2 Introduction Discussion. The establishment of an NSCC/NLCC Online Testing System (NOTS) will allow our units to complete NSCC/NLCC Exams to advance in rate within the NSCC/NLCC. Each unit must designate at least one, with a maximum of three unit adults to serve as Unit Exam Administrator s (UEA s). The UEAs will administer procedures within each unit for control of the cadet exams. Purpose. This manual is intended to provide step-by-step instructions for the UEA. Procedures to obtain a UEA username and password, enroll cadets/adults, grade courses, print completion certificates, and print unit summary reports will be covered in detail. It is extremely important to follow these procedures explicitly and without deviation, paying close attention to detail. This manual should be read in its entirety before attempting to use the NOTS. Resources. If UEAs are having problems, please reach out for help. An to nots@seacadets.org with questions or problems can be resolved within 48 hours. We are providing an exam procedure that is in the best interest of the cadet and holding the integrity of the U.S. Naval Sea Cadet Corps.

3 Responsibilities General. Each member in the chain of command has a position of responsibility to ensure the success and integrity of the NSCC/NLCC Online Testing System (NOTS). National Headquarters Administer and maintain the NSCC/NLCC Online Testing System (NOTS). Provide technical and administrative support via (nots@seacadets.org) Unit Commanding Officer Oversee overall unit exam administration. Assign one with a maximum of three Unit adults to serve as Unit Exam Administrators (UEA) Unit Exam Administrator Assigned by Unit Commanding Officer Manage and Maintain the integrity of NOTS Ensure the cadets are enrolled in the proper exams Provide training to cadets on how to take an advancement exam Monitor cadet progress and ensure cadets complete exams in a timely manner NSCC/NLCC Cadets Coordinate with Unit to register for exam Can ONLY be enrolled in one exam at a time Study and complete advancement exam using NOTS in a timely manner with integrity in mind.

5 Unit Registration for NOTS UNIT IDENTIFICATION CODE: Each NSCC Division, Squadron, Battalion and NLCC Training Ship has a unique Unit Identification Code assigned by National Headquarters. This six digit code is comprised of three numbers denoting the region, and three letters identifying the unit (example: 000NHQ). This number remains the same throughout the existence of the unit unless there is a regional realignment or name change. All NSCC/NLCC units will use their UIC for identification in the NOTS. NOTE: Newly formed units must wait until they receive their official UIC from NHQ before attempting to register for a NOTS UEA account or enroll cadets in exams. UNIT EXAM ADMINISTRATOR (UEA) ACCOUNT: Commanding Officers are required to perform the following: 1. Send an to nots@seacadets.org with the following information: a) Unit Name (Example National Headquarters Battalion) b) Unit UIC (Example: 000NHQ) c) Name of each UEA, telephone number and address 2. Ensure that the address of the UEA is correct. If the UEA is incorrect they will not have the ability to receive registration instructions. 3) In the event that a new Unit UEA is required, the Commanding Officer must send an to nots@seacadets.org, with above information and which old UEA is to be removed if new UEA will place unit with more than three UEAs. Once NOTS receives registration by Commanding Officer, NOTS will established account within two business days. UEAs will receive an notification with their login information and password. UEA s should not try to access the system without confirmation from NOTS. Once UEAs receive confirmation they may proceed to login site found at: NSCC/NLCC Online Testing System (NOTS) 5

6 Unit Exam Administrator (UEA) UEA User Actions: Once login authorization has been received, the new UEA will login NSCC/NLCC Online Testing System (NOTS) Once logged in the UEA can modify Unit Classroom Your Classroom by clicking on the Administration link located in the upper right hand corner of the screen. Once in the administration screen, UEA can change their password and update their personal information by highlighting their name under Users and clicking Blue Tab labeled Edit Info 6

7 Cadet Exam Requirements This section will address enrolling a cadet into the system and registering them for an exam. The following exams are administered through NOTS: NSCC: NLCC: a. Petty Officer Third Class Exam a. Apprentice Cadet Exam b. Petty Officer Second Class Exam b. Able Cadet Exam c. Petty Officer First Class Exam c. Petty Officer Third Class Exam d. Petty Officer Second Class Exam e. Petty Officer First Class Exam Cadets can only be enrolled in one exam at a time. Sufficient study time between exams is highly recommended. UEA can assign or remove exams at anytime using NOTS. 7

8 Cadet Registration Three Step process to enroll a cadet(s) into NOTS Select blue tab Add New Users STEP 1: Enter Cadet First Name.Cadet Last Name. (Example: John.Smith). This will established Cadet Login ID (Username). You can enter the entire unit cadet names at one time and then add others as they enroll in unit. You may have to add a middle initial if you have cadets with the same first and last name. Click next when complete. STEP 2: Add users to your Group (Unit UIC). You must place a check in your Unit Group or cadets will not be assigned to your unit. Click next when Unit is selected. STEP 3: Confirmation screen will be received once step 1 and 2 above are completed. Click Done after confirmation review. 8

9 Edit Cadet Records Edit Cadet personal information and register for exam STEP 1: You must edit personal information for each cadet. The NAME field is most important. The completion certificate pulls from this box for name on certificate. Failure to edit Name will leave a blank name on completion certificate STEP 2: Assign each Cadet an Exam. Click on Quiz and select current exam for cadet to take. NOTE: Some cadets may have already completed exams through POTS system so their first exam on NOTS may not be NLCC Apprentice or NSCC PO3. address is not required for cadets to use NOTS Once cadet information has been updated and an exam assigned, click Save Info. Repeat for each new cadet. 9

10 Send Cadet Username and Password 1 of 2 options for cadet to receive login information OPTION 1: cadet (user) directly from NOTS if listed in cadet profile. Click the User white button. An pop up window will appear with an address from UEA to cadet. This will direct the cadet to the login location to take exam, user name and password to login. OPTION 2: For cadets who do not have s you will need to call to provide user name and password. Username = ID (FirstName.LastName). In order to provide password you must change in cadet record. Click the Change Password link. Enter a new password twice and click change password blue button. Provide this username and password to cadet. 10

11 How Cadets Take an Exam Online Step 1 Cadet Login: Unit Exam Administrator will prepare time/place for cadet to take exam. Parent proctored at home is authorized. Cadets will login into site using cadet user id and password provided by UEA. NSCC/NLCC Online Testing System (NOTS) Step 2 - OPEN: The system is now ready for the cadet to take the test. The cadet must click on open to begin. 11

12 How Cadets Take an Exam Online Step 3 - START: Once exam is opened and cadet is ready, select start to begin exam Step 4 - EXAM After Starting exam, a new window will open with one exam question per page. Navy League Cadets have 30 minutes to answer 25 random questions for NLCC exams Naval Sea Cadets have 60 minutes to answer 100 random questions for NSCC exams. 13 Exam Results EXAM COMPLETED Once cadet completes exam they will receive one of two screens. If they passed, the screen will show them a Completion Certificate (UEA will download Certificate from administration page). If cadet did not pass exam they will receive a pop-up with their score. The UEA will determine when cadet is able to take exam again by removing exam from cadet profile or leaving in profile for retake. 14 Exam Completion Certificates Print an exam completion certificate using the following steps. STEP 1: Select Group Tab STEP 2: Select Completed Report link STEP 3: A pdf exam completion certificate will be available to download and print by selecting view under certificate heading. File copy of completion certificate in cadet service record. Record passing exam score and date in Magellan for each cadet passing an exam. 14
