5 Host Organizations World Chemical Engineering Council (WCEC) was formed in Melbourne at the 6th World Congress of Chemical Engineering to ensure a high standard of chemical engineering and related science and technology. And it includes many worldwide institutions and societies of chemical engineering as well as the Confederations. ( Asian Pacific Confederation of Chemical Engineers (APCChE) was founded in 1975 to provide a focus for various non-profit societies, associations and institutions working in the field of Chemical Engineering in the Asian Pacific region. 10 Exhibitor Compensation The WCCE9 & APCChE2013 offers exhibitors following compensations per a booth: Complimentary 2 exhibitor badges - valid only for exhibition site Company logo on signage in the exhibition area Acknowledgement in the program book Exhibit Space Rental Fees Do Not Include: Furniture, telephone services, transportation, warehousing before and after the congress, customs brokerage, janitorial services in the booth as well as in the general exhibition area, special materials or furnishings, the moving, transfer, set up and dismantling of equipment or booths and lift services. Placing carpets are obligatory in all exhibition spaces. Purchasing of these items and services are at the exhibitor s expense. Rules and Regulations for Exhibition Participation and Conditions for Contract 1. Definition (1) Exhibitor refers to companies and organizations that have submitted applications for participating the exhibition and completed payment of the exhibition fee. (2) Organizer refers to the Organizing Committee of the 9th World Congress of Chemical Engineering incorporating 15th Asian Pacific Confederation of Chemical Engineering Congress (WCCE9 & APCChE2013). 2. Number of booths available A company/organization could apply as many booths as desired. Those whom wish to apply multiple booths should inform the secretariat in writing, prior to the exhibition application due - June 21, 2013 Please note that reduction of the booths that you have already applied for is not permitted once the layout is confirmed. 3. Exhibition application Applications for an exhibition space should be submitted to the secretariat via (sponsors@wcce9.org). The Exhibition Application Form can be downloaded at the congress website ( and the application should be submitted no later than June 21, Remitting the booth fee An invoice and more information on bank transfer will be sent to companies / organizations via . NOTES Payment by checks and bank drafts are not accepted. All remittance handling fees (including bank charges) must be paid by the remitter. Application may be cancelled if payment is not furnished by the deadline. 5. Payment of space Exhibitors whom made full payment will secure the space or stand. The payment should be addressed to the WCCE9 & APCChE2013. All payments must be made in US Dollars. Applications require a 50% deposit upon submitting the application form. The organizer shall position the booth after giving a due consideration of the order of applications received, type of products, floor space and other substantial standards. Exhibitors may not object to the decisions made by the organizer. Exhibitors shall not sublet or transfer all or part of the booth space, nor shall they exchange booths with other exhibitors. If this provision is violated, the organizing committee may dismiss the exhibitors from the show. The organizing committee reserve the right to rearrange or relocate the booths based on the actual number of booths sold. Decisions of the organizer are conclusive; claims by exhibitors regarding allocation of booths will not be taken into consideration. 10

11 8. Cancellation Cancellation by exhibitors cannot be accepted once their applications are approved. However, if unavoidable circumstances incur cancellation, exhibitors will be requested to submit the rational explanation for cancellation in writing to the Organizer for approval. In case of cancellation, you are required to pay the cancellation fee as penalty; Before July 5, Administrative fee of USD500 will be charged. Cancellation on or after July 6, No Refund 9. Handling of hazardous materials Exhibitors whom handle hazardous materials (such as explosive gas, inflammable substance, high-voltage equipment, radio-active material) are required to fill out the required form and send it to the Secretariat. Under the regulation of exhibition hall, unregistered hazardous materials will not be permitted in the hall. 10. Electricity The official Contractor will carry out all electrical works (wiring and connections, lighting, etc) on all booths and charges on additional electrical works shall be borne by Exhibitors. If you need electricity supply, please contact to the secretariat. 11. Cleaning Exhibitors are responsible for the cleaning of their own booth. Exhibitors and their contractors must clean their booth and remove all their debris (e.g. wooden crates, cartons, etc) from the exhibition hall. Aisles must always be kept clear for safety reason. Only general cleaning will be provided. 12. Shipping, customs clearance, transportation and storage All materials must be properly labeled, identifiable and meeting the specific regulations in the exhibition hall. No deliveries will be accepted by Coex prior to August 18, All shipping, receiving, and packing cases of display materials are the responsibility of the exhibitor and shipping company. 13. Exhibit space usage (1) Facility Management Exhibitors are not allowed to nail, screw, drill, paint or use the wall, floor, partition or any other booth facilities at exhibition area. Panels can be affixed to these walls with the use of double-sided adhesive tapes. If this instruction is ignored, the organizing committee reserves the right to charge the exhibitor or contractor any damages made to the materials. Exhibitors are responsible for all damage incurred by the activity done within the exhibition area and will bear any cost that convention Center or contractor charge. Aisles in the exhibition area must be kept clear of all exhibition goods or decorations materials in order to facilitate traffic of delegates. (2) Exhibit Space Occupancy Exhibitors are advised to stand by at their own booth 30 minutes before the commencement of the show. The Exhibitor shall provide adequate staffs for maintenance and operation of the exhibit during exhibition hours. All booths must be fully displayed and open for business throughout the Exhibition opening hours. 14. Coordination of exhibit with the organization The Exhibitor shall provide the descriptions of all the exhibits and restriction on booth design and activities before the construction before the exhibition begins. The exhibitor shall also provide the organizer with the necessary information to facilitate the overall promotion of the exhibition. BADGE The registered exhibitors can only access to the exhibition hall. Exhibitors are requested to wear their name badges at all times. 15. Audio and visual system usage The organizing committee may restrict noise within the exhibition hall to create a pleasant environment and seek comfort of visitors. 16. Smoking Smoking is legally banned inside every public building in Korea. Smoking is strictly prohibited in the exhibition hall at all times. 17. Security The organizer has arranged security personnel to ensure the safety of all exhibitors. However, these security personnel may not foresee the security of each booth at once. 11

12 Exhibitor must arrange their own insurance to cover all stages of the exhibition. Exhibitors are reminded that small, portable and attractive items are most at risk after the exhibition closes each day. Therefore, exhibitors are advised to keep these safely stored at the end of the day before leaving the exhibition hall. Exhibitors should pay a complete attention to items belonged to exhibitors during the breakdown. Exhibitors are strongly urged to remove valuable exhibits from the exhibition area as soon as possible after the closure of exhibition and please remind that booths should not be left unattended until the valuable items have been removed. Materials used in booth and construction must properly fire-proof in accordance with the local fire and safety regulations. The organizer and convention center cannot accept responsibility for theft, loss or damage of exhibits, or any other equipment belonging to exhibitors, contractors or visitors. 18. Additional terms and conditions When necessary, the organizer may issue supplementary regulations in addition to those in the terms and conditions for exhibition and those regulations shall be followed by all exhibitors. 19. Force majeure The exhibition may be postponed, shortened or extended due to any cause whatsoever issues that may be raised in and around the congress by the organizer. In this event, the organizer shall not be responsible for any loss sustained by the exhibitor, directly or indirectly attribute to the elements of nature, force majeure or orders and directives imposed by any governmental authority and fees paid by the exhibitors, or any part, remains at the sole discretion of the organizer for the redeem of payment.
