After those present had an opportunity to review the proposed agenda, and a call for additions and changes was made, the following motion was proposed: Motion: It was moved that the proposed Agenda for the Meeting of Wednesday, May 2, 2018, including additions and changes, be formally adopted as the Meeting Agenda. As per Bylaw 7.1.1, Recommendation for Filling a Vacancy, a suitable candidate for the single CSPC membership vacancy was identified at CSPC Meeting #5 on Wednesday, February 7, As a result, candidate Jackie Biase stood for a vote of appointment to fill the vacant Member at Large seat at the current meeting. Motion: It was moved that Jackie Biase be appointed to CSPC membership. Carried 5.0 Principal s Report reported. 5.1 Acknowledgements: A warm welcome was extended to the council. Special thanks to Co-Chair Nicole Arsenault for assisting in bringing the Swim to Survive students to finals and to Mrs. De Braga for her work on Confirmation. 5.2 Important Dates: May 07 11, 2018: Education Week; please see Appendix A for a detailed schedule of events. Best of luck to the staff and students! 5.3 Block Budget: The current balance for the school budget is $2,209. Math books have been ordered and the stationary order will be placed shortly. The school budget is on track for September Sports Update: The Grade 7 8 soccer team requires 17 participants; however there may not be enough students enrolled to constitute a team this season. The Treasurer s Report was distributed (Appendix B). There are five outstanding cheques, including Scientist in the School, totalling $1,138. Current funds available are $7,198, with fundraising to date totalling $14,773. The Budget Assessment was distributed (Appendix C). The initial CSPC budget was $14,708. Fundscrip values reflect both 2014 and 2018 and did not generate much funds; it may not be worth repeating in the future. However, increasing Pizza Lunch to biweekly was very successful, raising $3,186 to date. The CSPC currently has raised enough funds to cover all budgeted items for this school year. There was some discussion amongst council as to the rational for a $2,000 rollover each year. Treasurer Chris Stadler clarified that surplus CSPC funds must be allocated at the end of the year as per TCDSB policy. Though, the value for the rollover category can be increased or decreased, as voted on by the CSPC when the budget is set. There was one cheque that bounced, which cost the CSPC $7 in banking fees. The cost was requested by the Treasurer to be reimbursed to the CSPC from the issuer. Motion: It was moved to add to CSPC Treasurer Procedures that issuers of bounced cheques are to incur any associated banking costs. Carried Co-Chair Cori Stadler reported. The OAPCE Parent Summit will be held on Saturday, May 5, 2018 beginning at 9:30 AM at the Catholic Education Centre (80 Sheppard Avenue East, 2 nd Floor Atrium). All council, administrators and parents are welcome to attend. Council interested in attending are to please let the Co-Chairs know. Co-Chair Nicole Arsenault reported. The 2018 / 2019 PRO Grant application for STEM programing from Techzenik ( is underway. The take home STEM Kits will be offered to interested students at an additional nominal charge. 8.0 Parish Report Co-Chair Nicole Arsenault reported. The EDGE Youth Ministry meetings continue. EDGE Adventure Camp early bird registration has ended. Nativity Summer Day Camp is now full and there is a waitlist. Confirmation has been completed. The Luncheon celebration will be held on Friday, May 11, 2018 and will consist of Swiss Chalet. Volunteers will be sought from the Grade 7 parents. First Communion will be held on Saturday, May 12, 2018 at 5:00 PM and Sunday, May 13, 2018 at 11:30 AM. A portable shelter is needed for school use during various events and activities. The current CSPC funds should allow for the purchase of the tent. To show school spirit during events it would be beneficial to decal the tent. Bobby Miller will contact a vendor to determine the details for applying decals. Motion: It was moved that, pending an end of year evaluation of funds, the council purchase a 13 x 13 portable shelter from Costco (budget $175) to be used for various school events. Carried 9.2 Motion / Vote: Folding Table Purchase: Co-Chair Cori Stadler reported. The custodian confirmed that 12 folding tables used at the school are in need of replacement due to disrepair. These tables are used for various events in the gym and around the school throughout the year. The Board does not supply folding tables and the school does not have a budget for them. Tables range in size from 6 8 and cost ~$86 $130 (sales ranging from $60 - $90). The goal would be to purchase a few tables each year to replace the worn ones. The current CSPC funds should allow for the purchase of 2 tables this year. The following motion was proposed: Motion: It was moved that, pending an end of year evaluation of funds, the council purchase 2 (two) 6 folding tables on sale (price checking at Canadian Tire, Walmart, Costco; budget: $130) this school year, with additional tables to be purchased in subsequent years. Carried 9.3 Discussion / Decision for BINGO Fund Allocation: Laura Cannone and Co-Chair Nicole Arsenault reported. BINGO Night was a success, having raised $1,915, after costs were deducted. The community responded well to the event and several parents volunteered to assist on the BINGO Committee. There is currently a need to replace 2 of the school s water fountains. A bottle filling station option has been sourced, at $1,600 per station, which will produce cold, filtered, water. The TCDSB will install and service the stations at no additional cost. It is unclear what the warranty on the stations is. It was recommended that the upstairs fountain be replaced first as the older students fill their water bottles more frequently than the younger students. However, it is not recommended that the younger students be permitted to travel upstairs to use the station. The BINGO funds, or the budget rollover allocation, could cover the cost of a single station; council discussed holding a fundraiser in September 2018 with the goal of raising the funds for the second station. Motion: It was moved that the council purchase 1 (one) bottle refill station to replace the upstairs school water fountain this year. The draft Fun Fair flyer has been prepared. However wording seeking volunteers is suggestive that the event will be complementary for volunteers; the wording will be adjusted. Volunteers will be asked to place orders for food, drinks and bracelets. Donation Letters have been sent out; if a letter is required for soliciting donations from vendors please request one from Co-Chair Cori Stadler Updates to Procedures for CSPC Fund Allocation & Staff Funding Requests 11.0 CSPC Election Committee Co-Chair Cori Stadler reported. In the past when staff required funding from the CSPC a proposal would be submitted. However, recent inquiries from council regarding where CSPC funding can benefit students in the classroom has brought to light the opportunity for council and staff to communicate on initiatives throughout the school year. Teaching staff often discuss improvement plans and are receptive to council requesting information and assisting with the process / progress as well. Council members can discuss ideas then contact the Principal and teachers for further information and refinement pf proposals. As there have been some inquiries into CSPC processes, particularly by new members, it was suggested that a CSPC Orientation Package be assembled with all necessary policy and procedures to be made available to all members. Teacher Representative Mrs. Pacheco reported. Currently the school has available a portable interactive white learning board that is readily available to teachers as needed. There have been no issues in scheduling the use of the board, thus it is not currently requested that additional boards be funded. However, some items that could be improved include overhead mounted projectors, new area rugs, and classroom laptops. Mounting projectors eliminates tripping hazards. Board installation may cost upwards of $1,000, with the mounting arm being an additional cost. Three classrooms have very worn out area rugs (which are used for Circle Time). Health and Safety conducts inspections of such items and it is unclear what the current lifespan of the rugs has been estimated at. The Board provides 10 x 13 area rugs for $887; however, if the area rug is not restricted by the Board, an alternate may be sourced at a better cost. Currently each classroom has a laptop, however they are getting older (~25 laptops on the trolley and ~15 ipads). Secretary Christina Forsyth indicated that the Department of Information and Technology at Humber College may be able to donate needed technology with the submission of a Letter of Request on official school letterhead, detailing the needs of the school. Secretary Christina Forsyth reported. As per Bylaw Article VI, Election Procedures, CSPC Elections should be organized and presided over by an Election Committee. As the composition of the committee must include parent members that are not standing for election, nor the spouse of anyone standing for election, and the commitment for this committee is relatively low, this is an excellent opportunity for a parent from the larger school community to get involved. Please see Appendix D for the Election Committee Package. Parent, teaching staff and non-teaching staff representatives will be invited to participate on the Election Committee with the Principal. Council discussed what the procedure should be if a neutral parent cannot be found to Chair the committee. A Bylaw amendment can be made to allow for an outgoing council member to serve as the Chair, in the event that a non-council parent representative cannot be found Bylaw Amendments for September 2018 AGM 13.0 Matters Arising During the Current Meeting 14.0 Items Deferred to Future Meetings 15.0 Date, Time & Location of Next Meetings Item deferred due to time constraints CSPC Communications: Treasurer Chris Stadler reported. As the CSPC Meetings are occasionally followed up via s it is important for council to be mindful of the manner in which messages are framed. It can be challenging to interpret tone from electronic communications. It could be helpful to add to the CSPC Orientation Package that electronic communications be given a period of reflection (e.g., 24 hours) before responses are made. Volunteers are requested to assist with the Confirmation Luncheon (date: Friday, May 11, 2018 at 11:15 AM). Follow up with Mrs. Blandizzi-Woods on the Kindergarten Celebration plans and whether / where parent volunteers can assist on the committee. Follow up with Mrs. Hlady-Madeira regarding the plans for the Grade 8 Graduation, including costs for the event.
