1 Unit Y501 Prepare for Spectator Events This unit is about preparing yourself as a steward and checking the facility, route or venue for hazards before an event. Preparing for spectator events is an essential part of a steward s role. In this unit you will learn about your role in ensuring the safety of all spectators as well as yourself and any other people at a venue. You will look at the prevention and reduction of incidents and accidents and the contribution that stewards make to the provision of safety, security, and customer service at venues including crowd control, dealing with complaints, directing customers and working with emergency services to deal promptly with any emergencies. An event steward is required to manage a situation until a trained first aider arrives. You don t need any first aid skills to complete this unit. 2 NVQ/SVQ Level 2 Spectator Safety Know how stewards prepare for their duties at spectator events Unit Y501 Prepare for Spectator Events Best Practice Checklist Information: the details of the event and any anticipated problems; (this will include any intelligence, event times, attendance figures, and audience profile) Intention: the customer care, well being and safety management strategies and objectives; Method the tactics for achieving these strategies and objectives; Administration: general issues, including your role, breaks for refreshments etc; Risk assessment the main risks for the event and the contingencies for dealing with them; Communication the means by which personnel will be informed and directed; also the receiving of feedback to identify any ongoing issues. 102 Stewards at lorem ipsum dolr sit amet, ad minum veniam, quis nostrud Standards of appearance and behaviour Your appearance needs to be smart at all times. You will need to have a clean and correct uniform, including a visible identification badge. As an Event Steward you must have professional standards of behaviour whilst you are at work. You represent your employer as well as the managers of the event who will expect you to: greet visitors to an event in a friendly and courteous manner act fairly and not discriminate on the grounds of gender, sexual orientation, marital status, race, nationality, ethnicity, religion or beliefs, disability, or any other difference in individuals which is not relevant to the Event Stewards responsibility carry out your duties in a professional and courteous manner with due regard and consideration to others behave with personal integrity and understanding use moderate language, which is not defamatory or abusive, when dealing with members of the public and colleagues
3 Prepare for Spectator Events be fit for work and remain alert at all times develop knowledge of local services and amenities appropriately report all incidents to the management co-operate fully with members of the Police, Local Authority, Security Industry Authority, and other statutory agencies with an interest in event Key term Colleagues: The people you work with people working at the same level as yourself or your manager(s) You should not: solicit or accept any bribe or other consideration from any person drink alcohol or be under the influence of alcohol or drugs display preferential treatment towards individuals abuse your position of authority carry any item which is or could be considered to be threatening Pre-event Routines Follow the registration procedures correctly and on time. Collect your pass, identification and other resources, looking after these and returning them after the event. Attend the pre-event briefings as required. Note all the necessary information which is given at the briefings Registration procedures and the pre-event briefing There will be a pre event briefing where company that employ you will emphasise the importance of reporting to a supervisor at a pre-determined location on time, with your identification or pass, looking clean and presentable and wearing a smart uniform which identifies you as a steward.! Remember: It s important that you register on time, collect your uniform and resources and attend the briefing. Functional skills English: Communication listening and assimilating information at the briefing Prepare for Spectator Events Unit Y501 Think about it You will be assessed to show that you are able to follow registration procedures correctly and on time, this will include: Collecting your pass, identification and other resources, looking after these and returning them after the event. 5 Prepare for Spectator Events Working Life Carl s story I decided to be an events steward five years ago because I love going to gigs, and there was a good music venue near to where I lived. My first role after being accepted as an events steward was as part of a team on the main entrance to the venue. At my first gig, there was a big group of lads who arrived together. Most of them presented their tickets with no problems, but one claimed he had lost his on the way to the venue. I didn t know what to do because it was my first day on the job, so I called my supervisor over to help me out. I explained the situation and my supervisor said that the only thing we could do was for him to buy a new ticket if there were any available. I showed him where the box office was, and he bought a new ticket and got to see his favourite band with the rest of his mates. Once I had seen how my supervisor had dealt with it, I felt confident I would be able to deal with a similar situation myself the next time. Ask the expert Q A Q A What should I do if there s a situation I don t know how to handle? Let your supervisor or the control room know, so they can advise you or deal with it. What should I do if the customer does not speak English? Let your supervisor or control room know so they can find someone who can speak their language. Try to reassure the customer by smiling and using your body language. Top tips Never try to deal with a problem that falls outside of your remit or that you do not feel confident with.
