1 2017 UC San Diego Faculty & Staff Customer Satisfaction Survey Department Descriptions Department Academic Enrichment Programs Description Academic Enrichment Programs (AEP) provides undergraduates with opportunities to conduct faculty-mentored research, to present their findings at local and national conferences, to conduct stipend-supported summer research, and to prepare for graduate degrees and professional careers through extensive faculty, peer, and other mentoring contacts. Administrative and Business Information Services Enterprise and local information services that support the administrative and business function of UC San Diego. Supported functions include: finance, human resources, student administration, advancement, research administration, academic, capital and asset management, environment, health and safety, housing and dining, and auxiliary businesses. Benefits Benefits is the division of Human Resources with responsibility for health and retirement benefits. Benefits provides faculty and staff with support on the full scope of university-sponsored health, welfare, and retirement benefit plans. Building Maintenance & Repair Services The Building Maintenance & Repair Services division of Facilities Management provides services that maintain and enhance campus buildings and facilities. Campus Bookstore The UC San Diego Bookstore offers UC San Diego staff, faculty, and students a wide range of merchandise and discount prices on many products. Campus Budget Office The Campus Budget Office manages the UC San Diego operating budget and process by which core funds are planned, programmed and allocated. Campus Budget Office provides the analytical staff work on a wide range of campus wide initiatives in support of campus executive leadership. This office develops the campus annual budget plan for core funds and administers annual compensation, utilities and some insurance program budgets. Capital Planning Capital Planning oversees the UC San Diego capital program and is responsible for project approval coordination, space program development, and funding analysis.

2 Central Cashier The Central Cashier's Office is responsible for the receipt and accurate deposit of individual, organizational, and departmental monies, reimbursement of petty cash under $50, and the exchange of currency and coin. Collaboration & Messaging Services Collaboration & Messaging Services manages the Exchange /Calendar, OneDrive, Skype for Business, SharePoint, Google Services, and Microsoft Office Online. Commute Solutions Compensation/Classification Commute Solutions, a division of Transportation Services, is responsible for alternative transportation commute options for faculty, staff and students. It provides services that includes Vanpool program, Carpool Program, Pedal Club, and MTS pass sales. Compensation/Classification is a division of Human Resources that manages the job classification, compensation, and employee records functions. Responsibilities include: classifying jobs and training departments to classify their own jobs, implementing merit programs and wage implementations for represented employees, reviewing requests for stipends and equity increases or training departments to approve their own stipends and equities, assisting departments in calculating service credit calculations for their employees, and training departments on PPS (Payroll Personnel System) data entry in cooperation with Payroll and auditing PPS changes. Custodial Services The Custodial Services Division of Facilities Management provides cleaning and specialty maintenance services to the campus. Dining Services HDH Dining Services operations are open to all students, faculty, staff and the public. (Note: HDH Dining Services includes Bistro, Club Med, Goody's, Roots, Sixty-Four North, OceanView, Pines, Café Ventanas, Canyon Vista, Foodworx, Roger s Market, John s Market, Goody s Market, Village Market, Earl s Market and Sixty Market. HDH Dining Services does not include the Price Center Food Court Operations, the Faculty Club, Grove Café, Bella Vista, James Place, Che Café or Come On In! Café.). Disability Counseling & Consulting (DCC) Disability Counseling and Consulting (DCC) is the division of Campus Human Resources responsible for providing disability management and job accommodation-related services to UC San Diego faculty and staff.

3 Early Childhood Education Center (ECEC) ECEC is accredited with the National Association for Young Children and provides high quality care and learning experiences for young children aged 3 months to Kindergarten. Environment, Health & Safety (EH&S) EH&S supports UC San Diego's students, researchers, patients and staff by managing risk and providing safety related services. Employee Relations, Policy Development and Work/Life (ERPDWL) Employee Relations, Policy Development and Work/Life is the division of Campus Human Resources that provides policy interpretation and training, consultation, conflict resolution, employee recognition programs and work/life programs. Equal Opportunity Services Equal Opportunity Services works with STAFF/NON-ACADEMIC workforce. In partnership with UC San Diego community members, this office promotes equal opportunity and awareness of the value of diversity to ensure UC San Diego s good standing as a federal contractor and provides career development resources for the retention and promotion of staff. Our services include the EO/AA Diversity Awards Program. Equipment Management Under General Accounting, Equipment Management manages the identification and tracking of equipment inventory as well as the valuation/capitalization of equipment. Electronic Research Administration Program (ERAP) ERAP is a campus-wide initiative to implement systems and tools that support improved management by departmental personnel and central offices of the sponsored research lifecycle. EPD (Electronic Proposal Development) is a system created through ERAP to replace the Proposal Log, RES, PI Assurance and Lobbying/Debarment Forms and also replaces ink signatures with electronic routing approvals. Faculty & Staff Assistance Program (FSAP) The UC San Diego Faculty and Staff Assistance Program (FSAP) is a confidential assessment, counseling, and referral service provided by UC San Diego to assist campus faculty and staff, Postdoctoral and Visiting Scholars, UC San Diego emeriti and retirees, and their dependent family members living in the employee s household. This service provides a local, no-cost opportunity for employees to resolve personal and work-related concerns, to find effective referrals to community and health plan providers, and to increase their levels of work/life balance and job satisfaction.

4 General Accounting General Accounting provides professional accounting services to accurately classify, summarize and report timely information on behalf of UC San Diego. Gift Processing & Administration Imprints Campus Copier Services Imprints Print & Copy Centers Gift Processing & Administration is responsible for management and processing of all incoming gifts made directly to UC San Diego and to the Foundation, including compliance with IRS and UC policy, gift recording, and donor receipting. Please note - this unit is separate from the UC San Diego Foundation Accounting group. Imprints Campus Copier Services provides departments with Multi- Functional Devices (copy, print, scan, & fax) on a contract basis, including all service, supplies and paper commensurate with the specific usage. On-campus administration, helpdesk personnel and technicians provide this comprehensive service. Imprints Print and Copy Centers provide a full menu of print, copy, design, and other services for faculty, staff, students and guests from three campus locations. Intercollegiate Athletics Intercollegiate Athletics builds community and collegiate loyalty among a diverse set of constituencies; from students, faculty and staff, to alumni, community members and neighbors. Athletics engages all parts of the University through a sense of shared allegiance and a desire for overall competitive excellence. Providing a laboratory for the personal development of participants, Intercollegiate Athletics 23 varsity teams represent the University in local, regional and national competition and have a proud tradition of academic and athletic excellence. International Center Dean s Office International Faculty & Scholar Office (IFSO) The Dean's Office of the International Center provides leadership for campus global education efforts in support of academic mobility (e.g. student and faculty exchange, visiting scholar appointments, research internships) and educational partnership development and management. It is also a resource for academic departments, schools, and divisions for the development of student exchange agreements. The International Faculty & Scholar Office (IFSO) provides advice to departments and international scholars on appropriate visa classifications for visitors, issues appropriate visa paperwork, and meets governmental compliance requirements relative to each visa classification.

5 International Students & Program Office The International Students & Programs Office (ISPO) is dedicated to providing comprehensive immigration and crosscultural advising services, programs, and informational resources that support more than 9,000 international graduate, undergraduate, and exchange students in achieving their academic, professional, and personal goals, as well as serving the University s academic departments and research units in pursuit of their missions. ISPO also provides more than 250 programs and events each year that foster global perspectives, cross-cultural competence, and appreciation for diversity in our UC San Diego community. IPPS Accounts Payable and Payment Services Accounts Payable reviews and processes supplier invoices associated with purchase orders. They also serve as a liaison between campus departments and suppliers to assist with and resolve payment issues and information requests. Payment Services manages payment programs such as Express Card, Virtual Card and the Visa Gift Card program. They also manage payments to human subjects, direct deposit ACH, checks and wire transfer payments. IPPS Logistics: Moving Services, Surplus Sales IPPS Logistics coordinates and performs campus relocations and serves as an outlet for recycling, repurposing, and disposing of excess UC San Diego property. IPPS Logistics: Receiving, Distribution, Outbound Shipping IPPS Mail Services: Campus Mail, Messenger, Postal, Passport IPPS Payment Requests IPPS Procurement and Business Contracts IPPS Logistics processes and delivers incoming packages and freight to UC San Diego. They also process outbound packages including hazardous material, international packages, and large freight. Mail Services oversees intra-campus mail, desktop shipping, pickup and delivery of official UC San Diego correspondences, and manages the Passport office and the Postal Center. Payment Requests audits and processes specific non-purchase order transactions such as awards, memberships, honoraria, fellowships, and scholarships through the MyPayments application. Procurement and Business Contracts processes high dollar and high-risk requisitions, negotiates complex agreements, manages supplier relationships, manages Marketplace content, and solicits competitive bids.

6 IPPS Travel & Entertainment Travel manages payments and reimbursements for travel, meetings, and entertainment. They manage the Connexxus travel program, the Travel Card programs, and the MyTravel application. Labor Relations Labor Relations, a division of Human Resources, acts as consultant and advocate to campus administration. It supports the proper exercise of collective bargaining processes and procedures for formal complaint resolution. Landscaping Services Library The Landscape Services division of Facilities Management provides an aesthetically pleasing landscape conducive to learning and working. Basic services are available for statefunded areas, with supplemental services available at a charge to campus customers. The Library provides UC San Diego with information resources and services tailored to meet its needs. The Library provides access to more than 7 million digital, print, and multimedia scholarly and educational resources. It also provides services for faculty, students and staff to effectively discover, access and use these and other materials. The Library maintains two major facilities, including the iconic Geisel Library, which are designed to support teaching, learning and scholarship. Network & Telephony Services Internet and campus connectivity (both wired and wireless), telephone and voic . The Network and Telephony Services provides data, telephone, and Wi-Fi services for the main campus, SIO, and some off-campus office locations. These services include phone connection, NGN billing, network architecture, and ensuring that there is adequate data bandwidth. Office of Contract and Grant Administration (OCGA) The Office of Contract and Grant Administration (OCGA) serves the UC San Diego faculty and research community by representing the University s interests in the review, submittal, acceptance and negotiation of grants, contracts, and other research agreements from non-profit, industry and government sponsors. OCGA also provides Business Contracts services in support of outgoing subawards, service agreements, multi-campus awards, ADCS agreements and unfunded agreements.

7 Office of Innovation & Commercialization (OIC) Office of Post Award Financial Services (OPAFS) Parking OIC promotes and facilitates the commercialization of UC San Diego innovations to promote social and economic opportunities to the public. The Office manages and commercializes UC San Diego s intellectual property and provides resources for promoting an entrepreneurial culture on campus. OPAFS oversees the financial management of UC San Diego's federal, state, and private contracts and grants. We advise on matters of financial compliance and proper cost accounting. Other functions include financial reporting, cash management, accounts receivable oversight, effort reporting, review and approval of expense transfers, and cost share monitoring and reporting. Parking provides parking facilities and services for Main campus, Scripps Institution of Oceanography, Medical Center Hillcrest, Medical Center La Jolla. Payroll The Payroll Division s primary focus is the timely issuance of paychecks to employees (approximately 28,000 per month). It serves the campus and medical centers in matters regarding wages, taxes, benefits and customer support. Physical & Community Planning Police/Public Safety Physical and Community Planning prepares and advances campus and use plans so that the environmental quality, aesthetic value, and functional effectiveness of the university is safeguarded. The UC San Diego Police Department is a diverse organization dedicated to providing the highest quality police service to students, faculty, staff, and visitors. Policy & Records Administration Policy & Records Administration (P&RA) provides management and advisory services to the campus for public access and privacy compliance and administrative services for records and information management. Responsibilities include California Public Records and Information Practices Act requests, Chancellor s Correspondence Record, Campus Regents Coordination, Policy and Procedure Manual, Official Notices and Flyers, Notary Service, Official Campus Organization Charts and Records Management Program. Project Management, Facilities Management The Project Management division of Facilities Management coordinates renovation or alteration projects by using an outside contractor and/or consultant.

8 Recreation Recreation is dedicated to providing co-curricular activities and modern facilities that promote physical health, mental wellness, and overall student success through fitness, competitive sports, and instructional programs. Risk Management Office Shuttle Services The Risk Management Office offers services that include General Liability and Workers compensation Programs. It also provides oversight for General Safety, Sanitation, Occupational Health & Hygiene, and Safety. Training. Shuttle Services serves the campus, medical centers, and key points off campus. Shuttle Services offers students, faculty and staff free shuttles. Special Event Parking Special Events Parking provides reserved parking for visitors and guests for special meetings or events. Staff Education & Development (SED) Staff Education & Development is a multi-function division of the Human Resources Department that consists of Learning & Development, Organization Development, and Learning Technologies. SED is responsible for providing complex organization development consulting services and programs, instructor-led and e-learning, instructor support, enrollment management, development and coordination of major professional development programs and processes for UCSD employees; coordination of system wide development programs and processes for the campus, self-study library acquisition and administration, administration of the UC Learning Center, oversight of professional development policies and use of educational benefits. SED supports two training facilities, instructor led classes, e-learning, thousands of course enrollments and compliance training reporting. Additional Career Connections (CC) services are also offered through SED and professional development programs for staff employees. Student Business Services Student Business Services provides debt management and campus card services to UC San Diego students, faculty, and staff. Study Abroad Study Abroad develops and administers study abroad programs for UC San Diego students, including campus-based exchanges, faculty-led Global Seminars, embedded programs, and the UC Education Abroad Program.

9 Sunshine Market Sunshine Market is located at Price Center East and sells food, drinks, personal items, and groceries. Talent Acquisition & Outreach Services Temporary Employment Services (TES) UC San Diego Catering UC San Diego Foundation Accounting Talent Acquisition and Outreach Services is the unit of Human Resources responsible for recruitment. The unit assists the university in attracting the best qualified and diverse applicants through various outreach efforts. Emphasis is placed on guidance and monitoring of the employment process and assisting the campus community with employment opportunities at UC San Diego. Temporary Employment Services is the division of Human Resources responsible for providing temporary staffing to departments on campus, at UC San Diego Medical Center, Thornton Hospital, and the Veterans Administration Medical Center. UC San Diego Catering is a full-service catering and event planning company dedicated to providing you with exquisite cuisine and fantastic customer service. We offer a variety of menus and service options, for everything from box lunches to full-service plated dinners. UC San Diego Foundation Accounting is responsible for the fund accounting and related ledgers of the legally separate campus Foundation, as well as transfers and allocation of its gifted funds to UC San Diego departments for use. Please note: This unit is separate from the Gift Processing and Administration group. University Centers The University Centers (include both Price Center and Student Center) support the UC San Diego community with quality facilities, services, and programs that foster and enrich the campus experience and student learning.
