EXECUTIVE SUMMARY As stated in Annex I Description of the Action [8], the WeLive project (A new concept of public administration based on citizen co-created mobile urban services) is devised to transform the current e- government approach by facilitating a more open model of design, production and delivery of public services leveraging on the collaboration between public administrations (PAs), citizens and entrepreneurs. WeLive applies the quadruple-helix approach based on the joint collaboration of 3 PAs, 4 research agents and 5 companies, constituting the consortium, plus citizens to deliver next generation personalised user centric public services. WeLive aims to bridge the gap between innovation and adoption (i.e. take-up) of open government services. For that, it contributes with the WeLive Framework, an ICT infrastructure which adapts, enhances, extends and integrates Open Innovation, Open Data and Open Services components selected from consortium partners previous projects. An Open Innovation Area is proposed where stakeholders collaborate in the ideation, creation, funding and deployment of new services. A Visual Composer will enable non-ict users to assemble public service apps from existing blocks. Stakeholders will upload/sell and download/purchase the generated apps to/from the WeLive Marketplace, thus impulsing economic activity around public services. Personalization and analytics of public services will be done through collaboration of the Citizen Data Vault, which manages personal information, with the Decision Engine, which match makes user preferences, profile and context against available public services. Two-phase pilots will be conducted in 3 cities (Bilbao, Novi Sad and Trento) and 1 region (Helsinki- Uusimaa) across Europe. Further, the business feasibility and commercial potential of the WeLive Framework, including its individual assets, will be validated by developing and deploying sustainable business models. By taking into account the previous lines, it is possible to conclude that the WeLive project has the potential to contribute significantly to the goal of facilitating the creation of an efficient open innovation ecosystem that develops a new set of public services through the collaboration between public administrations (PAs), citizens and entrepreneurs. To maximise the impact and outreach of the results of the project, dedicated resources have been assigned to dissemination. Work package 6 (WP6) Dissemination and Communication Activities, is very important for assuring the impact of the WeLive concept to all relevant target groups. This document gives an overview of all planned activities within T6.2 Task, i.e. definition of project Logo, poster, factsheet, web portal, social network profile management, newsletter and other communication assets and materials. 5 2. INTRODUCTION The overall goal of WP6 is to maximize the impact of the project using adequate dissemination activities to all relevant communities [8]. More specifically, these are the main objectives: O6.1 - To plan all the related communication and dissemination activities on a structured basis as well as setting up the main tools that will enable consortium to address relevant audience with appropriate materials and events in order to promote project results and contribute to the exploitation activities. O6.2 - To create all the needed materials and communication means for dissemination of the project outputs to all relevant stakeholders. O6.3 To proactively raise awareness of the project activities and results in all relevant stakeholder groups. O6.4 - To carry out the necessary networking activities with other projects and initiatives related to the objective INSO 1 ICT-enabled Open Government. The project s WP6 is organized in 3 tasks: T6.1 Communication & Dissemination Plan and Activities T6.2 Communication Assets and Dissemination Materials T6.3 Collaboration and Clustering Activities The focus of this document is Task 6.2 which delivers D6.3 - Website, communication assets and dissemination material v1. Based on the plan and the tools selected in T7.1 (WP7), this task will ensure regular communication of the project results towards all relevant communities. The main activity to achieve effective dissemination will be through participation at relevant conferences and events, publishing papers in adequate journals as well as by regular publication of press releases, an online newsletter and social media updates. Deliverable D6.3 Website, communication assets and dissemination material v1 represents the first deliverable of this task. The main assets required to create an identity for the project will be created early in the project. The materials and in particular project s website [1] will be constantly updated including information about dissemination activities to be carried out by the consortium and public deliverables. Also it is expected to include a summary presenting the advances attained by the project in the different stages of the project. In the section 3 are given in detail WeLive dissemination activities and efforts. Firstly Logo is defined and project Web portal is explained in details. Then Redmine tool [2] used for news and management is presented. After that activities related to project Poster, Factsheet and video are given. Social networks (Linkedin [6], Twitter [4] and Facebook [5]) profiles management and social networks strategy positioning are demonstrated. Later on organization of public events is documented, and finally project newsletter is introduced. In the Annexes a low resolution version of the project poster and a low resolution version of the first page of the project leaflet are attached. DISSEMINATION MATERIALS, ACTIVITIES AND EFFORTS This section presents the dissemination activities undertaken by WeLive partners in the first months of the project since the beginning of the project in February In order to approach a broad technical and nontechnical audience, the WeLive consortium used a project web-page, and social networks WELIVE LOGO The WeLive Logo was created to provide the project with a clear visual identity. WeLive logo is shown on the Figure 1. WeLive Logo represents: the city (blue colour), and the people, citizens (red and green colour) who are working together on improvement of the services and quality of life in the city WELIVE WEB PORTAL Figure 1 WeLive logo A project website is designed, set up and will be continuously updated throughout the project duration. The project web site is located in [1]. It contains a public part and a protected, private part. The public section contains general information aiming at dissemination of the project: a description of the project, objectives, structure, consortium, agenda, public deliverables, etc. The web site is regularly updated with the public results and deliverables of the project as well as with news, agenda, events and articles about project results. As an initial contact point for both general public and WeLive users and stakeholders, the project website presents an overview of the work being carried out by WeLive. The web site contains the following information: Home the homepage of the project. Project this tab contains project aims and objectives, and a short description of the project approach and WP structure. Deliverables contains all public deliverables of the project. Consortium links to the all project partners are given. News project news are presented here. Contact us the project contact address is given and subscription to the project newsletter. The most of the project deliverables are public and will be promoted through this web page as well as twitter and linked in profile. Also, the web page provides links to relevant events, publications related to the project, other links, and contacts to the project partners. Finally, under the project tab we have included a specific page for each pilot city including a screen shoots. D6.3 Website, communication assets and dissemination material v1 page 6

7 Google Analytics Figure 2 WeLive web site In order to get a better understanding of the usage of the WeLive project website, it was registered with the free Google Analytics facility. This enables powerful reporting on the website and wiki access statistics, giving a very clear picture of information such as: How many users are visiting the site; What links and pages are most popular; What websites users are coming from; Where visitors are coming from geographically; Google Analytics is expected to help the consortium determine the effectiveness of its web tools and targeted dissemination activities. In next interactions of this and other documents related to the dissemination activities first statistics will be presented and analysed REDMINE TOOL Redmine [2] is a project management system including Gantt charts, a calendar, a roadmap, and other helpful features that can be used to keep track of what is going on with software development projects. Redmine also provides news and document management tools, a per-project wiki, and per-project forums. In this project, Redmine will be mainly used as a file server. The partners will have access to the following options: OVERVIEW Overview of the project and members. ACTIVITY The Activity page will give an historical log of at least all activities which had happen in the project. ISSUES List of issues created for the WeLive Project. Each issue is owned by a person, normally the D6.3 Website, communication assets and dissemination material v1 page 7

8 main representative of the partner leading each WP and task. This person will be responsible of keeping update the progress of the task in the redmine tool. NEW ISSUES This option is for creating new issues. GANTT The Gantt chart displays issues that have a start date and a due date. CALENDAR The calendar provides an overview of the current project as a monthly view. This view displays all the issues that have at least a start date and indicates their start date and (if available) their due date. In this calendar you may also include the events which we are planning to attend in the following months. NEWS In order to publish news items about the project or any other subject. DOCUMENTS The DOCUMENTS option must be used for sharing and storing any kind of information (documents, presentations ) between the partners. This section has the following structure: PROJECT OFFICE: Administrative and financial information about WeLive. Information like project templates, Consortium operating procedures (D7.3), progress reports, GA & Annexes PROJECT DELIVERABLES: It includes final and submitted to EU versions of the deliverables. DISSEMINATION: Project and CIP logos, project presentation, brochure, poster MEETINGS: It includes all the documents related to a meeting such as: project presentations, invitation to meeting, minutes TECHNICAL WORK: Sub-section for sharing the draft versions of the deliverables in which we are working. WIKI Project Wiki. FILES This module is enabled for sharing files between partners WELIVE PROJECT POSTER The Project Poster has been created in an A1 format to present the project and its first achievements. It contains: a box describing the project at a glance, containing the main features of the project like number of months, funding, etc ; the logo; the list of partners; explanation of the challenges, project objective and approach; The list of identified apps that will be deployed in the mentioned cities First version of the poster uses the WeLive template to reinforce branding and project identity. The poster can be found on the WeLive website [1]. In addition, a low resolution version of the project poster, using the WeLive template, is also attached in ANNEX A WeLive Poster and Leaflet WELIVE FACTSHEET AND LEAFLET The Project Leaflet contains the same information of the project poster. It was created to be printed in an A4 format and to be folded 3 ways (the standard format for a leaflet). This leaflet will be a major dissemination tool, as it will be used in all the events attended by partners of the WeLive project. The leaflet can also be found on the WeLive website [3]. 9 3.6. WELIVE VIDEO During the first year of the project a film about the motivation, objectives and expected results will be created as well PUBLICATION OF ARTICLES IN MAGAZINES, ELECTRONIC PUBLICATIONS AND LOCAL/NATIONAL PRESS Publication of articles in magazines, electronic publications and local/national press. As mentioned in Annex I Description of the Action, at least 5 different publications are expected to be prepared per pilot during the project lifetime in order to promote the major events of the project (i.e.: kick-off celebration, presentation in a fair, assistance to an event, publication of a paper or result, etc.). Press releases will be used to contact the media to promote WeLive concept and results. ELABORATION OF LEAFLETS, USB, T-SHIRTS, ETC Leaflets presenting the project and its results, USBs containing presentations and other kind of materials about the project will be elaborated to be sent to the identified stakeholders at local and European level: policy makers, public organisations, private sector and technological experts. This will be used as materials in different events that WeLive could participate. Specific attention will be given to preparation of leaflets for the general public as the citizens are an important stakeholder. To this end, we envisage preparation of leaflets in the form of a comic book explaining the vision and the outputs of the project in an attractive and appealing manner CREATION OF A PUBLIC SUMMARY In every periodic report the consortium will send a publishable summary to the EC and upload it to the project website, presenting the advances attained by the project in the different stages of the project SOCIAL NETWORKS PROFILES MANAGEMENT WeLive will actively use social networks to promote the results. Three social network profiles (Twitter, Facebook and Linkedin) are set-up at the very beginning of the project including public information about the WeLive project. These profiles are available from at the end of May 2015 and will be regularly updated Social Networks Positioning Strategy Social networks are pivotal to enable a direct communication channel with citizens, public administrations, and professionals in the area of smart mobility, EU institutions or anyone interested in the project. 10 The most important aspect when managing social networks account is to regularly update them with events and news or information about the status of the project. Publishing these updates in the networks will not only increase the impact of WeLive on the Internet but will also promote the image of a lively and active community. Our strategy for Social network is broken down into three steps: CREATION 3 months into the project, DNET created an international WeLive profile in Twitter [4], Facebook [5], and LinkedIn [6]. These are the general profiles of the project and are in English. It is up to each city council involved in the project to create a specific social network profile in the native language of the Pilot city promoting the main outcomes coming from the project. UPDATES Each profile has one responsible partner and contributing partners. All contributing partners update the social network accounts at least once a month. Partners responsible for the local profiles are in charge of adding content to the profile, translating news to and from the international project profile, and in general keep the local and international profiles aligned. REVIEW One month before each release of the updated Dissemination Plan, accesses, posts, activities and other similar parameters will be analyzed; if needed, the dissemination policies will be updated in order to increase the impact and popularity of WeLive profiles Twitter Profile Events and breaking news related to the WeLive project will be published on Twitter [4]. The online repository will contain information about the project, training events, links to upcoming events. It will be accessible to everyone, all the time. People can instantly connect to the most important feeds, follow experts, favourite celebrities, and breaking news in the areas of IoT. 11 Facebook WeLive project has a Facebook profile [5] which aim is to promote the project ideas and enable crowdsourcing through social networks. In this way different stakeholders can be notified of certain events, or different ideas can be targeted at certain groups which are already present on the Facebook. Also, the personal WeLive open group on Facebook allows adding other users as members, and exchanging messages, including automatic notifications when members update their profiles LinkedIn Figure 4 WeLive on Facebook A WeLive LinkedIn group [6] has been created. A WeLive group on LinkedIn allows registered users to maintain a list of contact details of people in the area of IoT. The contact network consists of direct connections, the connections of each of their connections and also the connections of second-degree connections. 12 3.11. ORGANIZATION OF EVENTS Figure 5 WeLive on Linkedin The project will organize public events (workshops, presentations, meet-ups) in the pilot cities to engage the citizens and the SMEs. Meet-ups will be organized quarterly. Meet-ups are great way to exchange knowledge and create network of people which can share ideas in informal setting. Also, they can be used to disseminate the project results as well as involvement of the citizen s active participation in the project. It would be of great benefit to the project if partners from different countries can attend or organize meet-ups in their cities or countries. The following table gives just a short list of meet-ups and workshops/presentations that will be held in Europe. So far no meet-ups have been organised since we are just at the very beginning of the project. CONLUSIONS This document presents WeLive project website, communication assets and dissemination material; some of the dissemination elements and channels to support the dissemination activities and events to be carried out during the project life. Examples of dissemination materials to date have been included. These materials will be continuously reviewed and updated throughout the project lifetime to support the emerging and evolving needs of the project. The goal will be to target the dissemination of WeLive project results for maximum impact in as efficient a way as possible. D6.3 Website, communication assets and dissemination material v1 page 13
