1 SECRETARY S DEPARTMENT REPORT TO BOARD OF DIRECTORS 22 FEBRUARY 2016 GENERAL COMMENTS 6 MTH TRIAL MEMBERS: Summary of program since inception (6/2010) to July 2016 (last renewal period): Applications Processed (ignores ABC3 Online) Non-Renewals % Still a member % 18 MTH MEMBERS: Summary of program since inception (9/2014) to July 2016 (last renewal period): Applications Processed 117 Non Renewals 48 41% Still a member 69 59% MEMBER S WEBSITE: Work is now progressing at a speedier rate on the Member area of the website some of the stumbling blocks with reluctant webmasters have now been overcome, and it is hoped that all committee websites will be reformatted within the next few months. A purge of old data is currently taking place so that members are only directed to the current information. PUBLIC WEBSITE: Work has begun with R+M to map the public area of our website in an effort to make it more dynamic and exciting and not expect the general public to understand the structure of our organization. 1

2 SECRETARY S DEPARTMENT REPORT TO BOARD OF DIRECTORS 22 FEBRUARY 2016 COMMITTEE REPORTS COMMUNICATIONS COMMITTEE R/C Kathleen G. Lambert, AP Stf/C Cheryl Jarrell AP: Stf/C Barbara M. Pearson, AP The Distinctive Communicator Awards for 2016 for both websites and publications have been posted on the Communications Committee website. Award Certificates will be distributed to District Commanders at the Annual Meeting. o Websites 330 websites in 31 districts 237 of these received the Distinctive Communicator Award (72%) 229 of these comply with the Brand Standards Manual (69%) 52 have created new websites using the Standard Squadron Site (SSS) or the Standard District Site (SDS) (16%) We currently have 18 website advisers The good news is that more squadrons/districts are building websites using the SSS and SDS developed by the IT Committee. o Publications 232 newsletters in 30 districts of which 211 were eligible for the DCA (91%) 200 of those eligible received the DCA for 2016 (95%) 149 of those eligible comply with the Brand Standards Manual (71%) A total of 1314 newsletter issues were reviewed by 19 publication advisers As the websites continue to grow, the newsletters continue to decline in numbers. HERITAGE AND PROTOCOL COMMITTEE R/C Kenneth T. Perigo, SN Stf/C Howard Sklar, AP: Stf/C Kent Simpson, AP In Pittsburgh, the Governing Board approved the name change of Rocky River S&PS to North Coast Ohio S&PS, D/7. They submitted a proposal for a revised burgee reflecting the new geographical area the squadron covers. The Flag and Etiquette Committee, via electronic vote, approved the revised burgee design. As of 2017, the squadron will celebrate their 50th Anniversary and the new burgee has the 50th Anniversary Gold Border. In addition, Stf/C Howard Sklar, AP has approved the 75th Anniversary Border for Balboa S&PS, D/28 and the 50th Anniversary Border for Northern Virginia S&PS, D/5. Questions have been answered about proper display of flags and suitable uniform protocol. Comments on 24 hour clock and BOC identification are coming in and will be discussed during our committee meeting in Orlando. The Historian Committee continues to wait for OpsMan to complete their review of the revised Secretary s Manual. Kent Simpson is resigning at the end of his term due to personal reasons. A replacement has already been found. Questions continue to be answered in the process of filing, recovering and amending Historian s Report on line. 2

3 SECRETARY S DEPARTMENT REPORT TO BOARD OF DIRECTORS 22 FEBRUARY 2016 MEMBERSHIP SERVICES COMMITTEE R/C Connie Beckman, SN Stf/C Kristi Anderson, P; Stf/C Ann Peltier, JN; D/C Tere Colon, Premise for 2016: This year was spent learning much, setting up the committee and about 70% of the objectives were met. Accomplishments/Conclusion to Date: 1. Approximately 339 squadrons sent in their OD2s and all districts sent in their OD1s. We have started notifying squadrons and districts that we need them. 2. One of the main things learned is that much time is spent tracing people with unknown addresses or invalid addresses. Part of this is because life members move to Florida and remain in their original squadrons, lose touch and disappear. The solution is to encourage each squadron to find members who have Unknown Addresses as soon as possible. If nothing is found a post card should be sent to the Unknown Address and the result is that the US Post Office will send the new address. 3. After sending a post card to the 50 year pin recipients, the following was discovered. a. Members were thrilled that someone cared and gave them a personal touch. This is something that needs to be sent to the squadrons via the MSRs. The time is minimal and the results are great. b. A plaque that has to be sent from HQ to the district and then from the district/squadron to individual. A pin should recognize people who have paid dues for 25 years. Many of these people who are on the 50 year membership list (not 50 merit marks) are life members and haven t pay dues for 25 years. A pin and thank you letter in my opinion would be more than enough recognition. The bylaws should be changed to accomplish this for the 25 and 50 year memberships. It should save money for both USPS National and the Squadron/Districts. c. It is obvious that we need to establish the MSR (Membership Services Representatives) in each district. We have a start but it needs to be emphasized to all the DCs. 4. Lots of work to be done next year now that we know what needs doing. Goals for 2017: 1. Have MSRs in at least 15 districts. 2. Have a website created 3. Develop a simple way of tracking help desk queries. 4. Work with Squadron Development to revamp the Doing It Right Award to include one of the criteria is to have an MSR in each district. 5. Output four newsletters containing how to information April, Sept, Nov and Jan. 6. Continue to track Unknown Addresses and identify our deceased members. 7. Help HQ in any way the committee can. OPERATIONS MANUAL COMMITTEE R/C Micky McNelis, P Stf/C Anna Morris, JN All updates have been completed at this time. The committee is working on ideas for simplification but feel that simplifying the organization will result in a simplified OM. 3

The room size in Orlando will allow us to test dedicated checkout area and cordoned lines to ensure a smoother throughflow of people. INTERNET SQUADRON Statistics as of 15 February 2017 (Since 2009 inception) Internet Squadron Members Sign Up ABC Average Sign Ups per day Average ABC3 per day Non Renewed... 79% Current Members... 21% Internet squadron... 10% Local Squadron... 11% From 1 January 2016, ABC3 Online members are not being provided with a 6 month trial membership. This means that in future, the number of joining members will be reduced but they will be actual dues paying members. 4
