EXECUTIVE SUMMARY Footprints365 Charity is an organisation founded by Mrs Dorothy Gyebi-Ababio in 2011, with one fundamental objective - To provide excellent educational facilities in deprived regions of Africa. Its mission to equip, encourage and inspire the next generation from deprived communities through quality education, creative workshops and training activities for a successful future, providing them with much needed tools, support and resources for their growth and holistic educational development. The trustees are driven by the view that providing the youth with appropriate educational facilities can help break the cycle and eliminate poverty in the future. It believes that, through education children can realize their full potential and utilize their gifts and talents for personal development, as well as the collective advancement of a nation. Key objectives of the organisation include: identifying and assessing the needs of schools in deprived communities that can benefit from the charity; organise events geared towards raising awareness of the plight of the selected schools, and also to ensure the sustainability of the organisation; work with child career development experts to provide workshops and creative events to help motivate and inspire the pupils to believe in their God given potential; network and work with corporate bodies and other stake holder organisations who share in the vision of FOOTPRINTS365 and work together towards the fulfilment of the vision; and lobby /advocate government officials / educational policy officials to improve education in the community, state, country. Some of the basic problems affected schools faces, as mirrored by the case Bokuruwa Presbyterian Primary School, located in the Kwahu East District of Ghana, include: lack of safe and adequate building facilities, teaching and learning aids and materials, internet facilities, adequate support for feeding program, mal-nutrition and ill-health amongst pupils, low aspiration among pupils for a better future, absenteeism and high truancy rates prevalent among pupils. By this initiative, Footprints365 Charity aims to champion the cause of the affected schools and communities, and provide much needed support to aid and enhance quality education in the schools and communities. Including: becoming the mouthpiece to draw the attention of authorities and wider society to their plight; organize events to help raise awareness and funds for the provision and reconstruction of building facilities, educational tools and materials for the schools; improved enrolment and retention at the schools; provision of at least one decent meal a day for the pupils, which has the potential to cut down on truancy, dropout and absenteeism rates; and ultimately impact on the overall provision of quality education and socio-economic impact of the community and its subsequent impact on the nation as a whole. The reconstruction of the primary school bloc and a new school library for Bokuruwa Presbyterian Primary School, located in the rural district of Kwahu East Ghana, is Footprints365 Charity s first major project. This is to be carried out in five phases with work commencing in January 2015, and an expected completion date of January It is estimated that 98, is needed to begin the first phase. The execution of the first project is a test case for the organisation in its resolve to fulfil its mission in the Bokuruwa community and beyond. Thus becoming a point of reference, as well an opportunity to appreciate the task ahead and the learning curve it offers the trustee board, as it seeks to expand its operations locally, nationally and internationally. Footprints365 Charity trustee board are keen to start and execute its maiden project, enabling it to fulfil its main objective of providing excellent educational facilities in deprived regions of Africa. The above objects will enable the organisation to commence the cycle of development, produce nation builders and leaders with a mind-set of purpose for existence, thus equipping them to polish/sharpen their gift and talents for success through holistic educational approach. 6 6 v. Background The Story & Founder Footprints365 Charity was founded by Mrs Dorothy Gyebi-Ababio in Mrs Gyebi-Ababio is a teacher by profession and has also worked for 15 years in Human resources. She currently works for Kids Company Charity based in London-UK, as Operations Manager within the safeguarding department. With her vast teaching experience and knowledge of Ghana education system, as well as her personal experience with UK educational system (lived 31 years in the UK), she believes in the influence and vital role quality education shapes the lives of humanity. On a visit for a holiday, she saw first-hand the plight of the pupils and poor state of educational facilities in her hometown - Bokuruwa, one of the deprived and poor rural communities in the relatively new Kwahu East district of Ghana, she was inspired to take action in helping address this dire situation by setting up Footprints365 Charity. Which will not only address the problem of Bokuruwa Presbyterian Primary School but that of many other schools in deprived communities around the world, starting with Ghana, West Africa, the rest of Africa and developing world at large. The charity has one fundamental objective: To provide excellent educational facilities in deprived regions of Africa. The founder - Mrs Dorothy Gyebi-Ababio - is driven by the view that providing the youth with appropriate educational facilities can help break the cycle and eliminate poverty in the future. Through education children can realize their full potential and utilize their gifts and talents for personal development, as well as the collective advancement of their nation. Our Inspiration - Bokuruwa Presbyterian Primary School Bokuruwa was founded in the first half of the 17 th century, being one of the oldest of Kwahu nucleus towns in Ghana. The migrants principally came from old Denkyira and Ashanti tribes. A Christian missionary Reverend Ramseyer made contact with Bokuruwa and was so impressed by the hospitality shown to him in Bokuruwa that he promised to repay the kindness if ever he had the opportunity. In order to spread the gospel, the missionaries decided to open a school. So in 1917, Bokuruwa Presbyterian Primary School was established. Bokuruwa Presbyterian Church was one of the first mission stations opened by Reverend Ramseyer on 23 December It was the third school to be established with a registered number on NKP 3. The first Head teacher was Catechist E. Atiemo. The Church and the community put up the first set of school buildings in Later other sandcrete classrooms were added. In February 2006, a weak three-classroom block replaced. The present enrolment is 115 with staff strength of 10 and two teaching assistants. On the same compound is the kindergarten, which currently has a pupil population of ninety-five and 4 staff members. Page 6

7 7 v. Background Case for Bokuruwa Presbyterian Primary School The importance of a school such as, Bokuruwa Presbyterian Primary School to the community can never be overemphasized. It has the capacity to play a vital role in the socio economic development of the community as a whole, such as: i. Provision of basic education in reading and writing skills to improve on the literacy rates and eliminate illiteracy in the long run, which is a major barrier to development of a community and nation. ii. Education received by pupil s impacts not only other areas of their life, but that of their parents and community who may not have benefitted from such opportunities. iii. A school serves as an institution for helping correct and shape the lives of its pupils in accordance with acceptable behaviour of living in a community and society at large iv. Community cohesion and appreciation of other members of society regardless of sex, race, religion or status in the town. However, Bokuruwa Presbyterian Primary School faces an uphill struggle, in that, it lacks the basic structures that will enable it to function fully and fulfil its role in the lives of the pupils and community. The Head teacher of the school identified the following areas of support to enhance learning and teaching: 1. Accommodation for school library 2. Internet facilities 3. Support for a feeding program for pupils at the Nursery and Kindergarten 4. Teaching and learning material (Computers, Science equipment, Mathematics sets, Learning games, Physical education kits, etc.) Our initial assessment of the school in addition to the above brought the following to our attention: 1. Because of the level of poverty most parents are unable to provide adequate meals for their children 2. Poor dieting has also resulted in mal-nutrition and ill-health amongst pupils. 3. Truancy and absenteeism is prevalent among pupils because of the above To help address the above challenges, Footprints365 charity aims to: 1. Construct a 2-Unit bloc school with ancillary facilities 2. Accommodation for school library 3. Provide Internet facility and access 4. Support for a feeding programme for pupils at the nursery and kindergarten level 5. Provide essential teaching and learning materials The above focussed areas of help will enable Footprints365 charity to provide the necessary support for the pupils of Bokuruwa Presbyterian Primary School in their educational development and successful future. 8 8 vi. Championing The Cause In poverty-stricken nations many children and young people are unable to go to school because their parents simply cannot afford the school fees or course materials. Additionally children become victims of economic exploitation in order to earn income and contribute towards the provision of basic needs for their families. This often leads to children from the poorer regions of the world experiencing poverty as adults due largely to missing out on good education in their childhood. Providing these children with the appropriate educational facilities and tools now can help reduce poverty and improve economic activity significantly in the affected communities and the nation as a whole, in the future. Through education children can realize their full potential and utilize their gifts and talents for personal development, as well as the collective advancement of their nation. We assist and encourage poor communities to build a sustainable future based on outstanding education. Availability of adequate educational amenities has long term implications for the impoverished sections of developing nations. Problem The problems highlighted in our maiden project above (Bokuruwa Presbyterian Primary School case) are synonymous with what prevails in most deprived communities around the developing world, including: 1. Lack of safe and adequate building facilities to accommodate the school pupils and appropriate departments 2. Lack of right teaching and learning aids and materials 3. Non existing internet facilities 4. High poverty levels resulting in most parents inability to provide adequate meals for their children 5. Lack of adequate support for feeding program initiative for pupils at the Nursery and Kindergarten levels 6. Poor dieting has also resulted in mal-nutrition and ill-health amongst pupils. 7. Lack of confidence and higher aspiration among pupils for a better future 8. Absenteeism and high truancy rates are prevalent among pupils as a result of the above Expected Impact of Footprints365 Charity Support Footprints365 Charity s mission is to help provide solution to aid areas with vital support and advocacy initiatives to enhance quality education - teaching and learning - in the affected schools and communities. Support among other things, include: 1. Schools have a mouthpiece in the charity, which helps draw the attention of authorities and wider society to their plight 2. Much needed resources organised to help provide adequate building facilities, educational tools and materials for the schools 3. Provision of quality education, leading to improved confidence levels of pupils to aspire for better quality life 4. Improved enrolment and retention at the primary school, contributing significantly to the cultivation of the culture of reading among school pupils in the community. 5. Provision of one decent meal a day, significantly leading to improved health and quality of life of the pupils. 6. Parents with low income gets some level of financial relief as money for feeding the school children can now be used to meet other needs. 7. Boost in enrolment and cut down on truancy, dropout and absenteeism rates. 8. Impact on the overall socio-economic impact on the community and its subsequent impact on the nation The measure of the success at all times, in the life of the organisation, will always be the achievement of the above and related benefits it brings to the identified schools, pupils and affected communities in any given nation. Marketing & Communication Strategy As a charitable organisation seeking to aid areas with vital support to enhance teaching and learning in schools in deprived communities, the responsibility is on the organisation to make itself and its cause known to the group of beneficiaries, stakeholders and society at large, namely: i. The schools and communities that requires support Teachers and education providers ii. Local government authorities and other partner organisations and institutions iii. Those who share in the ideals and commit to support the cause i.e. donors and supporters iv. The general public Marketing, for any organisation can be quite an expensive operation. To perform this function cost effectively and efficiently it is always important to identify and employ the best combination of tools, materials and platforms in its execution. The core strategy is to ensure all marketing materials and activities are designed to inform and educate target audience, as well as inspire and challenge them to sign up to the cause or get involved to help provide much needed support and resources to enhance teaching and learning in the selected schools. Public TRUST in who we are and what we do is essential for our continued existence. It is part of the marketing and communication strategy to conduct ourselves in accordance with our core values, be transparent and fair in all our dealings with anyone who comes in contact with us and our communication materials and also conduct ourselves legally within the framework of the Charities Act Promotion There are a range of platforms and ways by which a charitable organisation can effectively promote itself. The following are among the most effective ways to promote Footprints365 and its projects: i. Social media platforms and networks (Facebook, Twitter, Pinterest, Google+) Conscious effort will be made at every event to invite the public to connect with the organisation on all platforms. Updates on activities, projects, educational information, blog post, will be shared with subscribers and followers of the charity. A nominated staff or volunteer will be responsible to effectively manage this. ii. Website and Blog The website is one of our greatest platforms for the provision of readily available essential information about the charity to the general public. From what the organisation is about, to its latest projects or activities. It acts as the last stop with every campaign directing people to the site. To attract traffic in our awareness creation and marketing campaign, the websites will be constantly updated and reviewed, ensuring that visitors have access to all essential and up to the minute information, with minimal or almost no further questions on their mind unanswered, by the time they leave the website. Our Blog will be constantly updated with quality content, latest developments, news and organisations activities, to help inform and attract traffic to the website. Page 9

10 10 Promotion iii. Designing, printing and distribution of flyers, brochures, T-shirt s, Diaries, Pens etc. These will be used to promote specific events, projects and programs, as well as for general fund raising and awareness creation events. To help establish the Footprints365 Charity brand in the minds of the public, there will be consistency in the design of artwork on each product to ensure its effectiveness. Volunteers will always be encouraged to wear the T-shirts at events. Other gift items such as pens and diaries will be for giveaway purposes at our events and programs. Flyers and brochures will always be readily available at every event with up to date information about the charities projects and activities, how the public can help, and contact and donation details. iv. Identify community events, groups and clubs and partner with them for an opportunity to showcase what the charity is about This includes negotiating with community event organisers and hosts for the opportunity to participate in organized events. Taking advantage of their platforms, such as festival celebrations, fairs, conferences and other social events to showcase the charity and its objects and projects. v. Promotion through current support network family, friends, corporate and social networks such as Church groups Trustees, staff and volunteers are encouraged to help promote Footprints365 Charity to their varied contacts and network. Inviting them formally and informally for the charity s events and program at every opportunity. Whilst encouraging them to support the cause through participation in the various fund raising activities and awareness programs. vi. Through print media, radio targeted magazines Identify media platforms and avenues patronized by our targeted support audience, to effectively promote the charity to them. Encouraging strategic media houses and platforms to support Footprints365 Charity by featuring the charity s activities and events on its platforms without any cost to the charity or at promotionally competitive discounted prices. vii. Road shows and concerts This includes educational tours to schools and colleges, Footprints365 Charity concerts or partner organized concerts aimed at creating awareness and for fund raising purposes. The charity will seek to identify celebrities, musicians and event promoters who share in the vision of the Footprints365 Charity, encourage them to be part of such road shows and concerts to help promote the charity and its projects. viii. Invitation letters to targeted corporate organisations to become one time or on-going support partners Corporate bodies will be identified and approached with invitational letters aimed at introducing the charity, its objects, projects etc, for their one time sponsorship of any given project at the time or to become long term partners. The incentive for them will be to position themselves as an organisation that gives back to the community as part of its corporate social responsibility role, tax benefits for donations to our cause, as well as the opportunity to showcase their logos and artwork on our promotional products, websites etc., helping to promote their business to our network. ix. Positioning the charity for support from local councils, boroughs, charity support groups and organisations Local councils, private charity foundations, grant bodies and charity sponsoring organisations often times nominate organisations or projects for sponsorship in a geographical area or targeted sector. It is our aim to network with such bodies, identify set criteria and make known our projects, where necessary for nomination by the responsible board. This should enable us position ourselves to attract their support at any given time. Page 10

The SWOT analysis below helps us to highlight the risks and opportunities and consider the best options available to us in managing them for maximum operational performance and continued existence. 12 12 ix. Management & Operational Plan 1. Trustees The responsibility of managing a charity lies largely with the trustees until such a time, when due to the growth and increase in operational size full time staff are employed to take over its day to day functions. The board of trustees have the responsibility to manage the affairs of the charity for the next 3 years, and are to be guided by the constitution and trustee code of conduct. Every nominated trustee, prior to their appointment, must have read the TRUSTEE CODE and consented fully to the terms stated, by signing a copy of the code, witnessed by at least 3 existing trustee board members including the chairperson. Secretary Nathan Gyebi-Ababio 5. Legal - Olusola Obajuluwa It is to the benefit of the organisation to have a mix of backgrounds and experience of the designated trustees. Trustees are more productive when each member understand the cause and contribute as a team towards the charity s set vision and objectives. For voting purposes board member numbers are always to be maintained as an odd number (5 or 7 member board is an ideal number for a small charitable organisation such as Footprints365 Charity). Additional positions can always be created in the future in line with the pace of growth of the charity. 2. Personnel The above members of the board of trustees are expected to perform their duties under the roles highlighted below at various times in the running of the day to day activities of the charity. However, as the charity grows in its operations, staff will be employed to take over full responsibility under the highlighted roles below in the day to day running of Footprints365 Charity. Volunteer management Additional roles will be created at any given time, to meet the needs of the organisation as and when necessary. Page 12

Performance Monitoring Performance evaluation is necessary for effective and efficient management of projects and the organisation as a whole. a) It is the means by which we can assess whether our strategies are working b) We are delivering our message and championing the cause of our target beneficiaries c) And whether we are achieving our overall vision, mission and purpose. In order to be efficient and effective in what we do, we have put in place specific measures to help us constantly evaluate our performance, identify areas of weakness for correction and improve on deliverable targets. A sample reporting table can be found in Appendix II. To monitor on-going and project specific performances, it is important to always clarify and establish before its commencement: i. The scope of the particular project undertaking ii. Outline the objectives of the project iii. Time limits or state the project execution duration iv. The specific persons responsible for each task v. Projected estimates or budget for the cost of delivering the service. Where a project is for the raising of funds, the expected expenditure and income to be generated from various target groups. vi. Expected outcomes on completion of the project vii. Evaluation forms to be provided for target beneficiaries to give us feedback on our performance quarterly, half yearly, annually or on the completion of the project. viii. Processes and persons to have the responsibility to investigate any exceptions, i.e. shortfalls, below expectation delivery or over delivery performance outcome. ix. Report with impact to board of trustees and any major partner or sponsor of a given project. The above measures form the basis of the charity s performance monitoring procedures. The standard with which actual performances are measured against to assess the effectiveness or efficiency of projects executed. Summative and Formative evaluation Summative Evaluation: Education achievement Increase in enrolment Reduced absenteeism Reduced school dropout Service deliveries over and above expectation can become a standard to improve in the future. Any delivery below expectation must be investigated and corrective measures adopted to ensure better outcome in subsequent projects. Formative Evaluation: Actual receipts from fund raising projects for instance, should be compared with projected income on commencement of activity. If the event yields more than expected donations or pledges, it is worth assessing how that came about and whether such strategies can be improved upon. Any below target differences must be equally investigated to ensure lessons are learned and improvements are made for better outcomes in subsequent fund raising events. Page 13

14 14 XI. Fund Raising Strategy Fund raising is an essential part of the running of a charitable organisation such is Footprints365 Charity. There are the usual known fund raising schemes or avenues and others that come about as the organisation grows and support network get actively involved in fundraising programs in support of the charity. As part of our effort to establish credibility and enable the public, potential partners and supporters gain confidence in our fundraising activities, we are considering signing up as members of the Institute of Fundraising and the National Council for Voluntary Organisations (NCVO), and work on the PQASSO quality mark. Membership of these organisations will also help us adopt best industry practices in our fundraising responsibilities. Being effective and maximizing returns in our fundraising efforts is necessary for our continued existence. The different kinds of donor groups and individuals we have identified include: Individual Donors Corporate Donors One-off Donors Lifelong Partners Funding/Grant European Bodies Private Commission Foundations To effectively access each of the categories of donors above and maximize returns, the strategy process below must be employed: Page 14

15 15 1. Sponsorship walk organised by Footprints365 Charity or participation in other such events. 2. Support network will be encouraged to donate items to the charity, which will in turn auction them online via EBay or organised car boot sales. 3. Face to face fund raising from store locations with agreed participating retail outlets. Such ASDA, Tesco, etc. 4. Charity concerts other commemorative celebration events will also double up as fundraising and awareness event. 5. Cake and other food sale event either organised through schools, clubs or community groups with the aim of raising funds in support of Footprints365 Charity. 6. Marathon participation in major marathons, such us London Marathon. Members of the charity's support network will be encouraged to participate in such major annual events to raise money for the trust. 7. Sign up to charity fund raising bodies such as Children in Need - UK, and private foundations such as, Bill and Melissa Gates Foundation and others, to understand qualifying criteria and apply for grants for our projects. 8. Participate in pledge giving causes such as Giving Tuesday etc. for donations from the public. 9. Send out donor request letters to targeted corporate organisations to sign up as partners or to sponsor individual projects as highlighted above under our marketing strategy. 10. Sign up to fundraising organisations who offer fund raising services to charities at a commission, where necessary. 11. Bidding and sending applications to single or multi partner funding schemes to find projects such as EU Commission, Philanthropic Organisation, Ghana Government and Local Authority. Page 15

Project Activities ( I n d ependen t A ctivities) Core Activities These are annually occurring activities that usually take place at the same time each year. Core activities currently include reviewing the organisational strategy, submitting accounts and reports for trustee board consideration and any external authorities such HMRC and Charity Commission. Any project activity occurring for the first time, such as the publication of a journal, will be classed as an independent project. If that project is then reoccurring at regular or annual intervals, it may later be classified as a core activity. Independent Projects In addition to the continual process of delivering Footprint 365 Charity s core activities, the organisation may occasionally explore or establish additional projects in order to further its charitable interests. Independent projects are time-allotted activities that may be reliant on securing supplementary funding. Page 16

17 17 Footprints365 aims to reconstruct the primary school bloc and a new school library for Bokuruwa Presbyterian Primary School, located in the rural district of Kwahu East District of Ghana. Facilities to be constructed and areas of specific interest under focus are: 1. Construction of a 2-Unit bloc school with ancillary facilities 2. Accommodation for school library 3. Internet facility 4. Support for a feeding programme for pupils at the nursery and kindergarten 5. Teaching and learning materials (computer, Science equipment, learning games and physical education kits) The construction of these facilities, we believe, will not only help improve enrolment and retention at the primary school level but will also contribute significantly to the cultivation of the culture of reading among all school pupils in the community which is expected to culminate into improved performance. Project Budget Footprints365 business plan is in five phases and is looking to start the first phases in 2014, with an expected completion date of It is estimated that is needed to begin the first stage of this project.
