1 TIRUPATI HMS SOFTWARE MANUAL 1. Open Target Input Folder where Tirupati HMS Setup 2. Installing the Software:- 1) Install xampp-win vc9-installer. Double click on installer. 2) Click Next > 3) Select: - Destination Drive like- C Drive or, D-Drive for Software to be installation. 4) All services check box- will checked and click on Install. 5) Complete all on-screen instruction and finish installation. 6) Now will auto-open Xampp Control Panel:- 7) It s should be show Apache & MySQL Service Running Status(Green-bar)

2 8) Click on Apache s Admin to open service & select operation Language. Ex- English. 9) Now go back to Xampp Control Panel & click on MySQL s Admin. 10) Now click on database and it will open create new database dialogue box. 11) Type hms for database name-box and click to Create 12) Select database- hms form left side from menu. 13) Click on import button right side top menu. 14) Now click on Choose file in browse your computer & select file named hms.sql from downloaded or target where your software setup folder you have. Like.

3 15) Go to bottom of page and click on Go button. 16) Go to again your Target Software Folder like:- Tirupati HMS 17) Select folder hms and that copy (crtl+c) and pest (crtl+v) to follow location C:\xampp\htdocs or D:\xampp\htdocs (if you choose D drive to software installation). 18) Your Software Installation Completed. 3. Installing the Mozilla (Firefox) & Setting:- a. Click and Install the Mozilla.exe file. b. Complete on-screen instruction. c. After complete installation click on Finish button. d. Open Mozilla Firefox then go to Mozilla Menu/ Setting at right-top side. e. Click on Options-> then f. In General tab (left-side) g. Type in Home Page (Server PC) Follow Link (Ex.-Server IP ):- h. Type in Home Page (Cleint s PC) Follow Link:- i. Select Download Section-> Always ask me where to save for downloaded files. j. Click on Content in left-side->pop-ups this should not checked (please make in unchecked.)

4 k. Privacy setting should be- Never remember History. l. Close the Setting & restart Mozilla -> If Successfully installed then Software login page will appear. 4. Printer Setup:- a. Open Mozilla Firefox then go to again Menu/Setting there select Print. b. Click on Page Setup on top-left side to go page settings. It will open a dialogue box. c. Now select in dialogue box Margin & Header/Footer d. In Header Footer Section- select all blank part form right Header is Date/Time. Then click OK button.

5 e. Select default printer to be printing of software document from software. f. Now Print Set-up is Ready/Completed. 5. Open the Tirupati HMS Software & Login:- A. LOGIN PAGE B. 6. Networking with Software:- a. Go to Control Panel->Select Network & Sharing Centre. b. Double click on connected network.-> will open Dialogue Box.

6 c. Click on Properties:- Then Open double click on Internet Protocol Version(TCP/IPv4). d. Click on use the following IP and feed static IP s will all client computer. e. Click ok with all computer IPv4 Setting should be done: where IPD Address: , , , so on with there should not same IP address for any two computer. Otherwise window will IP-conflict. f. For Mozilla Firefox, Make Home page- g. Go to content & unblock Block-Popups h. Go to privacy-> select Never Remember History 7. Making /Edit/ Delete User (Super-Admin, Admin, Basic) in Software:- a. Open Tirupati HMS and then login with Software login credential: b. Login Id- admin@123 Password- admin@123 c. Go to Master-> Add -> Click on Add user. d. Now Administrative Login Screen will come. e. Or open Follow URL:- f. Login with Given Admin Login Credential g. Admin ID- tirupati@123 and Password- tirupati@123. Click Submit h. Click on Add Hospital. SELECT Account Type Hospital

7 i. Fill All User s Information required to user. j. Select module you want to assign to that specify user role wise working. k. Select Trail Period to user-work limit. Like:- 1 Month, 1-Year, etc. l. Click Submit. m. To edit/update the Account click on View Account List n. Select Account & Update Entry & Save by Submit. o. To delete/inactive please click Status Active/Inactive. 8. Software Working:- 1. Login i. Login with given Username & password. 2. Home page j. On home page Daily basis Automatic Day Collection can be seen. 3. Appointment

8 a. Here a patient s pre-booking can be save to which Doctor & schedule he want to come in Hospital to have medical check-up with prior appointment. b. To add new patient booking simply click Add New. c. Fill the required Information like Patient Name, Mobile, Specialization, Specialist etc. then click on submit. d. Once patient entry has been saved. It can be confirmed to make it register when he/she came to check-up. 4. Registration(F2) a. Make a New Patient:-Here we can make a new patient for OPD/IPD/TPA Patient. b. Auto Generated Entry for New Patient: Registration No, Token No, Patient ID. c. Fill the Patient details in given field (Mandatory)-Patient Name, Age, Sex, Specialization, Specialist. d. Then select Add more to Details entry feeding.(optional)-mobile No, Father/Husband name, Reference doctor, Chief complain, address, village, City, State, Pin/Zip, Drug Allergy, Blood Group, Diagnosis, e. Select category Additional Charge to take Patient bill for- Reg. Fee/Doctor Fee/OPD Fee.

9 f. Then Save Date or Save & Print to take print out of System Generated OPD/Prescribe Format with cash receipt. Take printout on Laser Printer. g. Now software will assign every patient to a unique Patient IPD & registration No for its complete activity can be monitor with that IPD/registration No. h. Revisit of existing Patient:- if any patient come again to medical-check-up, that does not require to fill its entry in software. i. Update Patient Entry:- to update a patient s entry like name, age, sex it can done by Its Reg. Noor Patient ID by putting in Reg. Column then press Esc button form key board will be reflect by the system then you can update and save data to save it.

10 j. Search a Patient:- to search a patient just type patient name/mobile NO/ Reg. No/Patient ID then press Search button. If Patient exist will show by system to below search result. k. Add a IPD Patient:- Select from Tab IPD then Fill all patient Details then select ward to be admitted patient at the bottom of page. l. Then click on save data/save & print now software assign a Unique IPD No to every new IPD patient. m. Add a TPA Patient:- Select from Tab TPA then Fill all patient Details then select ward to be admitted patient at the bottom of page. n. Then click on save data/save & print now software assign a Unique TPA No to every new TPA patient. 5. OPD Patient(F3) a. By default software will show here only current dated all OPD patient/today s patient. b. To see previous patient you can search from to search bar with patient details. Either you can click on show all c. After you find the patient just select that patient to add/edit any Transaction for billing there system can show that patient previous transaction (Admin)

11 d. New Billing:- To make any cash or credit billing Item Select relevant category like- Additional charge/ot or Hospital charge/ X-ray etc. e. Type key-word of Service /Item name to be add in billing. Ex.- Reg. Fee/OPD fee/x-ray Chest etc. then click to + to add multiple Entry. f. Then select type of payment cash/credit for the same. If patient pay same time then select cash either select credit to pay later on. g. Here if once any entry has been saved then Non-Admin staff will unable to edit/delete/update any entry of financial all entry only Admin staff can do that. h. Update/Edit/Delete (Only Admin):- Select the specify patient then select the entry to update Amount, Qnty. Or any other service to be edit.to delete simply select entry and click on Delete selected entry, put Remark for delete for security issue. IPD Patient a. By default software will show here only current dated all IPD patient/today s patient. b. To see previous patient you can search from to search bar with patient details. Either you can click on show all c. After you find the patient just select that patient to add/edit any Transaction for billing there system can show that patient previous transaction (Admin) d. New Billing:- To make any cash or credit billing Item Select relevant category like- Additional charge/ot or Hospital charge/ X-ray etc. e. Advance:- to take advance from patient select category advance type Advance/Part Payment in Item Name then put Amount of Advance in Amount Filled. Then click on Save Data or Save & Print as Cash to give Receipt. f. Consent Form:- to make consent form printed to every IPD patient simply select that patient and choose category consent form then in Item name select type key-word to be add consent form ex.- consent form, treatment chart MTP consent etc. now click on save date.

12 Now software be refresh and then select again same patient & come bottom of page and select forms to be printed. It automatically printed g. Bed Charges:-Bed charge software automatically apply to entry patient for entry 24-Hrs. to specify category of Ward select at time of IPD admission. Ex. (Bed charge/ RMO Doctor Fee/Nursing Charge) that came from pre-setting from setting section. h. Add-on Charge:-Type key-word of Service /Item name to be add in billing. Ex.-Reg. Fee/IPD fee & OT Charges/X-ray Chest etc. then click to + to add multiple Entry. i. Then select type of payment cash/credit for the same. If patient pay same time then select cash either select credit to pay later on. j. Here if once any entry has been saved then Non-Admin staff will unable to edit/delete/update any entry of financial all entry only Admin staff can do that. i. After when a patient wanted to be Discharge-Bill, you can Generate it s Pre-billing before Generate Final Bill to do so click Final Invoice Now if Patient is wanted to settle final Bill by depositing Payment then click for Credit Bill or Pay Final Amount. m. To Print Duplicate Receipt n. Master-> View-> Cash receipt-> Select Patient-> Select Receipt-> click on Print. o. Pay Final Amount:- 1. It will include All Cash Entry + Advance+ Credit Bill 2. Advance +Cash Entry with show in (Paid Amount) 3. Paid Amount will deduct from total payment (All entry)

13 Credit Bill:- 1. It will include only Credit Entry + Advance. 2. Advance will be show as Paid Amount. 3. Paid Amount / Advance will deduct form Total Credit Bill. 6. IPD File:- IPF File is useful to record and maintain all indoor patient file word. a. Select a patient to create its IPD-File, then type key-word to be printed file like- Cash sheet, progress charge, treatment chart, etc. b. Click save & print then, click on file to be print or edit the same below edit file c. After you can update daily it s record to software to. By Edit function. 7. Doctor Prescription:- Here the computer generate doctor prescribe can printed and also keep a copy of specify patient treatment & medicine prescribe by Doctor. a. Go to Doctor Prescribe and select patient. Then below the page will open All fielf to be mention. All field are Text Area b. Fill the patient relevant Clinic Note, Laboratory Test, Medicine, IPD/Dressing, X-ray/ECG and Remark for then click on Save or Save & Print. c. Also same Doctor Treatment & prescription can be modify by click on Update. 8. Nursing Note:- Here IPD Patient s Medical Supply, Investigation and any other Remark/Order sheet can be printed from nursing staff to patient. If nursing staff demand any medicine, test, x ray Etc. then it is very useful. a. Go o Nursing Station Module. b. Select a patient then type in Text Area for Clinic Note/ Remark then select category for item or service/item to be bring by patient attendant BY Nursing Staff for the patient. Then click on save and print.

14 9. c. All new demand slip should be generate for any item to be require for patient.

15 10. Dispensing Counter. This is CO-related Module with Pharmacy (F11) here we can sale then medicine to New or Exist Patient, can take refund medicine, generate Sales & Sales Return Report ofr Desired date Interval by applying (From date-to date) a. Sales & Refund from Patient- To sale Medicine/ pharmacy product b. Go to Dispending then click on Sales then click on New Patient or Existing Patient to be sales the medicine. c. Now Item issue box (Green Box Area) shown. d. Type in Item Name of Medicine/Pharmacy Product to be issue/sales to patient. e. Then select medicine/pharmacy product, quantity, Dosage to take medicine. f. Go for discount in amount or discount in % for then save and print to generate/print the medicine sales receipt for patient. To sale multiple item click on (+) sign for each new entry. Then select cash/credit and click on Save & Print to generate receipt g. While you want to take /refund form patient medicine then you- select patient> type item name> then in quantity field with minus (-) sign in then save and print to return the medicine form patient. h. Here for IPD patient Medical Advance also can be taken from patient(only valid for medicine item) i. You can issue medicine as credit to IPD patient/ HOM Patient. j. Then when patient need to pay final amount only for medicine /pharmacy product then we click Medical settle amount

16 k. It will clear patient out-standing bill and will make final medicine bill with deduct of medical advance if taken. l. If any sales return were performed that will reload item in stock, and its sales refund status/report can be downloaded from by click on sales return after apply date filter. m. Daily Sales report can be download from Sales Report button with all collection & user-wise sales report.

17 11. TPA / HMO Patient. Here all TPA/HMO patient billing can be performed as Credit and final bill can be generated separately. a. Select the patient then add item billing Item like- Bed charge, OT & Hospital Charges, X Ray, Lab-Investigation and t any other entry all as credit. b. Then click on final invoice to patient bill without payment and discharge that. c. That bill will be forwarded to that empanelled/tpa company for claim. For patient billing amount. 12. Laboratory (F6). This is a major key function of Hospital activity, all lab investigation maintain separately. a. Here the patient to whom need to perform the Lab-investigation we have to charge/generate it s payment receipt as cash/credit before it you can t make patient Lab/Pathology report. b. To do so go to Laboratory (F6) > select a patient to add test. c. Now go to left-bottom side of software page there click on Add Test

18 d. Then new page would be open by software. Then select Group Name> Select Test from Sub Group Name >(Auto Selected Test) then you may see total payment of that all test amount that need to be collected form patient. e. After you may give discount (amount or %) before print the lab-receipt. Then click to save & print or save for test report.

19 f. After you add test successfully give the receipt to patient. g. Now close the Add test Page. h. Then select the same patient again in laboratory. i. Then go to left-bottom page for create Lab report for the same. j. Select the test bar (will coloured by orange ) Click on Pending Test k. Now you feed all result you obtained during the lab investigation-procedure. l. Here already have Test Name & Reference values & measurement unit. m. If some test will Abnormal Report then Software will make that Red coloured Bold.

20 n. Print the report and give it to patient. (Press Crtl +p). o. Now Doctor also will able to see the same report from Doctor chamber (It software has been shared with Doctor s Computer.) p. If any report were wrong during fill of report, then click on edit test to modify the same report. q. Then select the test and update test result then save test

21 13. Radiology By this software All Radiology Test Report can be created here. a. To add radiology test to patient account you need to add it form OPD/IPD or HMS patient billing section by select the Radiology test. Then save and print the receipt and give it to patient. b. Now go to Radiology there select the patient & click on pending bottom left side. c. Then fill /update report content with minor changes observed in diagnosis. d. Click on print bottom to print the Radiology Test Repost. (Press Crtl + p) 14. Discharge Ticket: This is very useful module for Doctor to Generate IPD Patient with few click Doctor can create Discharge Ticket a. Go to Discharge Card>select the patient> then select ICD Section> select ICD sub section> then Diagnosis Description> now System will show you the unique ICD No with all details of Discharge note for the Disease you selected.

22 b. Now click to submit and Print the Discharge ticket download.

23 15. Reporting/Financial. This is Main Control Board of Complete activity Monitor from here for all Hospital Financial Statement /report and MIS System.

Click on Report in Xls then Apply Date Filter (From date & To date)> Then Select (default-select) desired filter like- User, Payment Mode, Panel, Report Mode, Specialization or specialist & category to generate statement/report. c. Then click on Search then system will show all on screen report with multiple head-wise report you wanted for. d. To print the report> click on check-box on report head that need in printed report, then click on Print. e. Consolidated Report> when you want consolidated report just apply date filter (from date & to Date) then just click on Consolidated Report and it can be printed for all OPD patient. f. Patient Summery report >to export in excel format the same report Details just click on Summery Report. g. Combine report> if we apply only date filter (From Date & To date) then click on search we will get All combine report with follows screen field:- Sr. No, Date, Patient Name, Sex, Reg. No, Token No, Payment Mode, Prescription, specialisation, specialist, Amount, Discount, Net Amount, Panel, Status, Ref. Doctor, and User etc. it can be printed with check-box filed > then Print. h. 26 Purchase Record: - It is Exportable in excel file for Medicine Group & Composite wise report. Just click on Purchase Record. Account Summery>It will manage Company Advance Deposit, Out-standing payment etc. a. Select Section> Select Panel>Apply Date Filter then click on Account Details to see outstanding. b. Account Deposit >to settle payment to selected panel /HMO company s outstanding. c. Account Preview> to check the outstanding & pad Amount for Same Panel just click on Account Preview 16. Integrated Report> here complete collection Of Hospital can be track with Head wise in single spread sheet/statement. a. Click on Integrated Reports apply date filter>select Cash / Credit then click on Search b. System will show all collection with Head-wise and end of sheet there will complete collection as Grand Total You can print by click Print.

27 Balance Sheet: to check Total Collection and Hospital expense which were made in expenditure then system will automatically balance by deduct from OPD+IPD+TPA = Total collection- expenditure= Grand Total. 17. Expenditure:-It can maintain all Hospital Expenditure, Voucher Entry, and Debit & Credit. a. Go to Expenditure then click on Add New Record. b. Then Fill Bill Voucher No, Select Particular, select- Credit/Debit., Quantity, Amount, Remark, & Narration to record expense entry. c. Save & print the receipt. Expense entry. By Submit

28 Master (F9):-All New Entry Can Be Add for Software auto call Setting. Like- Doctor, Department, Lab Test & Rate Card, OT and Hospital Price, TPA/CGSH Price List, Radiology Tests, Panel, Medicine & Groups Etc. Add- Add any New Entry in Software View- View can check and modify/update the existing entry.

29 a. Department- Like Doctor, RMO, Nursing, Reception, Sweeper, Mktg. etc. b. Specialization- Select Department > Select specialization then fill Doctor & relative Staff Information. c. OT & Hospital charge:- Select OT> Add OT> Item Name & Amount then Submit. d. Test Package> Test Package can be added from here that will refection drop down list in OPD/IPD/HMO Patient willing in Category Test Package e. Test (LIS)> Laboratory Sub group Test rate Add & Existing Price can list can be updated from here. Also update by View Test. View Test > select test then update name & price. f. Doctor Reference> Here we can add a new Doctor Reference and also set Share of that Doctor (%) so we can generate Doctor Share sheet for all patient that were referred by same Doctor. It will automatic calculate all doctor wise share system g. Select Main Doctor> type Reference Doctor Name> select each category to be given % for category-wise. Then click on (+) to add multiple entry then Submit.

30 h. i. LIS Test Group> Laboratory Test Group will be added from here. j. LIS test Procedure >Laboratory Test Procedure will be defined from here. Select Test Sub-Group>Test Type> Amount will be not fill because it will come from Test (LIS). And then set Test Unit Symbol Select Test with Reference Value or /Positive Negative. Fill Reference From Age & to Age, Male/Female, From range & To Range Submit. To update existing Test click on View Test Procedure. k. Radiology Test Procedure> For Radiology Test like- Radiology/X-ray, USG/CTScan etc. test can be added here. l. Select Test Type- Ex- X-ray/ Radiology > Test Name- Like- X_ray Chest PA View m. Copy Contest of Test Report.

31 n. ICD Section & ISC Sub Section.> here we can add more ICD Section & Sub Section for Discharge Ticket format. o. Charge Category> here we can add Doctor Tariff of each Doctor Separate. Select Doctor> Type Item Name & Amount, for multiple entry click- (+) then Submit p. Panel>Here you can Create each Section Panel for OPD/IPD & HMO ex- Raksha TPA it Need Company Reg., No, Validity, Credit limit to each patient billing without payment. q. Disease> Here Disease can be added form Reg. Page Diagnosis selection r. Medicine Group> Medicine Group Created here and Composite for each Medicine Group to configure Sal and Composite like- Antipyretics, Antibiotic, Vitamin etc. s. Consent Form> Consent form format will be set by here to generate any type of Consent form t. Add User> (only Super Admin) you can Add a Software User Account here. Login credential will required. u. Certificate.> Certificate> certificate forma will be added here. ex- birth certificate, v. IPD File> for IPD Patient file system format can be added here. To Add Item in Below Category consider for follow steps.

32 a. Additional Charge= Master> Add> Charge Category. - Select Doctor -Item Name & Amount. Then Click on Submit. b. OT & Hospital Charge= Master>Add> OT & Hospital Charge> then Add OT > ITEM Name> Amount. Click on Submit c. Test Package= Master> Add> select Test Package> Add Test Package- Name of Test Package and Amount then Click on Submit. d. Bed Charge (Auto Function) = Go to Setting (10) > Billing Amount Structure> Select Ward> type item Name and Amount. Then save. One by one. e. Surgical Charge is not active because it's work transferred to OP & Hospital Charges. f. Other- it s Direct Test box entry for every unknown it s to be add in Patient Account. g. Inventory- go to inventory > h. Consent Form= Master> Add> Consent form format type of Form name & Copy content of Consent form in Text Area. Click on Submit i. Radiology/X-ray/Ct Scan/ECG/ENT/ USG Section.- Master> Add> Radiology Test Procedure> Select type of Test then> Test Name> Amount> Then Copy & Pest content of Radiology Test formats in Text Area. To Print Duplicate Receipt Master-> View-> Cash receipt-> Select Patient-> Select Receipt-> click on Print. 20. Setting (10) - Basic Hospital Management Software to start IPD & Discharge Setting here. a. Add Ward- Here we can Add ward Category- General Ward, Deluxe, Cottage etc. b. Room Allocation- Here we can Assign Each Category of Ward of Room Capacity & Numbering. To Assign room Select Ward> then Fill from Room & to Room No. Then select > Submit > Then choose active Room then Submit.

33 c. d. Billing Amount Structure:- Here we can Make Billing Amount Structure for every ward Category. Like- Bed charge, ROM Visit, & Nursing Charge that should be add to patient Account Automatically. For every 24 Hours to Patient Billing.

34 e. Diagnosis- Here you can Add Diagnosis Process in ICD Section & ICD Sub section. f. Case Procedure- Here we can add Cash Procedure like- Clinic note, Medical History, g. Cash Description- we all make customized Discharge Ticket format here by Department wise.

35 21. Pharmacy (F11): - This Module is Complete Pharmacy Store Management System. That maintain Purchase, Inventory, Stock, Distributor, Short Stock Alert, Expiry Alert & Medicine, and Profit & Loss etc. Purchase- Here all pharmacy item which you have received from suppliers that should be upload from here to maintain pharmacy stock, if no item have stock then you cannot sale medicine to patient. (Mandatory)-Distributor No, Invoice NO, Date of Purchase, Item Name, Strip/ sachet Quantity, Unit rate & MRP Expiry & Batch Code. Inventory- Inventory can we check you all available product name & quantity, it can be exported in excel format. Stock- here you can apply date filter to find the purchase belling details and stock on specify date interval Distributor Account- this will manage your distributor a/c, create new distributor, out-standing of suppliers.
