1 1 PEDIATRIC AIDS COALITION General Committee Application Thank you for your interest in applying to the Pediatric AIDS Coalition! Please direct general questions to Laura Van Voorhis and committee-specific questions to respective directors ( s below). WHAT IS THE PEDIATRIC AIDS COALITION? The Pediatric AIDS Coalition first began as Dance Marathon in Over the past 13 years, Dance Marathon has grown from 20 committee members raising $27,000 to 160 committee members last year planning an event that raised nearly $450,000. Five years ago, the single event Dance Marathon transitioned into a yearlong organization known as the Pediatric AIDS Coalition (PAC), which is now the largest student-run philanthropic organization on the West Coast. PAC has expanded to include direct service projects and events that seek to expand knowledge of the pandemic within the community and support the group s beneficiaries: the Elizabeth Glazer Pediatric AIDS Foundation, Camp Kindle, the UCLA AIDS Institute. Such programs include the I Know Awareness Campaign, World AIDS Day, Life Skills Retreat, and a Mentorship/Family Program. This year, the Steering Committee and Executive Team are seeking passionate and driven individuals who will serve as ambassadors for the cause within the UCLA campus and surrounding community, and who are committed to the continual growth of PAC. TIME COMMITMENT & DEDICATION The Pediatric AIDS Coalition is a yearlong, campus-wide effort that requires a great deal of time, energy, and dedication from its committee members. As a general committee member, you will be a member of one of our 20 planning committees. It is vital that committee members understand that your time commitment to the Pediatric AIDS Coalition includes the entire school year, as the members of PAC committee are responsible for the planning, promotion and execution of multiple large-scale events each quarter. We expect PAC committee members to consider the organization a very high priority, a mindset that should be reflected in the time and energy committed to PAC. That being said, PAC is a very rewarding and educational experience. After joining PAC, this committee will become one of your closest groups of friends here at UCLA!

MEMBERSHIP FEE FUNDRAISING REQUIREMENT A single membership payment of $60 ($20 per quarter) will be collected at the first General Committee meeting. This cost covers your committee highlighter shirt, registration fees for the donation website, fall retreat, and the cost of internal morale activities. Additionally, every committee member must commit to fundraising a minimum of $500 toward the cause before the event. Applications are due by 5pm on October 10 th to the PAC Office (Kerckhoff 419). Only the application page and the answers to the application questions should be submitted for review. If selected for an interview and are unavailable for the interview dates (October 17-19), please denote this in your application. 4 COMMITTEE STRUCTURE Descriptions below - please carefully read each committee description before selecting your committee preferences on the application. 4

5 5 LOGISTICS COMMITTEES Executive Director: Mikki Leach CATERING Director: Gale Curry Responsibilities: Catering s main responsibility is to secure nutrition for dancers during Dance Marathon (5+ meals for 1,500 persons), along with product donations for PAC s various other awareness and fundraising events. The Catering committee will work with the Executive Board to create and mail the Catering Packet to companies and actively research ways to lower the costs associated with all areas of PAC. At the event, Catering committee will manage mealtime logistics. CORPORATE RELATIONS Director: Ted Flatebo pac.corporate.ucla@gmail.com Responsibilities: Corporate Relations works with corporate companies and businesses to solicit monetary and in-kind donations for PAC events including: silent auction, prizes, and dancer bag gifts. Corporate Relations will work with Finance Committee to develop and secure overall corporate sponsors for DM, will create and mail the Corporate Packet to companies, and will actively research ways to lower the costs associated with all areas of PAC. Corporate Relations will work closely with Fundraising to coordinate an effective donor-stewardship effort, and will be integral in forming close relations with local and national corporate giving funds. FINANCE Director: Nathaniel O Neil pac.finance.ucla@gmail.com Responsibilities: The Finance committee will be responsible for managing all financial aspects of PAC. This committee requests and compiles a general committee budget, individual committee budgets, reimbursements, and spending reports. Finance submits university funding proposals and grant proposals and attends all associated hearings (USAC, TGIF, SOOF, etc.). This committee is responsible for exploring and developing funding support for PAC, maintaining an effective relationship with Student Government Accounting, and should be knowledgeable about the rules and regulations applicable to our finances and applicable funding sources. The Finance committee will also work with private trusts, grant-giving organizations, and individual benefactors to secure monetary donations for PAC. Qualifications: Experience working with SGA, grant-giving organizations, or grant writing is a plus. FUNDRAISING Director: Klancy Maples pac.fundraising.ucla@gmail.com Responsibilities: The Fundraising committee will be responsible for consolidating all fundraising efforts for dancers and PAC committee members in addition to working closely with Dancer Relations to help dancers meet and exceed their fundraising goals. This part of the committee will focus on coming up with new and innovative methods of fundraising that include, but are not limited to: fundraising apparel, letter-writing campaigns, social media campaigns, canning, hosting fundraising events for dancers, etc. This committee will be in charge of increasing fundraising support and will work with Design to facilitate the selling of merchandise within our community.

6 6 OPERATIONS Director: Allyson Hahn Responsibilities: Operations is in charge of a majority of the logistics before, during and after Dance Marathon. This includes, but is not limited to: building the master schedule and job rotation, facilitating set-up and clean up before and after the event, and establishing and maintaining professional working relationships with a variety of on-campus entities such as ASUCLA, Recreation, Parking Services, UCPD, the Fire Marshall, the Office of Residential Life and UCLA Administration. In addition, Operations is responsible for making room reservations for meetings and events on campus, organizing volunteer recruitment and registration and reserving parking for performers, press and special guests during the event. Operations will work closely with the Executive Team and facility managers to develop event layout and operations in addition to collaborating with the Entertainment committee to secure the necessary equipment for the event. UNIVERSITY RELATIONS Director: Nick Jensen pac.university.ucla@gmail.com Responsibilities: This committee is responsible for maintaining and furthering PAC s relationships with organizations on campus such as UCLA alumni, student groups, athletics, as well faculty and staff. This includes gathering support, funding, and co-programming for future events. University Relations function is to spread the word about PAC and Dance Marathon on campus through administration and students to facilitate a truly campus-wide campaign. University Relations is also in charge of the logistical planning and execution of the Alumni Reception during Dance Marathon, which is to be attended by UCLA and PAC alumni, UCLA faculty, administrators, and corporate/catering sponsors. This committee will work closely with Community Relations, Operations, Corporate Relations, and Catering to ensure a successful event. MARKETING COMMITTEES Executive Director: Matt Driver pac.marketing.ucla@gmail.com DESIGN Director: Katie Shannon pac.design.ucla@gmail.com Responsibilities: The Design committee creates and develops the overall aesthetic for the year. Design is responsible for creating all DM materials, including, but not limited to, outreach flyers, Dancer Survival Guide, Corporate Packet, Media Kit, event T-shirts, social media posts, and all physical designs and decorations. Design works with the other Marketing committees to ensure a cohesive publicity effort and an event aesthetic that corresponds with the DM 2015 theme. Qualifications: Applicants must either be able to use graphic design software (ie. Adobe Photoshop, Adobe Illustrator, etc.) or have good drawing skills. Supplement: Please bring a portfolio or samples of your work to your interview, or Katie a link to your portfolio before your interview.

7 7 PUBLIC RELATIONS Director: Katie Whan Responsibilities: Public Relations secures both off and on-campus media coverage of event by drafting and submitting press releases, contacting political and community officials, and communicating with all of the beneficiaries as well as committee members and personal connections to secure celebrity guests. PR creates and maintains a database of secured guests and determines publicity needs and target audiences. PR committee members act as PAC point spokespersons for all outgoing media interviews and information, and work together to implement a yearlong multiplatform social media strategy that engages and inspires online audiences. Supplement: If possible, attach prior PR work/writing samples to your application. PUBLICITY Director: Megha Savla pac.publicity.ucla@gmail.com Responsibilities: The Publicity committee will coordinate all publicity efforts, including flyering, social media campaigns, and any digital/print marketing. The director will also brainstorm and coordinate innovative publicity stunts throughout the year in order to create further awareness of PAC/Dance Marathon, and will assist the Events committee in publicizing any PAC-related initiatives or events. Publicity will work closely with other Marketing committees to execute a yearlong marketing strategy that stresses education, involvement, and empathy, rather than one that results in guilt and annoyance. EVENTS Director: Monica Avakian pac.events.ucla@gmail.com Responsibilities: The Events committee will coordinate and manage all non-dance Marathon events (e.g. Club Nights, a Color Run, a Dodgeball Tournament, a Benefit Dinner). Events will focus on maintaining PAC s yearlong presence, specifically allowing for a larger portion of UCLA students to become involved in our cause, as well as reinforcing the cause at every event. Events will be working very closely with the rest of PAC s Marketing Team to ensure that all events fall in line with the organization s overall mission. OUTREACH COMMITTEES Executive Director: Minali Mohindra pac.outreach.ucla@gmail.com COMMUNITY RELATIONS Director: Amy Gonser pac.community.ucla@gmail.com Responsibilities: Community Relations is a dedicated to establishing new connections with both UCLA and the Los Angeles community. They will be responsible for outreaching to local high schools to plan small-scale Dance Marathons for the students, working with campus organizations to help them plan fundraising and educational events for their Dance Marathon participants. DANCER RELATIONS Director: Sarah Mathison pac.drel.ucla@gmail.com

8 8 Responsibilities: D-Rel committee members lead dancers as a dancer captain by organizing and interfacing with dancers/teams. Captains act as dancers' liaison to all DM and PAC information via s, info meetings, and face-to-face contact. Captains encourage dancer retention, put on awareness-raising activities, ensure that each dancer meets their sponsorship goal, mail sponsorship solicitation letters on behalf of dancers, and ensure the health and wellbeing of all dancers throughout the event. Captains must be willing to devote a large time commitment to personal interaction. Qualifications: Previous Dance Marathon dancer or committee experience is required. FAMILY RELATIONS Director: Clay Cosbie pac.family.ucla@gmail.com Responsibilities: Family Relations acts as the liaison between PAC and all ambassadors, spearheading committee and dancer interaction with ambassadors, while also programming direct service opportunities for PAC committee members. Family Relations is in charge of three large-scale mentorship events, ensuring that committee members develop close relationships with DM ambassadors, programming of ambassador-related activities at DM. Family Relations also seeks to develop lasting relationships with local families that are infected/affected by HIV/AIDS. Additionally, Family Relations will serve as the main contact with beneficiary ambassadors, and will plan Life-Skills Retreat for campers that have aged out of Camp Kindle. Time allowing, Family Relations will also aid Kindle in the planning of Evening Programs (Carnival, Kindle-lympics, Dance Night, etc.) at Camp Kindle West. GREEK RELATIONS Director: Kevin Barlow pac.grel.ucla@gmail.com Responsibilities: G-Rel outreaches to the Greek community and increases participation leading up to and at Dance Marathon. Members of the committee will act as team liaisons for individual Greek houses whose responsibilities include but are not limited to: registering house teams, row-walking, tracking registration and fundraising progress, and helping plan Greek fundraising efforts. G-Rel will work closely with Panhellenic and IFC to secure greater Greek involvement in all PAC-related events. Qualifications: Current registration in the Greek community preferred. RESIDENTIAL LIFE Director: Hannah Xavier pac.reslife.ucla@gmail.com Responsibilities: ResLife focuses on engaging students living on the Hill. Committee members will attend ORL meetings to gain support and funding from the residence halls, coordinate year-round events located on the Hill, encourage participation of on-campus students to get involved with DM, secure venues for events on the Hill, solicit residential associations for financial donations to PAC, develop and facilitate methods of retention for the Hill, and provide programming support to RAs. Qualifications: It is preferred that applicants be current ORL staff members or hill residents. PRODUCTION COMMITTEES

9 9 Executive Director: Emily Mathison CAUSE EDUCATION Director: Sarah Pontius Responsibilities: Cause-Education ensures that education is a central aspect of all PAC related activities, and inspires committee members and participants to be passionate about our cause. Cause prepares interactive educational presentations for committee meetings, events, and for Dance Marathon, and creates for DM participants and committee members to get involved outside of DM. Additionally, Cause collaborates with the Media committee to produce cause-related videos for our YouTube channel. ENTERTAINMENT Director: Andy Gifford pac.ent.ucla@gmail.com Responsibilities: The Entertainment committee recruits performers for DM and all special events including Bruin Plaza Days and the like. The committee creates the Entertainment Application and holds auditions for performers. Throughout the year, Entertainment will work closely with Morale, D-Rel, Catering, and Operations to produce an overall event timeline and schedule. At Dance Marathon, Entertainment is in charge of stage-management, contacting and booking all DJs, bands, student groups, performers, and working with facility s audio/visual staff and Operations to ensure access to necessary equipment. MEDIA Director: Ky Newman pac.media.ucla@gmail.com Responsibilities: The Media committee creates and develop all media for DM, including, but not limited to, opening and closing event videos, morale videos, cause videos, videos for pre-dm events, outreach videos for dancer registration, and public and corporate relations promotional videos. Media also coordinates event photography and yearlong photo documentation, and aims to transform PAC s media effort into one that inspires, engages, and encourages viewers to take action. Qualifications: Must be able to operate a video camera and utilize editing equipment. Filming, photography, and editing knowledge is crucial, including lighting and software competence. MORALER RELATIONS & INTERNAL Director: Seven St. Germain pac.mri.ucla@gmail.com Responsibilities: MRI seeks to unify a large general committee behind our cause and make everyone feel welcome and appreciated. MRI keeps committee spirits high, plans social events and activities, creates the PAC Directory, recognizes committee members for outstanding work, institutes random acts of DM kindness and fun, and recognizes committee members birthdays. MRI also plans an all-pac fall retreat and an end-of-the-year banquet. At Dance Marathon, MRI organizes and executes Morale Corral, is responsible for organizing communication with registered Moralers throughout the year, and works with Outreach committees to secure moralers. MORALE Director: Aaron Roubitchek pac.morale.ucla@gmail.com

10 Responsibilities: Morale committee members are the official hosts of DM, with the primary goal of overseeing dancer satisfaction and happiness at event. The committee works to film various video shorts and music videos, script morale activities and skits, choreograph the morale dance, develop the overall DM theme and its integration into the event, and organize and develop morale shift themes. Additionally, Morale facilitates fun, innovative competitions between dancer color teams. Throughout the year, Morale works with Media, Cause, and Publicity to coordinate a yearlong publicity effort to promote our cause. Members of Morale must be willing to dedicate a significant amount of time to filming, and must be both personable and able to act as a cause-oriented ambassador for PAC. Supplement: Applicants for Morale should prepare a 2-3 minute original performative piece (monologue, parody, comedic sketch, etc). Creativity and originality are the key, above genre 10
