If yes, Ensure that the budget is sufficient and plan for meals as food is not an allowable expense Take Field Trip If no, Prepare Unit/ Lesson Plan and Request Submit Request on MyTexasACE/ Field Trip Guidance Respond to requests for additional information or clarification or from TEA 1

2 Texas ACE Feeder School Change Process Would like to add/ change the feeder schools of a Center. Grantees may also make changes in feeder schools as part of the annual continuation application process. If add, Do you want to add, remove or replace a feeder school? about the need for to add the feeder school. Send request to ACE Help If remove, about the need for to remove the feeder school. If replace, about the need to replace a feeder school. Send request to ACE Help Send request to ACE Help Submit Amendment to TEA Submit Amendment to TEA Submit Amendment to TEA Once a feeder school is added to the grant, that school is considered served by that current 21 st CCLC grant and not eligible to be included in a new grant application until the current funding period is over. 2

3 Texas ACE Adjunct Site Change Process: Fall & Spring Term Only If you want to make changes to adjunct sites for summer programming, please see TX ACE Summer Location Changes process. Would like to add/ change the adjunct sites of a Center during the fall or spring term. Do you want to add, remove, or replace a adjunct site? Grantees may also make changes to adjunct sites as part of the annual continuation application process. If Yes, Complete an amendment and update adjunct site information in the Standard Application System Submit the amendment to TEA and send summary of the amendment to the ACE Help 3

4 Texas ACE Program Operations Change Process If you want to make changes to program hours for summer programming, please see TX ACE Summer Programming Changes process. Need to change the schedule (hours, days, weeks) for programming at a center during the Fall or Spring Terms Grantees may increase hours, days or weeks of programming at anytime, but once approved, the goals must be met during that grant year. Grantees can seek approval to decrease their time in subsequent terms or years as long as the programming provided meets the hours, days, or weeks that were approved in the Year 1 grant application. about the need for the change the value that will be added for program participants. 5 Texas ACE Summer Program Operations Changes Approval Process We are planning on changing program hours, days, weeks for summer programming. Grantees can not decrease any hours, days, or weeks below what is approved in the Notice of Grant Award (NOGA). request to Help Desk and cc: TAC and include rationale for change including process for engaging and polling students and families, the staffing plan and needed facility management changes. 6 Texas ACE Summer Location Changes Approval Process We are planning on changing our program locations for summer programming. Is the location a site that is already approved as a Center, feeder school or adjunct site? If yes, request to Help and include letter from Superintendent or Executive Director explaining change to include the reason and time period by the first Friday in May If no, request to Help and include amendment form Schedule 4 from Standard Application System and letter from Superintendent or Executive Director explaining change by first Friday in May Submit information to TEA or from TEA Respond to requests for additional information or clarification Submit information to TEA or from TEA 8

7 Texas ACE Campus/School Name/ID Change Process A Center s Campus/School Name/ID Changed about the name change. Identify documentation of change (board agenda, school closure documentation) File Amendment with TEA Schedule 4 of Standard Application System of the original grant application. Receive notification from TEA that the information has been updated 9
