1 Exhibitor Manual GENERAL FAIR INFORMATION 1.) Fair fact sheet The fair EuroPosgrados Mexico 2016 is organized by the German Academic Exchange Service (DAAD, Germany), Nuffic Neso Mexico (The Netherlands) and Campus France México and implemented by the agency Premier Meetings. The fair aims to promote European Higher Education in Mexico. It provides a platform for representatives of EU member states and Higher Education Institutions (HEIs) to inform the fair visitors about Higher Education opportunities in the EU member states. Terms and conditions for participation By completing the application-form of the fair EuroPosgrados Mexico 2016, the exhibitor agrees to abide by the terms and conditions for participation at EuroPosgrados Mexico.

2 4.) Payment procedures Dutch, French and German participants, please contact the national representations in order to know about the payment conditions. The participation fee covers: - Participation in México City and Monterrey - 3x3m booth with a table, two chairs, fascia board - Entry in the fair catalogue, listing on the website and promotion of your institution on Facebook - Coffee break Note: All other costs (for travel, meals, accommodation, etc.) are not included in the participation fee. HEIs from other countries: An invoice will be sent to all exhibitors with the payment information. In order to guarantee the participation of your institution, please make sure that your payment is received by August 26, 2016 at the latest. Otherwise the space can be assigned to other interested institutions without liability to the organizers 5.) Exhibitor badges The exhibitor badges will be distributed at the welcome desk for exhibitors at the entrance of exhibition-hall in México City. Please keep your exhibitor badge and take it with you to Monterrey where you will need it again. Three persons are allowed per booth. There is an extra charge of 50 euros for each additional person. 6.) Accommodation and Transports Dutch, French and German participants, please contact your national representations. Every participant is responsible for the room/transfer booking. Bookings are subject to the company s cancellation terms and policies. The organizer is not responsible for any damage suffered as a result of errors. An EuroPosgrados travel package is available and can be booked apart. If you are interested, information is available at: EXHIBITION SPACES AND ADDITIONAL SERVICES 1.) Floor Plan

3 The booths will be grouped by country; the organizers assign the exhibit spaces for the exhibitors. 2.) Exhibitor space: Each exhibitor will be allocated one booth with the following dimensions and furniture: Approx. 3m x 3m 3 Surrounding walls (Corner-stands with 2 surrounding walls, 2 open fronts) Fascia board with country s flag and HEI s name Two chairs Trestle Locker (only in CDMX) 3.) Conferences: At the World Trade Center in Mexico City, exhibitors will have the possibility to give a conference to the visitors in order to promote their educational programs to several students at a time. The preferential cost is 150 euros per conference. Please note that the conferences are assigned on a first come, first served basis. Therefore, we cannot guarantee that you will fit into the programme. The conference room is equipped with a laptop, projector and a projection screen. Extra audio is available. 4.) Internet access and audiovisual equipment Individual Internet access and a/v equipment can be rented apart. An invoice will be sent to the exhibitors for the rented items and has to be paid before receiving the service. In all venues, you will be given a key that allows wireless access for one device. 4 5.) Decoration Exhibitors wearing the Europosgrados exhibitor badge are allowed to enter the exhibition area previous to the opening of the fair to decorate their assigned space. All exhibitors are expected to finish the decoration of booths before 14:00 pm. Due to security restrictions, no decoration work in the exhibition area will be allowed during the opening hours. Exhibitors are free to decorate their assigned space according to personal wishes. It is not allowed to obstruct the aisles of the exhibit hall and/or affect in any way the displays of other exhibitors. It is not allowed to install flickering lights or sound equipment which might disturb other exhibitors. 6.) Cleaning of stand The fair will close at 20:00 pm in CDMX, and at 21:00 pm in Monterrey. Only after closing time exhibitors are allowed to wrap up and pack all materials and displays. It is not allowed to start packing the materials during opening hours. The exhibitor is obliged to turn over the assigned exhibit space to the organizers in the same condition it was found. The exhibitor is accountable to the organizers for any damage caused to the assigned space, furniture and its fixtures during the work of assembly and dismantling as well as during the event. Staff from the organizers and Construction Company will be present to offer the necessary assistance. Please note that all material left in the exhibition area will be disposed of. FAIR CATALOGUE 1.) Short profile of exhibiting institution The EuroPosgrados catalogue contains country and institutional profiles and will be distributed to all fair visitors. The print run is One institutional profile of each exhibitor will be included in the EuroPosgrados catalogue using the data of the registration. The organizers reserve the right to edit and shorten the content of the profiles. 2.) Advertisement. A full page, black and white advertisement can be purchased. Bellavista Monterrey, Nuevo León C.P PLEASE SET THE NAME OF YOUR INSTITUTION OUTSIDE EACH BOX IMPORTANT: Please note that your sending should not contain any give-aways, cds or similar items, especially of wood, as packages with other contents than paper will be retained by the Mexican customs. The organizers will not pay customs duty for the liberation of your packages. To avoid the risk that the package will be returned to you, please make sure that its value is low and that there is nothing else than paper-materials in it. The information material shall be delivered between the first of October and October 20 at the latest. All boxes must be labelled with the institution and participant name and a material list must be sent to exhibitors@europosgrados.org The organizers will not forward any material from one venue to the next. No responsibility is taken by the organizers for the delivery of your material in due time and correct order.
