Minutes of the December 5, 2017 Meeting I. Dr. Tena Roepke called the meeting to order at 11:01 AM. II. Invocation was offered by Kathie Fleck. III. Minutes from October 24, 2017 were approved. IV. Unfinished Business: None. V Fall Term Graduates need approval (Melanie Hough): I would like to request a motion for the approval of the Fall 2017 prospective graduates as sent out via to faculty on Nov. 20, with additions ed to faculty on Dec. 1. One additional student has been approved for graduation in the Dicke College of Business: Abeni Balogun with a BSBA in Management a Fall Term Graduates were approved. Q: Does that include the five Masters students? A: Yes, since their names were included in the . The only group not included where upcoming graduates from the College of Law because they are voted on by their faculty. VI. VII. VIII. Honorary Degree recommendations were approved (Mark Cruea) a. See Attachment 1 in the Agenda or Attachment 1 in these notes for detailed information and biographies for the following: i. Daniel Walker ii. Terry Keiser iii. Alfred Cohoe Report from University Council (Jeff Allison): a. The Council voted on two motions. First, they voted to make post-graduate students eligible for the Dean s List, as there are so many post-graduate students on campus now. This was unanimous. The second vote was also unanimous and it establishes a separate course for research independent study, which was discussed in detail at the last faculty meeting. Students can receive up to 6 credits towards graduation. These hours are outside of any capstone research hours. b. As new business, Forrest Clingerman brought forth information regarding voting for at-large members of university committees. He will propose electronically voting for the at-large positions in Reports from Constitutional Committees: a. Budget & Appropriations (Kathie Fleck): This committee has concluded their meetings for the year. Beginning next year, their meetings will move to Tuesdays at 4pm. As a reminder, the budget forum tomorrow with two sessions, one from 9:30 to 11:00am and one from 3:00 4:30pm. Both are in the Dicke Forum Room.
b. Academic Affairs Committee (Steve Leonard): They are working on the FAQ sheet for a possible J term, including answers about possible changes to the calendar. c. Student Activities (Tena Roepke): They will meet once more before break to review student group applications. d. Personnel Committee (Kirsten Osbun-Manley): no report. IX. Reports from Operational Committees: a. Athletic Events (Tom Simmons): no report b. Cultural Events: Cultural Affairs will meet Friday, December 8 at 9am at the Freed Center if anyone has any applications. c. International Affairs (Lynda Nyce): The committee met on November 2 nd and meets again December 7. They are reviewing the summary of International Strategic Enrollment Plan, with discussions around academic support for international students and recruitment. Rosie Edmond recently traveled to China, visiting 10 cities in 7 days. Another group is going to DC soon to visit various embassies to build relationships. A recent report found that there has been a 3% decline of international students coming to the US for the first time in 12 years. ONU s numbers remain constant. d. Religious Affairs (Forrest Clingerman): The committee met about the new Law School student group that was discussed at the last faculty meeting and the group was approved by the committee. They are now discussing the invocation at faculty meetings to make it inclusive and welcoming to all. They will be responsible for picking the faculty member tasked with the invocation at future faculty meetings. Contact Chaplain MacDonald if you are interested in giving the invocation. e. Information Technology (Jeff Rieman): They recently met to discuss the use of TVs vs. projectors in the classroom. They are considering utilizing Microsoft Surface tablets to replace the functionality the current white boards offer. They are initiating a new program for students. The students can apply to try out new technology in the classroom and provide feedback to IT about their experience (e.g. using a tablet instead of paper for taking notes). X. Other Reports: a. Forrest Clingerman: He is part of a group of 24 faculty that would like to see atlarge, university committee members elected electronically instead of the using the traditional paper ballot. This will hopefully improve the process and committees because voting faculty can choose based on more information. This requires two changes in the Constitution. First, a change from in-person ballots to electronic ballots is required. Second, because more space would be available, it would allow candidates a chance to give their biography and reason for running. If you want to add your name to the list for this effort, contact Forrest. This will
be presented as new business and open for discussion during the January faculty meeting. Then, faculty will vote on this issue at the February meeting. If you would like more information, or to see the exact proposal, contact Forrest. b. Lynda Nyce: Faculty travelling internationally are asked to please use the Academic Affairs website to notify ONU of the travel. In addition to Academic Affairs asking for your help, IT also asks that you fill out the form on the website. When faculty and staff travel internationally, and then log into ONU , it triggers an investigation because it looks unusual. To aid the investigations, register yourself on the website; otherwise, your may be locked. Faculty can use this site for professional and personal travel, especially if you plan to access your ONU . This helps Academic Affairs with managing travel and reports, assessing risks, and is in compliance with insurance coverage needs. If you travel internationally, you have access to travel insurance via ONU. Q: What about students, should they worry about their account being locked? A: IT would do some investigating before blocking their . If they are traveling internationally through an ONU program or have an international permanent address, their information should be recorded already. c. Julie Hurtig: All three speakers for Spring Commencement have been chosen and all three are alumni from ONU. For the undergraduate commencement, Carey Smith, an engineering alumna and president of the Federal Group of Parsons Corporation, will be the featured speaker. For the College of Law, Jessica Price Smith, a US Bankruptcy Court judge and alumna of the law school, will be speaking. Timothy Tracy, an alumnus of the pharmacy college and now CEO of Aprecia Pharmaceuticals, will speak at Pharmacy s ceremony. New tax policy is being reviewed, discussed, and passed by committees in Congress. If you have concerns about the implications to us at the University, you are encouraged to write your Congressperson. Q: Is our endowment small enough not be affected by the new plan? A: Shannon Spencer and Bill Ballard are tracking these changes in the tax law, but yes, our per student endowment falls below the limit. Human Resources needs to track people providing labor services who are on campus but are not traditional employees or students usually on campus. This includes guest artists, camp volunteers, guest lecturers, techs working on equipment, etc. HR needs this to comply with ONU s risk policy. People coming
to campus for a scheduled event need to be tracked and registered and need to provide basic information to ONU. We also need to collect emergency contact information, just in case something occurs. A simple, short Google Form will be available soon for people scheduled to come to campus. It asks questions like when they will be at ONU, where they will be on campus, what tasks are they doing, and emergency contact information. Q: On the Google Form, is one question whether or not the guest is an alumnus? A: Yes Q: Can I, as the person inviting a guest to campus, fill it out for them? A: You can, but keep in mind you need to know their emergency contacts. Also, some guests require access to the P drive, etc. and so passwords are given. Q: Does this apply to anyone visiting campus? A: This is not for prospective students and parents, or alumni visiting campus. This is for those providing labor services, paid or unpaid. Q: Can guests reuse the form if they come back? A: No, they will need to fill it out again. As a reminder, please use self-service banner to update your own personal contact information and review your emergency contact information. As another reminder, please use the Travel Absence form whenever faculty are not meeting with students in the classroom. It is also available on the Academic Affairs website, on the same link as the International Travel form. Q: Does that form cover absences, canceled classes? A: This form should be used for that as well, but Julie will need to update the form to better reflect this. Q: Does this apply to students away from the classroom taking an online exam? A: If you, the instructor, are on campus and you can account for the students, then this form is not necessary. XI. New Business: None.
XII. XIII. Announcements: a. Tena Roepke: The budget forum is tomorrow. There are two sessions, one from 9:30 to 11:00am and one from 3:00 4:30pm. Both are in the Dicke Forum Room. The Holiday Party is Friday, December 8 from 3:30 to 6:00pm in the Ballroom at McIntosh Center. b. Travis Jürgens: This Sunday at 4pm at the Freed Center, the symphony will be celebrating the Music Department s 90 th year. c. Bradley Wile: Please encourage students to submit their great work to the ONU Place Award. Applications are due December 15. Contact Jennifer Moore or Bradley Wile with questions. d. David Kosmyna: The ONU Jazz Ensemble and Jazz Combo will be performing their Fall program Thursday, Dec. 5 at 7:30pm in the Bear Cave. Adjournment: The meeting adjourned at 11:42 AM. Submitted by, Katy Rossiter Secretary
