1 INVITATION TO TENDER INCOME GENERATION/FUNDRAISING CONSULTANCY

2 About Artrix Since its opening 9 years ago Artrix has changed the landscape of artistic provision in Bromsgrove and the surrounding areas. It is an award-winning arts centre which serves all sections of the community with an eclectic programme of theatre, dance, cinema, live music, comedy and arts skills workshops as well as a highly valued outreach and learning programme. A partnership between Bromsgrove District Council, NEW College and the community of Bromsgrove District, Artrix continues to thrive as one of the Midlands busiest and most diverse arts venues. The venue is registered both as a charity (No: ) and a non-profit-distributing limited company (No: ). Despite the challenging economic circumstances over the past few years Artrix has continued to thrive and grow, attracting over 100,000 visits last year. From a turnover of c. 850,000 Artrix s impact in the local economy is now estimated to be in excess of 3m. Our building was designed by award-winning architects Glenn Howells and international acoustician Nicholas Edwards. The main auditorium seats 300 and more recently we have added The Studio as a second performance space for smaller groups of for workshops, meetings, acoustic music and performances by newer artists. Artrix is run by 3 full time and 12 part-time paid staff. We rely enormously on the help of our team of over 75 volunteers who give their time and expertise generously in staffing the bar and café, ushering, helping with marketing and maintenance and keeping the place running smoothly. The range of Artrix s programme is wide and deep. Recent highlights have included: sold out performances of the National Theatre relay of The Audience with Helen Mirren, Alistair McGowan s latest comedy tour, a school poetry slam, The Treorchy Male Voice Choir, Sideways Theatre performance of The Snow Queen and the Navarra Quartet. Artrix plays an important role in the community and is home to the Performing Arts courses of North East Worcestershire (NEW) College. It also provides a performance space for schools, clubs and groups; many local people will give their first public performance in one of Artrix s spaces. Artrix welcomes everyone, especially those who may find it hard to access the arts. For example, our programme includes matinee film screenings, which are particularly popular with older audiences, as well as easy access screenings and workshops for people with disabilities and young people in care, their friends, families and carers.

3 To date our Education & Outreach programme has engaged over 12,000 young people with a range of exciting creative arts projects including initiatives delivered in partnership with Bromsgrove District Council, Worcestershire County Council and the West Midlands Police Service. Artrix an award-winning venue 2013 Trip Advisor Certificate of Excellence Award 2012 Finalist in the national Third Sector Excellence Awards Enterprise category Bromsgrove "No Barriers" Disabled Access Award 2011 Herefordshire & Worcestershire Chamber of Commerce s Community Enterprise of the Year Nominated for the Queen s Award for Volunteers 2010 Listed as one of Visit Britain s Top Twenty Paid for Attractions in the West Midlands Financial resources Artrix currently generates 82% of its income from its artistic and commercial activities and the 18% balance is provided through grants and sponsorship. Since its opening in 2005, Artrix has been supported with an annual grant of 120,000 from Bromsgrove District Council. This core funding has enabled us to provide a varied programme, encourage and support community organisations, events and activities and maintain the building, which is owned by the District Council built on land given by NEW College. Our core funding from Bromsgrove District Council is due for review in NEW College is merging with Worcester College of Technology in September 2014 and its focus around its Bromsgrove campus, adjacent to Artrix, is currently under discussion. The College currently has a Dual Use Agreement with Artrix which is due for review. We are determined that Artrix will continue to provide a vital resource for the communities of Bromsgrove, a magnet for visitors and residents alike and contribute to the economic wellbeing of the District. A priority is to develop further Artrix s outreach and community activities and to support the work of promising artists. Income Generation/Fundraising Consultancy Services Invitation to tender A SUMMARY Artrix wishes to appoint a Consultant/Consultancy to provide strategic income generation/fundraising advice. Working in conjunction with the Centre s Board, Director and Marketing team, the objective is to secure ongoing income in new business opportunities, donations and pledges to secure the centre s outreach education work in the local community and in developing the artistic offer of its programmes, especially in supporting local and regional artists. In a Consortium partnership (A2D) with Dancefest and 2 Faced Dance, Artrix is a participant in the Arts Council England Catalyst programme The scheme supports organisations to work together collectively and collaboratively to develop innovative and efficient solutions to addressing fundraising development needs. The programme intends that learning and skills will be embedded and reach more organisations if collaboration is at the heart of this scheme.

4 The scheme is designed to help organisations with little or no experience of fundraising to: build capacity to address both shared and individual fundraising development needs of consortium members identify and develop effective fundraising models that have a long term impact on the business model of each organisation An independent Project Manager, Diana Johnson, is working with the A2D consortium to shape and support the Catalyst programme. B AREA AND SCOPE OF WORK The Consultant(s) is/are required to research, develop and deliver Artrix s income generation/ fundraising strategy in conjunction with the Board, staff and volunteers and to advise on appropriate support and structures for ongoing activity: 1. To develop an overarching income generation strategy that will enable Artrix to diversify its sources of income and create a long term and sustainable fundraising programme. The fundraising programme needs to be developed in detail and should include a corresponding implementation plan to begin during FY2014/15. Lead times to develop the strategy should be clearly stated. Specifically the strategy should: a) Deliver a full situational analysis of the charity from an income generation and fundraising perspective. b) Recommend the main fundraising opportunities for the organisation and, where appropriate, key partners and set out how to harness these. c) Give clear indication of priorities i.e. where the quickest wins lie and corresponding timeline. d) Recommend the appropriate skill sets required to deliver the strategy. e) Provide a three year income and expenditure forecast for the income generation and fundraising function (including consideration of risks). C RESPONSIBILITIES The Consultant(s) will be responsible for the areas outlined within this brief. They will be expected to work in close liaison with the Board, the Director, staff and volunteers, Bromsgrove Arts Alive (Forum for Arts Organisations in Bromsgrove District) and other external stakeholders and potential partners. The Consultant(s) will also work closely with Diana Johnson, Project Manager for the A2D Catalyst programme. D TENDER PROCESS AND TIMETABLE 1 Respondents to this brief should submit a written proposal by to Dorothy Wilson, Chair of Board of Directors/Trustees: dorothy.wilson.artrix@gmail.com by 5pm on 27 th June Interviews for those shortlisted will take place in Bromsgrove in early July. All tenders will be evaluated against the objectives set out above combined with cost effectiveness and track record of delivering results. 2 Proposals should detail: a. The processes and/or activities required in order to address the key deliverables. b. A rationale for why these processes/activities have been recommended.

5 c. Details of the key consultant(s) that would work on the project including who would act as the main client contact. d. Consultant/Consultancy credentials including two short relevant case studies that outline how the respondent has delivered similar work in the past. We would also like to speak to previous clients. e. Full costs (including administrative costs and any travel that is envisaged) and an indication of your approach to charging for any subsequent phases we may consider. f. Timeframe for delivery of the final strategy paper, implementation plan and income and expenditure forecast (broken down into key phases if relevant). g. Terms of business 3. Quality of experience of team / lead person, through assessment of the individual experiences of the nominated team, their understanding of fundraising in a cultural environment and previous project experience; b. Methodology for undertaking role and developing effective fundraising strategy; c. Timetable we would like to complete this work by mid-september d. Price Artrix has identified a maximum budget of 5,000 for this work. Artrix does not bind itself to accept the lowest or any tender.
