post match meal will be provided. 9. Travel/ Transport. The use of the Representative Sports Travel Vote is authorised for this fixture in accordance with reference A. Every effort is to be made to ensure costs are the minimum necessary to meet the requirement, with transport shared wherever possible. a. Use of Personal Vehicles. MMA at PCR may be claimed together with the appropriate rate of passenger allowance for each eligible passenger (not spectators). This is claimed under i-expenses against the unit UIN by selecting Representative sport under Claimant Type. In order for a claim to be valid you must ensure the following conditions are met: (1) MT must provide a non-availability certificate. (2) A private car must be the cheapest method of travel. (3) You must have business insurance provision on you car insurance policy. b. Vehicle Hire. (1) UK White Fleet Contract Hire. Units are to use Budget UIN A4029A and Purpose of Travel Code (POT) 1. They should also quote their own or bidders unit UIN on the FMT 1000.

3 (2) Overseas Car Hire. Bookings can be made via EBIS or the Hogg Robinson Travel Centre. More details can be found within the Defence Travel intranet site. (3) Fuel UK and BFG. In all cases, vehicles are delivered with full fuel tanks and should therefore be returned full at the end of the hire. If a vehicle is not refuelled any fuel costs will be charged direct to unit budgets, and these can be very costly compared with MOD provided fuel. Thus MOD facilities should be used whenever possible. If this is not possible users are advised to refuel themselves and claim via i- expenses using their own unit UIN but selecting Claimant Type Representative Sport from the drop down menu. Underneath, there is a Justification free text box in which you must enter the sport, event and date. This will ensure the cost is charged to the RSTB. If this is not done the claim may be rejected. Alternatively, a MOD Unit/Branch who is a frequent user of Short Term Hire may be able to supply a Fuel Agency Card. c. Air Travel. (1) UK. Your local or Div HQ travel cell should make the booking utilising the new Defence Travel air booking system. From the drop down menu, units should use the bidders unit UIN, Service Code 8 and POT Code 1. Costs will default via the POT Code to the RSTB. (2) BFG. Once in possession of a BA(G) SB Approval Code, LMCs are to make bookings through the BTC, Sports Travel Desk, Catterick Barracks, Bielefeld, Tel: , Fax: or 29RLC-9-UKMLSE-BTC-GroupMail (MULTIUSER). d. Parking. Garratts and the ARU Stadium parking is not to be used. `ALL PERSONNEL are to park on the Grasscrete car park (pitch in the attached document) or in the car park on the corner of Queens Avenue and Princess Avenue. Teams may be allowed one vehicle onto Queens Avenue to drop off training kit and are to be moved off the ground once set up. No parking is allowed on the track between the tree s and pavement on Queens Avenue. 10. Dress/Kit. Individuals will be provided with training and playing strip for this event. Players can bolster this issue with personal kit to cover inclement weather and clean sports wear for meals taken within Garrett s Clubhouse. Casual attire will be needed for pre-training dinner. Players are reminded to aid the security of their own kit by bringing a small bag to take pitch side changing facilities may be shared and will therefore be insecure. All issued kit is to be returned at the end of the match to the Kit Manager. 11. Discipline. Whilst it is understood that the game of rugby requires an element of controlled aggression, personnel are to be reminded of their responsibility to uphold the Values and Standards required of service personnel both on and off the pitch. Any breaches of the imposed discipline code will result in the RTU of the offender, followed by a full report to their unit. Follow on RFU Discipline depending on the nature of the offence could follow thereafter. 12. Fixtures. An updated fixture list for the forthcoming season can be found at Annex C. Players are to plan ahead to secure their release. - Next fixture: Wed 8 Apr 15 Inter-Corps Final - Aldershot. 13. Unit Support. Personnel from units are actively encouraged to support players during these representative events. It would be appreciated that the undersigned is notified if any COs/RSMs are going to attend.

4 SUMMARY 14. Sport in the Army continues to form an essential part of the moral component. The RLC RFU(W) have had a large turnover of new players and management this season. We need to keep the momentum going, continually recruit and develop new players in the team if we want our standard of play to progress and get us back on form. 15. This is the last fixture of the season. We need maximum attendance to ensure we have a great chance of winning and securing a place in the Inter-Corps Final. 10 Garrison Visitors Accommodation Booking Terms and Conditions Failure to comply with these Instructions may result in your booking being cancelled and/or disciplinary action being taken Address - Garrison Visitors Accommodation is located at St Omer Barracks, Alisons Road, Aldershot, GU11 2BG Arrivals - On arrival at St Omer Barracks please report to Aldershot Garrison Visitors Accommodation (AGVA) Reception for registration and key collection. For directions please call or refer to map. Reception Opening Times: o 07:00hrs 10:00hrs and 15:00hrs 19:00hrs Monday Friday. o 15:00hrs 19:00hrs on Sundays. o No reception service will be available on Saturdays o Bank Holiday opening times please call AGVA Reception on Check-in - Rooms will be available from 15:00hrs. Late Arrivals - All room users who are due to arrive outside of the AGVA Reception opening hours must contact AGVA Reception and obtain authorisation to arrive outside the Reception opening hours. Late Arrivals without pre-arranged authorisation to arrive outside the Reception opening hours will be turned away at St Omer Guard Room and will not be provided accommodation. Non-Arrivals (No Shows) - Bookings will only be held for one night. Any one that is part of a booking that does not arrive after the first night will have there accommodation cancelled, your accommodation will not be held over to the next day. Checkout - All rooms are to be vacated no later than 09:00hrs on the day of departure and all keys returned to AGVA Reception. Unreturned keys will be logged as barrack damage and replacement billed against the Booking Sponsor / Room User. Key are not to be returned to the Guard Room. Group Bookings - Group bookings will be the responsibility of one delegated representative. The nominated responsible person must be identified to CABS at time of booking and to the AGVA Reception team at the time of registration. This representative will be responsible for the group march in, march out and undertake barrack damage checks for the whole group, which is required to take place during AGVA Reception opening times. They will also act as the primary point of contact, for the group, during the residential period and be responsible for the conduct of the group during their period in the Garrison Visitors Accommodation. Nominal Rolls - All group bookings require the nominal roll to be supplied at least seven working days prior to arrival. Failure to provide a nominal role will result in the booking being automatically cancelled. Booking Sponsor - All bookings require a sponsor at level WO2 or above, this will normally be the CSM/SSM/BSM from the room user s parent unit. The Booking Sponsor will be responsible for explaining late arrival information, late cancellation; informing the room users of Garrison Visitors Accommodation information; following up disciplinary issues and pursuing recovery of barrack damages.

11 Cancellations - Any booking that is no longer required must be cancelled in a timely manner to ensure that Garrison Visitors Accommodation it able to allocate bed spaces in the most productive manner. March in - All room users are required to complete a registration form on arrival providing their contact details, purpose of visit and residential details. All rooms to be checked on arrival and issues reported to AGVA Reception and recorded on the march in form, all forms must be returned to the Reception within 15 minutes of receipt of room key. For march in during out of hours, the march in form is to be posted into the key drop box outside the AGVA Reception. March Out - All personal items and effects must be removed from the room on departure by 09:00hrs. The room to be left in a tidy state, with beds stripped and linen left at the foot of the bed. A march out form to be completed by all room users on departure to capture any defects or barrack damage and returned to the AGVA Reception. For out of hours departures the completed march out for is to be posted into the key return box at the AGVA Reception Pay as You Dine (PAYD) - Pay as You Dine facilities are available within St Omer. Meal Arrangements - Meals are served in The St Omer JRDC. o Weekends: Duty Breakfast Cereals & Toast"; Brunch o Monday to Friday: Breakfast ; Lunch ; Dinner o Officers, WOs and SNCOs may make arrangements with the Officers Mess or WOs and Sergeants Mess for messing. Mess Billing - Garrison Visitors Accommodation will not issue a mess bill for accommodation. Where meals are taken in the Officers, WOs or Sergeants Mess a mess bill will be raised by the Mess and must be paid prior to departure.. Car parking - Car parking at St Omer is limited and allocated on a first come, first served basis. All car users requiring access to St Omer need to request a car-parking permit from the St Omer Guard Room. Groups, should where possible, arrive in coaches or mini-buses. All vehicles must be parked in mark bays within the car park. Health and Safety - All room users are to make themselves aware of their health and safety responsibilities and adhere to these at all times during their stay. Security - All personal belongings left within the room are left at room users risk. No person will enter the room, without the room user s knowledge, unless in an emergency. All rooms are lockable. Responsibilities The room user is responsible for the room and facilities during their stay and their own and fellow guest s health and safety. The Booking Sponsor is responsible for ensuring all room users are aware of their responsibilities and for any barrack damage caused. Priority List - The number of bed spaces within Garrison Visitors Accommodation is limited and therefore your booking may be cancelled, at any time, if a booking of higher priority needs to be accommodated. Confirmation - All bookings are considered confirmed at time of booking, subject to availability, provided a full, detailed nominal roll has been submitted, and are booked subject to the Booking Terms and Conditions.

12 Cleaning - Room users are responsible for the cleanliness of their room during their stay. Weekly room cleaning can be requested, if the stay is longer than one week, by contacting the AGVA Reception. Linen will be changed weekly if soiled linen is left outside the room. Furniture - No furniture is to be removed from any room. Any items removed from rooms will be logged as barrack damage and a charge issued to the Booking Sponsor / Room User. Out of hours assistance - For emergency or immediate assistance room users should contact the St Omer Guardroom, , who can direct room as required. For maintenance requirements room users should contact the Aspire Defence Helpdesk on Pets - No pets are permitted in Garrison Visitors Accommodation. Pub - The Bell (St Omer Pub) is out of bounds to all visiting Officers, WOs and SNCOs, however the appropriate Garrison Messes welcome visitor patronage. Rubbish - All rubbish to be placed in the bins provided. Bins from rooms will only be emptied on request or if the filled and sealed rubbish bags are left outside the room for collection. Room users should use the recycling facilities in the Garrison Visitors Accommodation blocks. Security - All personal belongings left within the room are left at room users risk. No person will enter the room, without the room user s knowledge, unless in an emergency. All rooms are lockable. Special needs - Garrison Visitors Accommodation has not been designed to accommodate the special requirements of all room users. Rooms are not wheelchair accessible and the fire alarm does not accommodate vibrating alarms. All room users with special requirements should discuss these with the CABS team at time of booking or the AGVA Reception at time of check-in. Unavailability - If the CABS Booking Team is unable to accommodate the booking request a certificate of Non Availability will be issued. For large bookings i.e. sports or events, the requester will then be instructed to contact CABS 3 weeks prior to the proposed arrival date when a further search will be undertaken to identify any cancellations. This will be on a first come first served basis. All requesters will be advised to call CABS prior to arrival to check for cancellations. Visitors - Non-MoD visitors are not permitted in the Garrison Visitors Accommodation without the prior written permission of the Garrison Sergeant Major. Visiting Officers, Warrant Officers and SNCOs - Meals are available within the appropriate Garrison Messes and bookings should be made to: o Officers Mess / o Sergeants Mess / o Individuals are permitted to take meals within the Junior Ranks Dining Centre (JRDC) Visiting Personnel - All personnel are to ensure they are correctly moved and tracked on JPA prior to accepting feeding and accommodation within the Garrison Visitors Accommodation. Failure to update JPA could result in disciplinary action and daily spot checks will be undertaken to ensure compliance. Wi-Fi Access - Wi-Fi is available free of charge in St Omer HUB and the Bell Pub. Wi-Fi connectivity is available within the Garrison Visitors Accommodation, however Media Force is available at a cost, details available from the AGVA Reception, internet cables are provide in rooms and from Reception.
