If a competitive event is NOT indicated your registration will be returned to you. You must also indicate who is on a team together. You may have two teams in the same 3

4 event. If your registration is incomplete (missing information), incorrect (not indicating a shared room in bold), could result in your chapter not being registered for ICDC. It is the advisors responsibility to check and double check the registration file. Remember you must enter the National DECA membership number for each student/advisor attending Failure on your part to list the correct Competitive Event could result in your student not being registered at ICDC. Review the attached list carefully. NEW YORK DECA CAN NOT AND WILL NOT EXTEND CREDIT TO ANY CHAPTER. ALL BILLS MUST BE PAID BY THE DUE DATE! MARCH 17, 2016 DEADLINE DATES APPLY TO ALL ADVISORS NEW AND OLD...You are REQUIRED to pay for the exact number of rooms for which you have students/adults/chaperones/advisors registered. For example, if you have registered 7 students, you must pay for 4 at the quad rate and 3 at the triple rate. If you place 2 adults in a room you must pay for the two adults in the room. If you are arriving on Friday and you are sharing a room with a school that is arriving on Saturday, you must pay for the entire room for Friday night. That means if you have one person out of a quad you pay for the entire quad for Friday night. All prices are PER PERSON NOT per room. We are NOT tax exempt in Tennessee. The tax rate and resort fee rate is approximately 19%. The price listed includes the tax rate, resort rate, and National DECA registration fee. No roll away beds will be provided simply because members of your chapter would prefer not to sleep two in a bed. If roll a-ways are ordered you will be charged for the roll away and a triple rate by the hotel for that room 4

7 ATTENDANCE CRITERIA The DECA Inc. Board of Directors has specified that there must be a minimum of one adult advisor for every eight high school division student delegates. An adult advisor may be any adult named by the chartered association DECA advisor to serve the chartered association in this capacity. He/she must register for the conference, pay the registration fee and be in attendance for the entire period of the conference. There are no restrictions on the number of adult advisors who may attend. In reference to the required minimum, all coordinators, parents, supervisors and teacher educators are eligible. To be eligible to attend the International Career Development Conference, each high school division member must meet these basic criteria: Be an active member of a division of DECA. Membership must be recorded on an official DECA membership roster and be on file with DECA Inc. Have the approval of the chartered association DECA advisor. Have the approval of the chapter DECA advisor. Have the approval of the school administration. Have the approval of parent or guardian unless 21 years or older. Any professional, alumni or collegiate division member meeting the above criteria is eligible to attend the International Career Development Conference. In addition to the above criteria, high school division members must meet one (1) of the following criteria: Be a chartered association participant in one of the international competitive activities. Dues must be paid by March 1. Be a DECA Inc. scholarship award recipient. Be a chartered association, area or regional officer. Be a voting delegate representing his/her chartered association for his/her division. Be a delegate to one of the following: ASPIRE ELEVATE EMPOWER IGNITE School-based Enterprise Academy (SBE) THRIVE Be a chartered association delegate by receiving special permission from his/her chartered association DECA advisor (limited to 1% of the chartered association s DECA Inc. membership in the high school division). Allocation for competitors, voting delegates and chartered association representatives are based on each chartered association s membership in the high school division on June 30 of the previous calendar year. Please refer to the allocation schedules included for details. 7

8 PRESIDENTIAL GOVERNANCE COMMITTEE A Governance Committee will be appointed for the High School Division. The purpose of the committee will be to act upon all violations of the Delegate Conduct Practices and Procedures within the division. Collegiate and alumni members will be expected to follow the policies established for the High School Division since these divisions have chosen to meet during the High School Division Conference. The conduct guidelines were approved b y the Board of Directors for DECA Inc. and apply to adult advisors as well as student delegates. A copy of the Delegate Conduct Practices and Procedures and ICDC Dress Code may be found in this section. The dress code applies to all participants while in the convention center and convention facilities. The Board of Directors of DECA Inc. requires every student delegate to read and complete these forms as partial completion of ICDC attendance requirements. Please make sufficient copies for your delegates to sign and return to you prior to the International Career Development Conference. Chartered association advisors may wish to bring these forms with them to the conference for possible reference. PLEASE DO NOT MAIL TO DECA INC. The chartered association advisor will be notified (in writing) of all violations. Notices may require the committee to assemble and take such action as is outlined in the Conference Conduct Practices and Procedures. CODE OF ETHICS FOR ADULT ADVISORS DECA offers training to those students who have a career objective in the field of marketing, finance, hospitality, management or entrepreneurship. Individual conduct and appearance is a phase of this training. This phase of the education program becomes apparent at DECA s International Career Development Conference. Since a good example is one method of teaching, and students participating in the conference are impressionable, a Code of Ethics is set for adult advisors. It becomes the responsibility of each and every participant to see that proper conduct is adhered to at all times. Violations of these practices and procedures will be referred to the president of the Board of Directors for DECA Inc. Advisors shall conduct daily meetings with participants for progress reports, time schedules and other activities. Advisors shall keep an agenda for each student so that they may be reached at any time during the conference. Each chartered association shall arrange to have one advisor on call at all times. Each advisor shall be responsible for seeing that participants adhere to all conduct practices and procedures. The rules as stated in the Delegate Conduct Practices and Procedures and the Dress Code are called to your attention for review and should govern the behavior of advisors as well as students. 8

Our philosophy is to ensure all members, regardless of race, color, religion, sex, national origin, age, disability, sexual orientation, or socio - economic status, are treated equally and respectfully. Any behavior in the form of discrimination, harassment or bullying will not be tolerated. It is the responsibility of all members to uphold and contribute to this climate. 9

10 DELEGATE CONDUCT PRACTICES AND PROCEDURES The Board of Directors for DECA Inc. requires each delegate attending the International Career Development Conference to read and complete the Attendance Permission Form and return to the chartered association DECA advisor as partial completion of attendance requirements. The term delegate shall mean any DECA member, including advisors, attending conferences (high school, collegiate, alumni, professional). There shall be no defacing of public property. Any damage to any property or furnishing in the hotel rooms or building must be paid for by the individual or chapter responsible. Delegates must wear identification badges and wristbands at all times. Delegates shall refrain from using inappropriate or profane language at all times. Delegates shall refrain from written, verbal, physical or electronic activities that may lead to harassment, hazing, bullying or damaging property. The use of any harassment against anyone on the basis of race, color, creed, national origin, ancestry, age, gender, sexual orientation, or disability is prohibited. Delegates shall respect the rights and safety of other hotel guests. Delegates shall not possess alcoholic beverages, narcotics or weapons in any form at any time under any circumstances. Delegates shall refrain from gambling playing cards, dice or games of chance for money or other things of value. Use of tobacco products and electronic cigarettes by delegates is prohibited at all DECA functions. Delegates must adhere to the dress code at all times. Delegates must not dress or behave in a manner than can be interpreted as sexually explicit. Students shall keep their adult advisors informed of their activities and whereabouts at all times. No delegate shall leave the hotel (except for authorized events) unless permission has been received from chapter and chartered association advisors. Delegates should be prompt and prepared for all activities. Delegates should be financially prepared for all activities. Delegates are required to attend all sessions and activities assigned including workshops, competitive events, committee meetings, etc., for which they are registered unless engaged in some specific assignment scheduled at the same time. Delegates will spend nights at their assigned hotel and in their assigned room. No guests allowed during curfew hours. Delegates will be quiet at curfew. Curfew will be enforced. Curfew means the delegate will be in his/her assigned room. Chartered associations will be responsible for delegates conduct. Delegates ignoring or violating any of the above rules will subject their entire delegation to being unseated and their candidates or competitive events participants to being disqualified. Individual delegates may be sent home immediately at their own expense. Tasteful casual wear will be accepted during specific social functions as designated during orientation. 10

11 ICDC DRESS CODE Professional appearance is an important aspect of the overall preparation of DECA members for the business world. To that end, DECA supports a dress code for its career-based functions that exemplifies the highest standards of professionalism while being non-discriminatory between males and females. DECA s board of directors has developed the following official dress standards for the International Career Development Conference. Students, advisors and chaperones must follow the dress code. Competitors must wear an official DECA blazer during interaction with the judges. While official DECA blazers are not required during briefing and testing, professional business dress is required. Professional dress should also be worn to all conference sessions including workshops and special meal functions such as luncheons. For a more polished, professional appearance, it is recommended that attendees wear appropriate hosiery/socks. AN OFFICIAL DECA BLAZER IS REQUIRED TO RECEIVE RECOGNITION/AN AWARD ON STAGE. Jeans, t-shirts and athletic shoes are not included in business casual attire. DECA does not support or condone the touching of students or their clothing as a means of determining whether or not a student is following the dress code guidelines. Any medical exceptions to this code must be documented in the conference headquarters prior to the beginning of the conference. This is the responsibility of the local advisor. 11

12 ATTENDANCE PERMISSION FORM ATTENDANCE This is to certify that has my permission to attend the above named DECA activity. I also do hereby on behalf of him/her absolve and release the school officials, the DECA chapter advisors and the assigned chartered association DECA staff from any claims for personal injuries or illness which might be sustained while he/she is en route to and from or during the DECA sponsored activity. I understand that DECA activities may occur as late as midnight and that the City of Nashville has a curfew of 11 p.m. I am authorizing my child s DECA advisor and/or chaperone to take my place in accom panying the DECA member for a designated period of time and purpose within a specified area. Furthermore, I understand that after the curfew, my child may travel directly to the hotel without detour or stop from an official DECA activity with the supervision of the DECA advisor. EMERGENCY Any medical exceptions to this code must be documented in the conference headquarters prior to the beginning of the conference. This is the responsibility of the local advisor. 17 NO cell phones/smartphones, ipods/mp3 players, ipads/tablets or anything of a hand-held, electronic device information sharing device will be allowed in the principles events, team decision making events or the individual series events. COMPETITIVE EVENTS These devices will be allowed in written events IF applicable to the presentation. All participants must have a photo ID at each of the competitive event sessions. Every effort will be made to strictly enforce the penalty points as printed in the DECA GUIDE. Encourage your local advisors/competitors to review the competitive event guidelines carefully before submitting their event. Display materials must meet the guidelines published in the DECA GUIDE. Boards can be used on both sides. All items mounted on the boards must fit within the dimensions of the board. Participants are encouraged to bring all visual aids to the briefing session for approval. Approved visual aid materials may be re-evaluated by event staff during preliminary and final competition. All participants must attend the testing/event briefings/manual registration sessions scheduled for their competitive event during the International Career Development Conference. If a student does not attend the testing/briefing/manual registration session, (s)he will NOT be allowed to compete and will be dropped from the event or the team. If your chartered association has more than one team competing in a team event, please identify each team separately. All written event entries are to be brought to the conference and submitted during the scheduled briefing sessions. 17

It is your responsibility as Chapter Advisor to complete the forms listed below if you need to have either a Passover Accommodation or Special Needs Accommodation. Passover Accommodations DECA is aware that the Jewish holiday of Passover and the DECA International Career Development Conference have overlapping dates. DECA will make accommodations for these students to participate in our competitive events program. However, due to judge schedules, DECA members must be able to attend their judge presentations as scheduled on Monday. This affects those events, such as Individual Series and Principles of Business Administration events, that are only held in the morning as the judges are released before noon. Testing will be accommodated during a time Monday. Once students qualify to attend ICDC, their chapter advisors must complete the online special needs request form ( for special need students), which will be forwarded to DECA staff. The form is due March 18, DECA staff will work directly with the chapter advisor to make the accommodations. 21 Competitive Events Changes As you begin your association conferences, please consult the DECA Guide (page 54) for competitive events changes. For those competing in Business Growth Plan (EBG), please read this article ( org/january-2016/proof-of-ownership-requirements-for-the-business-growth-plan/) about the proof of ownership requirement. If you have any questions about competitive events operations, please contact Shane Thomas at shane City of Nashville Curfew The City of Nashville and surrounding counties have an 11:00 p.m. (Sunday through Thursday) and 12:00 midnight (Friday and Saturday) curfew for all youth under the age of 18. Through work with the Nashville CVC and the Metro Nashville Police Department, all parties have agreed to make a special arrangement for DECA. In order for DECA members to return to their hotels from the general sessions, DECA Night at the Opry and baseball game that may extend beyond the curfew, it is extremely important that all students have their parents/ guardians sign the DECA Inc. provided permission form this year and that the chapter advisors keep them at all times. DECA members should have their name badge at all times, keeping in mind not to wear it outside of DECA activities. Transportation-Opryland Hotel is a good 45 min ride to the Convention Center. Bus Route #3 DECA Inc. is working with our long-time transportation company, Total Transportation Solutions. Jointly the transportation company, the Music City Center, the hotels and DECA Inc. have developed a plan that we believe will provide the service our customers expect.
