6 2013 Committee Job Descriptions and Members *lead role of committees BOARD OF TRUSTEES Trustees are leaders of Washington State s natural resource industries and rural communities. Trustees oversee the Foundation s business, fund raise, support foundation programs and ensure the Foundation operates in a sound fiscal manner. Meeting Schedule: Meetings are held in March, June, September and November. MEMBERS ARE LEADERS IN THE NATURAL RESOURCES COMMUNITY Terms: Council members serve at the direction of the Board of Trustees. FINANCE COMMITTEE Comprised of members of the Board of Trustees as appointed by the Board Chair, the committee addresses the financial accounting, audit and investment matters pertaining to the Foundation, and develops financial plans in line with the strategic plan of the foundation. Meeting Schedule: Meetings are set as needed by the Board Chair or by staff request. 7 SUCCESSION PLANNING COMMITTEE The Succession Planning Committee is comprised of the Executive Committee members and others as appointed by the Board Chair. The committee plans for the succession of the president and program directors. Meeting Schedule: Meetings are called by the Board Chair as needed. The committee meets on annually to assure plan continuance and smooth operations. The committee develops a roster of nominations for the Board of Trustees and the officers. The Board of Trustee members vote on the officer nominations at the Foundation s Annual Meeting, and Board Members are elected by ballot. Meeting Schedule: Meetings are set at the direction of the Chair in cooperation with foundation staff. MEMBERS ARE APPOINTED BY THE CHAIR Terms: The committee members are appointed annually. SELECTION COMMITTEE The Selection Committee is composed of the six Area Conveners, one from each geographical area. The State Selection Chair is appointed by the Board Chair. The committee functions to organize and carry out the personal interview process for each candidate that applies to the Leadership Program. Meeting Schedule: Meetings are set by foundation staff for area interviews and statewide selection of participants. *Chuck Podlich, Chair MEMBERS ARE SELECTED ON AN ANNUAL BASIS Terms: The Area Conveners serve a maximum of three years and the State Selection Chair serves at the pleasure of the Board of Trustees. ACADEMIC COUNCIL The Academic Council oversees the development and evaluation of the program curriculum to assure a powerful and leading-edge experience for participants that fulfills the leadership needs of the industry and communities. Meeting Schedule: Meetings are held in May and August. 8 OUTREACH COMMITTEE The Outreach Committee develops short and long-range plans for outreach to the community, alumni, and the AgForestry network to promote the Leadership Program. Plans include the website, Facebook, and such other avenues as determined by the committee. The committee also addresses the cultivation of the donor base. A separate Alumni Council serves the alumni network and coordinates its activities with the Foundation marketing plan. Meeting Schedule: Meetings are set by the committee. The committee concentrates on annual giving strategies, schedules and engagement of Board members in the fundraising efforts. Separate sub-committees will be formed to address each event that is conducted. These sub-committees will coordinate their activities in-line with the overall fundraising strategies of the Foundation to assure a coordinated approach in contacting all donors and sponsors. 10 Responsibilities of Seminar Coordinators The seminar coordinator is a key individual in making a seminar successful. The seminar coordinator is vital in assuring a professional relationship exists between the leadership program and the institution or business. THE SEMINAR COORDINATOR SHOULD: 1. Work with the AgForestry network to recruit resource people. 2. Arrange speakers, panels and field trips that challenge the participants thinking and learning processes. 3. Provide each speaker with information on the leadership program. Assure the speaker is aware of the type of group he/she is addressing. Inform each speaker that a minimum of 20 minutes of Question and Answer time is required for each hour of presentation. Request a short autobiography from each speaker. 4. Provide the preliminary agenda for the seminar to the Foundation office three weeks prior to the seminar. Complete the final agenda as well as names and contact information for the speakers to the Foundation office one week prior to the seminar. 5. Touch base with speakers immediately prior to the seminar to confirm their commitment to the seminar. 6. If the seminar is held at an institution of higher learning or a business, make sure the participants are welcomed to the institution or business. A welcome by the President or their representative is encouraged. Provide information on the sponsoring institution or business. 7. Open the seminar with a brief review of the agenda and how this seminar ties into the total curriculum. It is helpful to state what topics will be discussed during the seminar. 8. Close each seminar with a thirty-minute "Review of Key Learnings" session to tie the seminar together. 9. Review seminar evaluations and adjust the seminar appropriately.
