PRESENTATIONS 1) Free Technical Assistance Elaine Tokolahi, SF CARD, Program Coordinator SF CARD stands for San Francisco Community Agency Responding to Disaster; they are a nonprofit who provides technical assistance for other nonprofits and congregations. They are funded through grants and a membership program. SF CARD supplies different levels of technical assistance that are related to emergency and continuity planning, as well as psychological first aid. Elaine shared a form that explains the different technical levels and announces that they will be provided through June 1 st, 2016, at no cost because of the San Francisco Foundation; they have three spots remaining. The trainings are geared for the nonprofit s staff member who is responsible for emergency planning and keeping related paperwork updated. Updated on: 3/22/2016 Page 3

4 Additionally, they are geared to the people in charge of thinking through different scenarios where an emergency impacts way business runs, e.g. if you supply 100 free meals to clients on a typical day, you may find you need to instantly be able to provide 300 free meals, SF CARD can help you think through and plan for this. They will go to your organization and give you this type of assistance along with reviewing written emergency plans and provide detailed feedback to improve your plans and bring it up to standard. As CYC s Seismic Safety team is present to speak with the conveners, we can learn about their services and SF CARD can work to supplement information in other areas of planning. They want to move cohesively with other organizations to offer the best preparation possible to nonprofit staffs. Elaine explained what SF CARD considers a disaster; they have the skill set to handle a natural disaster and a manmade disaster. Examples include: earthquakes, fires, tsunamis, flooding, and chemical spills. They have developed an active shooter training for agencies, as well. 2) Seismic Safety Outreach David Munoz Ventura, Community Youth Center, Community Advocate David presented the menu of opportunities for groups of 5 or more that CYC s Seismic Safety Outreach provides; he is the person to contact to sign up. CYC has partnered with SF Department of Building Inspections (SFDBI) and received funding to conduct safety preparedness trainings. San Francisco is placed on the Pacific Rim of Fire and upon fault lines that cross below us. We understand that our next earthquake occurrence is simply a question of when, so CYC wants to help educate the community on emergency and disaster preparedness; they do this in each neighborhood in District 3, 5, and 10 for a total of 40 one hour trainings within one year. Among the trainings, there are titles such as Personal Preparedness, and Earthquake Mitigation, and Citizen s CPR. (Citizen s CPR mean hands only CPR. ) CYC is offering the courses in a plethora of languages including Korean, Spanish, Cantonese, and Mandarin. The trainings are all hands-on. The SF Department of Emergency Management has identified three key steps for people to use when getting ready should a disaster occur: Get Connected, Gather Supplies, and Make a Plan. Within the Personal Preparedness training, these steps are repeated throughout. CYC explains that to get connected you can use your phone to contact others. One can also utilize social media to organize people in case of disaster; they explain how to use various apps like nextdoor.com and what s app. CYC explains that it is key to have an out of state contact in case of emergency. Additionally, CYC helps people learn how to respond to things such as earthquakes, fires, and flooding cause by a tsunami. Within the Earthquake Mitigation training, CYC has the goal of making people safer both at home and at work. They encourage steps to be taken to bolt items Updated on: 3/22/2016 Page 4

5 to walls to prevent things from falling and tipping over, keep heavy items on lower shelves, and gathering supplies. This may be their most vital training, because we do expect a large scale earthquake to affect the Bay Area within the next 25 years or so. David says this training takes approximately 1.5 hours. Response and Recovery is similar to Personal Preparedness but it goes into deeper detail about how to react to a disaster. CYC teaches it is best to Drop, Cover, and Hold On ; they do include alternatives for those with physical differences. They also educate regarding how best to prepare for fires and flooding when inside and outside. Fire Safety is specific to making sure your smoke and carbon monoxide detectors are working and up-to-date. They advise making sure your home fire extinguisher is current, as well. They will also teach steps in how to deal with a fire. Basic First Aid includes basic bandaging and steps on how to approach a person legally. Citizen s CPR is hands only CPR. CYC also offers Organizational Resilience to help design and implement emergency planning, emergency responses, and a concentrated operations plan. Lastly, CYC is an authorized provider of the American Red Cross, so they can offer certified first aid and CPR trainings to CBOs and nonprofit groups of more than 5 people at a discounted rate. We may form a BMAGIC group to hold and attend the trainings. COMMUNITY BUILDING 1) Open Enrollment Cayla Allan, Parents for Public Schools of San Francisco, African American Community Advocate Parents for Public Schools of San Francisco is all about keeping the public in education and are concerned with the SFUSD open enrollment process, which is currently in Round 2. This does not apply to charter and private schools. Cayla reviewed what parents can do with their Round 1 letters. There are two official drop off locations for the enrollment forms: The Education Placement Center at 555 Franklin and the other is at Leola Havard in Bayview at 1520 Oakdale Avenue. Parents have now received their Round 1 school assignment. If they are happy with this selection, they must register at the school by April 8, If they would like, they can also apply for more schools, for instance if they got a few of their top choices, but would like to try for more still, parents can do so at this time and the application must be completed by April 8, After this step, parents are encouraged to attend school orientations and get their children ready to attend. If a family receives their Round 1 assignment and are not happy, they will want to participate in Round 2. PPS-SF advises them to register to hold on to their Round 1 assignments, but they can still apply for Round 2 assignments; both steps must be completed by April 8, If parents apply to new schools and/or language pathway programs in the Round 2 open enrollment process and they get their selection, their Round 1 selection automatically go away, so parents should only apply to schools or programs they want more Updated on: 3/22/2016 Page 5

6 than their Round 1 assignments. (Language pathway programs are treated as a school within this process.) Another thing to keep in mind when navigating Round 2 is that Round 2 is a regular placement round, so appeals are only offered for special reasons. The two types of appeals that are offered in Round 2 are medical and family hardship; these appeals are approved by the Appeals Committee on a case by case basis and are final decisions. An appeal request form is available online. Families must also provide support via documentation that acts as evidence to explain the family s hardship. A family hardship is a situation that affects a family member other than the child. Once April 8 th passes, we enter into the Wait Pool (Rounds 3-5). If parents are not happy with either of their first two assignments, they can enter one choice as their wait pool option; this choice will be in effect through Round 5 unless the parents change it. The deadline for Round 4 is July 22 nd, This means that if a parent submits a choice for the Round 3 wait pool, but decides between Round 3 and Round 4 that this choice is no longer higher priority than the Round 2 assignment, the deadline to change back is July 22 nd. The deadline for Round 5 is August 12 th, The ASAP process (Available School Assignment Period) begins on June 15 th, Schools that have openings without a wait pool will begin handing out their spots on a first come first served basis starting on June 15 th, School begins August 15 th, SFUSD begins what is called a 3 day count. A student has the first three days to get to school and hold his/her placement there barring an emergency. If the student is a no-show for the first three days (without communication to the school) of the school year, the school will report this to the Enrollment Placement Center and they, in turn, will fill the empty seats. The original assignments the students in the wait pool had will automatically disappear. This notification process (via phone and a mailed letter) happens through September 2 nd, Parents can move through the charter school enrollment process and the SFUSD enrollment process at the same time. Families must make decision which is best for them and choose final placement accordingly. PPS-SF can present at the CBOs to clients in English, Spanish, Cantonese, and Mandarin; they bring all materials and work on a sliding scale for fees. 2) Summer Learning Network Updates Heather Tufts Services focuses on five different neighborhoods for this pilot for this year 2016: Bayview Hunters Point, Mission, Chinatown, OMI, and Excelsior. These five areas were chosen in a sense that it was paired with Fischer & Read Summer Resource Fair (the larger one), of which the successful outcome gave the idea to promote more resources in these areas. The goal is to recreate this inventory online ( for families to know what is available during the summer. The ultimate goal in moving forward would be that these resources would be Updated on: 3/22/2016 Page 6

7 accessible to all ages up to 24 years of age and not only during the summer months. *Slideshow takes place* Services Inventory: Would like to create a space where parents can go to find current resources whether it is activities or medical care, dental, employment, etc in San Francisco. Online tools on the website will allow you to customize your search based on what filters you choose using your family preferences. Lyslynn: To reiterate, the overall goal of this would be streamline processes - to initially help families to navigate the online system by referring to one main database citywide. This would also be saving the city costs as well. New information will continuously added to the website please keep checking as you go. Currently, we are still considering adding other languages; Spanish & Chinese. You can also go to public library and centers that have free computer access to visit the site. Heather: We have a van program that provides free summer meals for youth (if you are a site). Meals are delivered to your site, but these meals are free to any youth (up to 18 yrs old) to receive a free meal (if at site). USDA funds this program. Anyone is free to apply and is strongly encouraged. Check out website for more details. Also please support summer reading DCYF has resources on the website that will help you guide your youth in literacy. 3) TechMobile Shawna Sherman Our focus is to bring creative tech services that would be easily accessible to San Franciscans though the TechMobile. TechMobile is part of the SF Public Library mobile outreach services (i.e. Book Mobiles). *Slideshow in process* Classes are offered as well as in the summer; after school programs; other programs, etc. We try to support our cities youth in computer science/tech education. We would like to find new partners in joining efforts towards the same cause. The TechMobile takes 3 months in advance to book, since our service is free. There is a free application for service. Main concern for this service is finding parking! There is usually two staff on the bus to help with the computers. Possibilities are endless and we open to gathering new ideas on how we can have the TechMobile throughout the city. Career Online High School is a new program you can find online where youth can receive high school diploma and career certificate in eight different fields. We would like to raise scholarships for this program as well. In this program you can reserve a laptop to use if participating in this program and you need online access. TechMobile is looking for sites so please contact us if interested. 4) Back to School Event Site Allegra (NOW Hunters Point) Jennings at Cargo Way we look to transform the site to a community amenity; currently this is a blank slate where it offers to the community a lot of space with a lot of possibilities. We are hosting BMAGICs back to school giveaway this year! Our space is open and adaptable. Last year, we hosted Bayview Health Connect a large scale health fair. We also partnered up with the Bayview Opera House and created a fun carnival! Last year, we also piloted a movie night that we transformed this site into a safe and welcoming location for families. 8 of youth program that is youth led dance party and look forward to lots more with community partners! PROGRAM DEVELOPMENT 1) Flagship Events Lyslynn We look to gather support from our local service providers and partners to help in entertainment and volunteerism to help with the many moving pieces within the events. Sandra Youth Summit is focusing on safety this year with four subcategories: street violence, relationship abuse, safe sex and drug prevention. Lyslynn Self Care Series Report Pilot workshop majority ran by Yvette Robles. Lots of great feedback with participants; we look to offer this yearly and currently working on scheduling for the fall 2016 (October). Exploratorium Passes Groups up to 16 attend for free.
