2 Job Advert Out of Town Museum Project Co-ordinator Role title: Project Co-ordinator Salary: 22,000-24,000 p.a. pro rata (plus 5% stakeholder pension payable after a 3 month probationary period) Hours: 22 hours per week (0.62 FTE) Contract: Fixed Term until 30/06/2022 An exciting opportunity has arisen for an enthusiastic Project Co-ordinator to join Bailiffgate Museum & Gallery to deliver the Heritage Lottery Funded Out of Town Museum project. The Out of Town (OOT) Museum is a new project that will celebrate the rural heritage of Coquetdale, with a focus on routes, journeys and travelling. OOT will collect and record memories and stories told in the local voice, along with photographs, audio, documents and other artefacts. New heritage records will be created and archived and local voices and dialect will be celebrated. OOT will deliver a varied programme of events to engage audiences of all ages and backgrounds to encourage participation in and contribution to the OOT Museum as well as learning about the area s heritage. Once this wonderful history is collected we will create high-quality interpretation which will culminate in a touring exhibition celebrating our rural heritage and sharing local voices, memories and stories. Based at Bailiffgate Museum & Gallery, the Project Co-ordinator will manage a team of volunteers to deliver an outstanding programme of activity that will research and archive local stories and celebrate the rural heritage of Upper Coquetdale.

4 Bailiffgate - History & Background Established in 2002, Bailiffgate Museum & Gallery is an award-winning museum located in a beautiful, grade 2 listed, former church in the centre of Alnwick. Our vision of heritage at the heart of the community places local history, culture, folklore, traditions, stories, art and environment at the centre of everything we do. Through our collection, exhibitions, events and projects we work towards understanding, recording, sharing and celebrating the heritage of Alnwick and the surrounding area for the benefit of both local people and visitors. The museum is led by a Board of Trustees, and run by our thirty volunteers. The museum has operated as a volunteer led and run organisation, since 2011, and is fortunate in having many who give a huge amount of time to the museum and bring many skills. Along with our permanent exhibition, which was re-interpreted in 2014, the Museum also organises a varied and ambitious programme of temporary exhibitions, events and outreach activities. We are an accredited Museum under the Arts Council National Accreditation Scheme and in the last few years we have seen many successes which have been recognised locally, regionally and nationally through being awarded, and shortlisted for, several awards. In the period 2012 to 2015 we delivered our first major HLF project Heritage at the Heart of the Community which strengthened our volunteer base, engaged with local communities through a series of outreach projects, and included a stunning reinterpretation of our exhibition space. We believe our success with that, and several other projects, as well as our continued successes as a small independent museum, are testament to the strength of our volunteer community, and we hope that our latest project The Out of Town Museum will consolidate this and allow us to develop further. The Out of Town Museum Project Bailiffgate has been awarded 285k from the Heritage Lottery Fund to deliver the Out of Town Museum Project which will run until The Project was developed by a team of volunteers working, with a consultant, from an idea originating at a volunteer strategic planning day in During the Development Phase (Nov May 2018) the project team carried out a huge amount of research, and developed a large network of contacts and know that there is lot of community support for our project in the Coquetdale area.
5 In developing this project, we have sought to explore the heritage which is unique to the rural area in which we live and which has shaped the remote communities of Northumberland. The project will focus on rural Coquetdale, an area west of Alnwick, centred on Rothbury and stretching more or less from River Coquet in the south to River Breamish in the north. The project will research, explore, celebrate and share the heritage associated with routes, pathways, connections and transport in this area. We are interested in both the well-known (or well-trodden) roads and pathways and the lesser known routes and connections. Through the Development Phase, we have started to learn about the informal routes taken by individuals, families and communities over generations and we are discovering that there is unique heritage associated with these journeys. We will collect stories as well as objects, artefacts and heritage items. At this point, we cannot tell what the project might uncover, but we know from previous work that there will be hidden treasures in these communities: clues to our past and features of our heritage. This area has a rich heritage of local voices, dialect, music and song. Very few people have spoken with the true Northumbrian accent and dialect since the school system changed in the 1960s but it does still exist in the remote and rural locations within the Upper Coquet Valley, although it is fast being lost. It is critical that this is recorded, so that stories and memories can be told in a local voice before it is forgotten altogether. The project will create an oral history archive by recording dialect words describing routes, roads, paths and means of transport. Our volunteers are keen to work with a Project Co-ordinator who would relish the opportunities in this work. The Project Co-ordinator role We are looking for someone who understands how high quality community outreach works, enjoys working with volunteers, both our own museum volunteers and those we engage through our OOT project. The key responsibility of this role will be to plan and implement the project and manage the day to day running of the project, liaising with all members of the project team and volunteers. This will include ensuring that the project is running to schedule and that the project is within budget. The Project Co-ordinator will also need to work with paid consultants in addition to partner organisations, such as Northumberland Archive and the Northumberland National Park. You will join a friendly dynamic and experienced team of volunteers and paid Coordinator. You will be an enthusiastic and dedicated individual committed to providing high quality museum outreach projects. You will have a flexible approach to work and enjoy working in a team. The Project Co-ordinator must be flexible in terms of time and be available for evening and weekend working as part of the regular working week.
6 Job Description Out of Town Museum Project Co-ordinator Role title: OOT Project Co-ordinator Pay scale/rate: 22,000-24,000 plus 5% stakeholder pension payable after a 3 month probationary period Hours: 22 hours per week (0.62 FTE). Flexible working is required and attendance at some evening/weekend meetings, events etc is essential. Contract: This is a fixed term contract until 30/06/2022 Job role: This appointment is for a new post to co-ordinate and deliver the Heritage Lottery Funded (HLF) Out of Town Museum project which exists to record, celebrate and share the rural heritage of Upper Coquetdale. This is an exciting opportunity to lead the project delivery of this major outreach project for the museum. The main focus of the role is to ensure delivery of all elements of the project within budget and on time and to report to the Heritage Lottery Fund. This will involve co-ordinating project volunteers, developing project ideas, organising events, supporting local communities, maintaining project records, commissioning and managing small contracts and submitting reports. The postholder will be supported by a team of experienced and enthusiastic volunteers, as well as an Oral History Specialist and an Interpretation Consultant. Location: The Project Co-ordinator will be based at Bailiffgate Museum & Gallery in Alnwick. However, much of the project delivery will be in the rural area of Upper Coquetdale. A project van is provided and should be used whenever possible but it is inevitable that personal vehicles will be used occasionally (expenses can be claimed). A full, clean driving licence is essential. Responsible to: OOT Project Board Responsible for: Oral History Specialist (freelance), volunteers, Durham University MA student placement(s), other contractors and freelance practitioners

8 Project Co-ordinator Duties and Responsibilities 1. To co-ordinate and deliver the Project Activity Plan ensuring that all activities are delivered to the highest standard, that Bailiffgate is appropriately represented and that our local rural heritage is recorded, understood, preserved and celebrated To develop project resources (e.g. school activities, event materials) in line with project branding and the Interpretation Plan To support and co-ordinate volunteer activity including organising training, making sure all activities have adequate volunteer support, providing resources and sharing regular updates with the volunteer team To recruit new volunteers to the project, working with Bailiffgate s Volunteer Committee and Adminstrator to ensure recruitment and induction procedures are met To organise annual volunteer celebration events in line with the Activity Plan and Budget To recruit and manage a freelance Oral History Specialist who will support the collection and archiving or oral histories throughout the project To organise a project talks programme which sets the project in a context of 5,000 years of journeying/travelling in the Upper Coquetdale landscape To co-ordinate use of the OOT project van, ensuring this is used as much as possible and in preference to personal cars. To work with the Museum Administrator and Treasurer to ensure weekly maintenance checks are done and followed up. To ensure the delivery of the final touring exhibition (January-June 2022 and beyond) by working with the Interpretation Consultant and volunteers to deliver an exceptional exhibition supported by community contributions and a programme of heritage events To write a legacy plan for the touring exhibition which will include agreeing venues for the exhibition beyond June 2022 and putting in place a suitable business plan and systems to enable volunteers to deliver this after project funding ends 2. To publicise the project widely to generate public interest, ensure audience engagement and promote project learning and best practice within the heritage sector To manage the project website (to be developed by a web designer) and ensure it is kept up to date with project progress, forthcoming events etc To provide regular updates via project social media accounts (Facebook, Twitter, Instagram) To produce and/or commission project publicity including printed leaflets, posters, flyers, adverts etc To work with the Evaluation Consultant to ensure project learning is disseminated To liaise with other heritage sector organisations to promote OOT as part of the legacy planning process To represent OOT and Bailiffgate within wider heritage networks

To report to the Project Board, trustees and funders as required To present project reports/updates at each Project Board meeting and, if needed, to Museum trustees To complete funding reports and claims as required for sign off by the Project Board To ensure volunteer time is recorded and reported to HLF 4. To manage the project budget To work with the Treasurer and Project Bookkeeper to provide financial spending reports and forecasts (including planning spend for the forthcoming months) To commission small contracts (with sign off from the Project Board) in line with the project budget To generate match funding through local community fundraising activities including requesting public donations, holding fundraising events and selling project merchandise 5. To represent and contribute to wider Bailiffgate Museum & Gallery activities To contribute to Bailiffgate s Annual Planning process, ensuring that OOT project milestones and budget are included in the Annual Plan and Annual Reports To ensure Bailiffgate is promoted at all OOT events and activities (including online activity) To liaise with the chair of OSG to ensure the wider Museum is up to date with OOT activity To ensure Bailiffgate policies and procedures are adhered to at all times To work with the Collections team to ensure that the OOT project enhances the Museum collection and understanding of rural life/heritage Keyholder for Bailiffgate Museum & Gallery
10 Project Co-ordinator Person Specification Personality: Above all we are looking for an enthusiastic, approachable and highly organised person to join our small team to deliver this exciting and ambitious project. The successful applicant will have a passion for local heritage along with a logical and methodical approach. They will be a good team worker but also self-motivated and ambitious. They will be a natural leader who can keep the project moving forwards and deliver a high quality heritage experience. They will be flexible to deliver a range of tasks and able to support evening and weekend activities where needed. They will be willing to learn and should be able to demonstrate a keen approach to personal development and training. They will lead by example and set a professional standard to which volunteers at the Museum and in the community can step up to.
