2 1.Introduction 1.1 The examination manual is part of the Benoni Muslim School policy on assessment. The manual must be retained in the Educator s Assessment File for future reference. The levels of questioning (Barrett s Taxonomy ) must be followed when question papers are being set. 1.2 Duration of Examination : 29 May June 2013 (Grades 10-12) 12 June June 2013 (Grades 7-8) 14 June June 2013 (Grades 4-6) Foundation Phase: CONTINUOUS ASSESSMENT 2. PREPARATION EXAMINERS: PLEASE NOTE THE FOLLOWING: 2.1 The following must appear at the top of the first page of your question paper: BENONI MUSLIM SCHOOL; MID-YEAR EXAMINATION / FINAL EXAMINATION 2013/1434 SUBJECT; GRADE; TIME; MARKS; MODERATOR; EXAMINER; INSTRUCTIONS. 2.2 Indicate to learners the number of pages and sections in the examination paper. 2.3 Give clear instructions to learners. 2.4 Typed question papers must be proof read so that no correction has to be made after photocopying. 2.5 It is the responsibility of the examiner to ensure that question papers are correct in all respects. 2.6 On completion of marking, arrange scripts in merit order, then submit for moderation to your moderator. 3. POINTS TO CONSIDER WHEN SETTING YOUR PAPER 3.1 Set questions on work covered until 31 May Balance your papers. Ensure that you cater for both the bright and the weak learners. 3.3 Take note of the levels of your questions. 3.4 Avoid ambiguity in your instructions and questions. 3.5 Weighting for marks: Ensure that a mark for a question is not too high or too low. 3.6 Consider the time and the length of your paper Ensure that there is no repetition of your question. 4. SECURITY OF PAPERS 4.1 Strict security measures are to be observed with the examination papers. 4.2 The examination paper must be handled by the examiner and moderator only. 5. PHOTOCOPIED PAPERS 5.1 Question papers must be proof read by the examiner and handed for duplicating to Muallimah H. Badat. 5.2 If errors appear on your photocopied paper provide an invigilator s copy with the errata in each distribution jacket. 2
3 5.3 Ensure that every learner has the correct number of pages. 5.4 All spoilt papers to be destroyed. 5.5 As soon as papers are jacketed hand in to the HOD (Room 26). 5.6 Question papers to comply with attached format (NB. Number of pages and questions). 6. EXAMINATION PROCEDURES 6.1 Docketing Sheets Docketing sheets are available from the office. Kindly ensure that all relevant information is correctly completed. Docketing must be completed as per distribution list. 6.2 Seating Plan and Learner Distribution. Learners will write their examinations in the designated rooms as per distribution. Invigilators are required to organise and arrange Learners in their respective seats as per seating plan. Educators should ensure that the seating plan is adhered to at all times and that learners do not change places. Learner distribution will be done by the School Assessment Team. 6.3 Registers Ensure that the register is marked (indicating absentees) and signed. 6.4 Policies All policies pertaining to Assessment must be strictly adhered to. 6.5 Queries / Questions Queries and questions relating to any aspect of the examination can be directed to the School Assessment Team. 7. DAILY PROCEDURES 7.1 To be strictly followed. 8. INVIGILATION 8.1An invigilation roster will be issued to educators prior to the commencement of the exam. 8.2 Start of exam must be staggered so that learners study until papers starts. 8.3Before the commencement of the exams all books AND/OR notes are to be left in the front of the classroom. 8.4 Learners to occupy seats assigned to them. 8.5 Your task as an invigilator is to be vigilant. 8.6 No sitting, reading or marking of papers will be permitted during invigilation. 8.7 Start every session with a clear board. 8.8 Arrange a time-indicator on the board. 8.9 Do not allow learners to leave the room before the termination of the examination. Wait for the siren Learners not writing during a session will be kept in the examination room in their assigned seats under complete control. 3

PROCEDURES TO BE FOLLOWED WHEN LEARNERS ARE CAUGHT COPYING 9.1 Confiscate documents. 9.2 Rule a horizontal line immediately after the learner s work and insert the following: TIME: COPIED FROM: SIGNATURE: 9.3 Hand the script back to the learner for the learner to complete the examinations. 9.4 Bring the learner to the office immediately after the paper and report this incident to the Principal. 9.5 A decision will be taken by the office. 10. EXAMINATION SCRIPTS 10.1 All examination scripts to be returned to Room15 after the examination Subject teachers must collect their scripts from the office. Check number of scripts No learners will be allowed to handle the scripts. 11. DURATION OF PAPERS 11.1 Grades 4-6 : 1 Hour 11.2 Grades 7-9 : 1½ - 2 Hours 11.3 Grades : 2-3 Hours Please Note: Question to be numbered strictly according to the decimal system. In the subject block indicate the subject, paper, number (only if applicable). Draft question paper, expected answers, marking memoranda, photocopied question papers. Examiners and moderators reports and scripts to be filed in the educator s portfolio. (Mid Year Exams) Submit a copy of exam paper and memorandum to Subject Head after paper is written. NB: ONLY 2 DAYS (INCLUDING WEEKENDS) ARE ALLOWED FOR MARKING. ON THE 3 RD DAY, PAPERS MUST BE HANDED IN FOR MODERATION. POST EXAMINATION 12.CALCULATION OF TERM MARK 12.1 Liaise with your Head of Department to ensure that marks are entered correctly according to the requirements for the Learning Area Clarify matters pertaining to learners being absent or who have not completed tasks throughout the term (the allocation of 0) 12.3 Composite mark sheets must be completed and transcription of marks must be checked. 13. MARKING 13.1 Exercise the greatest care in marking No marking to be done in the presence of learners Marks to be revealed to the learners only after moderation Marked papers are to be forwarded to the moderator as soon as a set is completed All marking to be completed by the date stated on the checklist. 4

PROMOTION MARKS FOR EXAMINATIONS 14.1 After moderation, subject teachers must total term marks and exam marks Marks to be reflected on the mark-sheet The prescribed schedule must be forwarded to the office for approval (refer to checklist ) Subject schedules to be forwarded to Form teachers after they are checked and certified by the office Special cases: refer to the office All marks to be recorded out of Names of Award Nominees to be submitted to the office (Final Exam Only) Names of learners who will be retained must be forwarded to the office (Final Exam Only). 15. LEARNERS REPORT 15.1 To be completed neatly and accurately Reports with any alterations will not be accepted Remarks to be appropriate and well - phrased Completed reports to be forwarded to the office for signature Reports to be enclosed in addressed envelopes/or plastic sleeve Reports will be handed to learners / Parents on the date specified. 16. DIAGNOSTIC ANALYSIS 16.1 To be completed and retained by teachers for purposes of remedial work No marks to be revealed to learners only after moderation Teachers are required to complete remedial work. 17. 6 NB: Foundation Phase will be dismissed at 12:45 from 12 June 2013 Invigilators must stagger start of paper so that all papers start at the same time. Grades will also proceed to exam rooms at 08h GUIDELINES FOR PRE- MODERATION The standard format must be checked i.e (Date, Grade and Learning Area) Check if mark allocated to each Question is indicated on the total grid. Tally the marks on the grid with the marks on the question paper. Marks allocated on the Question Paper must correspond with the marks in the Memo. Are the marks allocated appropriate for the type of question asked? Check if all levels of questions are catered for. Check if the answers are correct. Check that all diagrams and other pasted sources are legible. Check the numbering sequence of each question and sub- question. Sufficient answering spaces must be provided if the learner is to answer on the question paper. On completion of Moderation, the question paper and memo must be signed and dated. All errors need to be discussed with examiner. Languages are : English / HL Afrikaans / FAL Pre Moderation form must be filled in. 19. GUIDELINES FOR POST MODERATION All scripts of each Grade must be submitted with the Memo. Scripts must be arranged from the Highest to Lowest, separately for each grade i.e Grade 9a 9b. The analysis must be completed A selection of highest / average / lowest paper must be moderated. At least four scripts should be moderated Learners answers must be fairly marked in accordance with the memo. Moderators are to use their discretion. Check that all mark calculations are correct. Each moderated script must be signed and dated, changes need to be reflected. Moderated scripts must be placed on the top of the pile. All scripts must be returned to the Examiner with the moderator s report. 6
7 Discrepancies should be discussed with the examiner Moderation must be in black pen. 20. Guidelines For Invigilation Report promptly to your invigilation room. Mark exam register. Check learners are seated accordingly to the seating plan. Examination papers will come to you; fill in and sign docket sheets. Check that you have the right papers.check time allocated for exam paper. Stagger papers accordingly. All learners must leave their bags / books outside the classroom. If a learner is not writing immediately, his books for studying can be in his possession but his bag must be outside. When all learners are seated, give out exam papers. No borrowing of stationery, no tippex. Only transparent pencil cases. Only Grade 4-7 may leave to use the toilet (weak bladder), but Grade 8-12 not allowed at all. Check around walls / chairs / table classroom. There must be no worksheets / charts useful for exams. No talking in the exam room. When invigilating for an examination or test, educators are expected to exercise great care in the supervision of learners. They should be vigilant and move about the room during the session. It is important that learners should not be given the impression that the opportunity for infringing the regulations exist, by reason of lack of vigilance on the part of the invigilators. Procedure for copying : 12.1 If a learner is suspected of cheating, the educator must be 100% sure before he/she takes any further action Protect the honour of the child by not openly accusing him/her of the actions. The minimum amount of disruption should be caused in the class. o Take learner s script away and sign date and time of copying. o Re-issue learner with a new paper, sign second paper with time. o Keep evidence and report to Mudeer with evidence at the end of the session only. Disciplinary Procedure. The respective learner/s will be asked to complete a report on the incident. The parent/guardian of the respective learner/s will be called telephonically to address the matter with them. The examiner marking the paper concerned should deduct 20% of the total mark from the overall total. Repeat offenders will be referred to the management for a disciplinary hearing. Invigilator to be vigilant throughout and not stand by the door or do any other admin work such as marking. Collect all scripts only at the end of the session. No learner s script are to be collected before the session ends. Count all Scripts then insert them into the docket. Return all exam papers only at the end of the session to ROOM 15 (computer room) NOT administration office. Grade learners may be issued with scripts 10 minutes before time for reading and commence writing. Pay back system will apply for invigilators who are absent. Invigilators are not to leave until siren for session rings as an unattended class disrupts other classes writing. 7
