1 V 2016/ April 2017 THE SCHOLARSHIP BOARD AT THE UNIVERSITY OF GOTHENBURG Rules for dealing with Adlerbert scholarships These rules concern the following scholarships: The Adlerbertska Scholarship Foundation The Adlerbertska Student Housing Foundation The Adlerbertska Grant Foundation The Adlerbertska Pupil Housing Foundation Nature of the scholarships Adlerbert scholarships are Announced as available by the Scholarship Board at the University of Gothenburg once every academic year; the deadline for applications is 30 June. The scholarship amount currently awarded to first- /second-cycle applicants is SEK 15,000 per scholarship; this amount is SEK 20,000 for third-cycle applicants. Individual students may receive a scholarship for each level of education (first, second and third-cycle of education respectively): thus a maximum of three Adlerbert scholarships while studying at the University of Gothenburg. Adlerbert scholarships are split into two groups: 1. Scholarships from the Adlerbertska Scholarship Foundation and the Adlerbertska Grant Foundation are allocated to finance travel relevant to studies, prioritising travel abroad. Examples of travel for which funds may be granted are conferences, third-cycle courses, summer schools, study tours, field studies, semesters abroad, international placements, work relating to essay, degree or other projects. Scholarships from the Adlerbertska Student Housing Foundation and the Adlerbertska Pupil Housing Foundation are allocated as grants to finance housing costs in Gothenburg while studying at the University of Gothenburg. Qualified applicants The following are qualified to apply for Adlerbert scholarships: first and second-cycle students who upon expiry of the application deadline have pursued studies (full or half-time) for two semesters and have acquired at least 30 higher education credits at the University of Gothenburg. The first-cycle student category includes applicants who are coming to study at first-cycle level during the scholarship year and the second-cycle student category includes applicants who are coming to study at second-cycle level during the scholarship year. students who are registered as third-cycle students at the University of Gothenburg on the application date. Scholarship holders must actively study at the University of Gothenburg during the scholarship year, which is the academic year during which the scholarship is awarded. At least half-time registration (i.e. 30 higher education credits during the scholarship year) is required for first and second-cycle students. Applicants who do not intend to pursue studies at the University of Gothenburg during the scholarship year cannot be considered for scholarships. Allocation of scholarship funds The Adlerbertska Scholarship Foundation Scholarship funds available from the Adlerbertska Scholarship Foundation are allocated between the group of third-cycle students and the group of first/second-cycle students on courses and study programmes that do not receive funds from the Adlerbertska Grant Foundation in the following way: scholarships are first awarded to third-cycle students up to an amount of 30% of the funds; the remaining funds are awarded to first/second-cycle students. If there are insufficient qualified first/second-cycle applicants in an application 2 (6)

3 round, a larger proportion of the funds can be awarded to third-cycle students. Scholarship funds for third-cycle students are allocated between the faculties in proportion to the number of doctoral students (at least 10% activity) per faculty. Scholarship funds for first/second-cycle students are allocated between the faculties according to the number of students (full-time students). The teacher programme is dealt with as a faculty with its own allocation of scholarship funds. The Adlerbertska Grant Foundation Scholarship funds available from the Adlerbertska Grant Foundation are allocated between relevant courses and study programmes by the number of students (full-year students) at second level and first level. The Adlerbertska Student Housing Foundation Scholarship funds are allocated between the faculties according to the number of first/second-cycle students (full-time students) on courses and study programmes that do not receive funds from the Adlerbertska Pupil Housing Foundation. The teacher programme is dealt with as a faculty with its own allocation of scholarship funds. The Adlerbertska Pupil Housing Foundation Scholarship funds available from the Adlerbertska Grant Foundation are allocated between affected courses and study programmes by the number of students (full-year students) at second level and first level. Allocation between first/second-cycle level For all foundations, the scholarship funds available for payment to first/secondcycle students respectively are allocated as a percentage for each level of education based on the number of full-time students. If there are insufficient qualified first-cycle applicants in an application round, a larger proportion of the funds can be awarded to second-cycle students and vice versa. 3 (6)

4 Allocation between Departments If there are not enough competent applicants within a Department / field of study in an application round, funds may be awarded to applicants at another faculty / other fields of education within each Foundation. Applications Applications for Adlerbert scholarships are made via a web-based application system. Applications are then completed by printing the application, signing it and sending it by ordinary mail to the address specified. Applications for travel scholarships Applications must be accompanied by information about the destination, times and purpose of the trip and a cost specification. Applications for travel scholarships may include no more than two different trips. The trip may not have started before January of the year of application and must be made no later than one year after the scholarship year. Third-cycle students can only apply for travel scholarships and the application must be approved and signed by a supervisor/head of department. First/second-cycle students can apply for both travel and housing cost scholarships. Applications for housing scholarships A copy of the civic registration certificate (folkbokföringsbevis) and a copy of the tenancy agreement indicating the actual cost of the housing must be attached to the housing scholarship application. Selection of scholarship holders The constitutional rules for each foundation must be observed when allocating Adlerbert scholarships. The applicants are split into three groups: third-cycle students, second-cycle students and first-cycle students. 4 (6)

5 Allocation of scholarships to third-cycle students Unqualified applicants are eliminated. Qualified applications are sorted according to faculty. The applicants within each faculty are ranked according to the part of the full degree of doctor completed (specified as a proportion of the degree as a percentage; a degree of licentiate 120 higher education credits is counted as 50% and a degree of doctor 240 higher education credits as 100%). The higher the ranking the greater chance of a scholarship. In the event of equal placement, travel abroad is prioritised after which the matter will be determined by the drawing of lots. Third-cycle students may be awarded a scholarship from the Adlerbertska Scholarship Foundation. Allocation of scholarships to first and second-cycle students respectively Applicants studying at the Faculty of Fine, Applied and Performing Arts are sorted out to be dealt with separately. Unauthorised applicants are eliminated. Qualified applications are sorted according to faculty affiliation. Within each faculty, applicants are grouped according to the purpose of the scholarship applied for: travel scholarship or housing scholarship. The application is regarded as an application for travel if both purposes are given. Within each grouping a split is made according to level of education. Applicants who would like to be considered for a travel scholarship are ranked within each level of education according to the number of higher education credits achieved at the University of Gothenburg. The higher the ranking the greater chance of a scholarship. In the event of equal placements, travel abroad is prioritised, after which the matter will determined by the drawing of lots. Applicants who would like to be considered for a scholarship to cover housing costs are ranked within each level of education according to the number of higher education credits achieved at the University of Gothenburg. 6 The matter will be determined by the drawing of lots in the event of equal placement. Reallocation of travel scholarships In the event that a travel scholarship granted cannot be used for the trip specified, it is possible to apply for reallocation for another trip relevant for your studies. The travel must be made within the stipulated time limit. A scholarship can only be reallocated once. When reporting for the trip indicate on the form that the trip has changed since the time of application. Remaining funds If funds from the scholarship amount are left after the trip(s) has been made, a third-cycle student can apply for permission to use the remaining funds for additional trip(s). Applications are made on the same form as for reallocation. After making the trip(s), first/second-cycle students can use the remaining funds for living and study costs without a separate application. Reporting of travel scholarships allocated Scholarship holders who have received travel scholarships shall report the costs covered by the scholarship on a standard form specially drawn up for the purpose. A report of the trip must be submitted no later than one month after return home or date of payment. Repayment of scholarships Any unused scholarship amounts must be repaid. First/second-cycle students who have been granted a travel scholarship and have not made the trip must repay the entire scholarship amount. Contact the Scholarship Officer for instructions. 6 (6)
