5 ABOUT US The mission of the Office of Donor Relations and Stewardship is to sustain and nurture lifelong relationships with the university s donors while providing accurate and timely information pertaining to the investment, use and impact of their gifts. The office was established to cultivate, engage and recognize donors across the university through stewardship programs and events. Our office asks the important question how do you turn donors into loyal supporters? We think the answer is an effective thank you. Donor-focused stewardship is accomplished through timely and appropriate gift acknowledgement, fund reporting, donor recognition, donor appreciation activities and events, donor communications and stewardship activities. Through meaningful and consistent contacts, the office aids fundraising efforts in building lifelong relationships with donors and instills in them the trust that their gifts and investments are impacting the University and broader community in a meaningful way. 7 TIMELY ACKNOWLEDGEMENT All gifts received by the University of Georgia Foundation are acknowledged with the University s official gift receipt, which contains a thank you message from the Sr. VP for Development and Alumni Relations and includes a Georgia Fund decal. This standard response is supplemented in many instances by additional forms of acknowledgement, including Presidential acknowledgements generated by the Office of Donor Relations & Stewardship, as well as letters generated by schools, colleges and units across campus. FIRST-TIME GIFTS First-time donors receive a specialized message through direct mail and welcoming them to the family of thousands of UGA donors. The includes a video created from our Thank-a-Donor Day with students giving personalized thank you messages. The direct mail piece celebrates their first-time gift along with other University of Georgia famous firsts and is signed by the Sr. VP for Development and Alumni Relations. 9 PRESIDENTIAL GIFT ACKNOWLEDGEMENT Gifts of $1, and above are acknowledged quickly, accurately and appropriately by a letter signed by the President of the University. We are responsible for generating these letters to let donors know that their financial support is gratefully received, vital to our school and community, and being used according to their stated wishes and expectations. The Office of Donor Relations & Stewardship also generates presidential letters for all newly established pledges of $25, and above. Pledges are acknowledged again when they are fulfilled. Special circumstances (as indicated by the President s Office) are acknowledged as well Presidential Acknowledgements MEMORIAL & HONORARY GIFT ACKNOWLEDGEMENT All memorial and honorary gifts receive special acknowledgement by the Office of Donor Relations & Stewardship. Special cards or letters (depending on the number of gifts) are generated and the names of donors who contribute to memorial or honorary funds are shared with the family members and friends associated with these accounts so that they may offer additional gift acknowledgements. 10 THE PRESIDENTS CLUB Named to honor the past leadership of the University of Georgia, the Presidents Club recognizes donors whose annual gifts total $1, or more. Annual membership is based on the University's fiscal year (July-June) and is renewable. Members receive a welcome packet explaining the significance of the recognition level, the impact of their gift, and are given an opportunity to change their honor roll listing and/or to request anonymity. 11 THOROUGH REPORTING Reporting on the financial status and performance of endowed funds is essential in order to ensure each donor that his or her gift has been invested wisely and its full value is being distributed appropriately to the school community. ENDOWMENT REPORTS Each fall, the Office of Donor Relations & Stewardship generates Endowment Reports for all endowed funds. These reports reflect the fiscal status and endowment growth of each fund and are distributed to the donors and donor representatives of each fund. The Office of Donor Relations & Stewardship works closely with Financial Services to ensure accurate and timely reporting. New stewardship contacts are set up throughout the year as new funds are established. Donor Relations works closely with each school, college and unit on campus to personalize these reports, including departmentalspecific photos and text. For endowed scholarship funds, scholarship recipient names are included as part of these reports. Some of the Endowment Reports are personally hand delivered to the donors and friends. 13 RESPONSE FROM DONORS The first endowment reports were sent in 25 to 374 individuals and corporations. This well received project has grown dramatically in size since then due to newly created funds being stewarded as well as established funds being researched for recipients of the information. Included in the Endowment Reports is a return envelope for the donors to update information, request additional reports or fund representations, and provide us with any additional comments. For future years, gifts received will only be recorded under Additional Gifts To Endowment I shed a few tears and felt huge pride swell in my heart when I got my report. The customized approach, and maybe they do it at other schools but certainly not as well as UGA, is a beautiful way to say thank you. Makes a huge University seem like a very small family. CT Naples, FL REPORT TO DONORS The Report to Donors, produced by UGA Marketing and Communications, Development and Alumni Marketing and Communications, and the Office of Donor Relations and Stewardship, highlights initiatives, provides an Honor Roll listing of prominent donors, and presents a financial profile of the past fiscal year. 14 DONOR-CENTERED RECOGNITION HONOR ROLL OF DONORS Every UGA donor is an important part of our collective success. The Office of Donor Relations & Stewardship is proud to include donors who have given $1, or more in our annual Honor Roll of Donors. Donors are recognized, unless anonymity is requested, through the Honor Roll of Donors as part of the annual Report to Donors. The Honor Roll of Donors is also viewable online through the Donor Relations & Stewardship website. The Office of Donor Relations & Stewardship makes monthly data pulls to verify Gift Accounting s input, to update biographical information that may have changed and to make corrections as necessary. Through these monthly pulls, updates can be made monthly, easing the time crunch at the end of the fiscal year. Donors are also recognized in other publications across campus (including but not limited to specialized campaign or development newsletters and magazines, alumni-centered periodicals and departmental honor rolls). Donors Recognized FY 12 FY 13 FY 14 FY 15 FY 16 GIVING SOCIETIES In addition to the various recognition societies present within the schools, colleges, and units, the University of Georgia recognizes donors with the following gift societies: Presidents Club, Cumulative Giving Societies, Third Pillar and Heritage Society. With the exception of the Heritage Society, association information, membership management and related events are coordinated by the Office of Donor Relations & Stewardship. ANNUAL GIVING SOCIETIES The Presidents Club Named to honor the past leadership of the University of Georgia, the Presidents Club recognizes donors whose annual gifts total $1, or more. Annual membership is based on the University's fiscal year (July-June) and is renewable. The Presidents Club has a tiered structure at various giving levels: Benefactors: Annual gifts of $1, and above Fellows: Annual gifts of $5, - $9,999 Associates: Annual gifts of $1, - $4,999 Founding members of the Presidents Club have a special lifetime distinction having joined in the first twenty years of the program. These individuals made a $1, total commitment and/or purchased a $25, life insurance policy naming UGA as the sole beneficiary. They are honored by having their names listed on the Presidents Club Wall located on North Campus behind Old College. 12

15 CUMULATIVE GIVING SOCIETIES In conjunction with the kickoff of the Archway to Excellence Campaign, the University of Georgia announced three new cumulative giving societies that recognize major donors to the University of Georgia. These giving societies recognize individuals, corporations, foundations and organizations whose cumulative gifts have reached $1 million and above. The Crystal Arch Society $ 1 MILLION The Crystal Arch Society, recognizing gifts of $1 million and above, is named for the University of Georgia's most recognizable symbol and the main entrance to campus, the Arch. Erected in the 185s, the Arch is UGA's most revered landmark, patterned after the Great Seal of the State of Georgia. The Abraham Baldwin Society $ 5 MILLION The Abraham Baldwin Society, recognizing gifts of $5 million and above, is named for the legendary Georgia statesman, educator and founder of the University of Georgia. Abraham Baldwin wrote UGA's charter, the first-ever written and adopted for a state-supported public university. The 1785 Society $ 1 MILLION The 1785 Society, recognizing cumulative gifts of $1 million and above, is named for the year that the University of Georgia was chartered by the Georgia General Assembly, pays homage to our impressive history and tradition of achievement as the first state-chartered university in the nation. Cumulative Giving Societies: New Qualifiers and Higher Level Qualifiers FY 12 FY 13 FY 14 FY 15 FY 16 FY17 -- in progress THIRD PILLAR The Third Pillar is a loyalty recognition program for donors making gifts in the last three or more consecutive years. Our analytics show that the third year of consecutive giving is a very important milestone, which most often predicts continued support. We believe it is important to recognize this special achievement of loyal giving to help seal their commitment. Each Third Pillar donor receives a mailing, which includes a message from the president and car decals they can display in a window. The colorfully designed fold-over card uses the iconic image of the Arch with the University tartan, also a symbol of loyalty and family, to create a powerful and appealing image for the University s donor loyalty program Third Pillar Mailing FY 15 FY 16 FY 17 - in progress 13

16 DONOR-CENTERED EVENTS The Office of Donor Relations & Stewardship, in conjunction with the Office of Special Events, hosts a signature donor recognition event: the Presidents Club Reception. The Office of Donor Relations & Stewardship also hosts an event celebrating our faculty, staff and retiree donors. We are focused on making these events as donorcentered and meaningful as possible, and continue to create opportunities that make it as easy as possible for UGA s fundraisers to steward and cultivate their donors. We ensure that appropriate people are invited to associated donor events, and that invitation and attending lists and other pertinent information is shared with development staff around campus. THE PRESIDENTS CLUB RECEPTION The Presidents Club Reception is an annual event held in the fall (on a Friday evening before a home football game) where annual donors are recognized for their generous contributions to the University of $1, or more. The Office of Donor Relations & Stewardship works to select the brightest ambassadors to represent the UGA student body. 17 In an effort to recognize donors at the event, special ribbons are added to their nametags indicating their giving society status. Various colored ribbons are added for Presidents Club, Cumulative Giving Societies, Partners and Heritage Society members. The Office of Donor Relations & Stewardship creates a special PowerPoint presentation that is shown in the background during the event, with a giving message that expresses sincere gratitude to our donors. Included in the presentation are quotes of gratitude from thankful UGA students who are serving as student ambassadors during the event. FACUTLY & STAFF DONOR APPRECIATION RECEPTION The Faculty & Staff Donor Appreciation Reception recognizes faculty, staff, and retirees at UGA who give a financial gift of any size to the university during the fiscal year. The reception is meant to be a fun party for our UGA family, which includes simple decoration, fun activities, and remarks from the president. Impact The aim of this event is to help faculty, staff, and retirees feel appreciated when they go above and beyond their normal duties in giving to UGA. 18 DONOR-CENTERED COMMUNICATIONS VIDEO MESSAGING The Office of Donor Relations & Stewardship uses video messaging as a creative and cost-effective method of donor stewardship. Several videos have been created in-house and sent out to all UGA donors. These have been extremely well-received. Videos sent out in FY15: Thank a Donor Day video The Thank a Donor Day video is ed once as a standalone blanket stewardship piece, again to first-time donors, as well as several more times in different communication pieces throughout the division. Thanksgiving video The Thanksgiving video contains messages of gratitude to our generous donors for their support and sends wishes for a happy Thanksgiving. This video is distributed the week before Thanksgiving. We are able to bring the campus (including sights, sounds, accents, etc.) to them across the country and the world. Videos are a great form of blanket stewardship as we are able to touch all donor groups in a meaningful and cost-effective way. We received some great feedback from our donors after they received our Thank a Donor Day and Thanksgiving videos. Below are a few of the comments: I wanted to take a minute and thank you for sending this sure, I realize it s a broadcast to all the alums, but I have to say it s the first piece I ve seen in a while that really made me excited and made me reach for my wallet. A really nicely done job to all of you who put it together and what SMART way to involve the whole campus in creating and culture of philanthropy. As an alum (BA in Drama, 92) and now a fundraising consultant, I m really impressed. All the best and again, thanks for doing this. 19 BIRTHDAY CARDS Birthday cards are sent to key donors, including donors of $5, and more and all trustees. We also send them to fundraisers and other key staff as a thank you, perhaps inspiring them to initiate similar personal touches for their donors. I love that there is a description of all the letters on the back of the card. It is so creative and much appreciated! LHM That bulldog bookmark card is the cutest thing I ve seen in ages! What a great idea. Thanks for remembering my birthday. MA I just wanted to tell you what a unique birthday card that is you all sent to D. I opened it first and was definitely surprised!!! 20 SCHOLARSHIP STEWARDSHIP Stewarding gifts made to scholarship funds reinforces the University of Georgia s efforts to assure a donor that his or her investment is meaningful, appreciated, and being used as promised. The Office of Donor Relations & Stewardship fulfills this important stewardship obligation by providing scholarship donors with recipient information and financial updates. Scholarship stewardship is accomplished in two ways: RECIPIENT NAMES LISTED ON ENDOWMENT REPORTS The Office of Donor Relations & Stewardship sends endowment reports for all endowed scholarship funds (for which there are living donor representatives) each November. Included as part of these reports are the names of corresponding scholarship recipients. The recipient names reflect the past year, and compliment the financial information contained on the corresponding endowment reports. Individual reports are sent to individual donors about their specific scholarships. GRATITUDE REPORTS The Office of Donor Relations & Stewardship has spent a great deal of time doing scholarship research. As a result, all UGA non-departmental endowed scholarship funds and donors/donor representatives have been identified. These University-wide scholarships include those awarded through Admissions (Charter Scholarships) and the Office of Student Financial Aid (OSFA). Because these scholarships are not awarded by a school/college/unit there is no development officer assigned to them for stewardship. Therefore, they are stewarded centrally by Donor Relations & Stewardship. In addition to endowed non-departmental funds the Office of Donor Relations & Stewardship also stewards non-endowed non-departmental funds. Scholarship recipients of these University-wide funds are contacted each fall to request personal scholarship questionnaires and photos. This information is compiled into a standard format and sent to scholarship donors in their Gratitude Reports in February. Gratitude Reports are colorfully designed, thoughtful and appealing packets that illustrate the importance of scholarships to the University. They are highly individualized and include thank you messages from the very students benefitting from the donors generosity. They reinforce our appreciation separate from endowment reports and will encourage continued and increased giving to these scholarship funds. A Gratitude Report is created for every endowed scholarship that we steward centrally, which includes all scholarships awarded through OSFA and Admissions. In the past, donors received their scholarship recipient information and thank you notes at the end of the fiscal year. Donors now receive their recipient information while the students are receiving the donor s support, and are being touched twice during the year. They are touched first during the spring semester (February) when they receive their Gratitude Reports and again in the fall semester (November) when they receive their Endowment Reports reflecting the previous fiscal year. 18

INDIVIDUALIZED SCHOLARSHIP EVENTS George W. Woodruff Scholarship Luncheon The Office of Donor Relations & Stewardship hosts the George W. Woodruff Scholarship Luncheon each spring. The luncheon includes Missie Pierce, granddaughter of George Woodruff, her husband Bill, and the current Woodruff Scholarship recipients. INDIVIDUALIZED STEWARDSHIP FOR TOP SCHOLARSHIP DONORS We continue to make efforts to focus on individualized stewardship plans for top scholarship donors. As part of these efforts: Face-to-face stewardship visits are made with select scholarship donors Video interviews of scholarship recipients are sent to select scholarship donors Individual scholarship luncheons are held for select scholarship donors 19

22 THANKU Based on the outstanding success of our Thank a Donor Day efforts, ThankU was designed as our overall student gratitude marketing plan. The idea is to create opportunities throughout the year from orientation to graduation for students to say thanks. We want UGA to be known for its thankful students and to do our part to create an attitude of gratitude at UGA. THANKU! ORIENTATION One of our greatest challenges has been getting scholarship recipients to write thank you messages to their donors. Our theory was that getting to students early, when they first arrive on campus for orientation, that we would have better success. This has definitely turned out to be the case! These students are excited, grateful and eager to participate ThankU Orientation Admissions Scholarship Recipient Questionnaire Numbers F Y 1 5 F Y 1 6 F Y 1 7 As a result of our ThankU efforts, our admissions scholarship stewardship has been taken to another level and students are being educated about philanthropy from day one! Through our collaboration with the Office of Undergraduate Admissions, we have been able to request scholarship thank you messages over the summer and connect with these students during UGA s Orientation resource fair that occurs during the second day of every UGA orientation session. We are able to target the scholarship recipients that are attending each session and communicate with them more effectively about how their scholarship is funded. We also use this time to encourage their participation later on in the year at events like Thank A Donor Day. PAWS TO SAY THANKS PAWS To Say Thank You is a chance for our Financial Aid Scholarship recipients to come together and say thanks to their scholarship donors. This event occurs during the first week of class and is a collaboration with the office of Student Financial Aid. Beginning in June, OSFA send out notification letters to Financial Aid scholarship recipients which includes a request for their scholarship thank you that will be included in their scholarship donor s gratitude report later in the spring as well as a save the date for the PAWS event. Students are required to complete their thank you questionnaire before attending the event in the fall. At the event, students fill out a short thank you note that will be sent to their scholarship donor after the event as well as take a photo. Once the recipients have completed those short tasks they are free to get refreshments, take photos at the photo booth and hang out with Hair Dawg. 2

23 THANK A DONOR DAY In an effort to create a culture of philanthropy at UGA, the Office of Donor Relations & Stewardship instituted UGA s first ever Thank a Donor Day in 212. The entire UGA community is invited to observe this day of gratitude. The purpose of Thank a Donor Day is to educate students about the impact of private giving by demonstrating the difference it makes to their educational experiences and, at the same time, emphasize the importance of thanking donors for their generosity. Thank A Donor Day Numbers FY 12 FY 13 FY 14 FY 15 FY 16 Thank You Cards Thank You Posters Student Photos Student Videos - changed process FY 16 The occasion is also a perfect opportunity to collect student thank you notes, photos, video messages and other expressions of gratitude in an effort to acknowledge the generosity of our donors in a personal way. During our fifth annual Thank a Donor Day, we collected 663 student thank you notes, 65 hand-drawn posters, and over 54 photographs - all from enthusiastic students expressing their sincere gratitude to UGA donors. Our large thank you card was completely filled with signatures, and we ran out of cookies and milk and t-shirts to give away to participants. We will continue to utilize this event to educate our students and to steward our donors. 21

24 GRADitude GRADitude is a program within the ThankU marketing plan, which focuses on encouraging an attitude of GRADitude for our graduating seniors by helping them see the impact private support has had on their college career. We want to be sure that students have been well educated about the importance of philanthropy and the role they will play as an alumnus of UGA. We will provide opportunities and events where graduating students can express their GRADitude leading up to graduation. 22

25 TEAM STEWARDSHIP Conducting a campus-wide stewardship audit and creating a campus-wide stewardship community was something the Office of Donor Relations and Stewardship hoped to have the ability to do for several years. The concept was finally materialized in October 215 and for the following three-months, Tony and Teresa met with development staff at 23 of the University s units in their places of work. These meetings developed into meaningful conversations that clarified our unique, decentralized stewardship structures and inspired great, new ideas. After compiling survey findings, Tony and Teresa presented an overview in March of 216, distributed The Big Picture infographic (see pages 25 & 26), and launched the new Team Stewardship initiative. We have had three team stewardship meetings since the groups inception in April 216 and are currently planning the fourth meeting. We hope an overview of stewardship activities occurring across campus gives University Development an ability to better support our units. Through greater communication, we hope to encourage collaboration and provide a baseline for the future of donor relations practices in order to foster a more cohesive campus stewardship community. The Team Stewardship meetings are some of the most valuable and productive I have ever attended. With each meeting, you refine my grasp of what we do and all that it can accomplish, broaden my knowledge of the many facets of stewardship at UGA, and provide tools and fresh insights to help us take our work to higher levels. 28 WEBSITE In the fall of 29, the Donor Relations & Stewardship website was unveiled, and it has proved to be an invaluable resource that we continue to build upon. The website includes information for donors regarding Giving Societies, Donor Events, Scholarship Recipient and Student Stories, in-depth information regarding the UGA Acknowledgement and Reporting process, Annual Honor Roll, Picture Galleries, Video Galleries and other features that will help donors learn more about their investments and the impact they have on the University. A video gallery was added to the Donor Relations website to showcase video vignettes created for past and present Celebration of Support honorees so their impact stories can be shared into the future. Also included in the gallery are videos created by Donor Relations & Stewardship, such as those created for Thanksgiving and Thank a Donor Day. An Anatomy of an Endowment Report was added to the Donor Relations website as a tool for development officers and donors to better understand their reports. 26

29 SUMMARY As we move into the future, the Office of Donor Relations & Stewardship will continue to expand and improve upon all that we are currently doing. At the same time, we will explore new and meaningful ways to engage our donors. We will focus more heavily on individualized stewardship plans for our top donors, and the high-level, more personalized forms of stewardship that go along with that. We will continue to look for ways to improve our donor recognition events in an ongoing effort to make them as meaningful and purposeful as possible. We will continue our attempts to obtain fundraisers buy-in and participation in these events as important cultivation and stewardship tools. We will continue our efforts to create a culture of philanthropy at UGA and beyond through the ThankU program s Thank-a-Donor Day and other efforts. We will work to create a stewardship community across UGA by bringing those together who are involved in DR&S efforts. Donor stewardship by the central office versus by individual schools and programs in not an either/or proposition. When the central office does things well, decentralized units can devote resources toward specializing stewardship for their current and prospective donors. The central DR&S Office hopes to offer leadership and support, while creating opportunities for everyone to learn from each other. We plan to offer webinars and other forms of inspiration and support for this group. We will continue to be the advocate for donors at UGA, and will do our part to ensure they are at the forefront as important decisions are made. Through these efforts, we will fulfill our mission of engaging and recognizing all donors and prospective donors on a university-wide basis to further the efforts of private financial support, and will create a vibrant and engaged donor community that spans the institution., The Donor Relations & Stewardship Team 27
