5 Burton Hospitals NHS Foundation Trust UNIFORM AND DRESS POLICY FOR ALL CLINICAL STAFF 1. BACKGROUND 1.1 The appearance of all Burton Hospitals NHS Foundation Trust staff is very important. Our staff represent a professional image for the Trust, supports the confidence of the users of our service and contributes to the way in which other professions are regarded by colleagues, patients and the public. 1.2 Clinical uniforms are used to protect and identify staff, as well as protecting patients. 1.3 The Policy describes the requirements of the Trust. 2. AIM OF THE POLICY 2.1 The purpose of this Policy is to direct all Trust clinical staff on the Uniform and Dress policy and the responsibilities entrusted to individual members of staff. 2.2 Staff are clear about the professional standard expected by the Trust when wearing a uniform. 2.3 Clinical staff who are not required to wear a clinical uniform, are clear about what professional standards are expected by the Trust, whilst wearing their own clothes. 2.4 Staff will be expected to follow the requirements of this Policy without exception. Where an employee is found to be in breach of this Policy it is expected that they will receive support and advice to ensure it does not happen again. Where an employee is found to persistently breach this Policy they may be liable for disciplinary action. 3. SCOPE OF THE POLICY 3.1 The Policy applies to all clinical staff and relevant non-clinical staff involved in caring for patients in the Trust. 3.2 All clinical staff employed within the Trust present a professional image at all times when carrying out their duties. 3.3 All staff engaged in direct patient care should maintain patient safety and their own safety at all times. 1

6 4. ROLES AND RESPONSIBILITIES 4.1 Individual Employees It is the responsibility of all staff to maintain professional standards in line with this Policy, and to present a professional, smart, clean image at all times when on duty Clinical staff who are required to wear clinical uniforms must adhere to this Policy. Clinical staff who are not required to wear a clinical uniform should adhere to this Policy Changing facilities are provided in the Trust, and should be utilized by staff. There is no evidence currently to show an increased infection risk from travelling to and from work in uniform; however in order to support a professional image, if staff do travel to and from work in their uniform, it should be completely covered at all times for example a full length coat Staff will not wear their uniform to go shopping, collect children from school or to undertake similar activities in public Staff are allowed to wear uniforms for attendance at on site official meetings e.g. Staff Side work, Trust and directorate meetings and some training When staff attend Trust training they should wear clothing appropriate for the training being delivered Staff who attend external meetings should not wear clinical uniforms while off site The Trust is a no smoking zone with the exception of formally agreed smoking shelters for the public and patients. The Smoking Policy aims to ensure that members of staff do not smoke when they are identifiable as Trust staff, whether on Trust premises or adjacent to Trust premises. Therefore if staff do smoke during their breaks, they should cover their uniform with a full length coat Staff who are required to wear theatre scrubs must change out of the theatre scrub suits when they choose to sit in the Trust Restaurant during their breaks. Masks and head wear should not be worn outside the theatre/ department The Trust provides a laundry service for provision of clean uniforms but where staff prefer to wash their own uniforms, they have a responsibility to comply with the guidelines for laundering uniforms (Appendix 1) Only authorized items of uniform should be worn whilst on duty and nonissue items worn should not be visible. 2

7 Members of staff should inform their Line Manager if they are pregnant so that maternity wear can be ordered early in the pregnancy. 4.2 Line Manager s Responsibilities To ensure this Policy is brought to the attention of every new and existing clinical employee of the Trust Line Managers will negotiate any individual requirements with members of staff who have specific medical, religious or cultural needs that relate to their appearance and record this in their personal file and review on a regular basis All Line Managers are responsible for monitoring and maintaining uniform and dress policy standards. Where an individual repeatedly fails to adhere to the Uniform and Dress Policy it is the Line Manager s responsibility to enforce the disciplinary process It is the Line Manager s responsibility to ensure that each member of staff have sufficient numbers of uniforms to perform their role, x 1 per day they work, plus one It is the Line Manager s responsibility to purchase/order uniforms and to provide maternity uniforms for staff that are pregnant. The Manager should order maternity wear early in the pregnancy Uniforms will be provided for each discipline as specified in the document and can be laundered free of charge by the Trust. 4.3 Employee s / Manager s Responsibility It is the responsibility of both employee and Line Manager to ensure that, prior to termination of employment and receipt of final salary, all uniforms provided by the Trust are returned to the Trust by sending to the laundry room, based near the Porters Lodge. 5. TRAINING 5.1 Awareness of the Uniform and Dress Policy will be raised during the Corporate Induction and will be included within the yearly mandatory infection control updates. 5.2 The Line Manager will provide specific information on the Uniform and Dress Policy during local induction. 3

8 6. UNIFORM STANDARDS FOR CLINICAL STAFF WHO ARE REQUIRED TO WEAR CLINICAL UNIFORMS 6.1 In order to support safe moving and handling, dresses should have a hem length of just below knee level and no more than 10 cm below the knee and should be sufficiently loose to allow free movement. Trousers should be full length. 6.2 Protective clothing should be worn in line with the Infection Prevention and Control Policy and Health and Safety Policy. 6.3 To comply with Health and Safety requirements and good practice, shoes should be worn as they provide protection for the foot. The shoes should be fully enclosed, black, and have non-slip, soft soles and low heels, no higher than 2-3 cms. Backless, clog-type shoes and sandals are not permissible (for exceptions, see Appendix 2, Clinical Uniforms). Anti-static footwear is required to be worn in specific areas and is provided by the Trust for staff protection. 6.4 Tights/socks should be plain, natural or black. During warm weather it is permissible for staff not to wear tights, as long as a professional image is maintained. 6.5 Cardigans may be worn while travelling between Wards/Departments. They should not be worn for the delivery of clinical care, as the minimum standard required is bare below the elbow. If, for religious reasons, a member of staff is required to cover their arms, they may wear three quarter length sleeves but must roll them up to the elbow whilst delivering clinical care. The agreement with the Line Manager should be recorded in the personal file. Cardigans should be plain black/navy, unless specifically indicated in Appendix 2. A departmental logo may be added to staff s own fleeces if agreed by the department manager. 6.6 Mobile phones should not be carried in the clinical uniform pocket (exception community midwives) and must not be used for private calls/texting while on duty. 6.7 To support staff safety jewellery must be discreet at all times: Rings plain metal wedding band only. Wedding bands with stones should be kept covered due to infection control risk. Earrings 1 pair - small metal stud type no stretch devices to be worn. Other visible body piercing should be removed, including tongue piercings. Wrist watches should not be worn. A fob watch may be worn on the uniform. Neck chains should not be worn. Paediatrics no jewellery except for wedding ring. 4

9 6.8 Hair must be tidied back, so that hair is always clear of the face and is not unsecured. Hair must be arranged so that it is always clear of the face and does not hang below the collar line of the dress or jacket. Hair colour and devices to secure/tie the hair discrete. 6.9 Whilst the Trust is aware that hair style fashions change, members of staff should remember that their overall presentation while at work should be professional Fingernails must be kept short, unvarnished, with no false extensions Make up should be worn discreetly. No false eyelashes Perfumes and after shaves should be used minimally Beards should short and be well groomed Visible tattoo s which may be considered of an offensive nature should be covered All staff must wear a name badge stating their full name and title. One other professional badge may be worn Trust security badges must be displayed with a visible photograph. In order to support patient and staff safety the security badge should be worn on a pocket/waistband whilst delivering clinical care as lanyards should not be worn in clinical areas. Some staff groups who wear lone worker devices may be required to wear it round their neck if required Uniforms and belts which are worn for the delivery of direct care will be worn only once before washing at the recommended material temperature. Buckles can be worn with belts by registered nurses and should be cleaned regularly Headwear/hats should not be worn except for cultural reasons which are documented in the personal file. Cultural headwear must be completely covered when in the operating theatre room. Protective headwear is provided in designated areas Clinical maternity wear will be provided by the Trust for pregnant staff There are occasions when clinical staff are required to work non clinically for example management day, training etc. If the work is based in a clinical area the member of staff should have a clinical uniform available to wear if required to meet members of the public or work clinically. When clinical work is based in an office for a shift, and a clinical uniform is not indicated, staff should comply with the dress standards requirements. 5

10 7. ORDERING UNIFORMS 7.1 Uniforms are provided by the Trust and are free of charge. 7.2 The process of ordering of uniforms is available via the Trust intranet pages directorates > estates and facilities linen services > guidance notes and ordering codes. 7.3 If there is a delay in receiving an ordered uniform within the lead time after placing the order (please see the lead times in the uniform ordering codes document), the Line Manager should inform the procurement office (Helpdesk number 391) to deal with the company. 8. DRESS STANDARDS FOR CLINICAL STAFF WHO ARE NOT REQUIRED TO WEAR CLINICAL UNIFORMS 8.1 Clinical staff who are not required to wear a clinical uniform e.g. Doctors, should ensure that they are neat and presentable at all times and that their dress does not restrict their movements or pose any Health and Safety risk. 8.2 It is important that the dress standards are followed to support a professional image. 8.3 In order to facilitate good hand and wrist washing when carrying out clinical activity, all staff should: Be bare below the elbow Not wear ties unless they are tucked into the shirt when hand washing or undertaking clinical activities. 8.4 In order to support safe moving and handling dresses and skirts should have a hem length of just below the knee level and no more than 10cm below the knee and be sufficiently loose to allow free movement. FAILURE TO COMPLY WITH THE POLICY 9.1 If a member of staff fails to follow the Policy, they will be counselled by their manager/deputy (after seeking advice from the HR department) when a breach occurs and asked initially to adjust their uniform/dress/ appearance. A note will be placed in their personal file. 9.2 If a member of staff repeatedly fails to follow the Policy, the Disciplinary Policy may be commenced. 7

NEW ROLES / REQUIREMENTS FOR NEW UNIFORM 10.1 In the event of a new clinical role being introduced into the Trust which requires a clinical uniform, the Line Manager should discuss the uniform requirements in the first instance with the Divisional Nurse Director / Clinical Director, who will seek the appropriate agreement from the Chief Nurse or Medical Director. 11. POLICY COMPLIANCE The effectiveness of the Policy will be monitored by Senior Sisters, Matrons, Divisional Nurse Directors, Department Managers, Director of Midwifery and Women & Children s Services, Assistant Clinical Directors and Clinical Directors Complaints Incident reports Reports from the monthly quality metric 12. 13 Appendix 1 Guidelines for the care and home laundering of Clinical Uniforms 1. Sufficient uniforms must be provided in order that freshly laundered clothing can be worn for each shift or work session. Uniforms should be washed at the highest temperature that the fabric is designed to tolerate. Staff must wear a clean uniform for each shift or work session. If belts are worn, they should be laundered with the uniform. 2. When home laundering, uniforms should be washed at the highest temperature that the fabric will tolerate. The type of washing powder used e.g. biological or non-biological is not important. 3. Uniforms should be dried quickly / washing line dried or tumble dried and ironed. Attention should be paid to the seams of the garment when ironing as this is where bacteria may be harbored. 4. Once uniforms are laundered and ironed, they should be stored flat in a clean plastic bag to minimise the risks of contamination with dust, other contaminants, or by household pets. 5. When laundering uniforms at home they should be transported in a plastic bag and ideally be washed separately from other items. Clean and dirty uniforms should not be transported together. 6. During intimate clinical care, or when carrying out tasks which will contaminate the uniform, e.g. bed making and toileting patients, staff must wear a plastic apron in order to reduce contamination of the uniform. 7. Access to spare clothing must be provided for instances where uniforms become excessively contaminated with blood or other body fluids. Uniforms affected in this way must be sent to the laundry for appropriate washing and disinfection. 8. Staff working in patients homes must carry out a risk assessment regarding the likelihood of their uniform becoming contaminated with bodily fluids and should wear a plastic apron where appropriate. Staff should ensure that their uniform is covered when travelling. 9
