5 The Internal Monitoring Suite (IMS) will help your agency streamline the monitoring process by tracking monitoring results and corrective action plans directly in ChildPlus.net. With IMS you'll have the choice of either using the built-in OHS monitoring protocols in the system or creating your own monitoring protocol. Access the Monitoring Checklists Setup To access the Monitoring Checklists: 1. Click Setup tab. 2. Click the Module Setup sub-menu option. 3. Select Monitoring Checklists from the pick list. 4. The Monitoring Checklists Navigator listing openss on the left-hand side of the screen. Scroll and click on the name of a listed OHS Protocol or a custom created checklist to edit the checklist. The information is displayed on the right-hand side of the screen. The official OHS Monitoring Protocol is built-in ChildPlus..net but users can create multiple monitoring checklists and routinely monitor those checklists. Copyright Training Scramble!! 5

6 Set up Monitori ng Checklists 1. To add a new Monitoring Checklist click the at the bottom of the Monitoring Checklists Navigator. 2. Startt with a blank checklist or start with a copy of ann existing checklist. The Monitoring Checklists Setup screen displays. There aree six sections to be completed. General 1. Type the Checklist Name. 2. Designate the Service Area. 3. Using the pick list, select the monitoring location for either the agency, site or classroom level.? 7 Setup Results This section is used to configure what result(s) the user will be able to select for a monitoring indicator as well as which result will be the default indicator when a new monitoring is created.? What would you use for results when conducting monitoring at your agency??? 13 Set due dates for Monitoring Checklist ts Once you have completed the Monitoring Checklist Setupp process, access the Internal Monitoring Suite module and set the due dates for the monitoring. To access the Internal Monitoring Suite module: 1. Click Management tab. 2. Select the Internal Monitoring sub-menu. 3. The Internal Monitoring screen appears and two tabs are displayed: Monitoring, which shows all monitorings scheduled within the desired date range entered and Set Due Dates, where the due dates can be set for each checklist. 14 4. Click the Set Due Dates tab and ChildPlus.net displays the options for setting due dates for each Monitoring Checklist as well as the location. Below the location options specific parameters for the due dates can be set.? How often are your checklists completed?? Who is responsible for making sure it is completed?? Who would schedule duties for the monitoring visit?? Who would actually complete the monitoring visit? Copyright Training Scramble!! 14

15 Enter Monitoring Results To access the Internal Monitoring Suite: 1. Click Management tab. 2. Click the Internal Monitoring sub-menuu option. ChildPlus.net displays the Internal Monitoring screen with two tabs. The Monitoring tab contains a list of all of the monitoring checklistss with assigned due dates. Copyright Training Scramble!! 15

16 3. Double click the monitoring in the list to enter results. Childplus. net will open the Internal Monitoring screen for that monitoring and the General tab displays the level of the monitoring for: agency, site or classroom as well as pertinent dates and the status of the monitoring. The General tab includes the following fields: 1. Due by This is the date the monitoring is due and the last day it will not be consideredd past due. 2. Scheduled This is the date the monitoring is scheduled to occur. 3. Actual This is the date the monitoring actually took place. 4. Monitoring Status This non-editable field displayss the status of the monitoring record. A monitoring can have the following statuses: a. Not Due: No monitoring record exists or the existing record has no due, scheduled or actual date. b. Coming Due: Record has a due date today or inn the future, no scheduled or actual date. c. Past Due: Record has a due date in the past, noo actual date. d. Scheduled: Record has a scheduledd date todayy or in the future, no actual date, and (no due date or due date in the future). e. Past Scheduled Due: Record has a scheduled date in the past, no actual date, and no due date or due date in the future. f. Completed: Record has an actual date.? 17 5. CAP Status This non-editable field displays the status of the Corrective Action Plan (CAP). A monitoring can have the following CAP Statuses: a. N/A (Monitoring Pending): Monitoring record has no actual date. b. No Findings: Monitoring record has an actual date, but zero non-compliant indicators. c. CAP Creation Coming Due: Monitoring record has an actual date with one or more non- compliant indicator(s), the date in Due Date to Create CAP is in the future, and the CAP Created date is empty. d. CAP Creation Past Due: Monitoring record has an actual date with one or more non- compliant indicator(s), the date in Due Date to Create CAP is in the past,and the CAP Created date is empty. e. CAP Items Pending Address: Monitoring recordd has an actual date with one or more non- has an Address By date is today or in the future, and the Date Addressed on the compliant indicator(s), CAP Created date is not empty, one of the noncompliant indicators Corrective Action Plan (CAP) tab is empty. f. 18 The Monitoring Resultss tab is where the monitor will type the results of a monitoring checklist.the screen displays the results of the monitoring and any notes pertaining to a particula Indicator.. If this were the first time opening a monitoring there would be no results and the user would click the button, select the proper Result statuses and type any Notes. 19 The Corrective Action Plan (CAP) tab is wheree the monitor will detail the corrective action plan and the important dates. Corrective Action Plan (CAP) tab 1. The Correction Action Plan is defined below the Non-Compliant Indicators window and pertain to the Indicator Text highlighted. This is the procedures to be followed to correct the non-compliant issue. 2. Corrective Action Plan Notes This is where the monitor or responsible staff member types what steps were actually taken to correct the non-compliant issue. Each step should have its own date and time stamp.? How would you create your corrective action plan?? 20 The Monitor s Follow-Up tab used by staff to record follow up information after the monitoring has been performed. Users may schedule a follow up to make sure a CAP has been created or non- compliant indicators have been addressed. There are several buttons at the bottom of to help userss manage their monitorings. 2. Lock this monitoring record This button disabless every control on each tab so no changes are possible. 21 3. Attachments This button prompts the standard ChildPlus.net attachment form. All attachments associated with a monitoring will have an attachment Service Type of Monitoring Review.?
