1 ISSCR 11 th Annual Meeting June 12, 2013 Boston, MA USA Industry Wednesday Symposia (IWS) Overview The ISSCR Industry Wednesday Symposia is an opportunity for your company to present important scientific information to a highly engaged audience of leading stem cell researchers from around the world. IWS Symposia take place on Wednesday, June 12 from 8:30 a.m.-12:30 p.m., directly preceding the start of the ISSCR 11th Annual Meeting which begins at 1:00 p.m. The ISSCR will promote your session! The ISSCR will include your session in pre-meeting marketing and in collateral materials for the ISSCR 11 th Annual Meeting. Your session description will be included on the ISSCR website as well as in pre-show marketing to ISSCR members and prospective meeting delegates. IWS sessions are included with meeting registration. All ISSCR meeting delegates may attend an IWS session at no additional charge. Application Proposals for hosting an Industry Wednesday Symposia program should be sent electronically to Amy Claver at aclaver@isscr.org by February 28, Proposals are reviewed on a firstcome, first-served basis by the reviewing committee, the ISSCR Industry Committee. Proposals must include the following: Symposium title Name of supporting company Contact information for the primary contact person who will be receiving all future correspondence related to coordinating the session Statement of educational need and/or benefit for holding the symposium Confirmed speaker list with accompanying CVs Narrative description of the symposium this will be used to promote your session on the ISSCR Web site and in other promotional materials Complete agenda with confirmed speakers Learning objectives and goals of the symposium Target audience Room set up is theater Applicants should be as accurate and detailed as possible when putting together their submission. The information provided in the application will be used in promotional materials. Industry symposia should address relevant topics and should not be overly sales-focused, though presenters may distribute product material as part of their symposium. All applications that present genuine scientific content relevant to the ISSCR membership will be considered by 1 of 5

2 the review committee for inclusion in the symposia. Space is limited and available on a firstcome, first-served basis including review and approval by the reviewing committee. Participation in the Industry Wednesday Symposia program requires $20,000 USD in support to the ISSCR. All additional costs, including, but not limited to, food and beverage, labor, shipping and other associated costs, are the sole responsibility of the supporting company. The ISSCR is not responsible for any charges incurred for the Industry Wednesday Symposia. Participation Benefits Standard Audio-Visual setup arrangements and labor including: o Laser Pointer o One appropriate screen o One AV technician in the room o One wired aisle microphone in center aisle o Tabletop microphone on head table o Podium microphone o One LCD Projector o Confidence monitor (any variations on the AV arrangements will be at an additional fee to the supporting company) Room setup to include: o Theater seating maximum (270 people) o Room signage o Lighted podium with microphone o Stage on riser o Two six-foot head tables with six (6) chairs on risers o Two six-foot tables in rear of room o Stairs with rails on both sides of the head table Session listing on ISSCR s website and in The Pulse e-newsletter with a link to your homepage Promotion of the event through an Industry Wednesday Symposia Web page on ISSCR s website and in regular messages to all potential meeting attendees Two complimentary meeting registrations Signage (including logo & session title) in the registration area of the ISSCR Annual Meeting 2 of 5

3 Promotional Materials ISSCR must approve all promotional materials for all industry symposia. Participating companies are required to present copies of all promotional materials to ISSCR staff for review prior to mailing. The ISSCR logo should not be used on any promotional materials for industry symposia. Because the Industry Wednesday Symposia are not part of the official ISSCR 10th Annual Meeting and are planned solely by the supporting organizations, participating companies may not reference their symposium as part of the ISSCR Annual Meeting or imply that their symposium is an ISSCR event. Participating companies may refer to their symposia as preceding the start of the ISSCR Annual Meeting. Continuing education credit will not be provided to attendees of Industry Wednesday Symposia unless separately coordinated by the supporting company. Setup / Logistics All Industry Wednesday Symposia will take place from 8:30 a.m. to 12:30 p.m. at the Boston Convention & Exhibition Center (BCEC). Participating companies may serve refreshments during their symposium. All incurred costs associated with symposium activities are the sole responsibility of the participating company. All Industry Wednesday Symposia activities must be completed by 12:30 p.m. on Wednesday, June 12, prior to the official start time of 1:00 p.m. of the ISSCR Annual Meeting. Contact information for onsite representatives will be provided to participating companies once their proposals have been accepted as part of the IWS program. Room assignments will be based on a first-come, first-served basis. Symposia must be contained within the assigned room. Video overflow is not permitted. Payment for and arrangement of all food and beverage and other related needs is the sole responsibility of the supporting company. All food and beverage must be ordered through the Boston Convention & Exhibition Center (BCEC) and will be placed in your assigned room. All additional audio visual arrangements must be ordered through the official ISSCR audio visual vendor. For photography and videography arrangements, all IWS participants must comply with local union guidelines. If you intend to record your program you must complete the ISSCR AV Form. ISSCR Staff will advise you regarding additional fees or compliance issues. The supporting company may place signage outside of the symposium room (signage must be approved by ISSCR Headquarters prior to the meeting) No other signage is permitted in either the Boston Convention & Exhibition Center (BCEC) or local hotels. 3 of 5

4 Standing in public areas of the convention center or area hotels to promote your symposia is strictly prohibited. Attendees of the Industry Wednesday Symposia (IWS) must also be registered for the ISSCR 11th Annual Meeting to attend the IWS. IWS speakers attending only the IWS are not required to register for the ISSCR annual meeting. IWS speakers wishing to also participate in the ISSCR annual meeting must register as an annual meeting attendee. Speaker Guidelines No member of the ISSCR Executive Committee, the ISSCR Board of Directors or an ISSCR Committee Chair may serve as a speaker during a company s symposium. If a speaker chosen to present at the ISSCR 11th Annual Meeting is also presenting at an industry symposium, the speaker must deliver unique information during each presentation. A subset of information or repeat of a scientific session or symposium is strictly prohibited. Speakers may participate in only one industry symposium. Speaker selection is final at the time of application. Changes to the symposium speakers or their presentation content after acceptance of your application is strictly prohibited. Upon your acceptance and complete payment, no refunds will be available at any time. Focus sessions may be held concurrently with IWS. Focus sessions are ISSCR member-organized sessions that give non-profit organizations the opportunity to provide in-depth looks at topics of interest outside the main scientific program. 5 of 5
