1 Training Etiquette and Philosophy People Incorporated Training Guidelines and Procedures Attending training sessions is part of your work at People Incorporated. As such, standard work protocol is expected including arriving on time, using direct and respectful communication, and a team approach to working together to solve problems and brainstorm solutions. Sessions are designed to be as interactive as possible to aid in the retention of material. As the curriculum is developed further, the website will list resources for each session; you are encouraged to access as many of these resources as possible before class. Time in class can then be spent practicing new skills rather than the passive experience of being given information. Since learning is greatly impaired by distraction, and out of respect for the instructor and the other participants, we respectfully ask that you turn your cell phone to silent and refrain from texting during class. Please use the regular breaks to check voic s, etc. Also, consider not signing up for sessions at times when you are very likely to need to communicate with others (e.g., family or client issues) or be tired (e.g., after working a night shift). See below for: Action Planning American Sign Language (ASL) Certificates CEUs Curriculum First Aid and CPR Lateness Mandatory Trainings Medication Administration Classes Registration Severe Weather Training Calendar Televideo Frequently Asked Questions Action Planning Since the sessions concentrate on the role of the practitioner/worker and specific skills and interventions that you can try, most classes will conclude with some time for action planning. This is a document that you will fill out during the class asking you to take an idea or two from 1
2 the session and make a plan to put it into action in your work. This is a tool that can be used by your supervisor or trainers in the future to help staff transfer knowledge into practical solutions when working with those we serve. American Sign Language Many of People Incorporated s classes are interpreted by qualified ASL interpreters. If you require the services of an interpreter you should check the Training Calendar on the website and look under notes to see if a session is interpreted. Sessions may be able to be made interpreted on a case-by-case basis. Inquiries should be made to the Training Manager. Please note that in order to save on interpreter costs, interpreters are cancelled 72 hours before an interpreted class if no deaf or hard-of-hearing staff sign up for the session. Certificates Certificates of attendance will be issued to all staff who attend a training session in its entirety. The certificate will show the name of the training, the name and credentials of the presenter(s), whether or not the session meets the criteria for Social Work CEUs, the number of People Incorporated in-service training hours, and the signature of the presenter. The original certificate is filed in the staff file at administration, and two copies are sent to the program one for the staff s file at the program, and one copy for your personal records. CEUs (Continuing Education Units People Incorporated is a provider of CEUs for the Minnesota Board of Social Work. Not all trainings at administration qualify for CEUs under the Board s criteria, although many do. Staff should check the website to see if a training session fulfills these criteria. If you hold a professional license (such as Social Work or Nursing, for example) it is your responsibility as the license holder to track the number of hours necessary to retain and renew your license, including renewal dates and procedures, as well as keeping records of your attendance at any trainings, including those at People Incorporated. The MN Board of Nursing does not accredit classes for license renewal. Staff holding a nursing license must determine whether or not classes they take meet the criteria for renewal or not. Accreditation with other boards may be possible on a case by case basis; such requests should be made directly to the Training Manager. Please note that it can take some time to gain Board accreditation so requests should be made as soon as possible. Curriculum Some of the classes have a part one and a part two ; if possible plan to take part one before part two. Follow-up classes (e.g., part 2) are designed to offer an opportunity for review and are most effective after some time in the field. As such, the following is a guideline for 2
3 attendance. Please note that this is only the Training Department s guideline for classes with more than one part, and does not constitute a policy: Nonviolent Crisis Intervention, De-escalation 101 and De-escalation 201 Year 1: De-escalation 101 Year 2: Nonviolent Crisis Intervention Year 3: De-escalation 201 Year 4: NCI refresher Boundaries 1 and 2 Take 1 first and take 2 within the next 2 years CBT 1 and 2 Take both classes within the same year, beginning with CBT 1. Motivational Interviewing 1, 2, 3, and 4 Take in the prescribed order Take all 4 classes leaving a minimum of month or so in between classes First Aid and CPR People Incorporated recognizes the importance of having staff that are trained in First Aid and CPR. As such it is the policy of the corporation that all staff complete a class in these subjects every 2 years from an accredited provider like Red Cross or American Heart Association. People Incorporated provides these classes (American Heart Association) on a regular basis. You are responsible for tracking your due date on your completion card(s) and organizing your recertification as far ahead of time as possible. In accordance with American Heart Association protocol, these classes are limited in size and tend to fill up quickly as a result. If a People Incorporated First Aid and CPR class is not available before the renewal date on your card, it is your responsibility to find another class that fulfills this requirement. Please check the Personnel Manual for up-to-date policies regarding reimbursement if you take classes from other vendors. It is possible to attend only one part of the class, so please note that it is our protocol to do CPR for the first two hours and First Aid for the 2 nd two hours. For example, if a class is at 9am, attendees should plan on: 9am-11am for CPR, and 11am-1pm for First Aid. Lateness Please plan on arriving at trainings 10 minutes before the scheduled start time. If you are more than 15 minutes late you will not be allowed to join the session. Your supervisor will receive a record of attendance and will determine if disciplinary action is required with input from the HR Manager as appropriate. 3
4 Mandatory Trainings You are required to attend: Company Orientation (one day class) within 6 months of hire Medication Administration if you are a med passer (see Medication Administration Classes ) Also, please ensure that your First Aid / CPR certification is up-to-date at all times. The People Incorporated training department does run First Aid and CPR classes (see First Aid and CPR ). Medication Administration classes The People Incorporated Medication Administration Class is designed as an introduction to the process of medication administration for staff who administer medications to those we serve as part of their job description ( med passers ). If you are a med passer your program will determine whether or not you are required to attend this class. If you have prior med training, please check in with your supervisor and the nurse who oversees med passing at your program. Your program will determine whether or not you need to take the class. All med classes are scheduled to be ASL interpreted. Interpreters are cancelled 72 hours before an interpreted class if no deaf or hard-of-hearing staff sign up for the session. The class is 7 hours, comprising two 3.5 hour sessions held one week apart. Since there is one week between sessions, you have the opportunity to connect with the nurse, ask program specific questions, look at how meds are stored at the program, and study the med policy of the program. It is also a good idea to shadow a med passer and find out which medications are commonly prescribed to your clients in preparation for finishing up the class and taking the written test. The last hour of the 2 nd session is a written (open-book) test with a passing grade of 90%. Test marks with supporting comments will be ed to your supervisor and nurse within 2 working days. Certificates will be issued by the Training Manager when the tests are graded. The graded test and original certificate will be filed at the administration office. If you do not pass the written test the first time, a 2 nd similar test will be ed to your program for you to have another opportunity to pass. Complete the test and send/fax it back to administration for the Training Manager to grade. Feel free to or call the Training Manager if you need to do a retake and need some guidance or have questions about the test or procedure. If you do not pass the test on the 2 nd attempt your supervisor will determine the next course of action. Staff not passing the written test after two attempts are strongly advised to re-take the class. Severe Weather 4
5 People Incorporated does not want you to take unnecessary risks to get to a training when travel conditions are hazardous; therefore it is possible that trainings at administration may be cancelled when the weather is severe. If weather conditions are dangerous for travelling in your area, or in St. Paul, Please call The voice message at this number will detail any training cancellations If you are not going to attend because of weather conditions, leave a voic at this number stating the session you were signed up for, your name, and your program. If a training is cancelled, this information will show up on the website training page, so it is a good idea to check the website before you leave from home. Trainings will proceed as scheduled unless otherwise noted on the website or the above voic . Cancellations made less than 48 hours before the training will not incur a program charge if it has been determined to be a severe weather day by the Training Manager. Registration Call the front desk at the administration office ( ext. zero) to sign up. When signing up please be prepared to leave a phone number or address so that we can contact you with a reminder, as well as changes or information related to the session. Please note that you should seek approval from your supervisor before signing up for a training session. Time spent in training is paid time so fill out your timesheet for the time you were in the training. Televideo Many of People Incorporated s trainings are available in real time via televideo. Televideo equipment is located at DMHS/DSL in Minneapolis, CSDC (Apple Valley office), the Anoka Programs office, Huss Recovery Services, and Nancy Page Crisis and Stabilization Services. Please check the website for televideo availability. If you decide to attend a training session via televideo, all of the other expectations and etiquette for training apply equally. Training Calendar The up-to-date Training Calendar is available online at: Please check the notice board at your program for a print out of this list if you are unable to access the internet. New classes are added frequently, so please check back from time to time to see a current list. If you are signed up but cannot attend you should cancel your registration no less than 48 hours ahead of the start time of the training by calling Your 5
6 program will incur a penalty of $50 if you do not attend a training session for which you are scheduled. Your supervisor with input from the HR Manager will determine whether and what kind of disciplinary action is required. Frequently Asked Questions Where s my certificate? The original certificate is filed here at the administration office. Two copies are forwarded to your program in due course; one for the program files and one for your records. Is this class good for CEUs? Check the website listing to see if the class offered meets the criteria for MN Board of Social Work CEUs. For other licensure, check your license requirements or call the Training Manager. Which classes are ASL interpreted? Orientation and the Medication Administration classes are always interpreted. Otherwise classes are interpreted every 2 or 3 offerings. Please check the website to see which classes are interpreted. Is there food served? Snacks and coffee are always available as well as, juice, pop, and water at the Administration location. If the training is a full day session, lunch will be provided at the Administration location. What if I m late? Please plan on being here 10 minutes before class starts so that you can get settled and be ready for the start of class. If you are running late, please call ahead if at all possible to let the instructor know. If you are more than 15 minutes late you will not be allowed to join the session. It will be noted on the attendance record and reported to your program. Your Area Director with input from the HR Manager will determine whether and what kind of disciplinary action is required. What if I m signed up for a class, but can t attend? Call the administration office as soon as you know you won t be able to attend to cancel. If the cancellation is within less than 48 hours in advance, your program will be charged $50. There are no exceptions to this rule. 6
7 What if I have to leave early? Let the instructor know at the start of class and plan to make your departure with as little disruption to the class as possible. Leaving early will be noted on the attendance sheet and reported to your program. Whether or not you can receive full credit for the class is at the discretion of the instructor. Are all the classes at administration? Most of the classes are at administration. If a class is at a different location, it will be clearly marked on the website. How do I find out what classes are available? Look at the website: Who should I talk to if I have ideas about other trainings that could be offered? See Bad Weather Policy My CPR card renewal date is coming up and the classes are full, what should I do? Make sure you make a note of your renewal due date and plan to renew it before. This class is in high demand as we have a significant number of employees and we can only offer it a certain number of times with limits on attendance put on us by the American Heart Association. If your card will expire before you can take a class with us you can put your name on a waiting list for our classes in case someone cancels, or find an accredited class in the community.
