1 REPORT ON WEEF 2013 Cartagena ACOFI Space available Convention Center in Cartagena de Indias, located in Getzemani neighborhood in the center of the city. Space and other services were used from Monday, September 23rd until Friday, September 27 th. Under the agreement with the Convention Center were used the following spaces. Registration porch Great auditorium Barahona (1, 2, 3, 4) The second floor Great Salon Arsenal (second floor) Secretary General (second floor) Hall of expositions Lobby of the great auditorium Hall of exposition Lobby of Gran Auditorium (second floor) Room 302 (third level) Room 303 (third level) Room 304 (third level) Services Audio visual assistance in every room and auditorium, Lap top, Video Beam, Overhead screen, microphone, telephone and sound center. Closed circuit TV service recording of all sessions in the main auditorium Refrigerators during all days of the event Security service for 24 hours Medical service Monitor Prompter
2 University Corporation Rafael Nunez Support provided from this institution for the realization of 7 workshops on Tuesday 24th of September, six workshops in the library and one workshop in the systems room of the institution. Moreover, in Thursday 26 th, was organized the meeting of the chapter of Civil Engineering in the main room of systems in the main university center. For all these activities was provided the audiovisual assistance. Technological University of Bolivar In its installations was organized the ninth Global Student Forum GSF from September 22 until 24 th of For all activities there was available the audiovisual support. WEEF supported with transportation and logistics. There were over 80 students representing ten countries. University of Cartagena With the support of this institution was organized the first workshop on Tuesday September 24th in the complex of La Merced. On the same Tuesday was organized the meeting of industrial engineering chapter in the same location. The meeting of food engineering chapter took place in San Agustin Complex. For all activities logistical support was available. Admiral Padilla Naval School of Cadets This institution contributed with its music band in the inauguration act of the event, playing the Colombian and Cartagena s anthems. Academic activities There are realized the following activities 5 keynote conferences 10 workshops (8 with certification - Tuesday September 24 th ) 5 panels 3 forum conversations 226 presentations (142 oral and 84 posters); Presentations were presented in a oral format in September Posters were exhibited during the three days of the event in a special session of Thursday 26 th of September.

4 Dassault Systémes There were two VIP exclusive rooms during the event. Dassault Systémes. The companies of Hewlett Packard and Mathworks had reserved the VIP rooms, but were not utilized. Other activities Tuvieron lugar en el marco del evento diferentes reuniones asociadas con la educación en ingeniería: There were other meetings associated with engineering education during the preceding of the event. 9 th Global Student Forum of Engineering (GSF) Meeting of Colombian Industrial Engineering Chapter Meeting of Colombian Civil Engineering Chapter Meeting of regional Food Engineering Chapter Meeting of IFEES Strategic Planning Meeting of IFEES General Assembly Meeting of IFEES Executive Committee There were organized two social activities during the event Poster Exhibition Lunch for WEEF s closure Presentations grouped per topic There was created the scientific committee made out of 51 professors from four countries, which was in charge of evaluating the selecting the presentations that were presented within the program agenda of WEEF. Works presented Innovation in education were received 334 summaries and 167 works presented Education for innovation were received 124 summaries and 59 works presented Total numbers are: 458 Summaries and 226 works presented.
5 Modalities In the topic of Education in Innovation there were 110 oral presentation and 57 posters. In Education for Innovation were presented 32 oral presentations and 27 posters. Total oral presentations are: 142 Total posters presented: 84 Countries represented in presentations Argentina, Brazil, Chile, Colombia, Denmark, United States, India, Italy, Mexico, Peru, Singapore. Academic organization After reaching the central topic of WEEF and two thematic subjects, was opened the admission process in January 23 rd 2013, so that the global academic community could present their articles under the central topic of the Forum, for this service was employed the Open Conference System, a website host which allows participants to view and organizers to publish all relevant materials of the Forum, this system allowed us to create a website, open a submission process, receive the summaries of authors, send summaries to be revised, accept summaries, receive complete papers, revise and accept and finally publish all the works accepted online. All this process had a duration of seven months approximately in which there were developed the various stages of this process with the following chronogram. January 23 rd, the opening date for the presentation of summaries. March 22 nd, a date for the presentation of summaries. April 6 th, a date for the revision of summaries April 12 th, deadline to accept or deny the summaries May 10 th, deadline to present the first version of completed works July 10 th, deadline to present final draft of academic papers Logistics Since 2012, we begun the conversations with the Convention Center of Cartagena de Indias, with the objective to reserve the spaces and continue to fulfill all needed requirements to organize the event. During 2013 and until the date before the event started, we had permanent communication with the Convention center, adjusting requirements, doing visits, assigning spaces that would allow the development of organizing this Forum.
6 On a parallel fashion during the year, we begun conversations with different institutions that are members of ACOFI in the city of Cartagena to secure spaces for different academic activities accomplished during the conference, this is how we secured the support of Universidad de Cartagena and University Corporation Rafael Nunez for the realization of certified workshops, and meetings of chapters, the support of Universidad Tecnológica de Bolivar to host the 9th Global Students Forum and the support from the Naval School of Cadets with a music band that was present during the Forum. Also we began to work in order to secure the space for social activities (poster session and closing lunch). With the support of our logistical operator, we organized in the Baluarte Hall the session of posters in September 26 th, and ACOFI contacted the naval museum for the organization of a closing breakfast. This way we had the support of local universities to complement with dances and cultural activities during the forum. For the arrangement of details in the course of the forum there was hired a company, which was in charge of signaling and other publicity infrastructure, the display banners and other advertisement materials. In order to give a better visibility of the work of posters, ACOFI acquired sufficient structure in order to make them visible and they were all displayed during the whole time of the Forum. Also during the preparation of the event, were realized different publications and information flyers that included: Convocation for the presentation of projects Commercial exhibition and sponsors Two roving information sections Invitation to the event Invitation via sent to all who would be interested to attend comercial and academic meetings. For the preparation of materials of the event also were hired different companies for the development of all these materials, such as preparation of individual bags with all the materials located inside.
7 Memories of the event, a book that contained all the summaries of work finally approved from the scientific committee. CD of memories, it contains all the works that were approved to be presented in the Forum. Pen Note pad Academic Agenda of the event Commercial catalogue Additionally inside the preparation of the event there were designed a series of elements that permited a good organization of the event. Certificates Banners Versions of a Pocket Program There was also hired a company that would exclusively register all participants control the Access to conferences, academic and social activities, and handling of certificates for all participants and keynote speakers. Commercially ACOFI did all the negotiations and communications to secure corporations that would become sponsors, they had received the support of more than 50 companies and national and international institutions who decided to support the event within the distinct categories of participation. ACOFI offered various packages to different sponsorship levels. Therefore was achieved the sponsorship of Dassault Systemes, as a Platinum sponsor, a package that included among other things, a VIP room, a privileged publicity, and lunch of the forum s closing. Others sponsors where La Republica Newspaper, Stevens University, Mathworks, that were the Bronze sponsors. This activity had as its objective to share experiences and works presented through the poster section. From this session there was the participation of a group of dancers from Technological University of Bolivar. In this activity participated more than 600 delegates; cocktail, two glasses of wine per person and typical appetizers were served. Lunch of WEEF Closure This event took place in September 27 th, at 13:30 PM in the Naval Museum. To finalize this event, was realized a lunch for all participants, sponsored by Dassault Systemes, as well as the music group University corporation of Rafael Nunez and the Sandunga group. 500 delegates participated for lunch was served together with a few wine glasses and typical drinks. Recognition of participants There were recognized various prizes to some participants for their hard work in engineering education and academic activities. There were presented four gift certificates from Hard Rock Café, during lunch was raffled a latest generation lap top, and a latest technology cell phone.
