2 BEACH RETREAT GENERAL PARENT INFORMATION High School Beach Retreat: Sunday, June 8 th Friday, June 13 th in Pensacola, Florida JHigh Beach Retreat: Sunday, June 15 th Friday, June 20 th in Gulf Port, Mississippi Mandatory LIVE Service HS: Wednesday, June 4 th from 7:00-8:00 pm in Worship Center Mandatory LIVE Service JH: Wednesday, June 11 th from 7:00-8:00 pm in High School Room This is an amazing time to get fired up about Beach Retreat Beach Retreat Worship Band, challenging message, games, etc. Don t miss it!! Parents are welcome. Departure Information: Student drop-off for both retreats will be in the southeast parking lot (Kingsland side). Make sure your student packs a snack and a lunch for the bus ride. We will provide drinks. Our travelling progress will be updated via Twitter feed, BR blog site and (see page 1). HIGH SCHOOL 8:00 am Check-in. JHIGH 8:00 am Check-in. Return Information: All buses will unload in the southeast parking lot (Kingsland side). Again, updates to approximate arrival times will be posted via Twitter feeds, BR blog site and HIGH SCHOOL will return at approximately 8:00 pm on Friday, June 13 th. JHIGH will return at approximately 8:00 pm on Friday, June 20 st. Blog Information ( Every evening, you are invited to join us for a live feed of our worship service and catch up with the day s events through pictures, videos, blog commentaries and our Silent Sounds devotionals. A live pre-show broadcast will begin 15 minutes before worship. Each student will stay in a condo with approximately 8-10 other students with one or two adult leaders. Each condominium is equipped with a full kitchen and food will be provided in the condos for snacks and most meals. The condo units we are staying in are individually owned. You are financially responsible for any property damage as a result of your student s misconduct. In case of an ABSOLUTE emergency during the retreat, we can be reached by calling the West Campus Direct Lines during business hours and the SBC Emergency Dispatch line after 5 pm and on weekends (see page 1). Have the attitude no news is good news! Phones in the condos will not be available for students to use for non-emergency phone calls. 2
3 Rules your student is expected to follow: Obey adult leaders without question or hesitation. They are in charge of you for the week. Your leader must know where you are at all times. It is your responsibility to tell your leader where you will be during free time. Wear your nametag at all times. Absolutely no one is allowed out of their condominium after the night s curfew. The curfew is in effect until 15 minutes before morning Silent Sounds. Students and Leaders are not allowed on the balconies at any time. No exceptions. Profanity or cursing is not allowed. Do not associate with anyone who is not a part of our Beach Retreat group. Swim only when and where lifeguards are on duty. The Buddy System is strictly enforced. Before entering the ocean, you must (1) have a buddy, (2) check in at the lifeguard station, and (3) give your name tag to a lifeguard. Keep your condominium clean. No raids, pranks or rough play. You are financially responsible for any damage to property, especially to a condominium or bus. The condominiums have Quiet Hours beginning at 10:00 p.m. each evening. Please be courteous to other guests staying at the condominiums by observing this time. Do not leave the condominium complex for any reason except for planned activities with our group and adult leaders. Do not push, pull, or throw anyone into a pool. You are to be on time for everything. Be positive. Cut downs, criticism, and negative comments are not allowed. Wear appropriate conservative clothing (see What to Bring page for details). Only one piece swimsuits are allowed. Please note: students wearing tankinis or similar 2 piece swimsuits will be asked to wear a t-shirt over their suits. Be extremely cautious around traffic especially while we are on the road. NO ONE is allowed to cross the highway during food and driver rest stops. 3
4 Guys may not go into girls condos and girls may not go into guys condos unless an adult leader is present and it is a planned and organized activity. Never go anywhere by yourself. During your free time, you are not to be in any condo (including your own) unless an adult leader is present. Any student who sets off a fire alarm as a prank will be turned over to the police department. Upon release, the student will be sent home immediately. Students who break the rules will lose free time and could be sent home at their own expense. WHAT WILL THEY DO AT BEACH RETREAT? SILENT SOUNDS Every morning begins and afternoon ends with Silent Sounds on the beach. Students and leaders receive a booklet for the week that includes daily devotionals. All students and adults spread out on the beach so that everyone is alone. With Bible and notebook in hand, each person spends 30 minutes reading Bible verses, answering questions in their notebook, and praying. It is quite a sight to see hundreds of students and their leaders spread out as far as the eye can see reading their Bibles and praying! MEALS Most snacks and meals are eaten in condos. High school students have dinners catered on the grounds of the Student Life Conference Center and JHigh students will have catered dinners brought to their condos. CLASSES (HIGH SCHOOL STUDENTS ONLY) High School students will attend daily classes with their condo uniquely tailored to address areas of concern to high school students today. REC TIME/CONDO GROUP TIME (JHIGH STUDENTS ONLY) After breakfast, JHigh condos will either have Rec Time or Condo Group Time. Rec Time is a great teambuilding opportunity for condos as they go head-to-head against other condo groups in fun and friendly competitions. Condo Group Time is the opportunity for the condo crews to discuss not only what God is doing throughout the week, but a time to discuss all kinds of issues facing students. FREE TIME The afternoon is free time for students. They have a choice of swimming in the pool, participating in organized competitions on the beach, hanging out at the beach, playing sand volleyball, fishing (pre-registration required), tennis (rental fees apply) and more. We have adults supervising swimming at the pool and at the beach at all times and a supervised indoor game/burn room is always open for students who want to take a break from the sun. 4
5 SECOND STUDENTS BEACH RETREAT STORE The Beach Retreat Store is available on Wednesday at LIVE and on Sunday in the Youth Lobby. The store will only be available prior to leaving. We will not have items for sale while at Beach Retreat. EVENING SERVICE WITH DR.YOUNG The services begin with music led by a great worship band and end with a strong message by our pastor, Dr. Young. He deals with hard-hitting topics such as family relationships, how to become a Christian, self-image, submitting to authority, repentance, and forgiveness. Portions of these services are broadcast live on the Beach Retreat Blog ( so you can share in the Beach Retreat experience from home! LATE NIGHT ACTIVITIES (HIGH SCHOOL STUDENTS ONLY) Students will enjoy an evening of great late night activities planned for each Campus by the staff at Portofino resort. What to Bring Students will need to pack the following items in ONE MEDIUM-SIZED suitcase (your student must be able to carry everything from the buses to their condo themselves). Students should expect their condo leader to check their bags when arriving to the condominiums. Be sure everything is labeled with your student s name. Don t take unnecessary valuables (like expensive jewelry, electronics or excessive amounts of cash). *********************************************** Sack lunch and snack to take on the bus on Sunday - Drinks (water bottles) will be provided. Bible & pen 1 beach towel & 1 bath towel Swimsuits: GIRLS: No two-piece swimsuits allowed (including tankinis). Students could be asked to wear a large t-shirt over their swimsuit if it s not appropriate. GUYS: No Speedos! Tennis shoes, sandals or flip flops Casual clothes, shorts and t-shirts recommended (We will not dress up for anything). No halter tops, tube tops or midriff tops, No short shorts, No inappropriate t-shirts Girls must wear a t-shirt or wide strapped shirts to the worship service each night. No tops with skinny straps to service will be allowed. Light jacket for bus ride and for sitting in air-conditioned conference centers Toiletries (deodorant, soap, shampoo, toothpaste, toothbrush). The condos do not provide samples of these. Sunscreen (recommend SPF 30 or higher), sunglasses, hat Extra money. (whatever you send, they will spend) 5
6 DO NOT BRING: surf boards, fishing supplies, alcoholic beverages, tobacco products, firearms, knives, drugs, fireworks, water balloons, balloon launchers, inappropriate t-shirts, short shorts, bikinis, tight clothing, skimpy tank tops, tube tops, halter tops, other revealing clothing or cats. While on the retreat, you may not participate in any of the following: temporary or permanent tattooing, haircuts, hair coloring or ear/body piercing. Expect your adult leader to inspect your luggage when we arrive at the condominiums. HOW CAN I HELP? BE A CONDO LEADER! Join us and help make Beach Retreat amazing for a small group of students. Think of it as a mission trip that is FREE (to you), you get to play on the beach, you sleep in comfortable air-conditioning, get a nice hot shower every night, don t need a passport, get to hear great worship with a challenging message for Dr. Young AND you already speak the language! All this and you get to make an impact on a student s life for Christ forever! We ve got background checks to do so if you are even considering this a little bit, please complete your form today! BE ON TIME THE DAY OF DEPARTURE! Please don t make us track you down or have to wait on you because you are a late arrival! ENCOURAGE YOUR STUDENT TO FOLLOW THE RULES! Make sure your students are aware of the rules and are willing to follow them. Please don t encourage them to disrespect what we have asked all the other students to do (including what they bring to Beach Retreat and what they wear). BE A PRAYER WARRIOR FOR BEACH RETREAT! And pray in the Spirit on all occasions with all kinds of prayers and requests. With this in mind, be alert and always keep on praying for all the saints. - Ephesians 6:18 Pray for our safety during the week, especially while traveling and swimming. Include our doctors, nurses, and security personnel in your prayers. Pray for the staff leaders of the retreat. Pray for our Beach Retreat volunteers as they minister, discipline, encourage and set an example for our students. Pray for our band as they lead music each evening and for Dr. Young that his messages will touch the hearts of our students and they will not leave Beach Retreat the same. ENCOURAGE YOUR STUDENT TO STAY PLUGGED IN EVEN AFTER BEACH RETREAT! Every Wednesday 7:00 pm we will have a HUGE student worship service in the main worship center called LIVE. 6
7 We have small group Bible study every Sunday morning at 9:30 & 11:00. We would love for your student to continue their Beach Retreat experience with us. Please partner with us and get them here as much as possible. On Sunday, June 22 rd at 9:30 am, JHigh will be having an awards service for students that went to Beach Retreat. Each condo leader will present a unique character award to each person in his or her condo parents are invited to join us! This is always a highlight for students to cap off an amazing week! JHigh Beach Retreat Medication Instructions: What to do Now: Please make sure you have completed the Medical Release Form in your student s registration packet. 1. The medical team must have full disclosure of all medical and behavioral issues BEFORE the retreat. Failure to provide such information may result in your child being sent home from the retreat. 2. If you list a medication that your student takes please make sure you list the medical condition or diagnosis for which it is given. 3. Have all necessary prescriptions filled. Fill out a medication card for each prescription that you will be sending for your child during the Beach Retreat week. Medication cards will be available at the Nurse s table the day of departure. 4. The medication card and your child's medication must be turned in to the nurse the morning of departure. All prescription medication must be in its original container with the child's name and dosage on the prescription label. No medication will be accepted with a parent or siblings name on the label. No loose medication in a baggie will be accepted under any circumstances. 5. If you have any questions or concerns, please call the Nurse s office: What to Pack: Rescue inhaler, diabetic insulin and glucometer (if you are an asthmatic or diabetic) chapstick or carmex, lotion, eye drops, contact solution, cough drops, feminine supplies What NOT to Pack: Medication! DO NOT PACK--Tylenol, Advil, Claritin, Sudafed, Benadryl, Delsym (cough suppressant), Tums, Neosporin ointment, Hydrocortisone ointment. The nurse will provide all over-the-counter medications needed. All medication must be checked in with the nurse the morning of departure. Any medication found in luggage will be confiscated. DO NOT send any medication that is not FDA approved such as herbal compounds or pills. Registered Nurses are not permitted by state law to administer any medication that is not FDA approved. Asthma and Diabetic Children: The ONLY exception for a child to carry medication is an asthmatic or diabetic child. Asthmatic children will be allowed to keep their rescue inhaler with them at all times (Albuterol, ProAir, Xopenex, Proventil, Ventolin). The inhaler must have a doctor's prescription label attached. Diabetic children will be allowed to keep insulin syringes and glucometers with them at all times to monitor blood sugar and self-administer insulin as needed. Food Allergy Children: Food allergy children must check epi pens in with the nurse the morning of departure. The nurse will have an extra back up epi-pen with her at all times. All epi-pens must have a doctor's prescription label attached with child's name. ADD and ADHD Children: If your child regularly takes ADD or ADHD medication please send the exact amount of medication that will be needed for Beach Retreat plus 1-2 extra. 7
8 Medication Administration: All morning medications will be administered at the Nurse s Station. It is the child's responsibility to report to the nurse to receive their medication. Evening medications will be given after evening worship at the Nurse s Station. DO NOT REPORT FOR CHECK-IN SUNDAY MORNING IF: Your child has a temp of F or higher the day of departure. Children must be fever free for 24 hours without Tylenol or Advil. Temperatures will be taken on all children the morning of departure. Nurse Availability: There is a nurse available 24 hours during Beach Retreat and a doctor on call 24 hours if needed. If your child becomes ill they will stay at the hotel with a staff member and the parent will be notified. Children must be fever free for 24 hours before returning to the group. We may transport a child to an Emergency Center if necessary. We will communicate all information to the parent. Unused Medication: Any unused medication will be given to the child to pack in their luggage Friday morning the day of departure. High School Beach Retreat Medical Instructions: What to do Now: 1. Please make sure you have completed the Medical Release Form in your student s registration packet. 2. The medical team will provide over-the-counter medications in the event your child does not bring them. Also, pack chapstick or carmex, lotion, eye drops, contact solution, cough drop and feminine supplies and sunblock (SPF 30 and waterproof). Encourage your child to wear sunblock at all times while in the sun. Many children have ruined their Beach Retreat experience by getting severe sunburns on the first day of beach retreat. What NOT to Pack: Do not pack any controlled substances such as narcotics, Ritalin, Concerta, mood stabilizers or medications administered by injection (with exception of diabetic insulin syringes). All of the above medication must be checked in with the nurse before departure with a medication card. Medication cards will be available at the nurse s table the day of departure. If the above medications are not checked in, they will be confiscated at Beach Retreat. All prescription medication must have a prescription label with child s name.
