1 TULANE NAVY ROTC ALUMNI ASSOCIATION TULANE UNIVERSITY 6823 St. Charles Avenue New Orleans, LA MINUTES: Board Meeting, 9 December 2014, Navy Building Chairman: President Wayne Bienvenu Members Present: Brian Bourgeois, Paul Deckert, Mike Flynn, Morris Gray, Michael Hallal, Nora Huete, Timothy Huete, Gregory Kahn, Gretchen Lowe, and William Vaudry. Members Who Sent in Proxies: Thomas Wicker. Members Absent: Norris Fant. Unit Representative: Captain P. Huete, USN (PNS) The meeting was called to order at 1732 by the Chair. The Chairman asked for reading of the minutes from the Board Meeting held on 9 September 2014 and the General Meeting held on 14 November A motion was made to waive the reading of the minutes and to accept them as written. The motion was seconded and carried unanimously. Morris Gray gave the Nominating Committee s Report, including the slate of officers for A motion was made and seconded to accept the committee s report and to approve the slate of officers for The motion passed unanimously. The Secretary passed out an excel spreadsheet for the 2015 NROTC Alumni Association Board of Directors (Attachment 1) and asked that members review the information for accuracy. The Chairman requested the Treasurer s Report. Treasurer Greg Kahn reviewed the Tulane NROTC Alumni Association Financial Report 1 January December 2014 (Attachment 2) and associated transactions. A motion was made to accept the Treasurer s report as written. The motion was seconded and carried unanimously. The Chairman then asked for Committee reports. There was some discussion on standing committees for The Board re-certified current standing committee chairmen as follows: Archives Norris Fant Communications Mike Hallal Fund Raising Greg Kahn Membership Paul Deckert (new appointment) Scholarships Nora Huete Navy Building Wayne Bienvenu Unit Support Gretchen Lowe 1
2 The Awards Committee was folded into Unit Support and the Memorial Committee into Archives, both moves pending approval by committee chairmen and assistance of personnel handling these committees. Unit Support Committee - Gretchen Lowe reviewed committee handout (Attachment 3) which details committee activities in 2014 and goals/planned activities for Scholarship Committee The Chair gave the report and stated that he wants to find ways to maximize use of available funds. Communications Committee - Michael Hallal gave a committee update (Attachment 4). The committee sent a newsletter prior to Homecoming to the entire mailing list of over 1300 addresses. Analysis of subsequent dues and donations payments indicates that this newsletter produced more revenue than it cost to distribute. It also netted the airfare donation to send three Tulane midshipmen to the Notre Dame Leadership Conference. Membership Committee The Chair appointed Paul Deckert chairman of the Membership Committee. He reviewed the membership goals for the coming year (Attachment 5), with some discussion amongst the board. It was noted that dues paying members should be solicited, that unit staff members be allowed to become members if authorized by the Articles of Incorporation, that membership cards be issued to members, and that a membership desk be provided at the annual meeting and reception. Colonel Deckert agreed to propose a specific plan to implement this guidance to the committee. Fundraising Committee - Greg Kahn gave a summation of funding sources and reviewed the Budget Formulation 2014 sheet (Attachment 6). Archives Committee Mike Hallal gave an update on committee meetings and letters to alumni requesting oral histories. Navy Building Committee - Wayne Bienvenu gave an update on the building issue and stated that nothing is happening at this time. New Business: The Secretary presented a list of important dates for the 2015 Tulane Alumni Association Calendar, which will be posted on the Association website. A motion was made to approve the 2015 Calendar, was seconded, and approved unanimously. The Treasurer, Greg Kahn, reported that the 2015 budget was still not completed, but would be ready for the March Board of Directors meeting. Upon his request, a motion was made, and seconded, to authorize expenditures in the first quarter of CY 2015 in accordance with those incurred in the first quarter of The motion was voted on and passed unanimously. The Chair presented his strategic focus for 2015 (Attachment 7), which he also discussed at the General Meeting held on 14 November The Chair then asked for standing committee goals. 2
3 Gretchen Lowe presented the Unit Support Committee s goals for 2015 (Attachment 3). One initiative is to send Tulane midshipmen to the Notre Dame Leadership Conference, and the Committee needs up to $350 to cover costs. A motion was made to approve $350 for this conference, which was seconded and approved unanimously. The Chair asked that the Communications Committee include this effort in the newsletter to help solicit additional funds. The PNS also discussed the possible acquisition of the USS Constitution float from NRD NOLA. Mike Hallal presented the Communications Committee goals for 2015 (Attachment 4). The Treasurer, Greg Kahn will put together a proposed 2015 budget to be presented at the next meeting. A motion was made to adjourn the meeting. The motion was seconded and carried. The major goals of the Committee: - Establish an annual plan to communicate Association mission accomplishments and other relevant Association news on a routine basis. - Publish a newsletter to inform Association members of unit activities and midshipmen of Association endeavors. - Establish methods of communications which are effective at reaching all generations of alumni and current midshipmen (may require multiple communications methods).
