1 Rotary District 5910 Working Each Day to Make Rotary in Southeast Texas Bigger, Better and Bolder! Governor s Message Rose Austin District Governor Ulli Budelmann District Governor Elect Brenda Walker District Governor Nominee Fred Sandberg Past District Governor Marialeice Saucier District Secretary Bobby Applegate Treasurer PDG Emken Linton District Trainer PDG Ann Bragg District Foundation Chair Don Taylor Lt. Governor DGN Brenda Walker Lt. Governor Assistant Governors Michael Casey Mark Dunn Jeffrey Early Rhonda Ellisor Roy Green Rhonda Herrington Dave Johnson Harland Merriam Chris Turner John Wright Editor Doris Lockey Dear Rotarians: Happy New Year and Happy Rotary Mid-Year. I hope that you have gotten back into the swing of things after the holidays and that you are now ready to begin an evaluation of the first half of the Rotary year. You may say that this is mid-semester, and you are reviewing your mid-semester report card. I encourage all Rotarians to evaluate the strengths and weaknesses of their clubs during the month of January. Visit other clubs in and outside of our district and use the score sheet of the Presidential Citation program to give your club a grade. All club presidents are required to complete the score sheets and submit them to me by March 31 so their clubs will be eligible for the Presidential Citation Award at the district conference. If you find that your club falls short of the points needed for the citation award, you will have time to correct any deficiencies before the submission date. Please note that this year clubs will have the opportunity to earn the Presidential Citation with Distinction. The Mid-Year Meeting held on February 5 will provide a forum for club presidents to give progress reports. I hope that all clubs mid-term grades are excellent. January is Rotary Awareness Month. I hope that you will use the suggestions provided in this newsletter to provide more awareness of Rotary in your communities. I am requesting that at a minimum each club submit an article in its local newspaper about its club, about Rotary International programs, and extend an invitation to the community to join in the club s efforts to help eradicate polio. Our Rotary House, spearheaded by PDG Norman Dykes, will provide Rotary exposure to thousands that will tour it. Please support the Rotary House (See information under the Presidents Corner). As we move into the second half of the Rotary year, we are finalizing district conference plans. Registration is now open, and you may register on-line. View the district website periodically for conference updates. Finally, our Million Dollar Campaign is still underway. We are about half-way there, and we still need your support. I am asking each club to honor or exceed its pledge to the Annual Fund and to PolioPlus. I am asking individual Rotarians to become Paul Harris Fellows, become a member of the Paul Harris Society or a member of the Bequest Society. All donations count toward our goal. As always, I appreciate the service you render to Rotary. Your dedicated service will help make Rotary bigger, better, and bolder. In Rotary Service, Rose Austin Governor 1

They were under the guidance of four trainers, 24 counselors and over 50 Rotarians and adult volunteers from around the District. Complete coverage of RYLA will be included in the February newsletter. 3 District Tidings January is Rotary Awareness Month Alfred Anderson Chair of Public Relation Committee Rotary Club of Lake Conroe As January is Rotary Awareness Month, there is no better time to highlight Rotary in your community. Here are ways to increase community awareness of Rotary in general as well as awareness of your Rotary Club. Display information about your Rotary club in your Chamber of Commerce office, roadside Welcome Center, local telephone book under civic organizations, the local newspaper and/or magazines, and on an up-to-date website. Send your Rotary bulletin to Rotarians who missed the meeting or post the program on your club s website. Wear your Rotary pin daily. One club issues a drawing ticket to each member who wears his/her pin to the meeting. Another club fines members $1.00 for not wearing their pin to the weekly meetings. Purchase a Rotary Texas license plate. See our district website for information. Give Rotary information to your local radio stations for PSA s (Public Service Announcements). Send your local newspaper weekly articles about your Rotary Club and/or activities. Display Rotary signs (showing meeting place, time and day) posted at in the entrance way of the meeting place and at all incoming roads to your community. The sign should state that visitors are welcome. Display Rotary membership certificate and other awards in your workplace. Identify all Rotary projects with roadside signs. Pay for prospective member s meal. Select a Rotarian of the Month in your club. Display a Rotarian of the Month yard sign (like a realtor s sign). Take a photo of the Rotarian with the sign and send it to your local paper with a short article about the Rotarian. Have club information about Rotary available at your meeting place. Hold annual membership drives in your club? Award a prize for the most prospects brought to a meeting. Award an additional prize (or a plaque) to the Rotarian who sponsored the most new members. Award the Rotarian who retained the most new members added to your club over the year. Give annual awards for years of perfect attendance, listed in order of years, during the annual club meeting and list as a Public Service Announcement for the local radio stations and newspapers. Also, submit this information to your District Governor for the monthly newsletter. Have a financial advisor, insurance sales person, realtor, politician, automobile sales person, etc. conduct a meeting on prospecting and inviting a prospect to a meeting. Every place you spend your money should be aware of your involvement in Rotary and aware of the 4-Way Test. Have your club build signage including the Rotary wheel stating Rotarian at Work to place on site of a club work project. This could also be used while your club rings the bell for the Salvation Army. Have a button made for club members to wear that says, Ask me about Rotary! Try these suggestions and tell us about your success. 3

9 International Projects Rotarians in District 5910 are encouraged to reach out to international communities to establish relationships and long-term partnerships, which can lead to effective and sustainable service projects. Identifying a partner that communicates well and is committed to the project is key. Start small, and after completing a project successfully, consider teaming up on a larger, more complex effort. By reaching out and connecting with fellow Rotarians, you ll expand the scope of possibilities, and a rewarding experience will follow. Here are a few projects that clubs may consider: 1. Mosquito Nets If your club is interested in undertaking a health-related project, consider learning more about mosquito nets. Mosquito nets provide a safe, affordable, and effective form of disease prevention. They are designed to protect individuals from disease-carrying mosquitoes by creating a barrier that these insects cannot permeate.. Disease prevention campaigns such as Nothing But Nets, launched by the United Nations Foundation in 2006, have raised awareness and donated millions of mosquito nets to protect at-risk communities around the world. Disaster Relief Rotarians have provided relief to victims of numerous recent disasters. The Rotary Foundation is accepting contributions to help fund Rotary projects that will support long-term disaster recovery in the affected areas. 4. Haiti Relief There is still a big need in Haiti. Project HOPE International is seeking Rotarians and others with which to partner. 5. Water projects Help dig a water well in Nicaragua, one of District 5910's projects, or contribute to a number of clean water projects. Contact David Stanlee at dwstandlee@yahoo.com.. 9

14 Guidelines for District Elections A fundamental principle of Rotary is that the best qualified candidate should be selected for service in elective offices. The RI Bylaws prohibit any effort by a candidate, a candidate s supporter, or any Rotarian to influence the selection process in a positive or negative manner, including but not limited to campaigning or canvassing. The RI Board developed these guidelines to assist Rotarians in better understanding election procedures: For All Rotarians Review and comply with RI s election guidelines as explained in the following documents: RI Bylaws Articles 10, 12 and 13 Rotary Code of Policies: , , Avoid any actions designed to gain visibility, publicize candidate names and achievements, or give anyone an unfair advantage over another. Especially for Candidates Immediately express disapproval in writing of any campaigning activities undertaken on your behalf, asking for actions to cease. Do not respond in a similar manner to another candidate s improper activities. Do not communicate with or visit clubs involved in the election, except to fulfill necessary functions. If there are any concerns that a current assignment or a new assignment may give an appearance of campaigning, consult with the district governor. Routine performance of assigned activities is not a violation of Rotary s election policies. Celebration of Life James E. The meeting and the link to the registration is clearly noted on the site. Club executives can register everyone attending from their club in one easy step, but they must log-in to the site before the group registration link will appear on the registration page. You may pay when you arrive for the meeting. Important news that you might not have --- from the district website --- "ClubRunner enabled automatic database integration with Rotary International on November 1, This means that all member data updates (which your club chooses to share) will be automatically updated on Member Access at RI's Headquarter databases within 2 hours, without the need to send any notifications or enter the data via rotary.org. This is a powerful new tool for Rotarians to streamline reporting to Rotary International, but each club must opt-in on their own - we are not able to do this for them (by RI mandate). It is now time to update your Rotary club officers for the incoming year. According to your Rotary Club Bylaws, elections of club officers are to be held each year by 31 December and reported to Rotary International as soon as results are known. This year, all Rotary club officers are expected to report their incoming officers online using Member Access on the Rotary Website. Therefore, paper forms (known as Official Directory Data Forms) will no longer be sent to individual Rotary clubs. Information submitted through Member Access is automatically added to Rotary International database, and no additional follow up by postal mail or to Rotary Headquarters is necessary. Having this information on file at Rotary International is important to all Rotary clubs because data is used to update the upcoming Official Directory, and also for Semi-Annual Reports, invoices, and all other Rotary club mailings. With online reporting you will be able to enter and maintain: Current and incoming club officers (name and contact details) Club permanent mailing address Club phone, fax, , and website Club meeting details Select format that you want to receive the Official Directory (print, CD, online) 21

22 Presidents Corner Sit down and read a while. Mid-Term Grade. January marks the mid-year in Rotary and this is the time when you should review the progress of the club. Your club s progress or success is tied to the Presidential Citation Award that will be given at the district conference. Now is the time for you to review the criteria for the Presidential Citation. The criteria are found on Rotary International homepage (rotary.org) and on page 72 in the district directory. Please use the Presidential Citation program s score sheet to evaluate and correct any discovered deficiencies in club activities and share this information with the membership. Clubs should apply for the Presidential Citation by March 31. The certification form will be sent to you or given to you at the Mid-Year Meeting on February 5. Membership. Has your club reached its membership goal for the year? Has your club lost members since July 1? Our district membership goal is 150; therefore, your club should continue to recruit members. Foundation Contribution. Please make your Rotary Foundation contribution now. In addition to honoring your foundation commitment that you made earlier in the year, encourage individual members to become Paul Harris Fellows or to join the Paul Harris Society where they will donate $1,000 annually to the foundation. The district s Million Dollar goal is still in progress. Let s make it happen. Rotary House. Each club was asked in October to donate its good news earnings for that month to the Rotary House, the district s project of restoring an old Rotary building in Liberty from the 1930 s. Restoration has begun and when completed, the décor and staging will mirror a Rotary meeting, complete with artifacts. This house will provide much needed public relations about Rotary. It will be part of regular tours conducted of historic buildings on the grounds of the Sam Houston State Library in Liberty. Please send contributions to Rotary Friends, Inc. in care of Paul Henry, Liberty National Bank, P.O. Box 10109, Liberty District Conference. Registration is now open for the District Conference which will be held on April 28-May 1 in The Woodlands. Please register at rotary5910.org. Expect great sessions, food and fellowship, and outings. 22
