1 Operation Wallacea University Fundraising Advice Overview of Fundraising Successful fundraising requires a genuine and enthusiastic commitment to the project, such that people are infected by your enthusiasm and cause and will therefore consider supporting you in some way. You must be clear from the start on your aims and objectives not just those of Operation Wallacea, but those of you as an individual. This applies to why you are joining the project. Even with the clearest aims and exceptional enthusiasm, fundraising is undeniably hard work and at no stage can you afford to be complacent about it. The expedition will not only be very rewarding for you, but will also benefit all the local people for whom Operation Wallacea helps to provide sustainable incomes. In our experience there are four main ways to raise the funds: Grants and sponsorship Applying to local companies, charities, trusts, your university and old schools for funding. Groups such as the Round Table, Lions International, Rotary Club, and parish councils are usually only too happy to help. Fundraising activities These events include bag packing, cake stalls, collections, sponsored events, car boot sales, swap shops, gig nights, themed parties etc. Raffles and prize draws Operation Wallacea have created the Opwall Grand Prize Draw to help volunteers raise as much money as possible. Volunteers buy books of tickets from the fundraising team for 3.50 a book and sell them on for 10 a book making a 6.50 profit for each book sold. Working for it Part time jobs, holiday jobs and Christmas jobs even a few hours a week will bump up that expedition fund and make those targets even more achievable. Most importantly, utilise yours and your friends work contacts! 2 Fundraising Targets First things first know your goal! Operation Wallacea s expedition price doesn t include all of your costs so you will need to estimate these in order to get the most accurate figure. Please use the checklist below to help you get the most realistic target. Your cost checklist: Operation Wallacea expedition cost Flight costs (include tax, transfers, overnight stays) Equipment (sleeping bag, backpack, walking boots etc.) Diving costs if required (PADI training manual, PIC card, equipment hire etc.) Insurance (additional cover for personal items and flight delays) Entrance fees/costs (check the country details for VISA, taxes & fees) Miscellaneous expenses (spending money, batteries, sun lotion etc.) Total Expenditure - amount from savings, working & parents to get your monthly target amount to get your weekly target amount Fundraising Plan Knowing how much you aim to raise each month and week will make the target amount more achievable. Below we have created a fundraising plan with the weekly efforts you might use. Try making your own plan by adding in monthly and annual sources of income depending on how much your targets are! Equipment is one area you can do this through borrowing more expensive items and asking for items for Christmas and birthday presents! 3 Where to go from here... You know where you want to go, you know how much you need to raise but now you need to work out how to pull it all together and get started as soon as possible. One of the biggest problems you have to work out is where to get started, who to contact and how they can help. Think about who could help you: parents, aunts, uncles, siblings, lecturers, old schools, employers, university clubs or societies. Spider diagrams like the one to the right sometimes help, if not, get together as a group and talk about who you feel could help you. Many will be those that can help you as individuals but there will also be some that can assist group fundraising or just spur on ideas for others! Fundraising from Institutions Family Will they be able to help? What ideas have they got? Where do they work would they be willing to take raffle tickets to sell? Parents Will their friends, and work colleagues help? Could they sell books of raffle tickets on your behalf? Schools & Colleges Could they do a non-uniform day for you? Could you visit your old school and give them a presentation about conservation issues or about your expedition? YOU Friends Who works where could they help sort out a party night? sponsored event? bag packing? Local Clubs you re a member of Its just like an extended group of friends who have probably done fundraising in the past. Talk to supervisors and see if they have ideas or suggestions or if they could lend you a hand. University Most universities have funds available to support you. Many of our volunteers raise at least 100 from their departments alone and if you have a college system then you can apply there as well! Always ask what funding is available within 1) your department 2) student services and 3) main library. It is very important to ask what funding is available and then tailor your applications to match. Remember travel grants will only cover your travel costs not Opwall expedition fees. Old Schools and Colleges Schools are one of the best bets in terms of a personal contact that may be able to raise a fairly substantial sum. By offering to give a talk to your old school/6th form you will be doing them a favour by helping promote science, inspiring the students and showing what opportunities are available after they leave don t forget to contact your old primary school too. Many will make a small donation or even run an event for you. Fundraising from Organisations Before you start think why an organisation might support you coming on an Opwall expedition? Through joining us you are gaining a great experience which will enhance job applications and your CV, you are contributing to your education by getting hands on experience of research skills and assisting in real life research, and you are contributing to the conservation of some of the world s most biodiversity rich areas. You are also getting an insight into cultures very different to our own, broadening your horizons, while often doing without all the mod-cons you are used to. Trusts, charities and grants Trusts funds are set up specifically for the purpose of donating money to various causes. It is worth researching them in some depth and remember with these organisations you need to read the criteria carefully before sending of an application! Ensure that you tailor your application to match their criteria when you apply. Organisations e.g. The Round Table, Rotary Club, Lions International, Women s Institute, Ladies Circle and Freemasons Organisations like these are usually only too happy to help out a good cause. Your local Round Table, Lions International and Freemasons regularly have funding available, whilst the Rotary Club, Ladies Circle and Women s Institute will often want you to give a talk, write an article about your trip on their behalf, or help out at one of their events. Donations have ranged from 50 to 1000 so put in as much effort as you can. Councils local, parish, town and county Local councils often have various funding available for both educational and environmental causes. Contact your local city, town and parish councils. Contact details can be found online. Companies Do not rule out all companies but there are 3 key considerations prior to writing to anyone on this: Do I have a contact? Are they local to my home/university? Would they be interested in me? If the answer to the above questions is no, then it is often best to avoid writing to these companies. If you do have a contact, excellent! Remember, some companies would rather give things you need rather than cash ask for gift vouchers, T-shirts even signed items from clubs or celebrities to help with fundraising events.

4 Grant Applications and Writing a Letter for Support There are two types of letters you may need to write when doing your fundraising, writing for grants and writing to companies. There are some important differences to be aware of: Grants Applying for grants can be a brilliant way of raising serious cash, but there is a skill to writing a successful grant letter. The 3 rules of success are: Understand the grants priorities and criteria Be clear on your objectives Do not send out a circular Call them before you apply Tell them what you are doing, this way you can check your eligibility for the grant and find out how much to apply for. This is also a great way of getting your application noticed. Research every grant thoroughly Do not just rely on the information we provide you, ensure you tailor your application to match the criteria of each grant. Look at applying for a grant like applying for a job explain how you fit what they are looking to support! Top Tip! Make sure you include both your University logo and Opwall s in the letter. the fundraising team for a copy of the Opwall logo Date Your Contact s Name never Dear Sir/Madam Dear (full name) Start with an attention grabbing statement you want to gain the sponsor s interest! i.e. The forests of Madagascar are being cut down at a rate of Explain the situation now and what needs to be achieved. Introduce yourself. Tell them about Operation Wallacea and the work we do. How will you joining the project help? Where does the money you pay go? Highlight the outcomes of the projects you will be involved in. What is hoping to be achieved? Why should they support you? What will you personally gain out of joining Operation Wallacea? How much is the expedition costing you? Have a breakdown of the costs as sponsors like to know the budgets. Mention your other fundraising efforts, and how much you have raised so far. Ask for funding, for grant applications state an amount. For companies ask for either money or prizes/gifts you could use. Wrap it up now. End on a positive note like I hope you have enjoyed hearing about the crucial conservation work Operation Wallacea is doing, and how with help from people like them and yourself you can make a real difference. Yours sincerely, Your Name Your full name Contact address Contact telephone Companies and Organisations Letter writing to companies and organisations is when you can write a more generic letter, however always be sure to get a contact name! With companies you don t just have to ask for money, gifts in kind e.g. equipment, raffle prizes etc. would still be very useful and companies may be more inclined to give this rather than a cash donation. Try and include some extra information about Operation Wallacea for them to read i.e. a leaflet. Contact the office and we will be happy to send you some. Offer publicity in return Could you write an article? Put a photo in the local paper? Put their logo on T-shirts or leaflets you make? This works especially well with small independent companies. General letter writing rules Contact Name Always make sure you address your letter to the correct person. Identification of need People are not just going to give you money because you don t have any, they need to feel their money will be helping to achieve something and is making a real difference. Short and Sweet Make sure your application is no longer than 1 A4 page for companies and 1-2 A4 pages (max) for grants. You want to keep it short and to the point, but without being sparse with your information. Presentation is Key Don t be afraid to use bullet points, sub-headings or even pictures and figures. Enthusiasm If you can get them excited about what you re doing they are much more likely to want to support you. The Personal Touch Personalise your letters by printing and hand signing them. Operation Wallacea Grants Alfred Russel Wallace Grants Premier Oil 10 grants of 1000 available to those students going to Indonesia The Martin Suthers Grant 2 grants of 250 for deserving students Grant success Jack Cook from Aberysthwyth University gained 1200 through three university grants, Katherine Chapman from Oxford University received over 1500 in grants from her college and a 500 grant from her university s zoology department, Ellen Miller from Cambridge University gained 2650 from three grants Solihull and Shirley Lions, previous school s scientific grant, and university college grant, Thomas Conat from Birmingham University received 1100 from a university grant, Alba Giselle Landra from Cambridge University received 1200 in a college grant, Samantha Meanwell from University of Edinburgh received 1350 in university grants and travel funds, Bethan Clark from Cambridge University received 1350 in university grants, Christine Hardcastle from Bishop Burton University received 450 from the James Reckitt Trust and a 1000 donation from Diplomatic Mission Supplies as her uncle is the CEO, Elliott Waltho from the University of Southampton raised 2400 from a university grant (Roy Queree Bequest Fund).

5 Publicity To gather funds, you must promote yourself and this page is all about maximising your support. Publicity should always be incorporated into your events! The more people that know about them, the better turn out you are going to get. Use Facebook to your advantage! Create events and/or groups to spread the word. Invite all of your friends and family. Also, remember the real world, advertise events around your university and in all buildings using posters and flyers. Contact uni media (newsletters, radio stations), local media, etc. If you are running a sponsored event, publicise it across Facebook, invite everyone you know, not just close friends, you might get donations that surprise you! Set up a donation page and link to it from Facebook/Twitter so that people can donate online and this will always increase your support. Success with digital media These days having an online presence really matters for businesses and individuals alike. Never has it been easier to find information and connect with people using the internet. A great way to give your group an identity is to use social media. At the very least you should definitely have a Facebook group, but consider a Twitter account, Instagram etc. On average from UK fundraising efforts, each friend to friend share on Facebook equates to a 7 donation! Get other people interested in you! An inactive account is worse than no account, but your page shouldn t be restricted to your Opwall fundraising. Post links to relevant interest (conservation news articles, other fundraising ideas, Attenborough clips, Opwall news, travel ideas, etc) to have people pause on your page. Facebook group The first task is to set up a Facebook group for your university fundraising group. It s a great way to keep people informed and up to date. It can be an essential tool to encourage and organise each other. Top Tips #Trending Check out what is currently popular on social media and take full advantage of it. Adapt challenges to your own fundraising cause! Leaflets Past volunteers have found success with local business sponsorship by having their own leaflet to pop in support letters. This gives you an opportunity to offer (in return for support) their company logo on your leaflet, some low-cost advertising for a small business! Just put in a brief description of the project or country and pictures that will photocopy well (not dark and dingy)! Posters, etc We have lots of lovely posters at Opwall HQ, if you would like any marketing materials for your fundraising events, get in touch!

6 Events Planning Now, we are not going to lie to you, whilst there are loads of events you can do to raise money, the likelihood of earning a fortune at just your uni is slim without careful planning. Think of events people will want to come along to or those that utilise your local area; who is your target audience and what will they want to come to? Below are some of the ideas we think are worth thinking about and you will also receive a big A-Z of events as an attachment when you book on. By all means come up with your own ideas but please think about the time you have available and how much money it will generate in the end. Let us know how you get on! Think of your fundraising as a social CALENDAR of events rather than a constant stream of fundraisers. Utilise events throughout the year such as Valentines day, Christmas, Halloween etc. We will provide a calendar in your fundraising with suggestions of key times you should plan events. Make sure you get a CALENDAR for your university and consult what university events are going on when. Tie your fundraising in with these: open days, sports matches, student union events, end of term parties take advantage of these days as there are more people in the university grounds! Fundraising Starter Ideas Monthly/Repeatable One-off Events Weekly/Ongoing Raffle Ticket Selling Make sure this is an ongoing fundraising effort. Look at different places you can sell such as sports events and large businesses. Car Boot Sale Organise your own car boot sale at uni. This is a perfect example for what we suggest about frequent events people want rather than a constant stream of fundraisers. See if you could staff a weekly car boot sale within your group, not everyone has to come every week but it can be based on a rota. Easyfundraising Make this an ongoing fundraising effort. Get anyone you know purchasing things online to do so through easyfundraising. Refreshment/Cake Stalls Think about a weekly stand or could you also have a stall at sports events, open days, and after student union nights? If your not a good baker, maybe have a Krispy Kreme stand check out: fundraising/ Pub Quiz Could you set a regular pub quiz at your local, where you charge for taking part? Prizes could be small and all you need is a quizmaster. Get some team rivalry going! Social Nights Use a venue, nightclub, bar, anything on a night that isn t usually busy. Get your friends involved if you know a DJ or band then ask them to support your cause and play for free, charge for tickets at the door and you have a brilliant no cost event! Fancy Dress Pub Crawls/ Collections Pop along to your local pubs and bars and ask if you can sell raffle tickets that evening for a small amount of time. All get dressed up and attract as much good attention as possible! Car Wash Contact places like Halfords to see if you can get free sponges and buckets and get washing! Set your sights high, aim for busy car parks, shopping centres and retail parks (obviously get permission first!) Themed Dinner/Restaurant Night Invite your uni friends round for a meal and drinks for 14 each. Buy everything for the meal cut price and make a nice little profit! Or get a restaurant on a quiet night to give you a knock down price for a set menu then you can charge a ticket price adding something on top for you. A win-win for the restaurant and you! Lora Downes from University of Edinburgh made 300 from a date auction at her university Georgina Rose Lilley from Sheffield University made 300 from a curry evening at her local pub Valentines Events This is the season that you really would be a fool to not try an event. There are lots of options speed dating, traffic light parties, or even anti-valentine balls! If your university is in a smaller town, or you have on campus accommodation offer a card delivery service! Race Night Get a free venue, lots of horse racing video clips and a good host. This event appeals to all ages and therefore is always a winner. Gig Nights Everyone in uni thinks they re a rock star! So appeal to your ukulele laden friends and enlist them to put on a show. Put up posters to advertise to local bands and have a great night of live music. If you have enough interest from the fame-hungered then put on a Battle of the Bands type show for an evening of great entertainment. Charge the bands to enter and a ticket price on the door, this can be a great little money maker. Christmas Card Quiz Make up a postal quiz where entrants pay 5 and send the answers back to you to enter. Use your friends and family contacts and send it out to as many people as possible inside their Christmas cards. Make sure you get some great prizes donated and watch the money fly in!

7 Events Continued Bag Packing! You go to the supermarket and get money donated for packing peoples bags, it is that simple! Give them a leaflet to read while you smile and pack! Consider where you go though, aim for the following: Waitrose M&S Food Sainsburys Morrisons Tesco ASDA Wilkinsons Try to avoid: ALDI, Lidl, Iceland... Individual vs. Group Fundraising Use a combination of group and individual fundraising for the best success! Group fundraising keeps you motivated and the momentum going. Share useful contacts and ideas. Share roles and responsibilities for larger events. Consider the structure of your fundraising; allocate roles i.e. chairperson, secretary, treasurer etc. Assign responsibilities such as publicity, group grant letter writer, social media etc. Think about your group size if there is 20 of you that s fabulous for bag packing but totally pants for a cake sale! Individual efforts are where you can make some serious cash! Utilise your time away from university for individual fundraising e.g. Christmas. Selling and Recycling Old Goods Sell off all your old things, unwanted Christmas presents, or anything that might generate a bit more cash for your fund! Ways to sell: ebay Recycling-there are loads of companies that will pay for you to recycle old clothing, phones, DVDs, ink cartridges and much more. Gum Tree can be a great alternative to ebay and costs nothing to list your items Josh Kalms from Worcester University raised 400 selling knitted rabbits. Easyfundraising Operation Wallacea has paired up with easyfundraising.org.uk to help you fundraise for your expedition by shopping online! Yes you heard us right, by shopping online you could receive up to 15% of the cost of what you bought which is then placed into your easyfundraising account and a cheque can be sent quarterly towards your expedition. There are over 2700 retailers who you can choose to buy from. Setup is as easy as 1, 2, 3 1. Register for free at and follow the onscreen instructions to set up your own page. 2. Get your family and friends involved by asking them to sign up as a supporter for your cause when they shop online via easyfundraising, you can earn cash back on their purchases! 3. Shop away and see your funds raised! Top Tip: Make sure you download the easyfundraising app. Fancy a pizza? Order online with Papa John s, Domino s and Pizza Hut just make sure you order through easyfundraising! Family booking a holiday? Book online via easyfundraising and you could make some serious cash back! Make your kit list count towards your fundraising. Purchase your equipment through the cash back scheme. Use the online tools to spread your fundraising cause on social media quick and easy!

8 Sponsored Events Sponsorship Form Name of Sponsor Sponsored events are brilliant for bringing in a nice chunk of money. It should definitely be included in your repertoire, make sure you follow these key points: Event Date Details of Event Full Name Home Address Postcode Amount Pledged Amount Paid Do something attention grabbing Think of a good event that will impress people. Don t get too ambitious events like skydiving are impressive but have big costs associated. Keep your costs low! Be proactive! You can t expect donations to come flooding in if you don t go out and get them. Always keep your sponsor form on you, ask all of your friends, family, colleagues, friends of friends and can your parents take your form into work? And make sure you publicise, splash it over your social networks. Donor fatigue! You can t keep asking the same people for money over and over, so you need one big one and go for it. Don t publicise too early either! You don t want to bore your supporters! There are some easy to use donation websites these days, set up to make support nice and straight forward for you. Having the option of online donations will see your support increase massively! Splash it all over your social media and you will have all sorts of people donating. Plus, without having to part with their hard cash, online donations tend to be more generous! Please note that most of these charge a percentage to process your payments (normally around 5%) so when taking donations from friends family, probably only use online sites for people you wouldn t necessarily see to get the cash. This is our charity which raises great money to support the conservation work and needs of our sites. We don t want to go robbing the charity account for our expeditions! Sponsor success Andrew Michael O Neill from Queen Mary University of London raised an amazing 900 from a sponsored walk. Hayley Rose McWhirter from Aberdeen University raised 700 by carrying out the three peaks challenge! Julian Han Gervolino from Edinburgh University raised 550 from a sponsored half marathon. 9 Opwall Raffle Tickets Don t forget to purchase the Opwall raffle tickets, this is a quick and easy way to make money fast. We print the tickets, provide the great prizes and all you have to do is sell them! If you don t sell your tickets then please send back the unsold full books by July and we ll give you a refund!
