Introduction. The REA Chilwell Weekend will take place from the 3-5 May 2013 at Chetwynd Barracks, Chilwell. There will be events across the weekend to promote Esprit de Corps between veteran and serving members. This year will be the third REA Chilwell Weekend to take place and will coincide with the disbandment parade of 67 Works Group Royal Engineers. The Weekend was a great success last year and again will celebrate the association between the Corps in the North of England and the REA. 2. Planned Events. There are events planned throughout the weekend. They include a welcome function and games night in the Cpls Club on Fri. A parade through the town of Stapleford to exercise the Freedom granted to 170 Engr Gp and the disbandment of 67 Works Group on Sat, followed by a formal function in the WOs and Sgts Mess. Finally the Standard Bearers Competition will be held on Sun morning in Chilwell Station. Branch Chairmen are requested to brief their branches prior to attendance at the Weekend on the standards and etiquette expected in the Warrant Officers and Sergeants Mess environment. An outline of the Chilwell REA Weekend events is at Enclosure Notice of Attendance. The numbers attending are restricted to 250. This is due to the accommodation available within Chilwell Station and also fire regulations in the WOs and Sgts Mess. Each Branch will only be restricted should the numbers exceed this. Branch Secretaries are requested to return completed Notice of Attendance proformas (Enclosure 2) and Branch Attendance Nominal Rolls (Enclosure 3) to LCpl Truscott (RSMs Clerk) with accurate figures for attendance by 1 Mar If Branch places are not taken they will be offered out. 4. Accommodation. Due to the numbers now accommodated within Chilwell Station there will be no space in the Officers or Warrant Officers and Sergeants Messes this year. Accommodation for unaccompanied veterans will be available, at nil cost, within Chilwell Station on Friday and Saturday evening. Unfortunately accompanied personnel cannot be accommodated. Accommodation will need to be vacated by 1500hrs on Sunday 5 May 2013 in order to allow hand back to the RTMC QM staff. The enclosed Accommodation Request Proforma (Enclosure 4) should be completed and returned by 1 Mar Any bids received after this date will be considered but not guaranteed. To ensure disabled personnel are allocated accessible accommodation, this includes individuals who may have difficulty negotiating stairs, please annotate accordingly. 5. Local Hotels. A list of hotels in the Chetwynd Barracks locale is enclosed (Enclosure 5). The list is not exhaustive and does not constitute official endorsement. 6. Meals. All meals will be taken in the 20/20 Mess. Meals are to be paid for on the day at the Pay As You Dine (PAYD) tills. Branch Secretaries are requested to complete the enclosed Meals Required Proforma (Enclosure 6) and return it to LCpl Truscott, HQ 170 Engr Gp by 1 Mar 2013 annotating the total number from your branch who intend to take each meal (in order to allow sufficient food to be ordered). 7. Reception. Each member must book in on arrival at the Guardroom, Chetwynd Barracks. The reception will be open from on Friday 3 May 2013 and on Saturday 4 May A detailed programme of events will be issued on arrival by the REA representative. 1

2 8. Security. The security of Chetwynd Barracks is of paramount importance throughout the weekend. In order to maintain the integrity of Station security all cars will be searched on arrival and all visitors are to carry their REA membership card at all times. 9. Returns. Branch Secretaries are requested to ensure that all returns are sent to LCpl Truscott, HQ 170 Engr Gp by 1 Mar Transport. A minibus shuttle service will be in operation between Chilwell Station and locally sourced accommodation throughout the weekend. 11. Cancellations. Once all returns are with LCpl Truscott, changes to nominal roles should be communicated at the earliest opportunity. Branch Secretaries are asked to ensure they update nominal roles held with LCpl Truscott to ensure maximum attendance and ensure REA money is not wasted. 12. Correspondence. All correspondence regarding the REA Chilwell Weekend should be labelled in the top left corner of the envelope CW 2013 ( to contain this phrase in the subject line) and sent to the RSMs Clerk.
