1 Moss Nuckols Elementary School PTA 2055 Courthouse Road Louisa, VA Agenda MNES PTA Board Meeting August 22,2013 at 5:30 p.m. Meeting Location: MNES Hallway Conference Room 1. Call to order 5:37 p.m. Members Present: Toni Seay, Conner Waldron, Johnette Burdette, Kelly Garrett, Tonya Jackson, Denise Klapak, Renee McAdams, Cara Bennett, Charity Alston 2. Public comment N/A 3. Approval of previous minutes a. July 24, 2013 Board meeting Meeting minutes approved unanimously by board 4. Officers reports a. President Volunteer s to current PTA members sent. We are almost completely staffed in the library for volunteers at present. Another is being sent to membership Sunday night if any ad l volunteer/event requests need to be made. Would be beneficial for PTA board members to be present at School Board Meetings. Kelly will send out dates of upcoming meetings for those that can attend. b. Vice-President n/a c. Treasurer $16, balance in account to date.this does not include anticipated deductions for earmarked allocations $6,225 in expendable monies exists to date. Budget (attached) should be complete. All known events/committees accounted to date. PTA events (either additions or subtractions to planned events) may change budget as the year progresses. Motion to approve budget/seconded. No opposition. Budget will be presented at Sept gen l membership meeting for approval. If you have an event before fundraiser, do not go over budget until anticipated funds are raised. 5. Principal s report (See Attached Principal s Report as passed out during meeting) From FOCUS to REWARD Continuing to educate and involve parents. 7 Correlates of Effective Schools (by Larry Lezotte) as staff learns this, want to offer this up to the parents as well for evening education available. Assessments going on currently. Pre-assessments going on now reading groups. TAG window is open in process of evaluating students for TAG. Web Page and Power School county initiative to focus on these consistently for all schools. Communication is critical and information is available. Web pages will be updated weekly with information for each grade. Power School will also be updated with current grades. 2 Full Steam Ahead Day (Spring) involve PreK 5. Students bring in recyclables from home and with volunteers take an entire day for a stem approach in the areas of Math, Science build/create things with these recyclables. Always looking for ad l ways to engage and excite all types of learners. Lego Robotics/Destination Imagination (DI similar to Odyssey of the Mind) hands on wonderful opportunity for all students. May require volunteers to help support interested students. Reading Olympians book club. Reading list, sponsor, and ultimately go to a reading competition. VISTA Breen and Parker. VA Instruction in Science Teaching. Science teachers devoted an entire month in the summer at VCU to learning. Recv d VISTA certification and $2k in materials to be used in their classrooms and in their schools. Works with STEM type of learning. School newsletter will go home monthly. Daily Feature Teacher feature and a student feature in a.m. announcements Social/Character Building Morning meetings will begin following Labor Day. Character building i.e.-eye contact, rapport, appropriate use of question/answer. Fox Way Respect self, peers, faculty/staff and building Foxes Walk on Right aids in hallway transition Olweus Community buy-in. Elimination of bullying in schools. This has been introduced in MNES previously but want to take it to the next level---kick-off in October. Rachel s challenge (first student killed in Columbine shooting) incorporate respect of each other and respect of friends. Culminates with a signing of a large banner. Anonymous Reporting System blue box will remain. Also adding a Fox Trot on website for parents and students to report. Events/Reminders United Day of Caring 9/18 Back to school Night 9/12 Grandparents Day 9/6 Walk Down Wednesday 9/4 Support the PTA Jean Week?TBD? May do the week after Labor Day Burdette Blog Teachers will receive Monday chats from Principal. Things coming up the next week, instructional areas to focus for the week, quote of the week. Want to also do this for parents Going to set up a blog and then link to the webpage. Calendar Google calendar-savvy at MNES. Setting up Google calendar for parents/community that will link to the web page. PTA updates will be allowed to go on Google Calendar as well. 6. Coordinator reports a. Event Coordinator: Rachel Jones Not present at tonight s meeting due to conflict. Back to School Night flyer will need to go out. Will include upcoming PTA membership drives/raffle. National Day of Caring and Grandparents Day, will need PTA support. Grandparents Day-PTA support for transition and faces in the hall. Coffee/donuts available for the a.m.. Day of Caring-will need help and support for lunch that day. b. Fundraising: Denise Klapak All set to go with 2 fundraisers. Next Thursday kickoff. Bags were purchased by PTA-we will likely use these to raffle at Fall Festival and other events. Prizes for sales from Mixed Bags and Great American. Great American/Imagine Different incentive for this company. Monkey keychains for an item sold. 5 items brings in a BMX bike show. 35 minute show. 2

3 Monkey keychains will begin handing out on 9/6. Can organize and sort these to distribute to teachers with bag. c. Hospitality: Charity Alston Nothing at this time. Teacher bfast a success d. Membership: Jenn Welker members to date. We will do a membership table for back to school night. Still need to do raffle for gas card, as this was not done at open house. e. Publicity: Renee McAdams Renee has made fundraising flyer. Will do flyer for back to school night. Facebook events will be posted as well (will give heads-up to Johnette before posting) f. Teacher Representative: Conner Waldron Teachers enjoyed the breakfast. Wipes were appreciated. Copy services are in the works. Some volunteers are available, but not consistently available at the same time each week. g. Box Tops/Labels/Grocery Stores: Connie Alexander Question on how to handle incomplete #s for grocery stores. Kelly will look at the PTA membership list to try and determine if we can reach out for clarification on inaccurate card#s. Food Lion has changed their ways a bit store brand promotions will bring in more money for the schools. Flyer to go out to students to try and get ad l card#s from families. Flyer to go out likely after Labor Day give kids a prize for those that return labels. Also good to have sign-up at Grandparents Day. Box Tops drive is upcoming. Looking at ideas for prize ideas potentially Oriental Trading incentives. 7. Unfinished business a calendar (upcoming events any updates) i. MNES National Day of Caring September 18, 2013 ii. MNES Box Tops Drive September 23-October 4, 2013 iii. MNES Fundraising August 29-September 18, 2013 iv. Grandparents Day September 6, 2013 v. Back to School Night/Board Meeting 1 September 12, 2013 b budget (revisit and finalize) c. National PTA Blue Ribbon and Reflections programs actually called the Nat l PTA School of Excellence. Reflections is related to the arts/fine arts. Johnette sent out a request to Louisa Fine Arts volunteers to help support this endeavor. Will let us know what she finds out. d. Bylaws review committee TBD until state bylaws revision is posted. (est. date 9/1) 8. New business a. Music Equipment Funding Request See Attached. Music instrument request. Johnette is looking into this as an instructional cost and asking us to hold it while she determines whether the school can fund this. Should know by Monday. b. Agenda for September General Meeting/Open House plans Previously discussed above. c. Attractions books $25 for book. We get $10 for the first # we sell and then $12.50 for each after that. We do not have to front money, as books are loaned to us to sell. We return any unsold books back to the company. Board agrees to do this and place at membership table. d. Fall Teacher Grants 3

4 Budget has $2k for grants $1k for Fall and $1k for Spring. Agreed to keep this w/i the Board for determination of allocating these grants. Kelly asked for volunteers to assist with this: Toni and Johnette will both be on this committee. Flyer to go out next week to teachers. Teacher $20 cards for Wal Mart purchased (previously allocated in budget). Cards will be distributed first to those teachers that have already completed yearly PTA membership. Remaining teachers who are not yet PTA members will be given a form reminding them to sign up for PTA. e. MNES car magnets Cost is $1.50/magnet. $20 shipping. Not in the budget to pay up front and sell. We need to either adjust budget or we could do an order form and then order. Will buy 125 and sell at $3 (covers shipping w/minimal profit). Not viewing this as a fundraiser, but rather purchasing because people like the magnets and have already asked about them this year. f. Request from SODA for funding Work with 4 th graders from LCHS. Student Organization for Developing Attitudes. Asking for funding to buy 4 th graders t-shirts. We have not funded this previously. Vote for not funding t-shirts, but it was agreed by the board that if this group needs money for any other beneficial activities, we would consider this. g. LCCF grant application Grants available for Louisa County nonprofits. (see attached doc on this grant) Front is the correspondence requesting grants and the back of the form shows past grants. Grant submitted for something community-wide (i.e.-track and/or obstacle course) for the school. If grant is received, we will adjust our allocated money in the budget accordingly and look to do something else for the school as a whole. h. Restaurant nights Il Castillo and Romas previously were last year s restaurants who held MNES nights. Earned about $500 from restaurants. Toni will talk to Romas. Kelly will talk to Made in Asia Tim s out at the lake may be an option for a MNES night as well. Discussed doing this night as the same night for any/all restaurants included rather than spreading them out so much on the monthly calendar. i. PTA proposed legislation From PTA state, they want to know what is important to members for purposes of legislation/lobbying. Asking members to log in (or paper ballot) to share their feelings on certain legislative issues (see attached doc). Recommendation is we put link and blurb in newsletter and ask people to vote. We need to simply present the information and make sure that we remain unbiased in our personal views. j. Insurance Renewal Cara Bennett reviewed existing insurance with AIM (set to renew 10/15/13) and also looked into moving coverage to Fireman s Fund Insurance Company through agent RV Nuccio & Associations Inc., a company who provides coverage nationally to PTA Units the only A+ rated and Admitted insurance program. Based on review, suggesting that we move coverage to Fireman s through RV Nuccio based on the following: Coverage is no less thorough at a lesser premium Although it was voted on last year, the existing coverage was not added for Officers Liability. I am definitely recommending that we get this added asap at renewal. Cvg, for GL, Fidelity and Officers Liab totals $230 (compared to $296 with AIM) 4

5 I am also proposing that we include a premises Med Pay on the policy as well. This would afford coverage for individuals injured during PTA events regardless of liability up to the limit of coverage. Oftentimes, this is viewed as a goodwill coverage or a deterrent to someone suing if injured since no out-of-pockets will occur. We will likely do most events on school property, which likely has their own Med Pay coverage, but did want to bring this to the attention of the board and see what the consensus is Cost of MP is $98 bringing annual premium to $328 Unanimous vote to approve w/aim through new carrier Nuccio. 9. Announcements a. Next meeting date: i. General Meeting Thursday, September 12, 6pm ii. Board Meeting October 10 th at 6pm. iii. School board mtg 7pm. b. Toni is going to rework the few changes to the budget for update and approval at 9/12 gen l membership meeting. Proposed changes as follows: Expenses added of Magnets ($240), Insurance ($350) and PTA conference/district Meeting expenses ($350). Motion to pass ad l budget expenses was unanimous by the board. 10. Adjournment 7:13pm Ceb 5
