Contents of this guide This guide is intended for use by IT staff during the planning and execution of GlobalMeet product deployment. This document covers the options for deploying the software and Internet-based services related to GlobalMeet personal web conferencing. It contains the following sections. 6 About GlobalMeet GlobalMeet 5 is a completely new personal web conferencing service, built from the ground up using HTML5 and webrtc. GlobalMeet s interface was designed with iterative customer feedback and thorough user testing, ensuring the platform is easy-to-use and your meetings are productive and engaging. GlobalMeet 5 is the default meeting experience for new customers. Existing GlobalMeet 4 users can switch their meeting rooms to the new meeting experience via a toggle in Meeting Settings. Meeting features Host and attend meetings in Chrome or Internet Explorer 11 browsers, and GlobalMeet desktop and mobile apps. Connect audio. Connect to meeting audio via VoIP audio, dial-out, or dial-in. Change audio connection during the meeting. Connection options can be set at the enterprise level. Screen share. Share an application window or your whole monitor; guests can follow along in browser, desktop apps, and Android meetings app. Host can promote guests to presenter role, enabling them to screen share and manage other guests audio. Recordings. Capture a high-quality video of your meeting, including the Meeting panel, Chat, and any webcams or screens being shared in the room. Webcam. Share your webcam; view up to six webcams on stage. Not supported on mobile. Active talker shows name of person speaking and highlights the video stream (webcam), if applicable. Public Chat. Not supported on mobile. All users can copy meeting information (URL, access numbers, and passcode). Help & Support. 7 About GlobalMeet Desktop app Available for Mac and Windows computers. GlobalMeet account not required. Launch a meeting. GlobalMeet account holders can host their own meetings and join other GlobalMeet meetings via URL or company search. Guests without accounts can join GlobalMeet meetings via URL. > Apps save recently attended meetings; click to join again. > Support both GlobalMeet 5 and GlobalMeet 4 meeting rooms (hosting and attending). Share meeting information. Hosts can copy meeting URL, access numbers, and passcode to clipboard. Settings. Hosts can access Meeting Settings (manage web and audio meeting features, change password, update profile). An organization can choose to display a Labs section in Settings. The Labs section contains settings that allow users to preview features that are in development, before they are released. Help & Support. Options for interacting with GlobalMeet Support agents (live chat, , or via phone); access the GlobalMeet 5 support site, and download GlobalMeet apps. Mobile apps Available for Android smartphones and Apple ios devices. GlobalMeet account not required. Launch a meeting. 8 About GlobalMeet GlobalMeet for Outlook GlobalMeet for Outlook lets hosts start a web or phone-only meeting, schedule meetings and track meeting invitations via the Microsoft Outlook calendar, customize meeting invitations, and upload files to the web meeting file library. There are two versions of GlobalMeet for Outlook: A COM add-in version for Windows (the GlobalMeet toolbar) An Outlook add-in for Mac, Windows, and Outlook Web App (the GlobalMeet Outlook add-in) Review the system requirements to determine which version is right for your users. Language support GlobalMeet supports English, French, German, and Dutch. Hosts and guests can attend meetings and use the desktop and mobile apps in any of these languages. On a browser or mobile device, if GlobalMeet detects the user s language is set to a supported language, it automatically switches to that language. Desktop app users can select a language on the Settings tab. When you start or join a meeting, the meeting room is opened in the selected language. June 27, 2018 GlobalMeet 5 Deployment Guide 7

9 Network considerations Deployment of any Internet-based service requires consideration of the impact to the network. GlobalMeet is an HTML5 web application that is designed to minimize the impact to corporate networks. This section includes: Ports and protocols that must be open Browser and proxy server requirements Domains that must be whitelisted and accessible from your network. Bandwidth considerations metrics for estimating usage based on typical meeting activities like Screen share, sharing webcam, and VoIP audio. If you have GlobalMeet 4 users, make sure that your network meets the requirements set out in the GlobalMeet Deployment Guide. Network traffic All traffic between the GlobalMeet clients (browser, desktop, and mobile apps) and GlobalMeet servers requires outbound access via the TLS 1.2 and SNI protocols on TCP port 443. This access is required for globalmeet.com, as well as all child domains (*.globalmeet.com; for example, yoursite.globalmeet.com). Because GlobalMeet was designed to be highly scalable, PGi cannot easily explicitly identify all server names that are used by GlobalMeet. PGi is experienced in working with enterprise IT organizations to find reasonable ways to work with network security issues. Please contact PGi Sales if you anticipate having difficulties with GlobalMeet connectivity due to unusually restrictive network security policies. Note about network quality Networks are highly variable. Overall end-to-end latency and jitter will affect your users meeting experience. Please ensure that latency and jitter are as low and stable as possible. Ports and protocols Your network must allow: TCP, UDP, and WebSocket protocols Communication on ports 443, 8045, and 9501 VoIP audio requires ports 5060, 5070, (UDP) webrtc screen share and webcam components require ports 443 (TCP) and 10,000-19,999 (UDP). Allow outbound connections to all IP addresses for the port ranges specified. June 27, 2018 GlobalMeet 5 Deployment Guide 8

10 Network considerations NOTE: If UDP is blocked, communication will fall back to TCP 443, with an initial delay of up to 30 seconds while the connection is made. In addition, transfer speed for TCP is slower than UDP, which raises the possibility of reduced performance in the meeting. Browser and proxy considerations Browsers and proxies must support TLS 1.2 and SNI. For the best user experience, we recommend that proxies support HTTP/2. GlobalMeet requires WebSocket support for proper functioning. If WebSocket connections are blocked for your enterprise, GlobalMeet apps and meetings will not function properly when accessed via your company network or Wi-Fi. Firewall transversal In general, GlobalMeet is very firewall friendly and even works well with clients behind most enterprise web proxies. Please note that web proxies can introduce variable latency for streaming media such as VoIP audio, webcam, and screen sharing. Networks that restrict or proxy port 443 in different ways may cause performance problems. One common issue is that firewalls are set to de-prioritize 443 streams. Our recommendation is unrestricted access to port 443. Required domains Your network must allow inbound and outbound communications to the domains and all child subdomains identified in this section. 12 Network considerations VoIP audio bandwidth GlobalMeet has different versions of its VoIP audio component: standard VoIP audio and HD Dolby audio. Your audio bandwidth requirements will vary, depending on the VoIP audio product associated with your implementation. Standard VoIP audio uses the older G.711 audio codec, which has a higher bandwidth requirement than HD Dolby audio. Notes: HD Dolby audio is currently available in North America only. Currently, HD Dolby audio is supported on the GlobalMeet mobile apps; support in the desktop apps is in development. Updated bandwidth estimates will be provided in a future release of this guide. Estimating webcam streaming needs GlobalMeet webcam video resolution is 720p. GlobalMeet automatically adjusts the resolution based on network connection speed. GlobalMeet can display six webcams on stage at one time; every user viewing those streamed videos requires 6 Mbps downstream. Every user sharing a webcam consumes 1 Mbps upstream, regardless of whether their webcams are on stage. One user sharing their webcam and viewing six other users' webcams will consume 1 Mbps upstream and 6 Mbps downstream. If you have 20 users on the same network (for example, at their office desks), and all users are sharing webcam, your network will need to support 20 Mbps upstream and 120 Mbps downstream. 13 System requirements You can host or attend a GlobalMeet 5.0 meeting in a web browser or via the GlobalMeet desktop and mobile apps. Web To host or attend a meeting in a web browser, you must have: Internet Explorer 11 or Google Chrome (current version or one version prior) JavaScript and cookies enabled Google Chrome when prompted, add the GlobalMeet Screen Share extension to Chrome. This enables screen sharing in Chrome. Internet Explorer when prompted, install the GlobalMeet Audio & Video plug-in. This enables VoIP audio, video (webcam), and screen sharing in IE. GlobalMeet desktop apps The GlobalMeet desktop apps are available for Mac and Windows computers. Windows 7 SP1 or 10. Windows RT is not supported. macos or newer Intel or AMD 1.8 GHz or higher (2.3 GHz or higher recommended) 4 GB RAM GlobalMeet mobile apps The GlobalMeet mobile apps are available for Apple ios and Android devices. iphone and ipod Touch devices running ios 10 and newer Android smartphones running Android platform versions 4.4 and newer (Kit Kat and newer) Android tablets are not supported. On ipad devices, the app might provide an iphone experience. You must have an active data connection, either through your wireless carrier s 3G/4G/LTE network or via Wi-Fi. 14 System requirements GlobalMeet for Outlook Two versions are available: an Outlook add-in for Outlook 2016 for Mac, Outlook 2013 and 2016 for Windows, and Outlook Web App (the GlobalMeet Outlook add-in), and a COM add-in for Outlook 2010 and newer (the GlobalMeet toolbar). NOTE: The GlobalMeet toolbar is no longer being updated. We recommend that organizations use the GlobalMeet Outlook add-in unless your users manage other users calendars via Delegate Access or if mailboxes are hosted on Exchange Server 2010 or earlier. 15 Application installers This section contains links to installation files for GlobalMeet desktop tools and related apps. Download links and installation instructions are available from the GlobalMeet support site ( s/a_downloads). Currently, the GlobalMeet desktop apps do not support a managed deployment, where IT administrators push deployments to their users machines, using an installer s silent mode. GlobalMeet for Outlook and the browser plugins can be remotely installed. See Managed Deployments, later in this guide. GlobalMeet desktop apps The GlobalMeet desktop apps are available for GlobalMeet hosts and their guests. No GlobalMeet account is required. Mac Windows GlobalMeet mobile apps The GlobalMeet mobile apps are available from Google Play Store and the Apple App Store. No GlobalMeet account is required. GlobalMeet mobile (Android) GlobalMeet mobile (ios) - GlobalMeet browser plugins Browser participants are prompted to install a browser-specific plugin or extension. You can also install these remotely on your users systems. Chrome Screen Share extension - IE audio and video plugin - Managed deployment: The Internet Explorer plugin and Chrome extension can be remotely installed or enabled for users. See the next section. 16 Application installers GlobalMeet for Outlook Both versions of GlobalMeet for Outlook are for GlobalMeet hosts only. GlobalMeet Outlook add-in This is a definition file (called a manifest), not an installer. Copy the add-in URL to the clipboard, and then open Outlook and add it. GlobalMeet toolbar installer - _Tools_Setup.exe Managed deployment: Both versions of GlobalMeet for Outlook can be remotely installed or enabled. June 27, 2018 GlobalMeet 5 Deployment Guide 15

17 Managed Deployments In a managed deployment, IT administrators push apps or components to their users machines. The following components currently support a managed deployment: GlobalMeet audio and video plugin for IE GlobalMeet Screen Share extension for Chrome GlobalMeet Outlook add-in GlobalMeet Outlook toolbar GlobalMeet audio and video plugin for Internet Explorer The GlobalMeet plugin for Internet Explorer is required to support audio and video (webcam) in the meeting room. The first time a user accesses a meeting via the IE browser, GlobalMeet prompts to install the plugin. You can push the plugin to your Internet Explorer users with the quiet option of the Windows installer (msiexec.exe). To install the plugin on users machines: 1. Download the MSI file from: 2. Run the plugin installer silently: msiexec /i <path>gmaudiovideoplugin.msi /quiet GlobalMeet Screen Share extension for Chrome The GlobalMeet Chrome extension is required to support screen sharing and viewing screen share in the meeting room. The first time a user accesses a meeting via the Chrome browser, GlobalMeet prompts to get the extension from the Chrome Web Store. 18 Managed Deployments See the following articles for information about distributing an extension outside the Chrome Web Store: Pre-installed extensions pre-installing an extension via Group Policy, via the Registry, or via master_preferences. Allow or block apps and extensions ensure that the GlobalMeet Screen Share extension is allowed within your enterprise. GlobalMeet Outlook add-in Supports Mac, Windows, and OWA users. You can enable the GlobalMeet Outlook add-in for all Outlook users via the Exchange Admin Center (EAC) or via PowerShell. By default, after you install an app for your organization, the app is available for all users in your organization. After installation, you can use the EAC or the Shell to make the app optional or required for your users, and to specify whether you want the app to be enabled or disabled. The GlobalMeet Outlook add-in is available from a custom URL; it is not available from the Office Store. To install the GlobalMeet Outlook add-in from a URL, your users must have at least the My Custom Apps role in Exchange. Enable for All Users via Exchange Admin Center 1. From the EAC dashboard, navigate to Organization > Apps. 2. Click New From the drop-down list, select Add from URL. 4. Copy the following URL, paste it in the URL field, and then click install. Enable for All Users via PowerShell Open a remote Windows PowerShell session on your Exchange server, and use the New-App cmdlet with the following PowerShell command. New-App -URL:" You can use the following additional PowerShell cmdlets to manage the add-ins for a specific mailbox: Get-App Lists the add-ins that are enabled for a mailbox. Set-App Enables or disables an add-in on a mailbox. Remove-App Removes a previously installed add-in from an Exchange server. GlobalMeet Outlook toolbar Windows only. A standalone GlobalMeet toolbar installer is available for GlobalMeet 5 meeting hosts who require the GlobalMeet 11.7 toolbar. To install in silent mode, use the following command line. GlobalMeet_Conferencing_Tools_Setup.exe --mode unattended Use the format --argument true false to specify installation options. If you do not include an argument, the installer uses the default setting. Argument Default Description --tor=1 n/a GlobalMeet toolbar.
