5 Introduction Welcome to the 2010 ICT Training Prospectus The ICT Training department is committed to providing high quality and relevant training to the IPHIS community. We pride ourselves on the delivery of our training in a friendly and professional manner. Along with the our extensive range of Desktop and Clinical systems training, we also deliver the Microsoft Office Specialist Certificate, which enables staff to obtain certification in a specific or group of Microsoft desktop applications. The department has been recognised by the Institute of IT Trainers for the last four years and in 2009 were pleased to be awarded with the IITT Gold Standard. This IITT endorsement is something we are very proud of and we therefore believe that we provide a service which is unrivalled in the local area. In this prospectus you will be able to see the courses we offer. Hopefully this should make it easy for you to find the course that you want and enable you to browse through others that you may not have even realised existed! 2010 sees the introduction of our Workshop courses. These provide students with a truly flexible and quiet environment in which to study our Blended Learning solution whilst still benefiting from having a tutor present to answer any questions you may have. Further details of our workshop sessions are provided later in this prospectus. Learning can be undertaken in a number of ways. Many courses are still available in the traditional classroom tutor lead format and we also still have a number of e-learning courses available on so there has never been so many ways to complete the course you need. 6 Who and what are IPHIS? IPHIS Information Technology is becoming an evermore integral part of our lives. It has obvious impacts on the way we live and conduct our day to day activities and chores, such as surfing the internet at home so we can book that much needed holiday or series linking the latest episode of your favourite new television drama. There are also subtle pieces of technology and computers that are hidden away that busily help you through your day with out you even noticing. Perhaps these could be your home Central Heating system, knowing when to switch on in the morning or perhaps they are inside your car, monitoring how efficiently you are driving or even quietly making note of tyre pressures ready to alert you if they need topping up with air. Our working lives are no different. This inescapable fact often leads to many people believing that Information Technology is a hindrance to their job. This feeling is sometimes disproportionately championed in the healthcare sector. Many other public sector workforces hold similar views to NHS staff, but ask your self this. Would Police Officers be able to work effectively if they could not instantly check vehicle and person details at the roadside? Would Fire and Rescue teams be able to search buildings as thoroughly without the latest thermal imaging equipment? Health Professionals are no different. As such, it is essential that your NHS Trust has a reliable and proactive IT infrastructure. For your Trust, this department is named IPHIS. IPHIS is a shared service that supports the local Portsmouth NHS services with their ICT requirements. You may know them as the IT department but IPHIS are much more than just an IT department. Unfortunately it is a sad fact that often peoples only exposure to their IT department occurs when something has gone wrong or they are being introduced to a new way of doing things. In many ways, it could be said that the less you know about your IT department the smoother things may be running for you. However, it is useful for you to know what goes into providing what we think is a comprehensive and leading part of the Trust you work in. As well as ICT Training, IPHIS also provide the following: Technical Services, Customer Support, Business Performance, The Programme Office, Development and Information Management & Governance. 6

7 A brief description of each of these departments is detailed below. IPHIS ICT Technical Services ICT Customer Support ICT Business Performance ICT Programme Office ICT Development ICT Information Management & Governance This department covers the basic day to day operations of IPHIS and their customers, this department includes the Desktops, GP support, Networks, Systems & Security teams Includes the Service Desk and is the first point of contact for customers with IT problems. This department also consists of the Clinical Application Support, Service Level Management & Service Support Departments This department is responsible for evaluating and analysing business costs, performance and ensuring that the ICT Department as a whole is run in a cost effective and efficient manner The Programme Office manages the delivery of any project based tasks whether they are internal or customer based. This includes Technical Implementation Officers, Business Analysts, Technical Architects, Programme and Project Support Office & Project Managers The ICT Development department deal with anything that involves programming including web based development work This department is responsible for Management Information Systems, Child Health, Electronic Care Records and Data Quality As you can see, there is probably far more that goes into an IT Department than you may have first thought. Working in partnership with Trust Departmental IT Leads and Management, IPHIS is able to advise and help implement new and exciting systems and assist in the changes in working that Departmental leads want. With the team structures and people within IPHIS, we believe that we provide an unparalleled service in the local area that can assist you in getting your job done and thereby getting our patients on the road back to health. 7

8 Blended Learning Workshops A new and flexible way to learn IPHIS The new workshop courses have been created as a result of ICT Training taking stock of the current working and financial climate and creating a solution that is both flexible for students and cost effective for our customer Trusts. Students will now be able to book into either an hour slot or for multiple hours at a time. Which ever suits you. The principle being that if your work area cannot release you due to working pressures, and they require you back as soon as possible you can simply study for an hour and be back on your ward or in your office as quickly as possible. The courses are essentially self study e-learning courses with educational games and audio contributing to the blended experience. An ICT Training tutor is also on hand to answer any questions should you find yourself stuck at any point. We believe this gives you a varied and fun way to learn which breaks away from the traditional chalk and talk way of teaching, and is unique amongst our colleagues within NHS South Central if not the NHS as a whole. Although not an exhaustive list by any means the courses below are available in workshop format with may others being added all the time. Check our website for an up to date list. 9 PAS General Courses PMI Basic PMI0 3.5 hours or Workshop Approximately 2-3 hours, Workshop and e-learning None, although keyboard skills advisable Clerical, Clinical and Administrative Staff The PMI Record holds general demographic details about a patient and an outline of any episodes of care occurring at hospitals within the Portsmouth/IOW area and Community Contacts/Services. The course will enable students to search for and identify specific patients and information. State their personal responsibilities for Data Protection and the Caldicott Principles. Log on and off of the PAS system. Find and select a Patient. Identify specific information, e.g. GP, NOK, and Casenote Number. Select specific episodes to identify information. View lists of current Inpatients. View lists of individual outpatient appointments. Select and print Documents. PMI Add & Revise (PMI1). Casenote Tracking (CNT) 9

10 PMI Add & Revise PMI1 IPHIS 3 hours or Workshop Approximately 2 hours, Workshop and e-learning PMI Basic (PMI0) Clerical, Clinical and Administrative Staff This course will show students how to enter a new patient onto the PAS system with full and accurate details, and how to update records for existing patients with new information. Students will also be shown how to view historical demographic information for a patient Identify when a patient is NOT on the PAS system and needs to be added. Add a new patient to the PAS system with all the patient s demographic details and casenote number. Revise an existing patient s details. Follow the correct rules & guidelines whenever adding or editing any patient information. View address, surname history, GP and GDP history for a patient. Identify specific information, e.g. GP, Casenote Number. Use the auto-post coding system to find addresses using several different methods. Deal with special case scenarios, e.g. No Fixed Abode & Military Patients PMI Basics (PMI0), Out Patient Management 1-8, Healthcare wide Scheduling Contacts (HC1), WL/PRE 10

11 Casenote Tracking 1 hour or Workshop up to 1 hour and Workshop PMI Basic (PMI0) Clerical, Clinical and Administrative Staff Casenote Tracking is a functionality that allows staff to view information on a set of patient s notes including where they are currently booked to, names of previous borrowers and the home location of the notes. It also includes the function to track notes on to another borrower or return them to file. Locate and identify the whereabouts of a set of a patient s casenotes. Transfer a set of casenotes to a new Borrower i.e. Ward/Department. Identify the search process to locate the correct Borrower codes. View a list of all casenotes currently tracked to a specified borrowers area. Loan a set of casenotes from file to a specified borrower (Specific areas e.g. HRL only). Return a set of casenotes to file - Specific areas e.g. HRL only. See course contents for a comprehensive list of the courses the ICT Training department provides 11

12 A&E Reception (AE2) 2 hours PMI Basic (PMI0) Emergency Department Reception Staff Attending this course will enable the student to record and monitor A&E activity. The student will also be introduced to the practice of recording treatments and outcomes. Correctly identify the A&E patient on the PAS system. Use the Patient Management function to record A&E activity. Track a patient into A&E Department recording basic details about the incident/complaint. Print off appropriate casualty documentation. Track a patient s journey through the A&E department i.e. triage, seen by Doctor(s), admission or discharge. Revise or delete the details of a patient s attendance at A&E. Record the treatments and outcomes for the patient. 12

13 Order Communications Social Services (Soc OCM) 3 hours None, although keyboard skills advisable Social Services Staff only The Patient Master Index holds general patient information. Attending this course will enable the student to revise the Status of a Social Services Referral using PAS in accordance with Trust requirements and Information Governance regulations. Display knowledge of their responsibilities for Data Protection and the Caldicott Principles. Log on and off of the PAS system. Find a select a Patient. Identify specific information e.g. GP, Casenote Number etc. Revise the status order of a referral. Reprint a referral. Select specific episodes to identify information. Attending this course will enable the student to revise the status of a referral, using PAS in accordance with Trust requirements and Information Governance regulations. Display knowledge of their responsibilities for Data Protection and the Caldicott Principles. Log on and off of the PAS system. Find a select a Patient. Identify specific information e.g. GP, Casenote Number etc. Revise the status order of a referral. Reprint a referral. Select specific episodes to identify information. 15 Order Communications Ward (OCMW) 2 hours PMI Basic (PMI0) Inpatient Nurses The Wards Function Set enables ward staff to place orders or make referrals to for patients. Access the Ward Function set within PAS. Select and print a relevant patient list. View patient orders (and referrals) and identify their status. Refer a patient to the Diabetic Nurse/District Nurse/Social Services. Follow Trust procedures to keep Social Services informed of patient progress. Apply procedures and techniques to other referrals. Make Paediatric referrals (Paediatric Nurses only). Inpatient Admissions (IPADM), Pathology (APEX), Radiology (RAD) 15

16 PAS Inpatient Courses Inpatient Clinics Outpatient Areas (IPCL OP) 3 hours PMI Add/Revise, OP Modules 3 & 5 Ward staff clerical & clinical Attending this course will enable the student to record and manage inpatient Pre Op Assessment appointment activity using PAS in accordance with Trust requirements and Information Governance regulations. Distinguish between Outpatient and Inpatient Appointment. Revise and delete appointment activity Cancel, rebook and reinstate cancelled appointments and be aware of the implications of these actions regarding Waiting List and Pre Admission activity. Record the outcomes of appointments. Follow procedure for recording action taken after a Did not attend (DNA) or a Cancel on the Day (CND) appointment. Record appointments that happened in the past. Use enquiry functions to assist with the management of Inpatient clinics. Use the Inpatient Reporting facility to help assist and manage the effectiveness of Inpatient appointment recording. 16

17 Inpatient Clinics Waiting List Areas (IPCL WL) IPHIS 5 hours PMI Add/Revise, Waiting List & Pre Admission Level3 Ward staff clerical & clinical Attending this course will enable the student to record and manage Inpatient Pre Op Assessment appointment activity using PAS in accordance with Trust requirements and Information Governance regulations. Book an inpatient appointment to a Waiting List or Pre Admission episode. Distinguish between Outpatient and Inpatient Appointments. Revise and delete appointment activity. Cancel, rebook and reinstate cancelled appointments and beware of the implications of these actions regarding Waiting List and Pre Admission activity. Record the outcomes of appointments. Follow procedure for recording action taken after a Did not attend (DNA) or a Cancel on the Day (CND) appointment. Record appointments that happened in the past. 18 Inpatient Transfers, Suspensions and Discharges (IPTSD) IPHIS 3 hours PMI Basic (PMI0) Ward staff clerical & clinical The course will enable students to search and identify specific patients and information. Students will be able to record patient Transfers, Suspensions and Discharges. Transfer a patient to a different ward and/or consultant, speciality, category. Transfer casenotes during the patient transfer. Respond correctly to additional prompts when transferring a patient to Department of Critical Care. Record a joint consultant on the patient s admission. Complete a patient suspension and readmission. Discharge a patient to a minimum of three different locations. Respond correctly to the referral to treatment prompt when discharging a patient on an 18 week pathway. Revise/Correct/Delete details of transfers, suspensions and discharges. Revise/Correct/Delete Referral to Treatment information. Transfer and Discharge patients who are admitted under a mental health speciality (Mental Health Staff only) Ward Attender Function (WAF) 18

19 Inpatient Admissions (IPADM) 3 hours PMI Add and Revise (PMI1) Ward staff clerical & clinical The aim of this session is to give students the ability to admit patients from a number of referral sources and locations and to refresh PMI add and Revise skills Identify the difference between an Emergency Admission and an Elective Admission. Admit an emergency/trauma patient from a minimum of three referral sources (GP,A&E and other Hospital). Admit an elective patient. Respond correctly to the 18 week Monitoring prompt when admitting a patient. Revise/Correct/Delete details of admissions. Revise/Correct/Delete details of an 18 week pathway. Admit a patient to a mental Health speciality (Mental Health Staff Only) 19

Record and manage a Waiting List suspension. Record and manage a Waiting List cancellation. Utilise Waiting List enquiry functions. Identify and understand Waiting List activity. 22 PAS Outpatient Courses Outpatient View Only Functions (OPM1) IPHIS e-learning 1 hour e-learning only PMI Basic (PMI0) Admin and clerical staff working in an outpatient area where clinics are consultant led; who need to view outpatient activity This course will equip the student with the ability to use and understand the view only functions within the outpatient function set Display and describe consultant/clinic diaries. Display and describe lists of cancelled or suspended clinics on a given date. Identify and confirm patients from a cancelled clinic who s appointments have not been rebooked. Produce a list of documentation printed from PAS relating to an outpatient episode and describe the details within. 23 Referrals and Outpatient Waiting Lists Pre-Learning (OPM2) IPHIS e-learning 1 hour e-learning only Outpatient View Only Functions (OPM1) Administration and Clerical staff working in an outpatient area where clinics are consultant led; who need to record the outpatient registrations and manage outpatient waiting lists. This course will prepare the student for classroom based training with an understanding of information and practices relating to managing outpatient referrals and waiting lists. Display and describe outpatient activity within Episode Enquiry. Display and describe waiting list activity within Appointment Enquiry. Implement appropriate protocol for managing outpatient referrals. Describe aspects of policy for outpatient waiting lists. Display and manage lists of patients on a given waiting list. Print a batch of letters to patients due for appointment. This course will prepare the student for classroom based training with an understanding of information and practices relating to managing outpatient appointments Display and describe appointment activity within Episode and Appointment Enquiries. Identify when an appointment needs to be booked from a waiting list. Describe a number of appointment types and when they might be used. Attending this course will enable the student to record and manage outpatient appointment activity using PAS in accordance with Trust requirements and Information Governance regulations Book an outpatient appointment. Revise and delete appointment activity. Describe the circumstances for using Book from Waiting List (BWL) and Follow Up Book Appointment (FBA) and the consequences of using the wrong function. Cancel, rebook and reinstate cancelled appointments. Record the outcomes of appointments (attendances and disposals). Follow procedure for recording action taken after a DNA or an appointment cancelled on the day. Discharge a patient from clinic and delete the discharge activity. Use the function RBA to manage referrals, waiting list activity and appointments. Use the function TOA to record a past appointment activity and take on appointments for new clinics. Use the function TBA to offer appointment slots prior to selecting the patient and referral/adding the referral. 28 Outpatient Clinic Management (OPM7) 2.5 hours Managing Outpatient Appointments (OPM5) Reception staff working in an outpatient area where clinics are consultant led Attending this course will show the student how to record and manage outpatient activity through Clinic Management functionality in accordance with Trust requirements and Information Governance regulations. Display a clinic list and use it to manage and record outpatient appointment activity. Select a patient not on the clinic list and record outpatient activity on that record. Record the referral and book the appointment for a Walk In Patient. Book appointments for Ward Follow Up patients. 29 Outpatient Reports (OPM8) e-learning 15 Mins e-learning only PMI Basic (PMI0) Administration and Clerical staff who need to produce reports and documentation relating to Outpatient and Inpatient Clinic activity Provide the student with an overview of the reports available within OPR. Enable the student to request reports for printing and to understand the available options for requests. Request and print out appropriate reports. Display knowledge of the many reports available in the Outpatient Reports function. Demonstrate best practice in Information Governance with regard to outpatient activity and patient data. 30 Outpatient & Healthcare Diary Maintenance (ODM) & (HDM) 3 hours Outpatients or Healthcare Clinicians, Administration and Clerical staff working in an Outpatient area who maintain the templates for their clinics This course will enable the student to create, revise and manage the templates for their Clinics. Create a new Consultant /Clinician Template. Manage patients on a clinic prior to any changes. Revise an existing Template. Create ad hoc templates. Cancel Clinics. Cancel clinic Timeslots. Reinstate clinic timeslots. 30

31 Healthcare Wide Scheduling Contacts (HC1) 3 hours PMI Add and Revise (PMI1) All staff Clerical and Clinical within a Healthcare Environment This functionality will allow you to record patients that have been referred to a specific Service, Clinician or an agreed Generic Area Code plus details of their contacts and the outcomes of these visits. State the personal responsibilities for Data Protection and the Caldicott Principles. Log on and off of the PAS system. Search for Patient. Record a Referral. Record Contacts. View Episodes & Contacts. Revise Referrals & Contacts. Use Delete Functions. Diary Maintenance 31

The ICT Training e-learning is accessed via the Moodle website and allows staff to complete their learning both at work and at home. A full list of the available e-learning courses is listed below. 66 Kirkpatrick Assessments What is a Kirkpatrick Assessment? IPHIS Kirkpatrick is a process of checking that quality learning has taken place. It can be related to most learning experiences to check that knowledge has been retained and that it is being employed correctly. There are four main types of Kirkpatrick evaluation: Reaction of student - what they thought and felt about the training Learning - the resulting increase in knowledge or capability Behaviour - extent of behaviour and capability improvement and implementation/application Results - the effects on the business or environment resulting from the trainee's performance In order to ensure the highest standards of ICT training within the IPHIS community, we have introduced working methods that will operate within the Kirkpatrick Framework at level four - Results. This essentially means that the ICT Training Department will be in a position to monitor and facilitate the removal of learning gaps pre & post contact with a student. There are two paths in which the ICT Training Department can monitor student progress. Business as Usual (BAU) Tracking Information Governance/Data Quality Alert 66

67 Business as Usual (BAU) Tracking IPHIS The BAU pathway will firstly assess whether the student is ready for a particular course. This will utilise the ICT Training Department s online Training Needs Analysis which will identify if a student has any weaknesses in certain areas of operating a PC. This is not a definitive test but seeks to quickly recognise if the student will benefit from some Basic IT Skills training prior to their course. Once the Student has completed their course the appropriate end of course assessment will be conducted and depending on whether they pass or fail the exercise they will be issued with their log in details or asked to attend a refresher workshop. To ensure continued engagement with the students, 6-10 weeks after their course, one in ten will be assessed in the workplace and the other nine will be required to complete an online assessment. The results of which will be fed back to their line manager. The purpose of this is to ensure that best practice is maintained and not disregarded after their course in favour of counter productive shortcuts and bad habits that can often develop in the workplace. Once the student has successfully completed this process they exit the Kirkpatrick framework and the onus to maintain their quality of work falls solely to their line manager. If the student is unsuccessful in their 6-10 week assessment they will be required to attend the refresher workshop. 67

68 Information Governance/Data Quality Alert This pathway is a more streamlined but arguably the more crucial part of the ICT Training Department s Kirkpatrick process. In partnership with the ICT Data Quality Department, users who create a certain number (typically 3, but may vary) of duplicate patient records on the Patient Administration System in one month, will be required to be assessed in their workplace. An ICT Training Learning Support Officer will work with the user having agreed a time with their line manager and will go through a number of exercises as described above in the BAU process. Having observed how the users trace and enter patients onto PAS, it may be necessary to invite the users onto a PAS Refresher Workshop. If the user does not successfully complete the assessment at the end of the Workshop they will be invited to attend a 1-1 coaching session(s) where they will eventually be required to take the workshop assessment again. If the user does not successfully pass for a second time, their line manager will be notified and the possibility of involving HR to review user capability may be considered.
